 ProSang – a presentation of
main features and benefits
ProSang is an advanced Laboratory Information System (LIS) that simplifies the entire
management of blood – from blood donor call–up to transfusion. ProSang also manages
immunological investigations, transplantation investigations, stem cell products as well as
a variety of cells and tissues.
With ProSang, safety, accuracy and security in blood management is guaranteed,
backed by more than 45 years of experience and know–how. Users are actively involved in
developing and improving the system through our “open ideas box”.
Conveniently, ProSang can be integrated with most major systems/applications. It is
also a user–driven and feature–rich system that is extremely intuitive and user–friendly.
ProSang is the leading blood management system in Scandinavia and is in use at more
than 180 blood centres throughout the region.

ProSang and Databyrån
The cornerstones of ProSang – safety, security,
cost–efficiency and reliability – are the same to-
day as they were when Databyrån, its creator,
was founded in 1965. These factors, combined
with our close working relationships with our
customers and users, are the driving forces of
ProSang today.
The primary factor behind the success of
ProSang is the unique methodology we use to
develop and enhance our program. Our clients
form user groups and propose changes and
improvements to the application. These are
then put to the vote by the user groups, and the
most popular proposals are then implemented
in an optional update. Our clients can therefore
be sure that ProSang incorporates the latest
technical and functional developments.
A secondary factor that differentiates Pro-
Sang from other systems is the service level
that our clients and users can expect from
Databyrån. Our support and technical staff are
always available to answer queries, give advice,
and provide professional support for our clients.
It has always been Databyrån’s ambition to
create a user–driven, feature–rich and intui-
tive blood centre management system that is
in tune with user needs while exceeding the
requirements of hospital–related blood centres,
donation centres, transfusion laboratories and
clinical immunology laboratories. For more than
45 years, ProSang has achieved this and will
continue to do so for a very long time.
Since 2007, Databyrån has been working
with agile methods for the development of Pro-
Sang. The agile way to work in combination with
our well–defined development process allows us
to quickly capture and implement new require-
ments from our customers. Furthermore, the Kaj Sjöström,
agile approach contributes to spreading knowl- CEO Databyrån
edge among the programing team.
 ProSang clients
Hospital–related blood centres, donation centres,
transfusion laboratories, clinical immunol-
ogy laboratories and transplantation labora-
tories use ProSang. Most ProSang clients are
accredited according to GMP, SS–EN ISO
15189 and LVFS 2006:16.
Laboratories working with transplantation are
certified by EFI, and Stem Cell Facilities are
accredited by JACIE.
ProSang is installed at more than 180
blood centres/laboratories in 26 healthcare

regions in Scandinavia, Iceland and Latvia. 7

Fourteen of the regions include one or more

university hospitals. Nine regions, all with
university hospitals, use ProSang for clinical
immunology. Five of them also use ProSang
for their transplantation activity.
General information
ProSang can be integrated with other laboratory
information systems (LIS) as well as function as
a stand–alone LIS. Regardless of whether the
system is run as a stand–alone or not, ProSang
is available with all its features for the benefit of
donors, production–of–blood units, and labora-
tory testing in all areas of transfusion medicine,
immunology and transplantation disciplines.
Besides the handling of blood units, ProSang
also supports the handling of other cellular
products and tissue in the same processes in
which blood units are handled.

Maintenance and development
ProSang is continuously maintained and devel-
oped in close cooperation with users and a new
version is released periodically. New versions of
ProSang are installed in two steps – first the test
version and then the production version – both
validated by Databyrån and by the user. The
DATABYRÅN SUPPLIER OF PROSANG test system is concurrently available for system
analysis and training also when the production
version is taken into use.
With scheduled version upgrades, our clients
can be sure that ProSang incorporates the latest
technical and functional developments. Our cli-
ents can plan better too, as they can continu-
ously follow developments in later versions.

