Chapter 1
INTRODUCTION

The Library Management and Monitoring System with SMS


Notification or LMMS is design and program to have Monitoring and
controlling the transactions in a library at “St. Ignatius Technical Institute
of Business and Arts” .This project “LMMS with SMS Notification” is
developed in web languages, which mainly focuses on basic operations
in a library like adding new books, and updating new information,
searching books and members and returning books with inform the
barrower using Email and SMS.

It generates MIS reports for management. Our software is customizable


for any library requirement. Throughout the project the focus has been
on presenting information and comments in an easy and intelligible
manner. The project is very useful for those who want to know about
Library Management and Monitoring System with SMS Notification.

STATEMENT OF THE PROBLEM

 General Problem

The proponents notice that the librarian had been


difficulties to his Job due to the lack of school working system,
functionality of the rules and regulations to the part of Library
department because of the massive population of the student of
St. Ignatius Technical Institute of Business.

 Specific Problem

The Following are the specific problem to be resolved upon the


completion of the proposed study.

1. What are the types of books available in the Library?

2. What are the specific locations of the books?

3. How to identify if the specific book is available in the


library?

4. Monitoring of present books in the bookshelf

OBJECTIVES OF THE STUDY

 General Objective

Our Objective is to give the librarian a fastest solution for all


of his problem and give a strong and secured solution, to develop
a system that will give benefit the librarian and the student or
barrower to easily access, notify, the library not only into there
school area but also everywhere that requires internet connection
only.

 Specific Problem

The Propose Library Management and Monitoring System


with SMS Notification aim to:

1. Identify the books available in the library using

b. Specific Subject

c. Author

d. Year Publish

2. Identify the present books in the library using automatic


counting data.

3. Identify the borrowed books in the library using


automatic counting data.

SIGNIFICANCE OF THE STUDY

“Library Management and Monitoring System”

The Library Management and Monitoring System with SMS


Notification or LMMS are to take an important role of developing
integrated data of the borrowers and the library record.

The LMMS will develop in order to overcome some of the librarian


problems with the current manual and ineffective system. The LMMS
system will give benefits to every Borrowers Students of St. Ignatius
Technical Institute of Business and Arts, Cultural attached to integrate, to
get information and gather some of reports of all the function inside of
the library system faster and easier.

It is used mobile technology within the web technology to develop part


of notification. The system is available as long as internet connectivity is
available.

HYPOTHESIS OF THE STUDY

The Proposed study has no existing system. There is no significant


study about Library Management and Monitoring System at St. Ignatius
Technical Institute of Business and Arts. They use manual process when
borrowing books, getting a report, and give a notification for all of the
students of St. Ignatius Technical Institute of Business and Arts.

SCOPE AND LIMITATION

The proposed Library Management and Monitoring System is


exclusive for St. Ignatius Technical Institute of Business and Arts
Students.

Scope
 The Proposed study is a web based system but can use or access
using android phone browser

 The system will verify the librarian and the borrower using the
email and password

 librarian and the borrower can change password

 Can notify the Librarian if the books is nearly ended and


automatically give the borrower a notification using email and sms

 Can Print and Save Excel, PDF, and Word

 The Borrower can reserve the borrowed book.

CONCEPTUAL FRAMEWORK

The Conceptual Framework explains the concept of idea about the


proposed system to solve the problem about manual process. In most
conceptual framework, the diagram that was used to explain and show
the flow and functionality of the study is the IPO model or diagram.

The framework above shows the input-process-output of the


proposed system which is the Library Management and Monitoring
System School features. Librarian will Input or add new books with the
details of Title of the book, Author of the book, Publish year or date of
the book, and the subject of the book, the librarian need to do this to
keep the easy to identify the book, to keep the record safe and liability
and using the system the librarian can Identify where is the books
located at the book shelf using the LTR or Location Table Row, and for the
process all of the data that the librarian give to the system it will save at
the database webhosting or rental server. The Borrower of the books
need to login first to be able to access the software to enable to login
they need to go first to the librarian to get the Name of the Borrower,
Section, LRN , Student Number, Contact Number, Email, and Picture to
create a library ID that have a barcode, using the barcode of the
Barrower and the book the LMMS will automatically identify who is the
barrower and what is the book will barrow, using any device that can
connect into the internet can access the Library Management and
Monitoring System that can view the book available if needed.

