Getting Started with MS Powerpoint

Let us identify its parts

1. Title Bar – This displays the names of the file and the program. If we have not yet saved our file,
the initial name is Presentation.
2. Quick Access toolbar – This contains the commonly used commands. We can add or remove
buttons on the toolbar by selecting the Customize Quick Access Toolbar button found on its
right side.
3. Minimize, Restore or Maximize, and Close buttons – These buttons are found on the rightmost
part of the Title Bar. If we choose the Restore button, it changes to Maximize button. If we
select the Maximize button, it will bring back the Restore button .
4. Ribbon – This is found below the Title bar. It contains all the commands that we will need to
perform the tasks in MS PowerPoint. It has tabs that are divided into groups of commands.
5. Slide Navigation Pane – This allows us to view and work with the slides in our presentation.
6. Ruler – This is located at the top and on the left of the current slide. It will be easy for us to align
the text and objects on the slide of our presentation.
7. Slide pane – This is the area where we can view and edit the selected slide. It is the main
working area where we type the text and place the objects.
8. Scroll bars – We select, hold, and drag the vertical or horizontal scroll bar depending on which
part of the slide we want to see.
9. Status Bar – This is found below the Slide Pane. It displays the ff: Slide number, Number of slides,
speaker notes, comments, slide view options, zoom control.

How to Create

The files we create in PowerPoint are called presentations. To create a new presentation, we: 1.
Select the file tab. 2. Choose New. The Backstage view opens. 3. Select Blank Presentation, or choose
a theme. 4. A new presentation opens. We can also create a new presentation by pressing Ctrl+N.

How to Save

1. Select the File tab. 2. Choose Save As. The Backstage view opens. 3. Choose Computer on the
center pane, then select the Browse Button on the right pane or choose from the Recent Folders.
4. Choose the location where we want to save our presentation in the Save As dialog box. 5.
Enter the name of the file in the File name box, then select the Save button. To save changes in
the presentation, we can do any of the ff: Select the File tab, then choose the Save Button; or 3.
Press Ctrl+s.
How to Close

To close a presentation without exiting MS PowerPoint, we: Select the file tab. Choose close. We
can also press Ctrl+W to close a presentation.

How to Open

Select the File tab. Choose Open. The backstage view opens. Select Computer on the center
pane, then select the Browse button on the right pane, or choose from the Recent Folders. Choose
the location of the document we want to open in the Open dialog box. Select the file, and then
select the Open button. We can also press Ctrl+O to open a presentation.

How to exit

To exit MS PowerPoint, we simply select the Close button on the upper right corner of the program
window.

Animations

Animation refers to the movement of the text and objects in the slides of the presentation. By using
an animation, a specific content of the slide can catch the attention of the audience. There are four
types of animations that we can use for the contents of the slide: Entrance, Emphasis, Exit, and
Motion Paths.

Animation Application to Text or Objects

*Select the text or objects to animate,*On the Ribbon, choose the Animations tab. Select the More
drop-down arrow in the Animation group.* The different animation effects will appear. Choose the
desired effect for the text or object. *The Animation effect will be applied to the text or object. Let us
observe that it has a small number to it. This means that an animation has been applied. On the Slide
navigation pane, we will see a star symbol next to the slide. *If we want to see the other animation
effects, choose at the bottom of the menu.

Inserting Hyperlinks

A hyperlink is a text or an image that we can select to jump to a new document or web page. To
insert a hyperlink in our presentation, we: * Select the text or image we want to make as a hyperlink. *
Choose the Insert tab. In the Links group, select the Hyperlink command. *The Insert Hyperlink dialog
box will open. Choose from the options on the left side where we want to link the text or image we
selected. For example, if we want to link to another slide within the same presentation, choose Place
In This Document.* A list of the other slides in the presentation will appear. Choose the name of the
slide we want to link to. * Select the OK button. The text or image will now be a hyperlink to the slide
we selected. If we want to insert a hyperlink to another file, choose Existing File or Web Page option. If
we want to insert a hyperlink to create a new document, choose Create New Document option. If
we want to insert a hyperlink to an e-mail address, choose E-mail Address option.
Inserting Videos

To insert a video from file, we:

1. Select the Insert tab.


2. In the Media group, choose the Video command.
3. Select the Video drop-down arrow, then select Video on My PC.
4. The Insert Video dialog box will appear. Choose the desired video file, then select the Insert
button. The video will be added to the slide.

To trim a video, we:

1. Select the video.


2. The Video Tools contextual tab will appear on the ribbon. Choose the Playback tab.
3. Choose the Trim Video command in the Editing group.
4. The Trim Video dialog box will appear. Use the green handle to set the Start Time and the red
handle to set the End Time.
5. Select the Play button to preview our video.
6. Select the OK button when we are done trimming our video.

Inserting Audio

To insert an audio from file, we:

1. Select the Insert tab.


2. In the Media group, choose the Audio command.
3. Select the Audio drop –down arrow, then choose Audio on My PC.
4. The Insert Audio dialog box will appear. Choose the desired audio file, then select the Insert
button. The audio file will be added to the slide and will only play on the selected slide.
5. If we want to play it across all the slides in the presentation, select the sound icon on the slide.
The Audio Tools contextual tab will appear on the ribbon. Choose the Playback tab.
6. Choose the Play Across Slides box in the Audio Options group. The audio file will be added
and played across all the slides.

To record an audio, we:

1. Select the Insert tab on the Ribbon.


2. In the Media group, choose the Audio command.
3. Select the Audio drop-down arrow, then select Record Audio.
4. Type a name for the audio recording.
5. Select the Record button to start recording.
6. When we are done recording, choose the Stop button.
7. Select the Play button to preview the recording.
8. Select the OK Button. The audio file will be inserted into the slide.
To trim an audio, we:

1. Select the audio file, The Audio Tools contextual tabs will appear on the Ribbon. Choose the
Playback tab.
2. In the Editing group, select the Trim Audio command.
3. The Trim Audio dialog box will appear. Use the green handle to set the Start Time and the red
handle to set the End Time.
4. To preview the audio, choose the Play button.
5. When done trimming the audio, select the OK button.

Activity

A. Underline the correct answer from the given choices in the parentheses.

1. To open MS PowerPoint, select the Start button on the (taskbar, Title bar).

2. The (Quick Access toolbar, Ribbon) contains all the commands that you will need to perform the tasks in MS
PowerPoint.

3. You can also create a new presentation by pressing ( Ctrl+N, Ctrl+O).

4. To save a presentation for the first time, select the ( Save, Save As ) option from the Backstage view.

5. To exit MS PowerPoint, choose the ( Exit, Close ) button on the upper right corner of the program window.

B. Below are steps on how to record your own audio in MS PowerPoint presentations. Complete
each statement by writing the missing word on the line.

1. Select the Insert tab on the Ribbon. In the Media group, choose the ______________ command.