Compliance and authorisation
ProSang complies with laws and specifications
issued by governmental health authorities in
Scandinavia and with the EU directive.
ProSang is a CE–labelled medical product and
Databyrån is certified in accordance with SS–EN
ISO 9001:2008.
Login with password authorises access to dif-
ferent programs as well as to different parts of
each program for individual users. The authori-
sation system includes access administration
for groups of staff and formal control of the con-
figurations of login and passwords. ProSang also
supports the handling of authorisation by other
systems, called on at login.
All use of ProSang is logged with information
about the user’s signature, time, workstation, pro-
gram and identity, donor ID, sample ID or product ID.

The ProSang Internet portal is a fully–fledged tool that manages efficient
and direct communication with our clients. Acute cases are dealt with
immediately. Documentation and updates are available on the portal, as
well as complete and transparent information on developments, which is
valuable for both parties and much appreciated by our clients.

the same program, but depending on your

global Alert codes that, based on specific con-
ditions (e.g. the donor’s age), are automati-

–T  he history for each donor provides a chrono-
logical picture of activities with information on
time and place as well as on type of activity,
e.g. appointment, booking, visits, etc.
– Medical records on the donor can be registered
with specific access requirements. Features
include e.g. that no changes or deletions can
be made of existing data but must be accom-
plished by creating a new text.
– Registration of an unlimited amount of differ-
ent data about the donor. The idea is to allow
for the registration of a series of values for a
specific medical examination.
– Registration of the donor’s phenotype and
HLA–types with automated registration from
analytical instruments.
– Features for automatic control of the registra-
tion of the donor’s blood type.
– Printing of a vast selection of worklists.
– Full traceability from donor to recipient and
vice versa.
– Functions for advanced search of e.g. HLA
and phenotype, combined with simultaneous
search with general donor data as criteria, e.g.
age, gender, blood type, latest donation, etc.
Messages
You can send messages to donors in conjunction
with both automatic and manual invitations. You
can also send a message after searching for
donors and to remind the donor of his or her
appointment. When sending messages,
ProSang uses predefined templates, which
may contain optional placeholders.

Donor invitations
There are convenient features for predefining
and making automatic invitations to donors (via
e–mail, SMS or by post). It is also possible to
search for donors to invite them by telephone.
Included in the templates for automatic invi-
tations are opening hours, number of invitations
per time unit, blood type distribution within do-
nor sessions, type of invitation (letter, SMS and
e–mail), text in the invitation, editing of various
reports, sorting of output data, etc.
The program for sending automatic invitations
provides an overview/forecast of the availability
of donors in relation to the number of donors
required. This function controls the queue of
available donors.
 Appointments

Donor appointments are made according to an
agreed time, e.g. for plasma donation.
– Donors can book/cancel appointments via a
website in the ProSang web booking system.
– Appointments can be made in an appoint-
ment calendar where the slots are predefined
by the blood bank.
– An overview of available capacity can be
presented.
– Occupancy statistics can be accessed.
– Interaction between invitations and appoint-
ments provides the simplest possible process
when a method for combined SMS/ e–mail/
letter and telephone invitation is applied.
– Confirmations and cancellations of donor ap-
pointments can be automatically handled by
SMS and/or e–mail messages from donors.
– Reminders can be sent in the form of a SMS,
e–mail or post.
Donor awards

There are possibilities for managing the items
used for compensating or rewarding donors. At
each donation a record is kept for the compen-
sation given to the donors – money or items. The
program handles the compilation of stock and
the number of items distributed. The program
also handles the possibility for the donors to
accumulate points for the collection of more
expensive items later. The system provides an over-
view of items or money received by the donor.
Guest donations
ProSang makes it possible to exchange information
about donors with other blood centres. Donors
can visit a blood centre other than their own blood
centre to donate blood. Necessary information
on the relevant donor session as well as previ-
ous sessions, analysis results, etc are exchanged
electronically between the blood centres and filed
in ProSang. Donors can also change their home
blood centres via the same features.

