Introduction

The project "HOTEL MANAGEMENT SYSTEM" is made with

the effort of many people in a direct or indirect manner to achieve the
objective. This project of " HOTEL MANAGEMENT SYSTEM "
of gives us the complete information about the hotel record. We can
enter the record of entry and retrieve the details of the hotel
management available in the record. We can maintain their records
and can also check how many checkIn or booking or checkout from
the hotel. I would like to extend my sincere thanks to MS. HANSA
SHUKLA director of "SSSSMV HUDCO BHILAI" who made
available all possible resources necessary for my project. Further i
would like to give regards to MR. MANOJ PANDEY (ASST. PR.)
Who had given their kind time towards my project. Finally I would
give my whole hearted thanks to " HOTEL MANAGEMENT
SYSTEM " for providing all necessary required data for the project.

2. OBJECTIVES AND SCOPE

THE MAIN OBJECTIVES OF THIS PROJECT ARE:-

 LEAST TIME CONSUMPTION :- Time can be conserved

by elimination the need entering the same data in different
registers.
 REDUTION IN PAPER WORK :- By managing the data on
computers a lot of paper works can be reduced.
 ELIMINATING MANUAL ERRORS :- Maintaining records
manually for a large number of student of different id no’s may
lead to errors ,as in the case of computer based data flow is
authorized and there are very rare chances of error.
 UTILISTING MAIN POWER :- Many people are involved in
the maintenance of data in accounting jobs. All these can
replaced with a single computer operator.
 PROVIDING SECURITY :- Security can be providing to
registers an report by adding password for access, so that only
the authorized person can only view the edit the detail.
 ECONOMICAL :- As the time conserved, manpower and
power work is reduced this directly leads reduction in overhead
expenses.

SSSSMV Page 2
SCOPE :-
The scope should clearly establish a beginning and an end, including
the project deliverables. Performing the planning task in the e-
documentation process will assist in defining the scope to research
and the development and implementation of the required policies,
pressers and procedures for a project. The documented project scope
should include the following:

 Fully define the deliverable; not as a general statement such as

‘develop the policies, processes and procedures for the SBI
implementation ‘. There should be a clear statement of the
policies, processes and procedures to be, researched, developed,
updated, tested and implemented.
 Define the task that required support, such as research, testing
and training.
 For example support resource will be required to research and
test the billing process and procedures.

3. DEFINITION OF PROBLEMS

The problem with existing system is that. It is not providing exam

facility with the help of computer. For examination generally paper
and pencil are used which requires so much human effort and time.
This project helps to solve such problem. The definition of our
problems lies in manual system and a fully automated system. The
system is very time consuming and lazy this system is more prone to
errors and some time the approach to various problems in
unstructured. With the advent of latest technology if we do not update
our system then our business result in losses gradually with time. The
technical systems contains the tools of latest trend i.e. computer
printers, fax, internet, etc. the systems with this technology are very
fast, accurate, user-friendly and reliable.

SSSSMV Page 4
4. SYSTEM ANALYSIS

An initial investigation terminates in a proposal that determines

whether an alternative system is feasible. Feasibility study can be
categorized into three major parts:

Technical feasibility:-

 The proposed system has technical capacity of required to

hold the data.
 This project is efficient and responds quickly for various
enquires regardless.
 Of number of locations.

 The system proposed could be expanded easily

and efficiency, whenever required.

I. OPERATING FEASIBILITY STUDY:-

The management of the organization has a fully supported us to
bring up the project and the data security in this project provided
by setting up the password procedure so that only the authorized
user can access the system.

SSSSMV Page 5
II. OUR PROJECT IS ECONOMICAL FEASIBLE
AS:-
 It has computerized paper works and also is
reduced to large extent
 With the help of this project single person is now
available to do the tasks of 5 to 7 persons.
 Due to processing speed of then computer, we can
extract desired information’s in a fraction of
second.

All stages of a software process status quo, problem definition,

technical development, and solution integration coexist
simultaneously at some level of detail.

Software requirements analysis:-The requirements

gathering process is intensified and focused specifically on
software. To understand the nature of the program(s) to be built,
the software engineer (“analyst”) must understand the
information domain for the software, as well as required function,
behavior, performance and interface. Requirements for both the
system and the software are documented and reviewed with the
customer.
Design:-Software design is actually a multistep process that
focuses on four distinct attributes of a program: data structure,
software architecture, interface representations, and procedural

SSSSMV Page 6
(algorithmic) detail. The design process translates requirements
into a representation of the software that can be assessed for
quality before coding begins. Like requirements, the design is
documented and becomes part of the software configuration.

Code generation:-The design must be translated into a

machine-readable form. The code generation step performs this
task. If design is performed in a detailed manner, code generation
can be accomplished mechanistically.

Testing:-Once code has been generated, program testing

begins. The testing process focuses on the logical internals of the
software, ensuring that all statements have been tested, and on
the functional externals; that is, conducting tests to uncover
errors and ensure that defined input will produce actual results
that agree with required results.

