Workflow Reporting

•  All information about workflow processes is


available in the R/3 database, and can be
evaluated using standard reports or customer-
specific reports.

•  The reporting information can help you to


assess the current performance of processes,
whether there are problems with waiting times,
the development of total processing times,
how well service agreements are met and
whether anything should be changed.
»  Notes:  
»  Workitem  -­‐-­‐>  This  appears  in  the  Inbox  of  the  User  clicking  on  which  takes  to  different  transac;ons  to  
perform  a  par;cular  task.  Background  type  of  workitems  do  not  appear  in  the  inbox.  We  can  say  that  
workitem  is  an  instance  of  a  task,  that  is  used  in  a  workflow.  Task  is  what  we  create  in  the  systems  and  
aDach   business   object   method   to   perform   a   par;cular   job.   During   run;me,   this   is   instan;ated   and   a  
workitem  is  created  in  the  Agent's  inbox.    

»  Agent  -­‐-­‐>  Any  of  the  Org  Structure  en;ty.  Can  be  a  user,  Posi;on,  Org  Unit,  Job  etc.

»  Following  are  the  standard  reports  in  the  system:    

»  SWI1  (Selec;on  report  of  workitems)  -­‐-­‐>  Lists  all  the  workitems  of  the  par;cular  task  in  a  par;cular  
;me   period.   This   is   might   be   useful   check   all   the   workitems   for   a   par;cular   task.   For   example,   suppose  
we  have  a  task  called  TS9910001  for  approval  of  the  CMR,  if  you  want  to  list  all  the  workitems  of  this  
kind  in  a  par;cular  ;me  period,  you  can  use  this  report.  

»  SWI2_FREQ  (Workitem  Per  Task)    -­‐-­‐>Gives  the  number  of  workitems  for  a  par;cular  task.  This  gives  
how  many  workitems  are  in  the  system  for  a  par;cular  task.    

»  SWI2_DEAD   (Workitems   with   Monitored   Deadlines)   -­‐-­‐>   Displays   workitems   with   their   Dead   line  
informa;on,  if  they  are  set.  Each  task  can  have  4  types  of  deadlines.  Requested  Start,  Requested  End,  
Latest  Start  and  Latest  End.  This  might  not  be  very  useful  for  us.  

»  SWI2_DURA   (Average   Processing   Time   of   the   Task)   -­‐-­‐>   Lists   all   the   tasks   and   also   gives   the   Average  
wait  ;me,  Processing  ;me  and  Total  ;me  of  each  of  the  selected  Tasks.  
»  SWI2_ADM1  (Workitems  without  Agents)  -­‐-­‐>  Lists  all  the  workitems  which  are  not  having  any  agents  
assigned.  In  this  case  workitems  are  not  routed  to  anyone's  inbox  and  hence  it  will  be  in  dangling  state.  
Through  this  report  we  can  assign  the  agents  to  those  workitems.  
»  SWI2_DIAG  (Diagnosis  of  Workitem  in  error  state)  -­‐-­‐>  Lists  all  the  workitems  in  error  state.  It  also  groups  
the  workitems  by  error.  Any  further  diagnosis  can  be  done  from  here.  We  can  see  the  workflow  log  or  we  
can  even  re-­‐start  the  workflow.  

»  SWI5  (Workload  Analysis)  -­‐-­‐>  Lists  all  the  Tasks  for  a  par;cular  Agent,  processing  ;me  for  each  task.  It  also  
gives  the  sta;s;cs  based  on  Org  Unit,  Agent,  Task  and  Date.  By  this  report  we  can  analysis  the  workload  
on  each  person,  each  day  and/or  each  task.  

»  SWI11  (Where  used  for  Tasks)  -­‐-­‐>    Lists  all  the  workflow  which  use  the  given  workitem.  

»  SWI13  (Authoriza;on  to  start/  execute  tasks)    -­‐-­‐>    Lists  all  Tasks  and  Workflows  that  a  given  user  can  
execute  or  start.  

»  SWI4/  SWI6  (Workflows  for  Objects)  -­‐-­‐>  Lists  all  the  workflow  started  for  a  par;cular  Business  Object.  
Business  Object  can  be  PR,  PO,  SO  etc.  
»  SWIA  (Process  workitem  as  an  Administrator)    -­‐-­‐>  Some;mes  it  may  be  necessary  to  manually  execute  a  
workitem  as  an  Administrator.  But  Authoriza;on  for  this  should  be  given  to  only  WF  Admins.    

»  SWWL(Delete  the  Workitem)  -­‐>  Manual  dele;on  of  the  workitem  is  possible  using  this  report
