3. Equipment preparation

A) Teachers’ Website

● You will receive your login details once you submit all profile requirements and
your account is activated.
● It is optimized for Google Chrome, so it is obligatory to use it for Teachers’ Website
and Bibomaterials.
● An email will be sent for the password creation.
Link is only valid within 24 hours.
When you login, you will have to
complete an obligatory tutorial guide.
This guide will help you learn how to
open classes, understand how your
schedule works and how to click the
ready button.

Once you complete the tutorial, you will


be able to access other (optional)
tutorials on different features of the
teacher’s website. It is advisable you go
through all of them before you open
your classes.
ACCOUNT DEACTIVATION

Tutors’ accounts are


automatically deactivated (and
existing contracts are
considered void) if no lessons
are conducted for 90 days.

Prior to reactivation, tutors are


required to undergo Refresher
Training.

To keep your account


active, we advise you
to open 2 classes/week.
3. Equipment preparation

B) Skype

● You will be using a teaching Skype account that we will make for you.

● You will receive the login details for it on the day of training. (The login details for your tutor’s website
will come through a separate email.)

C) Speedtest (speedtest.net)

● Run Speedtest regularly in order to provide good quality lessons for your students.

● If you encounter issues, contact Operation Support immediately.

● Don’t forget to submit your speedtest in the lesson notes if you


encounter connectivity issues during your lessons.

D) Recording your classes

● Recording the audio of every class is obligatory. It will help you protect yourself from potential
complaints, and you will be able to review any class once it is done. Keep recordings for no less than
15 days.
● Some Skype recorders we recommend are MP3 Skype Recorder, CallNote, Quicktime, Amolto
Recorder, etc.

E) Headset and webcam

● It is important to have good quality camera and a headset/earphones to avoid quality complaints and
to conduct your lessons without issues.

● If you did not receive any negative feedback regarding the


equipment during your training, you may keep using the equipment
you have now.
4. Lesson Notes

● Submit your Lesson Notes right after each class. They need to be submitted 24
hours after the class was conducted, otherwise you will not be paid for the class.

● You will be able to submit the lesson notes under the Student Information Section.
The ‘Tutoring Notes’ tab will show you the tutoring notes from all other teachers that
had a class with the same student.

● The third tab will show all the tutoring notes you have submitted
for that particular student.
4. Lesson Notes - No Show
● NO SHOW Lesson notes - If the student does not answer the call in the first 15
minutes

NO SHOW lesson notes should be submitted within the lesson time.

Step 1: Tick the No Show box within the lesson time (e.g. until 5:24:59 PM)

Step 2: Take a screenshot of your calls and use Snaggy or Lightshot to upload the
screenshot.

Step 3: A. Paste the screenshot of the Skype call log (snag.gy)
B. Conduct the speed test and paste the result link (speedtest.net)

These two fields should be filled out only in case of NO SHOW classes.

Important: Be advised that you should not answer the call from your student if 15 minutes
have passed. If the student is late and tries calling you, but it's already been 15 minutes, do
not answer the call.
Always make sure you write good lesson notes. Good lesson notes bring
regular students, and regular students bring regular income!
5. Class Cancellation and Payment

Please be mindful of our cancellation penalties:


● With notice (cancellation made at least 11 minutes before class time)
● Without notice (cancellation was made too late or without any warning)

5. Class Cancellation and Payment

Important: Before teaching, tutors must submit their TIN and bank details here.
Teachers’ payments are credited twice a month. The cutoff periods are as follows:

1. 6th to the 20th of the month - payment is on the last day of the month
E.g.: If the cut off period is January 6, 2017, 00:00 to January 20, 2017, 23:30
Then payment is on January 31, 2017

2. 21st of the month to the 5th of the following month - payment is on the 15th of the following month
E.g.: If the cutoff period is January 21, 2017, 00:00 to February 05, 2017, 23:30
Then payment is on February 15, 2017

6. Performance Improvement Tips

● Adjust to the student’s comprehension level.


● Give effective explanations.
● Follow the student’s request.
● Use the chat box effectively.
● Correct your student’s mistakes.
● Establish rapport and practice your conversational skills.
● Be polite to your students.
● Be aware of the critical banned list.
● Encountering difficult students

Your booking rate and the number of regular students depend on your
performance and the rapport you establish with your students.
How to Improve Booking Rate
GUARANTEED BOOKING RATE INCENTIVE
Mechanics:
A. Open at least 200 classes within 30 days from the day of activation.
B. After 1 month, your incentive will be calculated.
(Opened Slots x 0.6 - Booked Slots - Cancelled Slots) x Teacher Rate = Incentive
C. If the booking rate is less than 60%, you will be paid as if you have conducted 60% of the total actual
booked classes.

D. This incentive is only applicable for tutors with booking rate below 60 %

Common Student Complaints
How to Improve Booking Rate

1. OPEN MORE THAN FIVE SLOTS A DAY.

2. KEEP A REGULAR/FIXED SCHEDULE in the first two weeks.

3. DO NOT CLOSE OPENED SLOTS. Students can still make a reservation 15


minutes before the lesson time.
7. Trial Lessons
A trial lesson is 25 minutes long, just like a regular lesson.

● DMM Eikaiwa and Engoo offer two (2) free trial lessons to potential enrollees.

● Check the number of lessons the student has had with DMM Eikaiwa/Engoo. If it says
Lesson 1 or 2 times, it means they are still in the free trial program.

Make sure to:


● Introduce the company effectively
● Know the service features
● Introduce yourself effectively
● Find out what the students’ goals are in learning English and let
them know how you can help
8. Teacher Support and Operation Support

1. Teacher Support - All new teachers belong to Teacher Support Rookie first before
being transferred to another team
