THE ESSENTIAL GUIDE TO MICROSOFT TEAMS END-USER ENGAGEMENT / 1

Microsoft Teams is changing workplace collaboration by
bringing together chat, meetings, apps, bots, personal
storage, and calls into one interface. But with so many
features available, it’s possible to take on too much, too
quickly. Having a Microsoft Teams implementation strategy
is crucial to avoiding common pitfalls, and to ensure
successful adoption and end-user engagement.

Whether your organization is new to Teams, or you’re

looking for greater end-user adoption and engagement,
this guide will walk you through 10 best practices,
considerations, and suggestions that can enrich your
Microsoft Teams deployment and ensure end-user
adoption (people using the tool) and engagement
(people thriving in using the tool – the ultimate goal).

Why collaborate?
Studies have routinely found a link
between collaboration and performance.
In fact, a joint study from the Institute
for Corporate Productivity (i4cp) and
Rob Cross, Edward A. Madden professor
of global business at Babson College,
found that companies that promoted
collaborative working were five times
as likely to be high-performing.

7. Use deeper analytics
to drive success
The Office 365 Admin Center provides some information on Teams
usage. While you may be happy with this level of information, most
organizations need something more.

CoreView and tyGraph are great tools for getting exactly what you
need to be successful with Microsoft Teams. Both tools report vital
criteria that can’t be found easily in the Admin Center. If you are not
familiar with these analytics tools, here’s a quick breakdown of each:

8. Support end users
with valuable,
time-saving tips
There’s no right or wrong way to use Teams. But there are
some ideas and concepts that can help make end users
more productive, more quickly.
• Reference the Getting Started in Teams in the General tab
• Use @mentions to call attention to your message in
conversations
• When an issue/question is resolved, @mention the entire
group for closure and visibility
• Learn the five keyboard shortcuts for Teams
• Check out these “hacks”
• Record meetings and post the Stream video back to the
Teams channel

Create a Communication Site

Using Teams channels to share information
is a great start. But think about how these
items can be pushed out to more people
and promoted throughout the organization.

9. Keep it simple and don’t
over-customize your Teams
environment
There are many ways to integrate with Microsoft Teams. There are tabs,
connectors, apps, bots, and custom development to help with these
efforts. But the best approach is to start with your wider user cases.
ServiceNow, Chronos, and other apps are perfect integration points that
can serve more users. Consider a governance process that centralizes
these requests and enables those that serve the masses. This approach
applies value to your customizations.

There are many apps for Microsoft Teams – too many in some cases.
There’s a bot and/or connector for almost everything a company could
connect to/integrate with. That can be both a blessing and a curse.

Start your POC, pilot, and launch with the apps provided by Microsoft.
Then loosen the approach to include applications such as Adobe Creative
Suite, Trello, and others that drive value for business units. There are also
options for customizations. These too should be driven by business value.
Keep customizations to a minimum. The last thing you need is to move
your technical debt from an over-customized SharePoint instance to an
over-customized instance of Microsoft Teams.

Stick to Essential Apps & Connectors

Don’t overwhelm your users with options every
time they want to add a tab. Keep the options simple
with tools they actually use. Same goes for cloud
storage apps.

12 / THE ESSENTIAL GUIDE TO MICROSOFT TEAMS END-USER ENGAGEMENT

10. Steer clear of these
SharePoint pitfalls
Although Teams is backed by an Office 365 Group, a modern
SharePoint Team site (call them collaboration sites to
minimize confusion), and OneDrive, there are some features
that are not yet rendered in Teams.

The SharePoint Tab only renders document libraries. This

lack of flexibility creates many unforeseen limitations
to SharePoint-based user experiences. There are a few
workarounds, but it’s recommended to use the page view tab
in Teams for the most optimal experience.

Here are some criteria for using the page view tab vs. the
SharePoint Tab:
• Rendering lists such as tasks and calendars may not offer
the best experience
• Metadata views are also a non-starter; this goes double for
content types as well
• Integrating with other SharePoint tenants and farms can
also be problematic

Be Careful with
SharePoint Lists
Lists and Calendars can be tricky!
Try using a page viewer tab instead.