DEFINITION OF TERM

Web – The World Wide Web, commonly known as the Web, is an


information space where documents and other web resources are
identified by Uniform Resource Locators, which may be interlinked by
hypertext, and are accessible over the Internet.

System – A system is a group of interacting or interrelated entities that


form a unified whole.

Software – the programs and other operating information used by a


computer.

PHP – Hypertext Preprocessor is a general-purpose programming language


originally designed for web development.

Internet – is the global system of interconnected computer networks


that use the Internet protocol suite (TCP/IP) to link devices worldwide.

Database – A database is an organized collection of data, generally


stored and accessed electronically from a computer system.

Input Process and Output or IPO – Inputs are the conditions that exist
prior to group activity, whereas processes are the interactions among
group members. Outputs are the results of group activity that are valued
by the team or the organization.

Management – is the administration of an organization, whether it is a


business, a not-for-profit organization, or government body.

Browser – is a software application for accessing information on the


World Wide Web. Each individual web page, image, and video is
identified by a distinct Uniform Resource Locator, enabling browsers to
retrieve these resources from a web server and display them on the
user's device.

Input – In computer science, the general meaning of input is to provide


or give something to the computer, in other words, when a computer or
device is receiving a command or signal from outer sources, the event is
referred to as input to the device.

Output – An output device is any peripheral that receives data from a


computer, usually for display, projection, or physical reproduction.
For example, the image shows an inkjet printer, an output device that
can make a hard copy of any information shown on your monitor, which
is another example of an output device.

Review of Related Literature and Studies

The Chapter presents a brief discussion of the literature reviewed


by the researchers which further enriched the conceptualization of the
study and helped in describing the cognitive design that guide the
conduct of the researcher

Foreign Literature
1.1 Indian Agricultural Statistics Research Institute

Indian Agricultural Statistics Research Institute 2010 The Library of


IASRI (Indian Agricultural Statistics Research Institute) is one of the
Regional Libraries of NARS (National Agricultural Research System) of the
country. The Library has an excellent print and electronic resource base
in the fields of Agricultural Statistics, Computer Applications, Agricultural
Economics and allied sciences to support teaching, research and
consultancy in the relevant areas. This is a sole referral library in
Agricultural Statistics and Computer Applications in India. It caters to the
information needs of students, faculty, researchers, scientists and
trainees etc. not only of IASRI but also from different Institutes of ICAR
and State Agricultural Universities under NARS both in conventional as
well as electronic format. Library Information System of the Institute is
automated, bar-coded and partially digitized. All resources added in the
library have been bar-coded and updated in the Library Bibliographical
Database using “Alice for Windows” Library Management software.

This system provides following computerized services like


Computerized Circulation, Bibliographical Database, On-line Catalogue,
Archival Database (Digitized Thesis and old &Fragile Journals-), On-line
Journals, On-line Bibliographical Database, CD-ROM Database ( on-line
and off-line), Current Content Service (JCC), Internet Search, On-line
Enquiry (OPAC), Current Awareness Service (New Arrivals), On-line
Reservation of Documentation, On-line User Profile Service, Consortium
for e-Resources in Agriculture.

2. The Data Base of the Electronic Library

This ELECTRONIC LIBRARY System is consisting of four Parts;


Firstly, the Admin Side applications, through it the admin can
manage the overall operations of inserting and updating the
specified books. Secondly, the Database, that hold all books inserted
by the Admin. Thirdly, the Internet Pluggable Protocol that allow the
operation of retrieving the books to User side. Lastly is the Reader
which is the original web browser in the user computer. This system is
using a CSLA .NET framework. Itis an application development
framework that reduces the cost of building and maintaining
applications.

The framework enables the use of object-oriented design as the


basis for creating powerful applications. Business objects based on the
framework support many advanced features to simplify the creation of
Windows Forms, Web Forms and Web Services interfaces. The
administrator of this system has four major functions: Firstly,
Entering Electronic Library Data items like text, audio and video to
produce the Data Base of the Electronic Library so the users can have
access to them.

Secondly is Modifying Electronic Library Data, where the


Admin can update the data that are located in the Electronic

Library Data files so he can improve the contents of that library


Data and avoid the errors that are located in the resources

Thirdly is Deleting Electronic Library data, where the Admin can


delete the unwanted Items in the resources. Lastly is Searching &
Retrieving Required Item where the Admin can search for a specific
item and retrieve it from the Library Data so he can do some tasks on it
such as: Checking on the item to test its readability and if it’s in a suitable
arrangement for the user and also he can perform some changes to the
files

Local Literature
1.)The State of Library Management Systems

According to E. Valenti (2016) from the article titled “The State of


Library Management Systems”, library system help in terms of some
agenda that was happening in the library. In this system, it was said that
the computerized library systems could do multi-tasking. It could record
books in the library and make various ways of transactions. It could make
the library’s service much easier, user-friendly, and suitable when
creating the card cataloging.

