I. INTRODUCTION

1. GENERAL BACKGROUND OF FOREST LAND


1.1 About the company

Forest Land is a company specialized in interior architecture, they provide customer


with interior design services, consultant services and constructional service for a wide
range of architecture features. The company was established in 2009. Since then, they
have envisioned hundreds of design concepts and turned them into aesthetically
pleasing spaces. Forest Land appreciates highly skilled and motivated professionals,
and their staff have over 25 years combined experience in interior design, fabrication,
decoration and installation.

In the last ten years, Forest Land has involved mainly for luxury pen houses, villas,
Grade A office by well-known and prestigious designers with 5 core values: Honesty
& Integrity - Customer & Excellence - Creation & Change - Leadership & Prudence -
Commnity & Prosperity.

1.2 . Mission statement and Vision


• The mission statement of the company is: “My idea, your worth".
• The visions are:

(1) Forestland strives to develop its interior design brand into a No. 1 brand in
Vietnam.

(2) Forestland always research to find the latest solutions to create the perfect
products and interior space to satisfy customers.

(3) Forestland sets a target that by 2020 will bring the interior architecture brand to
the international market.

1.3 . Core value
Forest Land has five main core value: Honesty & Integrity, Customer & Excellence,
Creation & Change, Leadership & Prudence and Community & Prosperity.

Forest Land appreciates it commitment to customer. Honesty and Integrity are their targets
to achieve. Those are the preliminary aspects which create their professionalism. They do
not use over advertised methods to attract clients. Furthermore, understanding the needs of
customers is also set up as the prior with the company. Many questions will be made to
create a mutual agreement. They do their best but in the perspectives of customers as their
mission statement of the company.

The first one will never be the best one, so that one more core value of the company is
Processing. They always want to keep up with the continuously changing world and
become better and better. For a sustainable development, adaptations based on
improvements will help the company to develop in the long – term future.

One more core value of the company is Customer-oriented. Satisfaction of customer are
their principle to work and to develop in order to deliver the as good as possible things to
customers.

1.4. Sales revenues of Forestland


Figure 1.4-1 and 1.4-2 below display the sales revenue of Forestland in a eight-year period
started from 2010. The main trend of the figure is stable as the revenues increased gradually
over the time. Only in 2012 due to the problem of human resources, the increasing rate
decreased 33.3 percent compared with the previous year even though Forest Land still
gained profit. Turn to the year of 2013, the increasing rate of sale revenue started to raise
and after that the sales revenues grew steadily.

In the comparison in sales revenue of Forest Land in the first year (2010) and the last year
(2017) of the period, it is shown that in 2017 there was an enormous increase of twenty-
five times more than the sales revenue in the first year. It was implied that the company
has expansion in their scale and successfully won the satisfaction of their customer.

The stable condition of the company is a positive trend, however there will be more
investment needed for company resources to keep up with the expansion and development
of Forest Land in the future.

2. OBJECTIVE OF THE INTERNSHIP

Operations management is one of the most important department of Forest Land. In order
to make sure the flows of work run as smoothly as possible, there will be some points that
require adjustment or development to improve the performance of the company.

The purpose of the internship is to access to the real working environment to analyze the
recent method of operations management system, and from that find out the adjustable

points to improve and state out some recommend necessary steps for overcoming
problems.

3. QUESTION OF THE STUDY.

This internship report is to answer the following question:

• How is Forest Land doing its operations management?


• Are there any limited features in the recent operations management? What are they?
• What are the factors that lead to the difficulties in the company’s operation?
• What are the solutions for the found issues in operations management of the
company?

4. METHODS OF STUDY

There are two mains method that I have applied for my study. The first method is using the
primary source of the company. I have discussed face to face with Mrs. Ngo Thi Hao - vice
director of company about the problems in Operations management of Forest Land and
sort out all the information that related to my report. The second method is exploiting the
secondary source of information on the website forestland.com, as well as the provided
data and documents from the company.

Forest Land has a very strict organizational structure. All the standards and conditions will
be fit with the management regulations.