Implementation:-Software will undoubtedly undergo

change after it is delivered to the customer (a possible exception
is embedded software). Change will occur because errors have
been encountered, because the software must be adapted to
accommodate changes in its external environment (e.g., a change
required because of a new operating system or peripheral
device), or because the customer requires functional or
performance enhancements. Software support/maintenance

reapplies each of the preceding phases to an existing program
rather than a new one.

Every programmer and the developer today is in search of an

ideal language and platform that is best and fast to create all kinds
of software application. Microsoft Visual Basic.net is an even
stronger contender in the application development arena than
ever before.

This course material starts with an overview of visual basic

environment and basic programming concept, after that it takes
you to the world of windows control such as command buttons,
text boxes, scroll bars, list boxes etc.

It also covers the dialog box control. The next section covers
the visual basic graphic and graphic control, after that we go to
database programming in visual basic. We cover the data controls,
jet database also the latest addition of discussed about the means
and multiple document interfaces some light on active-x controls,
and lastly we have covered about or crystal report of visual basic.

In our application we are using Visual Basic.net as a front

end.

SSSSMV Page 10
5.2 BACK END (MICROSOFT ACCESS 7.0)

Microsoft access we can create, view, modify and delete tables,

view, reports, forms, macros modules. And all type database
creation operations we can perform with Microsoft access.

In Microsoft access there are many features. They are:

 Easily create a client/server application A Microsoft Access

(.adp) is a new type of access file that provides efficient,
native mode access to a Microsoft SQL, Server database
through the OLE DB component architecture. Using an Access
project, you can easily create a client server application.
 Work with an Access project Working with a Microsoft
Access project is very similar to working with an Access
database. The process of creating forms, reports, data access
pages, macros, and modules is the same. Once you connect to
an SQL server database, you can view, create, modify, and
delete tables, views, stored procedures, and database
diagrams using the Microsoft SQL Server Design tools.
 Use Microsoft Data Engine (MSDE) MSDE is a new
technology that provides local data storage compatible with
Microsoft SQL Server 7.0. Think of MSDE as a client/server
data engine alternative to the file server Microsoft jet database
SSSSMV Page 11
engine. It is designed and optimized for use on smaller
computer systems, such as a single user computer or small
workgroup server.
 Upsize data and objects by using the upsizing wizard The
Upsizing Wizard up sizes a Microsoft Access database (.mdb)
to a new or existing Microsoft SQL Server 6.5 and 7.0 database
or new Microsoft Access project (.adp) by upsizing the data
and data definitions and migrating database objects.

6.3 DATA FLOW DIAGRAM

Introduction

The DFD was first developed by Larry Constantine as a way of

expressing system requirement in a graphical form. A DFD is also
called a “bubble chart “has the purpose clarifying system
requirements and identifying major transformation that will
become programs in system design so it is the starting point of
design phase that functionally down to the lowest level of bubbles
joined by lines. The bubbles represent the data flow in the system.

The data flow diagram (DFD) shows the flow of data the process
and the areas where they are stored. It is a commonly used
structured tool for displaying the logical aspects of the system
under the study. Decision tables are used as a supplement when
decision logic cannot be represented clearly in a DFD.

The DFD describes the logical data flow rather than how the data
is processed. So it does not depend on hardware, software, data
structure or file organization .the key concept of DFD is to specify
what major transformations must occur for input to be correctly
transformed onto output.

A square defines a source (originator) or

destination of system.

An arrow identifies data flow data in motion.

It is a pipeline through which information
flows.

A circle or a “bubble” represents a process

that transforms incoming data Flow(s) into
outgoing data flow(s)

6.4 ENTITY RELATIONSHIP DIAGRAM

In software engineering, an entity-relationship model(ER model)

is a data or information aspect of a business domain or its process
requirements, in an abstract way that lends itself to ultimately
being implemented in a database. The main components of ER
models are entities (things) and the relationships that can exist
among them.

Entity- relationships modeling was developed by Peter chen and

published in a 1976 paper. However, variants of the idea existed
previously, and have been devised subsequently such as super
type data entities and commonality relationships.

8. CONCLUSION

After we have completed the project we are sure the problems in the existing
system would overcome. The “HOTEL MANAGEMENT SYSTEM” process
made computerized to reduce human errors and to increase the efficiency. The
main focus of this project is to lessen human efforts. The maintenance of the
records is made efficient, as all the records are stored in the access database,
through which data can be retrieved easily. The navigation control is provided
in all the forms to navigate through the large amount of records. If the numbers
of records are very large then user has to just type in the search string and user
gets the results immediately. The editing is also made simpler. The user has to
just type in the required field and press the update button to update the desired
field. The books and students are given a particular unique id no. So that they
can be accessed correctly and without errors. Our main aim of the project is to
get the correct information about a particular customer. The problems, which
existed in the earlier system, have been removed to a large extent and it is
expected that this project will go a long way in satisfying users requirements.
The computerization of the hotel management system will not only improves
the efficiency but will also reduce human stress thereby indirectly improving
human recourses.