The system was also the one that would record all the books in the
Library so it could be reachable by the readers and help the librarian by
making his or her work faster and Easier D. Lourdes (2012) stated from
the article "The DOST-ESEP Libraries: The First Library Network in The
Philippines" that the planning of the said system was already on the
verge of producing way back 1995. The proposed system was denied
because it was difficult to implement the system during that time due to
the lack of knowledge in using computers and not enough resources
hence.

it took a long time to be able to finally release it in public. The


releasing of the system was just a click to some universities during 2012
and paid partnership to use the said system. Librarians, scholars,
teachers, and other person’s affiliated found this system a big help in the
state of the Philippine libraries. Lourdes also claimed that it could make
libraries in the Philippines a world-class one and have the ability to
compete with other countries

2.) Online Public Access Catalog (OPAC) 2009


Computerized Library System is using a computerized setup
featuring the Online Public Access Catalogue (OPAC) System, barcode
system and an E -library station. The upgrading and transformation of
the provincial library aims to keep pace with the ongoing
technological advancement in the information sector and to fulfill the
mission to improve the quality of service for the reading public.

The OPAC allows speedy access of library materials. The


Barcode scanners and labels ensure that all library collections can
speedily be located for research and inventory purposes.

The E library station which has four computers can be used for
online browsing in accordance to prescribed internet hours of the
provincial government.

It also provides access to some documents of the National Library of the


Philippines and , locates some documents lodged at other provincial
libraries. Under the new automated set up, books can only be
borrowed through a bar coded Reader’s Card. Researched materials
meanwhile can be reproduced by library users through the library’s
new facilities with corresponding fees.

In Order To Keep Pace With The Construction Of


DigitalLibraries In Colleges And Universities, TFSU Replaced Its Book
Management System In 2013 With A Unicorn Consortia Library System, A
Product Of Sirsi, An American Company. With This New System, Readers
Can Reserve And Renew Books Online.

  According To The Comprehensive Investment Plan In The Tenth Five-


Year Plan For Colleges And Universities Of Tianjin, The Library At TFSU
Has Built New E-Reading Rooms With 150 Computers Covering A Total
Area Of 500 Square Meters. E-Reading Rooms Are Connected To The
Central Switch Of The Campus Network Through Optical Fibers With Data
Rates Over One Gigabit Per Second, And Data Rates For Desk Tops One
Megabyte Per Second.

  While Continuously Improving Its Hardware Construction, The


Library Has Also Strengthened Its Software Construction. Currently, It
Possesses Eight Chinese Databases, Six Foreign Languages Databases, 3
CD-Rom Databases, And Four Self-Built Databases. It Has Set Up A
Special Website And Gathered Over 400 Sites In Seven Languages
Covering Language Teaching, News And Current Affairs, Literature,
Culture, Etc. The Library Has Also Provided Navigation To Professional
Academic Websites On Key Disciplines. On The Library Homepage,
Learning Corners In Seven Languages Have Been Set Up For Readers.

  In Co-Building And Sharing Resources, TFSU Has Introduced The TPI

System Of Tsing Hua Tong Fang For Its Digital Library Development And
Has Created Many E-Books And The Digital Database Of Master’s Theses.
With Its Inter-Library Loan System, Teachers From Colleges And
Universities Of Tianjin, Post-Graduates As Well As Undergraduates With
Specific Research Needs Have Access To TFSU’s Library Collection, While
Its Own Students Enjoy The Same Access To Other Facilities.

  In 2014, The Library Expanded To Include Both Tower A And B, With
A Total Area Of Nearly Ten Thousand Square Meters. The Number Of
Seats In The Reading Rooms Increased To 1,380. Congruent With The
Concept Of Quality And Comprehensive Service, The Library Has
Implemented Open Management Since September 6th Therefore,
Readers Can Enjoy The Open-Shelves Loan System And Self-Service. They
Can Bring Their Bags Or Other Personal Articles, Come And Go Freely,
Use The Internet, Conduct Self-Studies, Hold Seminars, Etc. Such A
Change Provides Readers With A Convenient And Efficient Service
Mechanism That Combines Borrowing And Reading. Extended Service
Hours And Added Space For Research And Discussion Have Created A
Favorable Atmosphere For Readers To Study And Conduct Research.