1.1. Functional Departments:


a. Director:

This department is responsible for all the activities in the company. Of all aspect in Forest
Land, the director has the authority to control and supervise every process; and they are the
legal representative of the company. The responsibility of director department is to
organize and perform the powers duties in the company charter.

b. Functional Department:

• Business Department: responsible for developing market and
customer care. This department is separated into two sub-
departments:
o Design: Perform architectural design and interior design for
orders.
o Construction Monitoring and Supervision: Supervising while
working construction, surveying works, directly organizing the
construction to ensuring the project on schedule, quality and
labor safety. In addition, the engineering department also
known as the management of construction, building, electrical,
interior, and painting teams.
• Finance and Accounting: Having the task of organizing the
accounting of the entire business process, making financial
statements, monitoring the changes in assets and capital of the
company, making accounting records according to current
regulations. Because the Forestland scale is just a medium and small
business, the finance and accounting department of the company plays
an important role. This is reflected in the fact that the finance &
accounting department advises the director in developing and
directing the implementation of the plan from the year quarter to year.
This room seizes the economic information in the market combined
with exploiting the real ability of commodities, business plans. In
addition, the finance & accounting department is responsible for
receiving orders, making contacts with the entire distribution channel
of the company, managing all financial activities related to product
consumption, answering questions the customer and the debt.
• Technical Building: Responsible for construction and production
issues as designed in accordance with normative processes, research
and application of new processes and norms for high quality work. To
check the quality of products in stock, monitor the implementation of
technical standards of production.

1.3. Business context
a. Products

Through a lot of construction have done, Forestland has been gradually affirming its brand
in the field of architecture - interior, increasingly growing up to better meet the needs of
customers.

Here are some of the Forestland projects that have taken place in recent years:

• Interior design office

Modern office furniture design is understood as an office with simple details, no-frills
design, pattern, and style. That is neat and tidy for comfortable space, convenient way you
can move, the layout the document cabinet drawer convenient for use.

Modern office interior design must create a space that is simple but also attractive and
elegant with contrasting colors, the items are arranged in order to create convenient layout
... to create a feeling of comfort and creativity.

• Outdoor, garden and small landscape

The creation of reliefs, small patches near the wall around the gate fence or small suburbs
under the stairs, terrace ... was no stranger in architectural design. Just create vibrant color
blocks, highlight and less also bring Feng Shui elements.

Beautiful garden is a combination of water, stone, sand and trees to create a quiet, peaceful,
close to nature. Stone garden design trends are increasingly popular around the world.
People see it as a way of connecting their soul to nature.

b. Markets
In the previous years, Malaysian and Chinese furniture are dominating the domestic
market, but recently Vietnamese products are step by step to create the position on the
home field. Vietnamese customers have shown more favorable attitudes toward
Vietnamese goods, sales of internal sales of enterprises increased. The business said that if
they create the close links and approach domestic market, Vietnam furniture will occupy
the domestic market which is gradually open.

This is a very big opportunities for Forest Land as they can produce their own furniture
following the designs for the specific projects.

c. Suppliers
There are two ways that Forest Land recently use to provide the furniture for their project:
by self-producing and by importing. Otherwise they can also produce furniture for other
manufacturers and export products to other business. In the production of products FL has
been building furniture based on natural wood and artificial wood.

• Natural wood is imported from countries with quality wood from North
America, Russia, Malaysia,...
• Artificial wood panels include MDF, HDF, particle board, joinery ...
imported from the countries of Malaysia, Thailand and other countries
provide artificial quality wood.

Particularly for veneer products and some other products, Forest Land can produce by
themselves and turn into products. Provide veneer wood such as oak veneer, walnut veneer
... with the required quality as well as technical guarantee thickness.

Some other products such as paint, leather seats, glass are imported from domestic firms
and some neighboring countries and some specific equipments are imported in Europe,
Korea and Japan.

d. Forest Land customers:

Customers of Forest Land includes companies, organizations, agencies, and individual


demanded in Architecture & Interior for apartment, villa, and office, etc. In Vietnam, there
are many new business, companies and foreign investors. They leased the office space and

needed the design consultants, interior installation to operate their company. So that they
are Forest Land customer resources that are potential. They come from Japan (46%), Korea
(25%), Vietnam (18%) and other countries such as India, US, Germany (11%).

In addition, customers of Forest Land from other sources like the internet or the relatives
such as: family, friends and current customers. Nowadays, the number of Forest Land
former customers has increased and equal to approximately 30% of our total annual number
of customers.

