Art. 1 Definition of terms used
GE= Global Entrepreneur; the international name for the AIESEC traineeships inside start-ups or small
sized companies.

EP = Exchange Participant; the one that has been accepted by AIESEC to take part in the internship
experience program.

MC = The national board of each AIESEC country.

XPP = Exchange Program Policies; Global Terms and Conditions of AIESEC Exchange Programs.

Home Entity/Sending Entity (SE) = AIESEC organization that sends the EP on an internship experience.

Host Entity (HE) = AIESEC organization that receives the EP for the duration of the traineeship.

Approved = When the EP has a confirmed opportunity and undergoes preparation for the internship
experience.

LDA: Leadership Development Assessment, is the key tool we use to assess the Leadership Qualities of
an EP.

OPP: Opportunity Portal, is the customer facing side of our system, visible for anyone who signs up.

Art. 2 Definition of the program

Global Entrepreneur is an opportunity for a young person to develop leadership qualities of


self-awareness, solution orientation, empowering others and world citizenship while living a
cross-cultural experience with a start-up organization. In the product, a young person works
abroad in a start-up organization with entrepreneurs to advance their goals and grow.

Art. 3 Statement of understanding

AIESEC’s Global Entrepreneur product is run to have an impact on the participants by


enabling them to involve in a start-up experience and support these start-ups to grow while
gaining practical experience in an agile environment, AIESEC members are involved in
enabling these experiences, in partnership with other institutions/organizations As such, all
parties involved in the exchange process are important in achieving the intended result. This
includes the exchange participant.

The aim of Global Entrepreneur program shall be to provide the EP with the following:

● A positive learning experience
● Developing the EP leadership skills in a challenging environment.
● Practical skills in a foreign environment to complement his/her education
● Interaction with social issues in the host community and country and/or territory
● Interaction with a new social and cultural environment
● Opportunity to apply skills, attitudes and values at work and in the community
● Awareness and knowledge of social issues and different practices in the host country

The aim of the Global Entrepreneur program is NOT:


● To provide an opportunity that the sole purpose is earning money.
● A holiday.
● Intended to be a permanent career placement or recruitment opportunity in another country.
If the company/organization decides to employ the trainee on a permanent basis in the host country
and/or territory, AIESEC will have no role in facilitating this.
● A vehicle for any person to permanently leave their home country and/or territory. AIESEC
does not encourage the extension of traineeships beyond agreed upon limits.

Art. 4 Criteria for Exchange Participants


For a young person to officially qualifies as an exchange participant in a Global Entrepreneur program,
He or She needs to meet/fulfil the following conditions:

a) EP has signed the project Acceptance Note on our platform (www.aiesec.org);


b) Has signed the Global Entrepreneur contract and agreed to terms conditions stated in
Appendix A and Appendix B;
c) Has paid Global Entrepreneur Program fee 490 CHF to our respective local chapter’s bank
account;
d) EP is a holder of swiss nationality or has been legally residing in Switzerland for a minimum of 6
weeks;
e) EP is accepted to a project in a country where he/she has not lived there for 2 continuous
years in the past 10 years counted from the date the EP applied to the project;
f) EP has the capacity to enter into a legal agreement with AIESEC in Switzerland without
requiring the second party to have legal power of attorney over the EP;
g) EP has never previously violated AIESEC Exchange Program Policies (XPP) except for situations
stated in Appendix (B) – Article 2

