SYSTEMS ANALYSIS REPORT

Introduction

The tiniest thing that you see or imagine may not be the tiniest thing that ever existed in

the universe. People once thought that grains of sand were the building blocks of what we see

around us but it was proven wrong when the atom was discovered. The atom was thought

indivisible until it was split and revealed protons, neutrons and electrons inside. They were

thought indivisible too before it was discovered that protons and neutrons are made up of three

quarks each. These important discoveries wouldn’t have happened if no one is studying it

thoroughly.

A lot of brilliant discoveries are a result of the thorough study conducted by scientists.

This thorough study is what we call Science - the systematic study of the structure and behavior

of the physical and natural world through observation and experiment which is done inside the

science laboratory. This laboratory is a special facility for experiment purposes and it typically

contains materials, equipments, chemicals and any other substances.

In the past centuries, science laboratories were only used by professionals but during the

present time science laboratories can now be used even by the students and can be located inside

the school premises to provide students better understanding of what is being taught in class. The

main goal of various schools is to provide their students with advanced learning

And now it is even more possible now that school laboratories are accessible for students. Of

course when we’re talking about advanced learning an ordinary school laboratory won’t be

enough. It should be packed with advanced materials and equipments especially in this era where

technology is quickly rising and evolving.

People all over the world are trying to keep up with the quick evolution of technology,

thus increasing significantly the demand and call for automated systems from companies,

institutions and individuals. Technology has been a great factor in increasing the speed of

different processes as well as the ease of doing the job thus providing positive results and

feedbacks from the customers. A good customer service is what companies are aiming for to

attract more customers and to build a great name for their company and with the help of

technology, it has become easier and more possible.

Automated systems are not only applicable to companies but also to schools and other

institutions. University of the Immaculate Conception, a school located at Davao City, is one of

the schools that is currently using automated systems. Though the school has been using

automated systems for quite some time, it can be observed that not all offices under the school

are using automated systems. One example is the Medical Laboratory for both Main and Annex

Campus. They might be two different laboratories in different campuses but both of them are

aiming to enhance their service to a higher level. Both laboratories are using manual procedure in

recording all the transactions that transpired and they believe that automation could make their

jobs easier and more organized.

Both laboratories are hoping to have a system that is capable of recording transactions

like borrowing, reservations, and inventory to minimize the problems that they are facing and the

time and energy consumed. That’s why the developers of this study are aiming to provide quality

automated system to help them with their needs. This system will not only make it less hassle but

also it will provide a more secure and organized way of keeping and monitoring the records from

time to time, thus giving a lot of advantages for both the students and the staffs who are using the

Medical Laboratory for both Main and Annex Campus of the University of the Immaculate

Conception.

The Organization

University of the Immaculate Conception Bajada, Fr.selga, and Annex campuses were

built long time ago. Since Miss Agullana in-charge from main is new to the office she can’t tell

us the exact details of the time when the stockroom was built. According to Wikipedia it started

in 1905 as a parochial school. University run by the Religious of the Virgin Mary (RVM) in

Davao city. Maybe around that year the office was built. And also Mr. Dela Cruz didn’t mention

anything about the history of office or the organization, Mr. Dela Cruz is in-charge from the

Annex campus.

Business Environment

University of the Immaculate Conception have Laboratory Stockrooms for laboratory

apparatus, equipments, and different chemical substances. In Main campus it is located at 4th

floor near the Analytical Chemical Laboratory, ML classrooms and Laboratory rooms that

Medical Laboratory Science students used for their lectures and experiments. In Annex campus it

is located on the 4th floor occupied by the Accountancy and Business Administration program

and by all of the students that have Chemistry and Physics in their curriculum that is Annex-

based.

University of the Immaculate Conception’s Main Laboratory Stockroom has calming

effect; it can give freshness, and has strong connection to a risk-free environment because of its

Green-colored surroundings. Medical Laboratory Science program use this color for over many

years in University of the Immaculate Conception, no wonder why MLS students always use the

stockroom, laboratories and the rooms close to it. In Annex Laboratory Stockroom, it is like you

are in an island with the cool and relax environment due to the color of its surface which is Blue.

The painters of the room made a good choice on what would be the color to be used to the office.

University of the Immaculate Conception Laboratory facilities observe proper cleanliness to their

surroundings for ensuring the safety and the efficiency of the equipments. This means that the

tools are adequate and in good condition, and that material receives attention with respect to

proper handling, storing and disposal.

The borrowing, reservations, and requesting of the equipments is done by these

procedure: The students are requesting for the equipments they may use in their laboratory

experiments ahead of time, then the SA’s (students assistants) are responsible for arrangement

and preparations of the requested materials. The staff is responsible for the chemicals that are

being requested by the students, the office uses a form to determine how many equipments are

borrowed and for the students that are obliged on how many tools they need to return. If

something is lacking or broken students need to pay it as a group. Both facilities have each

computer units. In terms of borrowing of equipments the computer units has no use. But the staff

just using it for manual inventory system with the use of Microsoft Excel. These procedures are

done both in Annex and Main campuses.