In order to approach the investors, the company conducts research carefully and then build
relationships with the agency broker. When these people have a successful negotiation with

customers, they will provide the customer’s personal information to the Forest Land. The
Forest Land will contact to customers to make appointment for consulting, making the
design and separating the constructive estimations.

e. Development orientation of the company in the future


Continue to build and develop Forestland become a strong company in consulting, creative
in quality design work as a measure for the stable and sustainable development of the
company. Maintaining and developing services, products are considered the strength of the
company. To receive and learn new trends in design, new techniques in construction that
create potential development steps to serve more customers.

To continue investing in expanding the scale of production and business in the fields of
architectural and interior design villas, townhouses, hotels, coffee shops - restaurants, ...
Building the package, design office furniture, family, showroom, shop, ... To build and
develop professional brand, speed up the expansion of business network, improve the
efficiency of the company.

2. OPERATIONS OF FOREST LAND

Unlike mostly company, Forest Land’s products include both goods and service feature. In
most cases the product of Forest Land can be divided in two parts. When there is a demand
for their products, the staff will come to client to provide advices and negotiate with
customer to create the 3D design of the needed place, and after achieving the mutual
agreement, there will be a design contract signed by both parties. that is part one of the
process.

The second part will start when the first part is complete and both parties come to negotiate
about the construction process. A construction contract will be signed after the successful
negotiation between Forest Land and customer. The construction work will start after
customer pay in advance the amount of money said in the construction contract. The
process of both parts will be simply illustrated in the figure below:

The figure above shows that the work-with-customer steps are dominant, and the power
of customer is very high as it has the great influence on the whole process of work. If
the negotiation with customer are delayed or fail, the works will be canceled. So that
negotiation with customers is really important and requires high quality staff.

3. CHALLENGES IN OPERATIONS MANAGEMENT

Forest Land is a small size company with only fourteen members working in the office
and six members working in the factory. So that there are some challenges that the
company must face up to. The first difficulty is about the finance problem. With a
narrow budget, the capacity expansion is very difficult. However, the input works of
Forest Land are unstable. It’s difficult for the company to handle with a sudden increase
in quantity of work. One more challenge of the company is about the human resources.
As a joint stock company with an initial capital meager, Forest maintains company’s
operations with a stable loyal partner and does not look for others. This situation did
not allow him to invest in technologies and human resources. In fact, at the time having
a large quantity of work, Forest Land has to hire part-time staff to cover the extra work

that out of their capacity. However, these part – time workers can only sign their
contract for a limited period and they are not available for meeting with customers, to
solve problems when necessary. This has negative impacts on the schedule and quality
of work. Last but not least, Forest Land is depending on the import goods and materials
from foreign partners. Dependence will suffer the risks from external factors such as
political risk, customs risk, delivery risk,…which may lead to negative impact on the
working process of the company.

4. ISSUES TO BE SOLVED.

After analyzing the operations management of Forest Land, I have found out three main
challenges, which are: difficulties in capacity planning, risks in import goods and
materials from foreign countries and the dependence in labor content.

One of the main challenges of Forest Land is the capacity planning. Because the
uniformity of input and output work of the goods that Forest Land is low, while the
capacity is not large enough and expanding is slow due to the narrow budget. One more
reason is that the input works of Forest Land is unstable, so that the capacity plan is
very difficult to make.

Another problem of Forest Land is the risks in import goods and materials. In fact,
importing from foreign partners is hard for the company because of the unpredictable
factors such as changes in customs rule, or political risks or exchange rates,…If is there
any errors in the exchanges of goods, they will be negatively affect the reputation of
the company.

One more difficulty is the dependence in labor content. The most important factor that
can create the value of the company is the design product. However, with the struggles
in human resources, and mostly based on part-time staff in peak period, Forest Land
can hardly ensure the quality of their design. In addition, in the organizational structure
of Forest Land, the Design department do not directly work with customers, so that
there may be some inconvenient experience from customer when they are working with
Forest Land.

As we can see from the figure, both of the goods and service part of Forest Land
require high level of customer contact because they depend on the ideas and
agreements from customers. Furthermore, all of the adjustments and changes also
need to update with customer so that frequent contact is very important.

Labor content is also very important with the company. Architecture is a field which
requires high quality and experienced work force because a quality design and
construction plays an important role in not only customer satisfaction but also the
reputation of Forest Land.