Art. 5 General Roles and Responsibilities

5.1 Of the AIESEC Home Entity/Sending Entity (SE):

1. Help and educate the EP to be able to use (aiesec.org) platform and support the EP during the
application process;
2. The SE must provide training and support through an EP buddy/manager from approval stage
until the end of exchange product;
3. The SE must provide access to a platform (e.g. forum, mail group, phone number etc.) for the
EP to be able to communicate with sending LC during the whole period of exchange for feedback,
evaluation, information sharing and general support;
4. Inform and provide the EP A re-integration opportunities/seminars in AIESEC;
5. Constantly communicating with the EP including his/her location and the safety at least: when
the EP arrives to the host country, in the middle of the experience and in the end;
6. The Home Entity must provide the EP with the AIESEC standards and the Exchange Program
Policies (XPP) in written format at least digitally;
7. The Home Entity has to prepare the EP for the exchange experience after the EP is officially
approved through hosting preparation seminars/meetings for the EP to attend and to receive
information about the country, project, hosting entity, contact information, culture preparation,
ambassadorship. ETC;
8. The Home Entity has to facilitate and host LEAD (Leadership development space) to the EP
and will provide him/her with information on what leadership development spaces and opportunities
are offered by the Home Entity before, during and after the internship. The delivered spaces have to
correspond with the information provided. As a minimum standard the Home Entity must offer one
Outgoing Preparation Seminar/Meeting (including space for personal goal setting) before EP leaves for
internship, and one Re-integration Seminar/Meeting at the end of the internship (when EP comes
back);
9. The Home Entity is required to provide the EP with exchange standards from the moment of
approval till the EP finishes the project and comes back to Switzerland, Home Entity is responsible for
all standards under its responsibility during the exchange program and will cooperate with the Host
Entity to ensure the rest of standards will be delivered to the EP from the host entity side;
10. In case of natural, social or any other disaster and/or crisis occurring within the area of the HE,
the HE MC is responsible to check the safety status of all the EPs in their entity and report the status
to the Global Plenary, AI, and ICB within 24 hours. The report must be continuously shared to the
MCPs, AI, and ICB until the HE MC ensures the status of all the EPs’ safety.
5.2 Of the Host Entity and opportunity provider (organization/institution):

1. To give a response regarding the suitability of any candidate or next selection stages after the
EP has accepted particular exchange;
2. The OP must provide within two (2) weeks all the necessary documents to the EP directly or
through the HE (including the written invitation) required for application for visa/work permit. If 2
weeks are insufficient, the EP should be informed and agree with the timeline for provision of any
required documents;
3. The OP must provide performance-related feedback on EP’s performance on a regular basis
throughout the exchange;
4. Provide support on registration with relevant local authorities within the timelines mentioned
by the country's law and shall communicate (the registration timelines and requirement to the sending
LC and the EP);
5. Assistance to open a bank account if necessary and assistance in converting money to the
local currency on EP’s request;
6. Provide information about location and guidance for use of general services such as medical
services;
7. Provide assistance in dealing with housing agreements and landlords if required by EP;
8. Provide information about local cultural norms, including those related to dressing, greeting,
traditions and law policies;
9. Provide introduction to the local AIESEC members, the LC reality and culture;
10. Provide opportunities for the EP to become involved in AIESEC activities related to their
interests and goals if EP is interested;
11. Support the EP with any problems that might rise during the project.

5.3 Of the Exchange Participant:

1. Complete and send all the documentation for participation in AIESEC Exchange. Have written
proof (e.g. Transcripts or references) of an academic background, working experience, skills, language
proficiency as specified on the EP profile;
2. Attend preparation events and complete the preparation requirements of the
country and territory;
3. Provide the required legal information including data from a valid passport which
covers the entire duration of exchange;
4. To finalize all official requisites and payment within 7 days of being accepted by the
project he/she applied to;

5. Inform the sending AIESEC entity if he/she becomes unavailable for an exchange and
clearly state the reasons why, in a written format with the proofs;
6. The EP cannot reject OP form after he/she has officially accepted AN to Opportunity and the
OP has accepted the EP, violation of this term falls under Article: 2 & Article 3 – Appendix B Contract
Termination & Refund Conditions;
7. To review the visa/work permit regulations for the host country prior to the purchase of a
ticket to travel to the country;
8. To submit the visa application within a period up to two(2) weeks after getting all the
documents mentioned in OP form;
9. To cover visa costs, unless otherwise agreed upon with the Hosting AIESEC entity or OP;
10. The EP must be obtaining/holding a travel insurance that covers him/her during the whole
period of exchange in the host country against medical incidents or unexpected accidents that might
be of harm to the EP, AIESEC Sending Entity has the full right to revoke the contract if the EP does not
fulfil this condition;
11. Look up whether or not vaccination is required for the destination country;
12. The EP must have sufficient funds to cover all living expenses for the entire period of the
exchange if he/she is not receiving any monetary compensation from the OP as outlined on the OP
form;
13. The EP must officially register with the home embassy in the host country if their home
country requires;
14. The EP must behave in accordance to cultural, religious, ethical norms, national or local law
and other policies that exist in the country or territory of exchange;
15. Must inform SE and HE about his/her departure at least two (2) weeks about his/her travel
details;
16. The EP must take a completion surveys (Standards Survey & Net Promoters Score-NPS-Survey)
to assess the exchange product at the end of experience.
17. Be an ambassador of Switzerland in all circumstances to leave a good impression and a good
image of our culture and country;
18. The EP has to attend a Re-integration meeting with the Sending Entity once he/she is back to
the home country and to explicitly share about his/her experience also to Provide testimonials in the
form of a paragraph / text and minimum 3 high quality pictures, or in any other multimedia format,
Sending Entity will provide guidelines for the EP to help him/her in creating testimonials;
19. To make proactive steps to resolve any issues faced by contacting the hosting entity and
actively participating in negotiations with the OP.