Critical Success Factors

University of the Immaculate Conception provides services to students by educating them

and improving their skills through their offices specifically the stockroom which leads them to a

great success, and also by following the mission, vision, and goals of the school. These offices

are built by a specific purpose, that’s why it is functional for how many years until now. Both

Main and Annex Stockroom updates their inventory records through Microsoft Excel.

Ms. Luigi Lyne Agullana, a staff from Main stockroom. She is just new to the office, a

staff transferee from University of the Immaculate Conception Bajada campus and a skilled

worker who knows all the functions and processes of the office no wonder she was assigned to

that huge stockroom. In just 2 months of service to the office she was able to do her tasks

appropriately and maintain the functionality of the office. Hence, the services provided to the

students which can benefit them the most.

Mr. Norberto T. Dela Cerna Jr. is a staff from Annex stockroom. He worked for almost 5

years in the office, considering that long service he was able to make the office successful for

those consecutive years and until now he is maintaining its service to the students of the

University of the Immaculate Conception.

The Current System

The services that they implement are borrowing, requests and reservations. They use

manual method for the said transactions. For borrowing the borrower must leave his/her ID for

references, for the requests they borrower must fill up a requisition form manually and write the

name of the apparatus or the name of the chemical that they want to request, the quantity of the

chemical or apparatus and their name and for the reservation the they write everything on a

Logbook for them to track the person who borrowed the equipment. For them to monitor the

inventory they use Microsoft Excel. Therefore they use semi-automated method for the inventory

however most of the methods they’re using are manually operated which would obviously cost

them time, money and effort for them to be accomplished and the security of the records is not

that well established.

Description of Operations

The stockroom has 2 types of transaction borrowing and reservation and they do their manual
transactions using these processes.
Borrowing:

The stockroom operates borrowing manually they use the borrower’s ID so they can identify
the borrower’s information, they operate this transaction using these processes.
1. The borrower will ask the staff the availability of the equipment
2. The staff will check the availability of the equipment asked by the borrower
a. If the equipment/s is/are available then the process continues.
 The borrower will leave his/her ID to the staff
 The staff will update the equipment/s in the stock
 The borrower can now get the equipment/s that he/she wants to
borrow.

b. If the equipment/s is/are not available the borrower will leave.

Returning of the borrowed equipment:
3. The borrower will return the borrowed equipment to the staff
4. The staff will update the equipment/s in the stock
5. The staff will return the borrower’s ID.
Reservation:
The stockroom also operates the reservation manually they’ll give requisition form to be
filled up by the borrower, the borrower will fill up the form manually using pen and paper, the
borrower needs to include the name, quantity , date of borrowing and date of return.
The reservation process will follow these steps.
1. The borrower will ask the availability of the equipment with the date of when will she/he
borrow the equipment

The information presented in the table above shows the common problems of both Main

and Annex Stockrooms that they have encountered over many years. These are the hindrance to

the services of the office. In the table there are also the causes and effects of each problem and

the opportunities or possible solutions that can fix the problem.

These stockrooms do manual procedures in their transactions. These procedures are prone

to human errors resulting to unreliable data and data redundancy. The developers saw an

opportunity that if they are able to implement a system that can store data and transactions.

Economics

There is a guarantee that some materials would be a waste caused by the manual

procedures of the office. This process comprises recording data using pen, notebooks for

borrower’s information record, logbooks for reservations, and form sheet for the requesting these

transactions are expensive. The developers saw an opportunity that if they are able to implement

a system that can save data in their computer then the cost to the specific materials can be a help

to save money.

Control

The stockroom has its own inventory and records of the transactions. However, the

stockrooms don’t have any appropriate repository or storage for the records. The results would

be, unauthorized personnel may access the records and manipulate them. There is a tendency

also for a loss of records and the records might be also be misplaced because there is no proper

storage of records and transactions which organizes the records and restricts unauthorized access.

Efficiency

The problem under efficiency is the wasted effort on transactions. These problems occur

because they have no proper system that asks the user to verify the data to be recorded. The

developers partially solve the problem somehow; they intend to add some functionality to their

proposed system with concern to this problem.

Service

Main and Annex Stockroom services are sometimes delayed and slow due to the manual

procedures done by the office. They consume time in manual checking the availability of

equipment, recording every transaction, and keeping the records. They manually do these

procedures which can lead to inconvenience to the students and also for the workers in the office.

This is because they don’t have system that can help them in accomplishing each task. But,

through automation less work will be done.

Functional Requirements

Based on Problems/Opportunity definition, the developers developed an online inventory

system which is LOIS to have an improvement with regards to the transactions that the office do.

The following are the functionalities of the system based on the identified problem by the

developers:

possible alternative solutions in the current problems that business encounters.