Production of blood units module
Analysis of samples from donations
ProSang offers rigorous monitoring of donor
reception and the implementation/approval
of blood–sample testing. The requirement for
obligatory tests being carried out cannot be
22 changed.
Requests concerning blood type checks, vi-
rology tests and biochemical analyses are sent
electronically to automatic analysers and assisting
laboratories.
Worklists for internal or external laboratory
work may be printed with edited and sorting order
according to user specifications.
Test results are registered electronically via
ProSang’s general data transmission module
or manually. ProSang is compatible with the
majority of analysis equipment on the market.
Preparation of units
ProSang’s functions for unit presentation meet
the high demands placed on efficiency and
safety. Full controls are made on production of
blood units being reported for all drawn portions.
Parameters control the units to be produced,
and the standard order for product prepara-
tion can be changed easily during the day. All
labels are produced on–demand and labelling
is controlled by barcode reading as a directly
connected activity.
Donation information is available during the
preparation process and essential conditions,
such as long bleeding duration, acetylsalicylic
acid or restrictions of the plasma for industry or
to patients, are indicated by the system.
Automatic presses and electronic scales can
be connected.
Product labels (thermo transfer) are produced
on demand and come with a professional design
according to the ISBT 128–standard.
Potential labelling errors will be detected by
repeated barcode registration. No activity in-
volving the bag can be registered until correct
labelling is confirmed. “Flags” for ISBT 128–
standard process control are used in full.
All production activities are registered –
including the labelling check, pools and splits
as well as refinement of products such as ir-
radiation and washing of cells.
All staff, equipment and data – including
time, place, measuring results, etc – are logged
in activity/transaction files. Quality control infor- 23
mation can be exported to Excel or other widely
used statistics tools.
Release of blood from quarantine
to free stock
There is rigorous monitoring that all units trans-
ferred to the stock for patient use are checked.
Traditionally, each individual unit transferred to
stock is approved with tests. A double check is
provided by a check which is run in conjunction
with allocation of blood units to the patient.
All blood unit distribution is validated in the
above–mentioned approval procedure.
Highly secure, special procedures are available
for the issue of untested blood for patients or
distribution to other blood centres before the
test results have been reported.
 Industry plasma Special products

Special routines for industry plasma deliveries
are already incorporated in ProSang. The pur-
chaser’s special requirements, such as tests and
specially compiled delivery lists, are catered for.
The monitoring of deliveries, including approval
of analyses, are as rigorous as those carried out
on blood for patients.
A secure, authorised registration routine is
used for deliveries, and the certificate for the
industry cannot be written until all units are reg-
istered as tested and approved.
Routines for pooled plasma ampoules are
supported.
Individual stock products may be given spe-
cific slot addresses.
24 Import of units
ProSang supports the possibility of managing
various types of special products in the same
way that it manages blood units. Special prod-
ucts can include virus–inactivated plasma,
Albumin, transfusion filters and similar. Major
work resources can be saved by managing these
items without the need to relabel each item with
unique identification. Information about delivery
date, supplier and requested stock level can be
reported. It is possible to define stock levels and
use the alarm functions for low stock level.
The same documentation and printouts are is-
sued for special products as for blood products,
and returns of units are included in the same
routine.
Invoicing and accounting are performed the
same way as for blood products.

