INFORMATION SYSTEM IN THE ORGANISATION

TELK Implemented IT in 1995 with LAN technology, even


then IT is not much utilized in TELK. The usage is limited to a LAN,
which connects all the departments of TELK. The information sharing
between different departments is done over the LAN. Internet is
accessible to the management employees of TLEK through the LAN.
File transferring is possible through the LAN. This network is secured
by password and not accessible to the outsiders. TELK is having their
own website www.telk.com for the use of their customers and public.

Design and Drawing department is making use of IT for


their drawing purposes. This is helpful for them to develop drawings
of products more precisely and timely. This is more important as the
organization is concerned

Finance department is using software developed by the


department for the accounting purposes. This software helps them to
invoicing, cost accounting and computation of salary.

Materials Department is equipped with computers for


efficient materials management of the organization. It is the first
department to start IT implementation in TELK in 1993 with UNIX OS.

IMPLEMENTATION OF IT

• There is a centralized information system controlled by EDP.


• Only relevant information concerning the department’s can be
accessed.
• There are Technical system and Commercial system.
TECHNICAL SYSTEM

• Implemented in 1976
• Used to be outsourced from USSC till 1986.
• The major tasks outsourced were technical designing
• Outsourcing was stopped in 1988

COMMERCIAL SYSTEM

• Implemented in 1990
• Outsourced from Chennai.

MAJOR TASKS
• Ledger Processing
• Payroll (outsourced from ERNAkULAM till 1992.
• Outsourcing stopped in 1993.
• The administration block has 100% network connectivity while
shops have only 75%.
• The data is distributed according to the functions of
departments.
• Data access of each employee is as per as his functions.
• All departments have their own database controlled by EDP.
• Concerned departments can modify data to a limited extent.
• The administrative department uses Ethernet cables.
• RS-232 is used by both administration and shops.
• There is inter departmental connectivity which is limited.
• Operating system used is UNIX.
• Application programs used by different departments are
different.
• Some application programs are outsourced while others are in-
house.
• No Decision Support System is used.
• Network is used for communication purpose.
• Except personal, all departments uses internet.
• Present level of IT implementation is just satisfactory.
• Upgradation of Existing system is possible.
• System is maintained by EDP, special fund allocation exists as
per annual budget.
• There has been remarkable improvement in the performance
after IT.
• In Finance, various departments budgets estimates are
received both by hand and through network.

IT FOR PLANNING AND OPERATION

The main users of data through inter departments (using


computer networks) are planning, Purchase, Store, Inspection
departments. For the functioning of these departments , these
departments are inter connected through computer networks.

INSPECTION DEPARTMENTS

Design Department develops the design of the product


and these pass to the planning department. This data passage
is through manual way. Planning department will check the
design and pass data to the Purchase department for purchase
requisition. The data passage is Purchase department will send
the output message to store department through digital way.
This department will create receipt, vouchers through
computers.
After receiving the materials Store department will inform
to the Inspection department. Stock updating in Store
department will take place through computers. The information
passage from Planning departments are inter connected
through computer networks. Also intra networking is there in
these departments.

Another networking exists between marketing, Design,


Assembling and Packing department. From Marketing
department details of the product will pass to Design
department then it pass assembling and then to Packing
department regarding the method of packing.

There is a direct network connection between planning


department and CEO. After the completion of the products ,
Planning department will inform CEO about the details of the
finished product.

Another facility in the planning department, is that for


every product there is a job no. By typing the job no members
can see the materials used and quantity of materials used for
the production of that product.

Also only responsible person are allowed to operate their


networks. There will be user ID and passwords for operating it.
In Purchase department , updating of approved vendors is done
by Managers and they have separate ID and Password.

Passage of information from Design department to the


Planning department takes place through manual ways which
consumes time. By connecting these two departments through
computer networks, information passage will takes place
smoothly and time saving. This is an important area of need of
inter networking.

• Accepted as good quality supplier to all power utilities in INDIA


and to many prestigious utilities abroad
• Brand image as a Quality manufacturer of Transformers and
Transmission equipments.
• Wide product range of Power Transmission equipments.
• Very good manufacturing facility.
• Rich pool of skilled, trained and experienced man power.
• Located on the side of National Highway as well as Railway line
ensuring connectivity to all places.
• Advantage of locating near to Kochi International Airport, Kochi
Sea Harbour, NH 47 and Railway Stations.

WEAKNESS

• Cost of production is high.


• Decreasing productivity.
• Oldest technology and equipment.
• Poor infrastructure.
• Lack of proper training.
• IT is not effective.

OPPORTUNITIES

• Well experienced employees and management.


• Unbreakable future records.
• Unexplored land facilities for future developments.
• Unexplored brand name.
THREAT

• High competition from domestic as well as foreign competitors.


• Poor image among creditors and customers as a result of
declaration as a sick unit.
• State Governments move for handing over the power and
management to private sector.
• Unsatisfied employees due to non exercising of promotion
policy.
• High age group of employees.
• Under utilized HRD.
• Upward trend in raw material price.
• Heavy accumulated loss recorded in the books of accounts.
• Low operating profit,
• Increased no of employees.