Uniformity of input and output of the company are low because each customer has
their different requirement about the work, so that each project of Forest Land is
unique.

Unlike other company, the service part of Forest Land is tangible because there will
be a 3D design which is made and provide to customers. However, this 3D design
cannot be considered to be a goods because customers are not the final user of it.

The measurement of both design and construction part is really hard to figure out
because the work is not identical. Some projects require a large amount of time but it
doesn’t mean that the company is having low capacity, it’s only because the work
requirements are more difficult.

The opportunities to correct problems of design part and construction part are different.
Design part is easier to correct problems because architect can remove the error in the
computer and create a new one without any tangible loss. By contrast, the construction
is more difficult. When the furniture are produced, changing the new one will be costly
and take a lot of time.

Inventory of design and construction part is also not the same. Although we do not need
lots of space for the design part, construction part requires a lot of space to store the
goods because the size of the product is often big.

Evaluation of design and construction part is not easy because it depends on the opinion
of customers. The tastes of customer sometimes are different from Forest Land staff’s,
so that the company themselves do not easily evaluate the work.

IV. FINDINGS AND RECOMMENDATIONS:

1. FINDINGS:

After the internship period, I have figure out that there are some parts of the operations
management that can be improve, which are: capacity planning and supply chain
management.

For completing the project, there are two main sources of furniture that Forest Land are
using: from self-produce and importing. The production capacity of the company is not
easy to change because the equipments have been already set up so that it takes time to
change or innovate. About self-production, Forest Land have to import the input
material for the production. Natural woods are import from North America, Russia and
Malaysia while artificial wood panels are imported from Malaysia and Thailand. Other
materials such as paints, leathers, seats are from domestic firms or nearby countries.
With the fixed capacity but unstable input of work, combined with the import furniture
and materials from foreign partners, there are some difficulties in operations that will
be improve in this report.

2. RECOMMENDATIONS

The first recommendation is that Forest Land should find the more uniformed sources
of project to run parallelly with their unique projects. For example, the projects like
interior design of a hotel which the company can design once time for the room and do
the massive production for all the room in the hotel. This kind of project will help Forest
Land to be easier in managing the capacity, and it also help the firm to increase the
revenue which can be invested in expanding the capacity. Furthermore, the unstable
work input can be solved by outsourcing. When Forest Land cooperate with other small
or medium firms, the problem of sudden adjustments or shortage in capacity will be
solve without negatively impact the whole working process. Prestige is very important
with a company so that if the potential of the company is not enough, sharing the profit
by corporate with other will be a good way to finish the projects maintain the customer
satisfaction.

In addition, Forest Land should reduce as much as possible the import from foreign
partners in the future. In fact, there are many good domestic partners that can meet the
requirement of the company with more affordable price and more simple buying
process. A good third party is also a good solution for the company as they can provide
with the compensation whenever the company has to suffer from the risks.

Sau khi thoả thuận, hai bên nhất trí ký kết hợp đồng theo những điều khoản sau đây:

After discussion, both parties have agreed to sign this contract under the following
conditions:

Điều 1: Nội dung hợp đồng

Article 1: Contract content.

1. Bên A đồng ý giao cho bên B và bên B nhận thực hiện việc cải tạo xây dựng, cung cấp
nội thất, cung cấp hệ thống điện, điện thoại, mạng nội bộ cho văn phòng bên A tại Hà
Nội. Nội dung công việc được thể hiện chi tiết tại phụ luc số 01 đính kèm hợp đồng này.

Party A agreed to assign Party B and Party B agreed to carry out the works such as interior
construction, supplying furniture and fittings, installing the electric, telephonic and
informatics systems of party A in Hanoi. Detail of the assigned works can be seen in Annex
01 of this contract.

2. Bên A có trách nhiệm bàn giao mặt bằng, cung cấp đầy đủ điện nước và lo các thủ tục
có liên quan đến toà nhà trong quá trình bên B tiến hành thi công.

Party A is responsible to supply sufficient water, electricity and take charge of


administrative procedures related to the building in the process of construction.

