OVERVIEW
Project: Assist in Coordinating registration for the 10th Annual Safety in our Schools
Conference.
Biggest Risk: Making sure that all individuals with an Officer Key (O-Key) number receive
training credit.
MISSION
GEMA/HS Mission:
“To facilitate the protection of life and property against man-made and natural disasters
by directing the state's efforts in the areas of prevention, preparedness, mitigation,
response, and recovery.”
GEMA/HS TRAINING
Purpose:
The GEMA/HS Training Office is responsible for offering year-round emergency management
training to state and local officials. These officials include Fire and Rescue, Law Enforcement,
GEMA/HS Employees, Emergency Medical Services (EMS), Emergency Management Agency
(EMA) Directors/Staff, 911 Personnel/Volunteers, Public Health, and Public Works.
This training is meant to better equip the responding individuals/organizations with the resources
and information they need to effectively mitigate emergencies, in addition to addressing the
occupational risk factors these responders may face, such as physical injury and/or psychological
strain.
Superficially, public health and an agency like GEMA/HS might seem like they exist in two
separate categories. In actuality, GEMA/HS is what would be considered a Public Health
System. This is essentially any public, private, and/or voluntary organization that assists in
delivering essential public health services within an area. Services offered by GEMA/HS include
the facilitation and deployment of resources (sheltering, transportation, medical supplies,
personnel/equipment, etc.) to affected communities in an emergency situation, in addition to
training responders in preparation for those situations.
ORGANIZATIONAL FIT
How the Safety in our Schools Conference upholds the GEMA/HS Mission:
In accordance with Georgia law, GEMA/HS is responsible for providing “school safety training
and technical assistance to the education, emergency management, and public safety
communities of Georgia.” This training comes in the form of a series of statewide conferences,
regional workshops, and presentations provided at the request of local communities.
One example is the Safety in our Schools Conference, which hosts law enforcement, school
administrations, public safety and emergency management personnel from all over the state to
provide training and insight on matters concerning school safety. Some of this year’s topics
included Active Shooter Awareness, Current Drug Trends, Gangs in Schools, and Visual
Weapons Screening.
SUMMER PROJECT
My responsibilities:
To ensure proper continuing education credit any law enforcement who attended the conference.
This is an annual event and current staff were assigned to other projects creating a need for
supplemental assistance for this project.
S.M.A.R.T. MODEL
Goal 1: Establish a tracking system in Excel to verify O-Key numbers and the creation of name
badges weekly until June 21st.
Goal 2: Draft and submit the Georgia Association of Chiefs of Police (GACP) letter requesting
the approval of executive training credit for all plenary and breakout sessions by June 5th, 2019.
Goal 3: Capture O-Key plenary and breakout attendance in between sessions and upload those
lists into POST for law enforcement to receive training credit for each day of the conference,
June 25-27th.
TIMELINE OF PROJECT
GOAL 1 OBJECTIVES
Goal 1: Establish a tracking system in Excel in order to verify O-Key numbers and the creation
of name badges weekly until June 21st.
Objective 1: Correspond with Melissa Slocumb every week until June 25th to maintain
an up-to-date registration list.
Objective 2: Develop a color-coded list in Microsoft Excel to be updated weekly as I
track the creation of badges and the verification of O-Key numbers.
Objective 3: Print, assemble, and box name badges into alphabetical groups between June
5-20th, so they can be packed in the Tahoe by June 21st.
GOAL 2 OBJECTIVES
Goal 2: Draft and submit the Georgia Association of Chiefs of Police (GACP) letter requesting
the approval of executive training credit for all plenary and breakout sessions by June 5th, 2019.
Objective 1: Assign I-Key numbers and POST course codes to each plenary and breakout
session by June 3rd to be reflected in request letter.
Objective 2: Upon receiving approval, send finalized list of topics receiving Chiefs credit
to contact at U.S. Attorney’s Office by June 7th.
GOAL 3 OBJECTIVES
Goal 3: Capture O-Key plenary and breakout attendance in between sessions and upload those
lists into POST for law enforcement to receive training credit for each day of the conference,
June 25-27th.
Objective 1: Clear and charge 3 scanners per day between June 17-20th.
Objective 2: Download data from scanners in between sessions and save two versions
(.txt and .xlsb), one to upload in POST as a roster and the other for record-keeping
purposes.
Objective 3: Document any O-Key numbers missed between sessions and manually enter
each one into POST to ensure everyone who needs it will receive credit.

o Prepare mailing labels, folders, and certificates for individuals who pass the CEM
exam
o Cross-referenced loose CEM files to determine which ones (if any) had been
entered into the CEM database
o Assisted exercise team in transferring new batch of inactive CEMs to basement