imported from external production units and
from external suppliers, in or outside the Pro-
Sang installation database.
ProSang offers complete safety in the reg-
istration of data for imported blood and has
secure routines for relabelling requirements.
An optional procedure to first register incoming
blood and then register the delivery list with ad-
ditional information offers the following benefits:
– Potential for faster sorting in the fridge
– Checking of exporter’s registered delivery with
the importer’s
– The possibility to register information not cov-
ered by the ISBT 128 system’s labelling infor-
mation, for example test carried out and time
for delivery out
ProSang’s functionality facilitates early production
of special products at the importer’s unit, while
using a computer–controlled release procedure.
The blood stock may be published on any
website.
Analyses
ProSang provides features that support multiple
types of processes for registration of orders, re-
sults registration, monitoring, medical assess-
ment, approval, investigation of antibodies and
transfusion reactions. Furthermore, we support
all types of reports, on paper or electronically,
e.g. emergency reports, partial reports and final
reports. Information about a patient’s analyses
is presented orderly and with full traceabil-
ity through our comprehensive analysis history.
ProSang supports all types of transfusion medi-
cine testing as well as all possible clinical im-
munological analyses.
Registration
ProSang can handle both electronic and manu-
al orders of analyses. Samples with electronic
ordering of analyses need not be relabelled. In
ProSang, the original labelling of the tube can
be used. When registering a new sample, the
user has immediate access to all historical data
on the patient, such as previous analyses, sero-
logical investigations or blood transfusions. It is
possible to register the patient’s consent to the
storage of samples.
 Worklists
As support for manual analysis work, worklists
can be printed out for various analyses. Pro-
Sang supports a large number of layouts.
Registration of results
ProSang naturally supports both automatically
transferred results from other LIS or instruments
as well as direct manual registration. For the
automated transfer of results, features can be
added for the interpretation of results. There are
also functions used to trigger a particular event
within the system. Original data from electronic
transfers are logged. The majority of transfu-
sion medicine analyses such as blood typing
and the BAC test (Blood type Antibody–screening
Control) require duplicate registration of results
for a high level of safety when registering manu-
ally. For other analyses such as allergy tests
and tests for autoimmunity, this registration is
26 optional and defined by the system administra-
tor. ProSang provides the possibility to specify
the results to be recorded, such as positive/
negative, the strength of the individual reaction,
interpreted results, only the numerical values
within a defined range, etc.
In connection with the registration of blood
typing and screening, ProSang checks the pre-
viously registered blood type and screening of
the patient. For abnormal findings in the blood
typing analysis, the sample automatically goes
over to serological investigation. The same
occurs when registering a positive screening.
An electronic crossmatch test is then “Not per-
mitted” for the patient. Blood typing results are
compiled for the patient. Acute blood typings
can be performed to quickly provide a blood
type for the patient.
It is possible to define that ProSang automat-
ically, depending on registered results, gener-
ates new analyses, comments and demands for
medical assessment.
Medical assessment
For certain analyses, ProSang provides the
possibility to request an additional approval of
results before a report is sent to the ordering
clinician.
Reports
Reports can be delivered to the recipient elec-
tronically or on paper. For each recipient it can
be specified as to the type of response he or
she should have. A third option is that the recip-
ient searches for the information on the patient
in the ProSang website.
Antibody examination
A positive antibody screening or antibodies
detected previously, automatically initiates a
request for a special routine. The positive anti-
body screening also automatically selects the 27
crossmatching procedure for pretransfusion
analysis.
ProSang can register reactions from panels
of test erythrocytes by various methods in a
user–friendly way by user–specified profiles.
Automatic evaluation of suspected antibod-
ies can be performed.
The strength of the antibodies (by titration)
with different methods can be registered.
A report is automatically created from regis-
tered results of phenotype and antibody exami-
nations.
Essential information from previous investi-
gations are generated automatically in the new
report, unless it is being edited by authorised
personnel.
All information from previous examinations,
panels, antibody titration, etc are available
on–line and as printouts on demand.

Allocation/delivery of blood
ProSang provides functions for electronic com-
pability testing by the combinations of the BAC
test (Blood type Antibody–screening Control)
and electronic compatibility testing, recipi-
ent–donor test, crossmatch test, allocation and
delivery of blood from stock, as well as the
return of unused blood.
The BAC test is registered with results of
the blood type verification and screening. The
BAC test is valid during a certain period of
time according to defined settings. This proce-
dure has also been adapted for the traditionally
established Type & Screen method in Norway.
Upon allocation of blood units to a patient,
ProSang monitors that the blood is compatible.
In the event of allocation of a blood unit that is
compatible but not of the patient´s blood type,
ProSang requires that the user verifies that she
is aware of the situation. Allocation of not–com-
patible units is not allowed by the system.
ProSang can be configured to search for
compatible blood units for a patient in the stock
according to the patient’s characteristics.