3. Thời hạn hoàn thành: Bên B sẽ hoàn thành tất cả các hạng mục trên trong vòng 30 ngày
kể từ ngày bên A bàn giao mặt bằng được phép thi công cho bên B. Nếu trong thời gian
thi công, do bên A thay đổi thiết kế hoặc do điều kiện khách quan bất khả kháng (mưa
bão, mất điện) thì thời gian thi công sẽ được cộng thêm thời gian do những điều kiện này
gây ra do hai bên cùng đồng ý.

Handover schedule: Party A will finish all the above items within 30 days since the day
Party A handed the premises to party B. During the construction period, if Party A
changes design or in case of force-majeure (storms, electricity cut-off) Party B should
inform party A of the event and the construction period shall be upon approval of both
parties.

4. Địa điểm thi công:

Điều 2: Giá trị hợp đồng

Tổng giá trị của hợp đồng: 1.689.232.600 VND

Total value of the contract: 1.689.232.600 VND

Bằng chữ: Một tỷ, sáu trăm tám mươi chin triệu đồng, hai trăm ba mươi hai ngàn, sáu
trăm đồng./.

Giá trên đã bao gồm thuế GTGT 10%.

The price includes VAT 10%.

Điều 3: Điều khoản thanh toán

Article 3: Terms of payment.

1. Đồng tiền thanh toán/ Currency of payment: VNĐ/ Vietnam Dong.

2. Hình thức thanh toán/ Form of payment: Chuyển khoản / Bank transfer Or cash

3. Thời hạn thanh toán/ Terms of payment:

- Lần thứ nhất: Bên A thanh toán 50% giá trị hợp đồng tương ứng với số tiền là
1.013.539.560 VNĐ (đã bao gồm thuế GTGT) trong vòng 03 ngày làm việc ngay sau
khi ký hợp đồng này.

- First instalment: Party A pays 60% of contract value equivalent to 1.013.539.560


VND (including VAT) within 03 working days after signing this contract.

- Lần 2: Bên A thanh toán 30% giá trị hợp đồng, tương ứng với số tiền là 506.769.780
VNĐ (đã bao gồm thuế GTGT) sau khi bên B hoàn thiện được 80% khối lượng công
việc và được bên A nghiệm thu.

- Second instalment: Party A pays 30% contract value, equivalent to 506.769.780 VNĐ
(including VAT), after Party B complete 80% of workload and is accepted by Party A

- Lần thứ 3: Bên A thanh toán nốt trị giá theo nghiệm thu thực tế, trong vòng 5 ngày
làm việc sau khi hai bên kí kết biên bản nghiệm thu thanh quyết toán và bên A nhận
được hóa đơn GTGT do Bên B phát hành.

- Third instalment: Party A pays the rest of the value according the actual acceptance
, within 5 days since the day of handing over, cerfiticate of checking and acceptance
signed by both side, party A receive red invoice issued by party B.

Điều 4: Điều kiện bảo hành

Article 4:Terms of warranty.

Các sản phẩm của phụ lục số 01 của Hợp đồng này được bên B bảo hành 12 tháng tại địa
điểm giao hàng nói trên kể từ ngày bàn giao cho các hư hỏng do lỗi của nguyên vật liệu,
lỗi của nhà sản xuất hoặc bên B.

All the product indicated in Annex 01 of this Contract should be warranted by party B for
24 months since the handing over date at the address mentioned above of party A for any
faults caused by errors of manufacturers or of party B.

Điều 5: Trách nhiệm của bên A

Article 5: Responsibilities of party A.

1. Bên A bố trí người có trách nhiệm, trình độ để nhận hàng, kiểm tra vật tư, sản phẩṃ và
ký biên bản bàn giao nghiệm thu.

Party A is responsible to appoint a competent representative to receive the goods, check


the quality of materials and product and sign the handover minutes.

2. Thanh toán cho bên B theo điều 3 của Hợp đồng này.

Party A is responsible to make the payment regulated in Article 3 of this Contract.

3. Bên A có trách nhiệm bàn giao mặt bằng thi công cho bên B trong vòng 03 ngày làm
việc kể từ ngày ký kết Hợp đồng.

Party A is responsible to hand over the premises to Party B within 03 working days after
signing the Contract.

Điều 6 Trách nhiệm của bên B

Article 6: Responsibility of party B.

1. Bên B có trách nhiệm thi công Văn phòng cho bên A chính xác theo Thiết kế hai bên
đã thoả thuận (về kiểu dáng, mẫu mã, chất lượng và màu sắc).