Art. 6 Global Entrepreneur Program Fee

• The fee for a single Global Entrepreneur Program is 490 CHF;


• The EP must pay the program fee within 7 days after being accepted in the project by the host
entity;
• If the EP requests to prolong the duration to pay the fee, an additional 3 days can be extended
for the EP, the Sending Entity will consider the EP refusing the project if the EP doesn’t meet the
duration as specified.

This fee includes:

1. A personal coach is assigned to the Exchange Participant, accompanying and supporting the
latter during the whole process;
2. Assistance of the EP during the application and selection of the Exchange projects he/she
applies to;
3. Local and specific pre-departure preparation of the Exchange Participant;
4. Cultural preparation, reintegration and the accompanying seminars;
5. Leadership development spaces and assessment tools with guides for improvement to the EP;
6. Housing coverage to the EP during the exchange experience in the host country, additional fee
can be charged to the EP from the host country based on their housing rules and what is stated in the
OP form.
7. Infrastructure fee to cover Sending Entity affiliation fee to National and Global office;
8. Membership fee waiver and access opportunity if the EP desires to Join AIESEC locally after
the exchange experience.
9. Priority access to AIESEC’s other programs and events with potential deductions on the
subscription fees.

This fee does not include:

1. EP’s transportation costs to and from the host country


2. Visa/work permit costs of the host country
3. Any personal expenses of the EP during the exchange experience
4. Any other fee which is not entitled in the above-mentioned section.

Termination & Refund Conditions
Art. 1 Statement of understanding

1.1 This contract enters in valid status from the moment the EP signs it till the end of the
exchange experience or till it gets terminated by one of the parties in case of violation takes
place;
1.2 Approved Status between an EP and OP is only considered official when both the EP and
organisation has fulfilled the requirements below:
1.2.1 Have accepted each other through (www.aiesec.org) and signed online
official Acceptance Notes.
1.3 Acceptance of opportunity automatically means the EP is accepting the particular
exchange with all its conditions, as described in the opportunity available in
(www.aiesec.org);
1.4 Acceptance opportunity automatically means that the EP is guaranteed as available for the
exchange.

Art. 2 Termination of the contract by the Exchange Participant (EP)

The Exchange Participant can terminate the contract in the following conditions:

2.1 The EP has not received all necessary documents required for application for visa/work
permit from the hosting LC (including invitation) within two (2) weeks, which has
resulted in the EP not being able to commence with the exchange unless a new timeline
has been agreed on by the EP and the Hosting Entity;
2.2 The EP has an emergency in his/her family (Proof required). After breaking an Approval
due to family emergency the EP is not allowed to put an EP form on “Open“ or raise
new EP form on (aiesec.org) for the next 6 weeks;
2.3 The EP becomes ill and the situation can be dangerous for his/her health (Proof
required);
2.4 The EP may be put in danger due to the area where he/she works being formally
declared in emergency due to war, natural disasters, people revolution, and terrorism
attacks;
2.5 The organisation is within the labour laws of the host entity to end the exchange early;
2.6 The EP does not have an official working/living permit in the country of exchange and
interferes with the commence of the EP’s experience or forces the EP to leave the host
country, unless other legal options have been agreed upon;
2.7 The exchange job is different to the description the OP AN form refers to and was not
agreed upon by the EP, where the change affects the nature/purpose of the job, or puts
the EP in financially or physically disadvantaged state. The EP is expected to try to
resolve the issue first with the OP and hosting entity;
2.8 The EP is discriminated against race, colour, gender, sexual orientation, creed, religion,
national, ethnic or social origin, or age at his/her work place;