Results from the crossmatch test can be
registered manually or electronically. It is possible
to register that a tested unit was not suitable for
the patient but that the cost of the preliminary
examination is still to be charged.
Possible printouts in conjunction with allocation
of blood include a protocol for the examination,
packing slips for blood units, lists of allocated
blood for the patient, and transfusion records.
Acute donations can be registered for rapid
delivery of blood to an unknown patient.
Recommendations and comments about the
patient’s treatment and handling of blood can
be provided via blood–unit packing slips.
The return of unused blood can be registered.
The clinic can report transfusions by a paper
report that is registered into ProSang by the
blood centre personnel or more commonly by
using the web interface.
The selling of blood units to other blood centres
can be registered and lists of the relevant blood
can be printed as a delivery note for the delivery.
 Web–based patient information,
ordering of blood and transfusion
control/reporting
30 ProSang has a web application for the viewing of
patient information and interaction with clinical
departments regarding patient information, the
ordering of blood, transfusion control and trans-
fusion reports. The application can be run directly
in a browser or more commonly be reached via
the hospital’s electronic health record system.
The following tabs are available (optional):
Patient information: Displays up–to–date infor-
mation about the patient, including blood typ-
ing, status of compliance testing, and texts and
messages from the blood centre.
History of analyses: All analyses within the
transfusion medicine are shown.
Ordering of blood: Allows the clinician to order
blood units. An order is sent to ProSang, which
is received in the intended application that
issues an alert when a new order arrives.
Transfusion control: Allows blood compo-
nent to be checked before transfusion. The
patient’s personal identification number and the
identity of the bag are registered with a scan-
ner, whereby ProSang checks that the bag is
reserved for that patient.
Transfusion reporting: The completion of a
transfusion must be reported. The patient’s per-
sonal identification number and the identity of
the bag are registered with a scanner, and the
user reports back on the transfusion.
Transfusion history: Shows the history of the
patient’s transfusions.
Immunological analyses: Displays immunological
analyses.

Invoicing and accounting
of laboratory work
Accounting information is collected automati-
cally from daily operations. We have made
great efforts to incorporate functionality in the
reporting and accounting information to avoid
extra registration work.
All analyses can be charged. To avoid regis-
tration of charge codes, automatic functions
have been implemented to generate costs when
specific registrations are carried out. This also
applies to formal text reports that can be linked
to costs for analysis.

Storage of samples and components
ProSang has a system for storage of samples
and components. They can be placed at defi-
ned locations from where they can be easily retri-
eved. Lists of samples and their location can be
printed. one or more investigation members. Normally,

ProSang receives electronic orders of analyses
and sends reports to several electronic patient
record systems.

Transplantation investigations
It is possible to work with transplantation inves-
tigations in ProSang.
A transplantation investigation involves a
main character (investigation subject) and zero,
the investigation subject is a patient and the
investigation members are possible donors. For
an investigation, a number of characteristics are
defined. The characteristics are searchable in
various combinations. They also control, e.g. the
appearance of the tabs inside the program and
which medical information can be recorded.
The investigation program has seven tabs:
patient card, search and order, appointments,
tests, report, transplantation and units.
In the patient card tab, an overview is

presented of the data and results available
about the investigation/ investigation subject
and investigation members.
In the search and order tab, queries and
orders in external bone marrow registries are
handled. It is possible to print out forms con-
taining HLA–typing of patients and donors.
In the appointments tab, analyses and tests
on patients and donors can be booked on
selected days.
In the tests tab, samples on patients and
donors are received and registered. The results
of analyses carried out on these samples are
then available for the investigation.
In the report tab, reports are composed and
printed on the patient, including those donors
who the user chooses to include.
In the transplantation tab, the donor and
 date of the transplant are specified. The infor-
mation is used for analysing chimaeras following
transplantation.
In the units tab, units that are directed to the
patient are displayed, making it possible to keep
track of all units possibly involved in the trans-
plantation.
Cells and tissue
Several blood centres in Sweden and Denmark
use ProSang for the management of bone and

