Prerequisites: You will need the SAP Logon Pad shortcut on your computer desktop, a user
ID and an initial password.
Overview: This QRG (Quick Reference Guide) provides instructions on how to log on to SAP,
change your password, navigate in SAP, customise and log off from SAP.
Begin Transaction
1. Double-click the SAP
LogonPad shortcut on the
desktop.
The SAP LogonPad is displayed.

2. Double-click on the client.
The SAP screen is displayed.

Business Activity Principles
When logging on to SAP, you are required to enter information into three fields.
The Client specifies the SAP System, eg. Production, QA/Testing. (Data defaults in )
The User field identifies you to the SAP system, and is a unique ID. It also determines
the level of SAP access you have, providing access only to those transactions you need
for your job, and creates an audit trail for each create and change transaction.
It is company policy that SAP cannot be accessed using someone else's User
ID.
Keep your Password confidential, to stop unauthorised SAP use. You will be prompted
to change your password every 6 weeks, but it can be changed as required.
Locked User ID
Your User ID will become ‘locked’ under the following circumstances:
An incorrect password or User ID was tried three times.
A new user has not tried to log in initially for over 3 months since access was
first established.
An existing user has not logged in for three months.
The administrator has manually locked the user.

5. Complete the following fields:
New password – Type
your new password.
Repeat password – Re-
type your new password.
6. Click .
The SAP Easy Access screen is
displayed.

SAP Screen Features
Menu Bar
The Menu bar is displayed at the top of the screen and contains dropdown menus. The options
available are specific to the transaction you are in, except for System and Help, which are
available in every SAP screen.
Standard Toolbar
The standard toolbar contains buttons that perform common functions. If you hold the mouse
over a button a tool tip displays with the function of the button. Buttons that are in colour are
available for use, buttons that are ‘greyed out’ are not available to use on the current screen.
The following buttons are on the Standard Toolbar:
Button Name
The Enter button is the same as the Enter key on the keyboard. When
the Enter button is clicked data is validated and processed.
The Command field is used to type transaction codes. This is an
alternative to navigating the menu.
Use these buttons to hide / display the Command field.

The Save button saves your work into SAP. Data will not be saved
until the Save button is clicked.
The Back button takes you back one step in a transaction or within a
menu, the button will take you back a level within the menu structure.
The Exit button will exit the transaction. At the SAP Easy Access
screen it will prompt the Log off pop-up window when only one
session is open.
The Cancel button will cancel the current transaction without saving.
The Print button prints the result of the current transaction or report.
The Previous Page button displays the previous page of a report and
is the same as Page Up key on your keyboard.
The Next Page button displays the next page in the report and is the
same as Page Down key on your keyboard.
The Last Page button displays the very last page of a report.
Title Bar
The Title Bar displays the
transaction screen name. The
initial SAP screen is the SAP
Easy Access screen as shown in
the example.
Application Toolbar
The Application Toolbar displays
additional options available for
the current screen. eg. On the
SAP Easy Access screen, the
Application Toolbar displays
buttons to display menus,
Workflow and manage your
Favourites.
Navigation Area
The Navigation Area displays two
folders:
Favourites
SAP menu
Status Bar
The Status Bar at the bottom of
the screen displays system
messages (left hand side) and
system information (right hand
side) as shown in the example.
If the Status bar displays OVR (Overtype) mode, click the Insert key on the keyboard
when you are in a transaction or click on OVR on the Status bar to change to INS
(Insert) mode.
This allows you to either insert text INS or overtype OVR what already exists in a SAP
field
SAP Easy Access Screen
The SAP Easy Access menu is
structured in layers and lists all
business functions.
1. Click next to the Logistics
folder. All sub-folders of the
Logistic folders are
displayed.
Transactions
Follow the steps below to see how to use transaction codes either via the menu path or by
using the Command field to go to the transaction ME51N Create Purchase Requisition.
Use the Menu Path
1. Click next to the Logistics
folder.
2. Click next to the Plant
Maintenance folder.
3. Click next to the
Management of Technical
Objects folder.
4. Click next to the
Functional Location folder.
5. Double click IH01-
Structural Display.
6. Click on the Standard toolbar to return to the SAP Easy Access screen.
Use Transaction Codes
Alternatively you can access the transactions using transaction codes. Transaction codes are
shortcuts to the transaction, which are typed into the Command field.
For example, to create a purchase requisition you would type ME51N into the Command field.
Enter a Transaction Code
1. Click in the Command field
and type /nIH01.
2. Click .
The Functional Location
Structure screen is displayed..
3. Click on the Standard toolbar to return to the SAP Easy Access screen.
Select the required transaction code and click to start the selected transaction.
Logging Off
1. From any SAP screen, click
in the top right corner of the
screen, or on the toolbar.
The Log Off pop-up is displayed.