2.9 The EP is sexually harassed at their work place or by AIESEC members;
2.10 The OP does not pay corresponding salary to the EP for two consecutive months (in
case of paid internships as stated in the OP form);
2.11 The organisation does not provide the basic work conditions or any main benefit
offered to the EP that the OP AN form refers to and the EP did not agree to the
abolition. The basic work conditions or benefits referred above must be of a nature that
their abolition reasonably makes impossible or too difficult the EP’s job or living
conditions in order for a broken Approval/Realization to be validated.

Art. 3 Termination of the contract by the AIESEC Entity

AIESEC has the right to terminate the contract in the following conditions:

3.1 The EP has falsified information related to his work experience, academic background or
language proficiency, and is unable to fulfil his exchange job role as specified in the OP
form;
3.2 The EP is breaking a law of the hosting entity or is continuously breaking internal
regulations of the organisation despite being warned or aware of them;
3.3 The EP has not met the Travel insurance requirement as stated in Appendix A – Article: 5.3
(point 10)
3.4 The EP is not meeting any of the his/her responsibilities mentioned in Appendix A – Article:
5.3 Which can affect the quality of the experience AIESEC provides to the EP.

Art. 4 Implications of Contract Termination & refund policies:

• The EP has the right to reject the project he/she was

• The EP has the right to start the application process for
another project.
• If the EP decides not to go on another project, the EP is
entitled to a refund of 70% of the contract fee.

• The EP has the right to break his/her status to the project as
approved or realized.
• The EP has the right to get compensated by applying to
another project after the minimum duration of 6 weeks has
passed.
Article 2.2, 2.3, 2.4
,2.5 • In case the EP is not available to go on another experience,
the EP has the right to be refunded 70% of the contract fee
(in case of breaking approval) or 30% of the contract fee (in
case of breaking realization)

• The EP has the right to get compensated by applying for


another project
• In case the EP is not available to go on another experience,
the EP has the right to be refunded 50% of the contract fee
• The EP may submit a complaint against the hosting Entity if
Article 2.6 he/she believes the fault was because of their shortcoming,
in that case the EP will can request support from the EP
coach to start the complaint.

If the negotiation fails between the EP and the organization:


• may submit a complaint against the hosting Entity
and organization, in that case the EP will can request
support from the EP coach to start the complaint.
• If the EP desires to break realization, he/she has the
Article 2.7 right to apply for another project.
• In case the EP breaks realization and is not available
to go on another experience, the EP has the right to
be refunded 50% of the contract fee

• The EP should consult the Sending Entity to submit a


complaint against the hosting Entity and organization, in
that case the EP will receive support from the EP coach to
start the complaint.
• If the EP desires to break realization, he/she has the right to
Article 2.8, 2.9 apply for another project.
• In case the EP breaks realization and is not available to go
on another experience, the EP has the right to be refunded
50% of the contract fee

• The EP should communicate with the Sending Entity to file a
complaint against the hosting Entity/Organization and the
EP should receive his/her salaries back after approval of the
Article 2.10
case by the Internal Control Board.
• In case the EP breaks realization, the EP has the right to
apply for another opportunity with 50% off the contract fee

If the negotiation fails between the EP and the organization:


• may submit a complaint against the hosting Entity
and organization, in that case the EP will can request
support from the EP coach to start the complaint.
• If the EP desires to break realization, he/she has the
Article 2.11 right to apply for another project.
• In case the EP breaks realization and is not available
to go on another experience, the EP has the right to
be refunded 50% of the contract fee

Art. 5 Contract Termination Procedure:

In Case the EP has the right to terminate the contract as stated in Article 4, The EP needs to
follow these steps mentioned below:

● Inform the AIESEC Sending Entity represented by the EP Coach


● Send an email to the following Email Address ecb@aiesec.ch detailing the reason why you
would like to terminate your contract and attach supporting proofs if available.
● Terminating a contract is a last-step solution in case of violation takes place and to reach
this last step, the EP must follow the upscaling steps mentioned respectively in each
Article’s Violation as stated in Article 4.