other tissues. Donations are recorded in the Pro-
Sang donor module, results on virus analyses are
automatically transferred, and the bone/tissue
units are released and allocated in the ProSang
patient module. ProSang also provides a module
for the storage of samples and components.
Statistics and accounting
ProSang provides statistics covering all ProSang
activities, e.g.:
– Donor statistics with information on the number
of blood donors grouped by blood type and
type of donation.
– Donation statistics that give the number of
donations, grouped by e.g. type of donation,
by blood centre and donating location. Further
information such as time period, gender and
age can be gathered.
– Blood unit statistics providing information on
the number of units and their characteristics.
– L aboratory statistics providing information on

down per patient.
– Statistics on blood unit management provide
information per clinician/clinic and per unit
type as to how the blood has been used.
In the daily work, data for statistics is extracted.
For various activities a variety of data is provided.
Donors: All bookings, all visits, relevant donor
records, and daily summaries of important data
in the register.
Blood units: Production, all analyses, all trans- 35
fers and other uses, allocations, current stock,
and daily summaries of important data in the
register.
Patients: All investigations, various findings,
allocations of blood, and transfusions.
The data above (and more) is available via SQL
views, available at any time for processing in
Excel using Pivot tables. It is possible to add
custom SQL views.
There is also the possibility to use Busi-
ness Intelligence Solutions, OLAP cubes and
QlikView to retrieve statistical information about
ProSang.
Accounting
ProSang provides a complete system for the
accounting and invoicing of supplied products.
The system can be set up as a standalone
module or linked to an external accounting and
invoicing system. Clients/medical wards, products

and services are all filed. The system provides full
functionality for a company’s operation.
Features
All data for accounting reports and invoicing are col-
lated in ProSang’s database, usually automatically.
Accounting and invoicing of supplied products
and services can be performed at user–specified
intervals.
The validity period of prices can be specified
and the product file includes the option of pricing.
Specifications can be edited with or without
patient–identification information.
The total cost per patient over a certain period
is also available as an alternative to compilations
per medical ward.
Costs for products and treatment may be sum-
marised according to a number of organisational
levels: cost unit, ward, clinic, hospital, or corre-
sponding units for patient care.
Information and reports can be transferred
electronically to hospitals or healthcare region’s
general accounting systems.
The accounting routine offers monthly or yearly
specifications. Information is available digitally or
in print.
Users and access
The authorisation system includes the require-
ment that a user must be registered with a
personal password. There are settings to define
the demands on the password as well as the
validity of it. The system also keeps a record of
all failed login attempts.
It is possible to specify how long a user is
allowed to remain logged in.
For each user, an eligibility profile is regis-
tered with the ability to control access to each
program.
It is possible to set up user roles/groups. One
group is assigned a number of access permis-
sions and users can be included in one or more
groups.
Any change of access permissions is logged
so that it is traceable to see a user’s privileges at
a given time. All transactions made by the user
in ProSang are logged in the transaction log. It
is possible to search for what a user has done at
a given time (e.g. started the program X, looked
at patient Y, etc).
ProSang can also be connected to an external
system that handles the authorisation process. 37
Logs
In the ProSang event log, all events in the system
are logged. The event log also logs all unauthor-
ised access attempts.
The event log can subsequently search for
e.g. all events relating to a particular patient, a
particular user or a particular program.
Technology
ProSang runs on Windows workstations without
special requirements. On the server side, an
application server (Linux) and a database server
with an Oracle database are used. Printouts are
handled by a Windows server.
With the transition to Java technology, the
dependency on Microsoft Windows will disappear
– any Java– compatible client or server will be
able to run ProSang.
