Junior Secretary cum Office Admin

Job Description

Requirements

 Candidate must possess at least a Diploma/Bachelor or Degree in Secretarial,


Administration or any other field. Qualifications in administration studies will be an
advantage
 At least 1-3 years of work experience in administrative work.
 Good interpersonal skills & pleasant personality.
 Reliable, self-motivated, resourceful, calm, trustworthy and able to work independently &
efficiently
 Willing to travel/work on weekends or after working hours as requested by the
management.
 Possesses own transport.
 Coordinating office activities and operations to secure efficiency and compliance to
company policies
 Keep stock of office supplies and place orders when necessary
 Proven experience as an office administrator, office assistant or relevant role
 Outstanding communication and interpersonal abilities
 Excellent organizational and leadership skills
 Familiarity with office management procedures and basic accounting principles
 Excellent knowledge of MS Office and office management software

Responsibilities
 Carry out instructions from head of company as per business requirements from time to
time
 Provide full administrative and secretarial support.
 Prepare, arrange and organize meetings/appointments for Managing Director
 Devising and maintaining office systems, including data management and filing.
 Arranging travel, visas and accommodation and, occasionally, travelling with the manager to
take notes or dictation at meetings or to provide general assistance during presentations.
 Screening phone calls, enquiries and requests, and handling them when appropriate.
 Organising and maintaining diaries and making appointments.
 Carrying out background research and presenting findings.
 Producing documents, briefing papers, reports and presentations.
 Organising and attending meetings and ensuring the company head is well prepared for
meetings.
 Liaising with clients, suppliers and other staff.
 Coordinate office activities and operations to secure efficiency and compliance to company
policies
 Support budgeting and bookkeeping procedures
 Create and update records and databases with personnel, financial and other data
 Track stocks of office supplies and place orders when necessary
 Submit timely reports and prepare presentations/proposals as assigned
Skills

 Exceptional written and oral communication skills.


 Excellent word processing and IT skills, including knowledge of a range of software packages.
 The ability to work under pressure and under tight deadlines.
 Good organisational and time management skills.
 The ability to research, digest, analyse and present material clearly and concisely.
 Excellent interpersonal skills.