Party B is responsible to conduct the construction works described as exactly according


to the design Party B sent to Party A. (in terms of models, styles, color, and quality).

2. Bên B có trách nhiệm bàn giao hàng cho bên A đúng thời hạn, chủng loại, số lượng, chất
lượng. Đảm bảo hàng hoá mới 100%.

Party B is responsible to deliver the completed premises to Party A on time with the brand
new goods and equipment of good quantity, quality and type.

3. Bên B có trách nhiệm phát hành hoá đơn GTGT cho bên A trong vòng 03 ngày làm việc
kể từ ngày hai bên ký kết biên bản nghiệm thu công trình.

Party B is responsible to issue the red VAT invoice to Party A within 03 working days when
the Party A informs the Company Tax code.

4. Bên B cử người có trách nhiệm và năng lực để phối hợp với bên B trong trường hợp có
những vấn đề phát sinh ngoài dự kiến.

Party B assign a responsible and capable person to cooperate with Party A in case of some
unexpected issues arise.

Điều 7: Điều khoản chung

Article 7: General conditions.

1. Hai bên cam kết thực hiện nghiêm túc các điều khoản ghi trong hợp đồng, không được
đơn phương sửa đổi hay hủy bỏ hợp đồng.

Two parties engage to respect and follow out the articles of this contract, neither parties
could unilaterally modify or abrogate it.

2. Trường hợp có phát sinh do yêu cầu thay đổi từ bên A, giá trị nào có trong đơn giá thì
tính theo đơn giá, giá trị nào không có thì được thoả thuận giữa hai bên.

All modifications requested by party A shall be calculated upon the unit price defined in
the annex 1 or if not given, upon negotiation between both parties.

3. Nếu bên B bàn giao công trình cho bên A chậm so với thời hạn quy định trong hợp đồng
thì sẽ phải chịu phạt 0,1% /1 ngày /tổng giá trị công trình giao chậm.

If the party B hands over the premises to party A later than the defined schedule, it will be
subject to a penalty of 0,1%/day/total value of the contract.

4. Nếu bên A thanh toán chậm cho bên B so với thời hạn thanh toán thì sẽ bị phạt 0,1%
/ngày/ tổng giá trị tiền thanh toán chậm.

If party A makes the payment for party B later than the defined schedule, it will be subject
to a penalty of 0,1%/day/ total value of late payment..

5. Nếu bên B không thực hiện công trình chính xác như thiết kế hai bên đã thoả thuận thì
bên A có quyền từ chối thanh toán hạng mục không đúng trong thiết kế và phụ lục số 1 cho
Bên B cho đến khi bên B tiến hành xong việc khắc phục sửa chữa theo đúng như thiết kế
và phụ lục số 1.

In the event that Party B does not conduct the works or provide the goods exactly the
design, Party A is eligible to not paying Party B the amount of work or goods that did not
comply with Appendix 1 and 2 of this contract until Party B conducts the repair or
replacement.

6. Nếu sau khi hoàn thành công trình 07 ngày, vì lý do nào đó bên A không tiến hành
nghiệm thu cho bên B, điều đó có nghĩa là sản phẩm của bên B đã được nghiệm thu.

If the works finished for 07 days without being inspected by party A, it is understood that
works done by party B was inspected and approved.

7. Nếu hai bên không tự giải quyết được tranh chấp thì sẽ đưa ra Toà án kinh tế Thành phố
Hà Nội giải quyết. Phán quyết của Toà án là phán quyết cuối cùng mà hai bên phải tuân
theo.

If two parties can not solve themselves the disputes, these conflicts shall be submitted to
the Economic Court of Ha Noi and the decision of Court will be the final decision that both
parties should obey.

8. Hợp đồng này được làm thành 02 bản có giá trị pháp lý như nhau, mỗi bên giữ 01 bản,
có hiệu lực từ ngày có đủ chữ ký của hai bên và kết thúc khi hai bên thực hiện hoàn tất các
nghĩa vụ của mình theo quy định của Hợp đồng này.

This contract is made in 02 originals of equivalent value, each party keeps an original
and will take effect as soon as both parties sign it and bring to an end as soon as both
parties accomplish their duties defined in this Contract.
