organization.
According to ISO 9001:2008 standard, quality system is that where system and documentation
required, responsibilities of the management system and what ways the resources of any
organization is managed, the process by which standardization of products and service is held to
ensure that production process have met the certain standards, and methods for reviewing and
improving.
The process in quality system (define, measure, analyses and control) methodology gives the
structured frameworks to improve continues process. It helps to find out the improvement
opportunity by help of customer feedback. It also helps to identify the measures to evaluate the
success of meeting customer by the help of charts, graphs and data analysis. Root cause of
problems can be identified and validated by the help of a quality system. Developing a change
management strategy can assist the organization through solution implementation.
2. explain how a knowledge management system can assist an organization in its continues
improvement processes.
Knowledge management system (KMS) can be defined as the system which is used to collect,
analyze, organize and store accurate information promptly and make it easy for it to be retrieved
and distributed. Effective knowledge management system helps any activities of any business to
manage effectively and efficiently which leads to the improved performance and competitive
advantage. Example of knowledge management system are as following.
 Corporate manuals
 Corporate policies
 Workshops and professional networks.
 IT systems (databases, intranets, workplace forums and websites.)
Documenting and sharing the knowledge from one person to another employee which is
considered as best practice transfer can apply the knowledge to their own performance, thus
improving productivity and performance across the organization. Examples can be shared staff
meeting, documented newsletters articles and presented on DVDs.
Cross learning process: learning from the failures and success of the past projects is considered
underpinning principle for the continuous improvement of the organization which consists of
the knowledge gained from the previous projects from all the shareholders through the meeting
minutes, survey, feedback and observations which should be recorded in the documents that
highlights best practice as well as recognizing poor performance, wrong decision making,
delays in the times, consequences and their impacts.

Analyzing performance of organization is thought to be very important part of the management
process. Analyzing performance is very crucial part of the continuous improvement process. The
main benefit of the regularly analyzing performance are to maintain quality of product and service,
to learn and improve, to report externally and demonstrate compliance. Besides this the analyzing
performance regularly are used to monitor activities in business units, to diagnose problems, take
corrective action and to promote behavior in ways that would help sustain competitive advantage.
Question 4. Outline the six sigma continuous improvement model and explain how it can be used
to measure performance.
Six sigma continuous improvement model starts with the stage starts with the define improvement
opportunities which objectivities can be identifying the opportunities for improvement, planning
business process, requirement for the customer needs and project team preparation. Tools and
techniques used in the feedback from the customers, analysis of gap, mapping, action plan resulting
into critical customer requirement, quick win opportunities. Process map.
Second is measure process performance. Charts, graphs, data analysis are the tools which are used
for the identifying measures to evaluate the success of meeting customer needs, data collection
methods to measure performance, establishing baseline sigma of the process to show the standard
of a process aiming the key output operational definitions, data collection formats and plans and

Third part is analyzing opportunity this process particularly helps to find out the opportunity to
identify a specific problem, knowing the problem statements, and its root causes. Hypothesis
testing, fishbone diagram, root cause analysis, statistics, process mapping are the tools to be used
with aiming data analysis, mapping process, problem statements.
Improving process uses cost-benefit analysis, project planning, change management to identify,
evaluate and select the right improvement solution and developing a change management strategy
to assist the organization through solution implementation.
5. explain why it is essential that an organization captures information on continuous improvement
process and incorporates them into knowledge management system.
Answer; continuous improvement is one of the most important process of management system
which deals with processes of planning, organizing, operating and controlling, it is business
philosophy used to continuously create opportunities for future positive changes. This includes the
innovations, sustainability, and management change system to establish organization to respond
to rapidly changing business environment. The main purpose of the knowledge management
system is to collect, analyze, organize and store accurate information promptly and make it easy
for it to be retrieve and distributed. So, the information for the continuous improvement can be
systematically stores in IT system, data bases, workplace forum, and websites, procedure manual,
which can be easily available for the relevant people to action on it which lead the company for th
better improvement.

When considering areas that have been identified for further improvement. Explain how
continuous improvement system relate to other system in an organization?
Answer. Production area of any organization has been affected by the staff who are coming late
and going early and writing fake time in paper sheet. Due to which production has been slow down
and have been unable to meet demand. Due to which office are paying wages of hours which
employee has not worked. To avoid the problem, company has put the time keeping machine, due
to this, continuous improvement has happened in other areas of organization, staff are coming in
time and going in time. So, the office has to pay only the amount of working. And production has
increased. And amount the money paid which staff has not worked have been saved. Absenteeism
of staff can be identified easily and It has made lot easier for the account department.
Question 7
Describe how an organization’s system and procedure can be used to support continuous
improvement process. Provide three examples.
 company policy risk management process for all the business activities which provide the
guidelines that all the business activities must assessed for risk prior to commencing and
then managed throughout and then risk identification, analysis, evaluation and treatment
must be reported and updated at company risk register. This policy support continuous
improvement process.
 Adopting sustainable work practices in the organization lead to the continuous
improvement process.
 Delivering speedy and personalized services using latest computer technology support
continuous improvement process of organization attracting more customers.
Question 8 explain how technology such as computes can be use to support continuous
improvement. Provide three examples.
 Providing self-check out in retail shops can provide customer fast service with reducing
time to wait less time in queue and help to serve more customer in efficient and effective
manner.

environmental legislation, reducing the wastage, encouraging the efficiency of the workers.
Lowing carbon footprint, and minimizing the wastes and becoming more sustainable can increase
company profit though the efficiency or productivity gains.
Bizop’s has started to use the raw material found locally. Policies are also included that
recyclable and renewable materials to be used when possible. A waste reduction program has been
introduced to the all staff members. For the long run to avoid the shortage of water, an installation
of a 150 mega liter water tank has been installed which will use the rain water for flushing the
toilets. For saving the electric energy, the installation of a smart lightening system and energy
efficient lights have done properly which will control and monitor light energy and level. And all
workplace has be converted with the low power LCD and LED monitor systems and wired
keyboards and mouse to reduce battery wastes.

contribute ideas for continuous improvement. The procedures should ensure all information’s is
captured and is accessible though the Bizop’s intranet.