1. Purchasing a Licensed Microsoft Excel

This software aims to be the storage of data in an organized manner

through spread sheet. It is a single, powerful application that can help the office

manage practically every aspect of their daily operations. It does support

transactions that needs organize data for monitoring process but its complexity

may pose as a problem to the company. And considering its functionalities, the

application is not easy to learn. It may affect the services rendered by the office.

2. Implement an Laboratory Online Inventory Management with Recording Transactions

System

This would be a great solution to the problem of the office encountered

because it does follow office’s requirements. This system provides information

about the transaction records such as reservations and borrowing of the office and

all profile of the office’s staff and students. The modules of the system are

relevant to what the office needs and also it is a one-time cost system. It will

ensure fast reliable service, efficiency of data and security. The deployment of the

system is free but it requires annual system support, fee for servers.

Feasibility Analysis

The Operational Feasibility, Technological Feasibility, Economic Feasibility, and

the Schedule Feasibility of the system are all discussed in this section. This section assures if

which alternative solution will be more applicable to the office.

Whichever system the organization decides to use, they would get to manage their

stockroom somehow. Both have similarities in providing solutions for the company but they may

differ in the operational requirements.

Alternative #1 Purchasing of a Licensed Microsoft Excel

First and foremost, this software is not being sold as individual software. It is sold as

service pack wherein there are other applications of Microsoft such as Microsoft word,

PowerPoint and etc. which is costly. There is a risk on purchasing this kind of software,

scammers that selling this software that isn’t full package license. The fact that it is not made for

the office, although it can filter some transactions of the office maybe heavy transactions. But

with difficulty and time-consuming service. There are also possibilities that if the computer is

down then the software’s license die. And cannot be used again to other pc.

Alternative #2 Develop an Laboratory Online Inventory Management with Recording

Transactions system

The second alternative goes with the developers best intentions. Since the developers

developed a system that is prior to what the Laboratory Stockroom office needs and

requirements. The system will be customized according to the preferences of the office. Its

modules are easy to use. This alternative is more operational than the first.

Technological Feasibility

Alternative #1 Purchasing of a Licensed Microsoft Excel

Microsoft Excel requires the office to adjust to requirements needed for the deployment

and its functionalities to be fully used.

The software requirements of the PC follows, Recommendations: 1 gigahertz (GHz) or

faster x86-bit or x64-bit processor with SSE2, 1 GB RAM (32-bit); 2 GB RAM (64-bit), 3.0 GB

of available disk space, 1024 x 768 screen resolution, Graphics hardware acceleration requires a

DirectX 10 graphics card, Operating systems Windows 7, Windows 8, Windows Server 2008 R2,

or Windows Server 2012, and Product functionality and graphics may vary based on your system

configuration. Some features may require additional or advanced hardware or server

connectivity.

The software may not support heavy transactions and may have limitations that could

result to malfunctions of the application.

Alternative #2 Develop an Laboratory Online Inventory Management with Recording

Transactions system

In this alternative solution, the system will make use of the Laboratory Stockroom’s

computer that the in-charge currently using to their inventory, which is the Microsoft excel.

There are no requirements in the computer’s specification but we highly recommend a core i3

processor because it offers good accuracy and high performance and response rate which in

result provide the users with the high throughput rates, and also reduced time in executing the

programs by the processors. These processors are smarter, faster and more adaptive in all kinds

of networking scheme. An online server is also necessary to provide an online data storage since

there is a possibility that other campuses besides the Main Campus will utilize the same server

Scope:

The proponents developed an online inventory system called LOIS (Laboratory Online Inventory

System) for the stock room of the Main and Annex campuses of the University of the

Immaculate Conception, in which:

 The system allows the administrator to monitor the equipment in the stock

 The system allows the administrator t add some equipment in the stock

 The system allows the administrator to confirm a reserved equipment

 The system tracks the availability of certain equipment which determines if the borrower

can borrow the equipment.

 The system allows the users to view their previous transaction.

 The system allows the users to view the items that were not yet returned

 The system was built with Register and Login module which asks the user to fill up a

form and login to their account using the ID number and password which were filled in

the form.

 The passwords inputted by the users were managed using the hashing method to improve

the security of the system and protect the information of the users.

Delimitation:

 The system is a web based system which means you can’t access it without an internet

connection.

The proposed system

LOIS (Laboratory Online Inventory System), a system that provides the necessary data

for the user to know the current status of the laboratory equipment apparatus, and chemicals.

General Objective

The general objective of this project is to build an Online Inventory System for the stock

rooms of the campuses of the University of the Immaculate Conception.

Specific Objectives

Along with the general objective the system is expected to meet these specific objectives:

 To improve the productivity of the stock rooms in the campuses


 To help the stock room to release an accurate and reliable outputs
 To lessen the effort exerted by the in-charge and the staffs
 To lessen the expenses of the stock room by making some process automated
 To save the time of the students, in-charge and staffs.