Art. 6 Complaint submission procedure for the Exchange Participant (EP):

In case of arising conflicts during the EP experience, The EP should do follow these steps:

● The EP should inform & consult the Sending Entity represented by the EP coach about the
conflict;
● The EP should negotiate first with the hosting Entity and the Organization where his/her
project is located to find solutions for and meet the exchange conditions agreed up on;
● The local negotiations between the EP and both local AIESEC Chapters should aim to bring
improvement of the EP condition or resolving the conflict within one week duration
maximum;

● If the local negotiations fail after one week, both National representatives of AIESEC
Sending and Hosting Entities should interfere to resolve the conflict within a period of a
maximum one week;
● Intended to be a permanent career placement or recruitment opportunity in another
country. If the company/organization decides to employ the trainee on a permanent basis
in the host country and/or territory, AIESEC will have no role in facilitating this;
● A vehicle for any person to permanently leave their home country and/or territory. AIESEC
does not encourage the extension of traineeships beyond agreed upon limits;
● The EP will be requested to submit a complaint to the Entity Control Board of AIESEC
Switzerland under the guidance of the EP coach and/or the local chapter vice president of
the Sending Entity.
● The EP must attach with the complaint all relevant materials that support his/her
complaints, these materials can be communication exchanges (e.g. WhatsApp, email,
Facebook or any other communication channel and it can also include pictures, videos or
voice notes, screenshots…etc).
● The EP should be actively engaged in the process to attain a fast resolution.

Art. 7 Exchange program Standards:

1. Personal Setting (Home Entity): The home entity has to provide a space for goal setting
based on Leadership Development Assessment result.
2. Outgoing Preparation (Home Entity): The home entity must offer an Outgoing Preparation
(for leadership development of the EP, including space for AIESEC purpose [AIESEC Way]
explanation) before EP leaves for internship.
3. Expectation Setting (Home Entity): The host entity has provided with basic information
regarding the country/territory of their internship in a written format including as a
minimum information on culture, political situation, safety, living standards, home and host
contacts (phone number and email)
4. Insurance (Home Entity): The home entity ensures that the EP has a valid insurance policy
to cover basic medical costs for the duration of the exchange.
5. Visa and Work Permit (Host Entity): The EP can legally enter and stay in the
country/territory and perform the activities stated in the Opportunity. AIESEC has provided
in written format all the information required to arrange for any documents, visa or work
permits that may be required.

6. Arrival Pickup (Host Entity): The EP is picked up by a representative of AIESEC. Before
realization the Host entity will state where the EP will be picked up and has provided
written information to the EP on any domestic transportation required to arrive at this
point of pickup.
7. Incoming Preparation (Host Entity): The host entity must offer an Incoming Preparation (for
leadership development of EP and follow up on his/her personal goals set before traveling)
once the EP arrives to the host entity, and before the internship starts.
8. Accommodation (Host Entity): The accommodation standard, conditions and costs during
the internship correspond to the information provided on the Opportunity. AIESEC
arranges this accommodation for the EP.
9. Job Description (Host Entity): The Job Description executed by the EP has to correspond
with the Job Description of the Opportunity and has clearly stated individual
responsibilities and goals.
10. Basic Living Costs (Host Entity): The Opportunity specifies if any financial or non-financial
compensation would be provided during the internship and the actual conditions
correspond with it.
11. 1st day of Work (Host Entity): A representative of AIESEC ensures that the EP is assisted to
the place/organization of work on the first day of the internship.
12. Working Hours (Host Entity): The activities related executing the Job Description are a
minimum of 35 hours/week for GT and 25 hours/week for GV/GE.
13. Duration (Host Entity): The internship lasts from a minimum of 6 weeks to a maximum of
78 weeks from the first day to the last day of the internship.
14. Development Spaces with Opportunity Provider (Host Entity): The host entity must ensure
that the Opportunity Provider provides at least one space to align Job Description with
personal goals and one space to debrief on it before the end of the internship.
15. Departure Support (Host Entity): The Host entity has offered in written format information
on how to depart from the country at least two weeks before the end of the internship.
16. Debrief with AIESEC Home (Home Entity): The home entity must offer a Debriefing (for
leadership development of the EP, including space for checking on personal goals) at the
end of the internship.
