INTRODUCTION

In today’s world to run a successful event, there should be a lot of


things included – planning, teamwork, and organization support,
seeing progress and same objectives to develop ideas among to
customers target and increasing the vision of event outcomes. In this
scenario institution taking part to organize high tea event in Alberton.
one of the historical place in Auckland. The institution aim is to make
the students learn practical experience in running the event. The event
is organized for 3 days from 27th march to 30th march, where the
people can spend their valuable time on enjoying high tea event and
get to know the history of alberton house and finally with their
families. The focus of is to make the customer fell satisfied with the
high tea. The customers can buy the tickets from online from
evenfinda.com. The institution is inviting 40 people of Auckland
refugees and survivors to take part of event with no cost. In this report
I am going to discuss regarding starting process of event and
planning, exhibiting on the day.
On cresting this event the students are been organized to three group
and know when to take part. In start we came to know about the
history of alberton family. We as all students went to the alberton
house to know about the and discussed with senior manager alberton
about albetron history. On that Rendell explained how the events run
at albetron and he advised to make some decisions to start the event.
The albetron house has their own properties to use in the event. There
are some individual roles divides among the students which include
both internal stake holders and external stake holders. When comes to
the internal stake holders , the students and management – where the
frame work has been done to each group.
ADMINISTRATION TEAM
The administration team has major roles – financial human resources
and stake holders. Allocation on the financial group needs to make
decision regarding the pricing unit and charges of material and other
expenses. In every venue there are some hiring objectives to run event
like chairs and uniforms etc. The stake holders lead the entire group
discussion between the management with objectives.

DESIGN TEAM
The important team under this is catering which includes the food
preparation, serving and kitchen maintenance with the help of
jaquline, she explained how to create items and specific products in
food preparation. She suggested the brands and items that can make
food special. When purchasing the products she helped to select. The
catering have to make decision regarding requirements of food
preparation and serving when comes to entertainment, we thought of
hiring the outer stake holder to the event. We have been searching
them and after few meetings its finally decided. The AIS institution is
the production factory for this entire event.

MARKETRING TEAM
There are five major objectives in this team. The marketing plan
where the plan to sell the tickets to customers and making online
booking price of the event. When comes to the promotion in order to
promote this two to three people have been organized for this task.
Based on the promotion, people get to know about the event. The
head Miss Caroline have been invited to our class. She explained
about how to promote this event and its ways. She gave clear
explanation to promote in social websites like Facebook and
instagram. Making of flyers, there was made separate team to make
flyers to distribute to the people. Later we came with idea of making
the posters to display outside of event on the day of event. Organizing
some group to talk about the event in various places like church and
old age homes. Public relations is a sector in marketing which
includes how the event is relating to public in order to basic
connections. Sales is handled by two person in every group, they
think about selling the tickets to the customers and getting regular
update regarding sold tickets. Where the teams should minimize and
maximize the profit and loss. Extending to sponsorship, this team has
to be aware of sponsoring and how they are utilizing the money to
different sectors. This also involves purchasing the product and
money distribution variations made to a frame work without any
misteke.