The search for a possible replacement of the T-Series system


began at the beginning of school year 2011-2015 when the more
popular integrated library systems currently installed in academic
libraries in the country were investigated. These systems include
Athena, Follett, Maelisa and the Library Solution. Direct access to these
systems’ online catalogs, comments from users, system administrators
and vendors, and review of the vendors’ promotional materials
helped in identifying the capabilities and limitations of each system.
Other systems that are frequently appearing among the big institutions
web sites in the Asia – Pacific region like Horizons, Millennium, and
Voyager, were also explored. One interesting discovery in exploring
the Internet for web sites that would firm up the selection of a new
system was the University of Botswana

Library web page. DLSU Library found a match with the University
of Botswana Library of South Africa in terms of collection size,
enrollment size and their experience in using the T-Series and CDS-
ISIS information systems. Immediate exchange of communication
between DLSU and UB libraries was made to find out the status and
performance of the new system that UBL installed as their T-Series
replacement. The system administrator of University of Botswana
Library in his e-mail reply was very pleased with the smooth migration to
their new system. Library systems product presentation and
demonstration by different vendors were undertaken.
Representatives from the different sections of the DLSU Library and
the Information Technology Center (ITC) observed the
demonstrations and provided valuable inputs in the selection process.
Request for project proposals and corresponding price quotations was
sent to vendors of library systems with potentials to be chosen in the
preliminary selection phase.

Three vendors, The Library Associates (TLA), The Library


Corporation (TLC) and Innovative Interfaces, Inc (III) sent their sales
persons for the demonstration of their respective system.

Personal visit to two academic and research libraries in


Thailand using the Innovative library system were made by the
Library Director in summer of 2011. This was then followed by an
on-site observation of the Library Solution application at the National
Library sometime in July 2011.

Research Design and Methodology

This chapter contains the discussion of the research design,


sampling design, statistical treatment and analytical tool of the data used
in the study.

Descriptive Research Method

The Proponents used the survey method research, X in


order for the survey to be both reliable and valid it is important that the
question are constructed properly.

Data Gathering Tools

These are tools and instrument for gathering data in


research as basic for drawing conclusion or making inferences. Some of

these are questionnaire, interviews, survey, research and analysis about


the company or respondents used by the proponents as they conducted
the proposed study.

Questionnaire

Is a pre-written series of questions used in gathering


important information from one or more persons. This will be given to
the individual who have a direct bearing of the study and in order to
satisfy the proponent’s goal that is to get and measure opinions, polls
and attitude of the respondents of the study.

Interview

Is defined as a meeting of two people face to face to confer


about something or an act of questioning to receive a desired answer
that is necessary in solving specific problem. This is where data gathering
occurs by asking questions for much needed interview verbally and
directly. The proponents interviewed the Librarian about on how they
handle the massive manual data from the barrower of the books and
how they follow up the barrower regarding about the date return of the
books.

Survey

Is a research method for collecting information from a


selected group of people using standardized questionnaires or interview.
The Proponents used a survey to gather information such as Barrower
Name, Barrower Section and Barrower Number and Email

Agile Planning is a project planning method that estimates work using
self-contained work units called iterations or sprints

Agile Design process allows you to use iterative as well as


incremental approach to deliver design to your customer.

of self-organizing and cross-functional teams and their customer(s)/end
user(s).

Agile Testing aligns with iterative development methodology in which


requirements develop gradually from customers and testing teams.

Agile Feed Back Such feedback provided much later during annual or
half yearly performance reviews is seldom useful in helping the person
succeed on the same project. In self organized teams the practice of
continuous feedback can drastically shorten the feedback loop for
individuals and put them on the path of continuous improvement.

Respondents of the Study

The respondents of the study are the students of St.Ignatius


of Technical Business and Arts categorized by College Course and Senior
High Academic Tracks, Section and Session wherein the proponents
prepare a set of carefully logically ordered questions. The proponents

The proponents choose a simple random sampling in getting


the respondents of the survey. The proponents will pick 20% of the total
number of 200 Students Enrolled in St.Ignatius of Technical Business and
Arts. The picked random numbers will correspond to the number of the
student which will be the respondents of the study.

Sampling Technique

Sampling is concerned with the selection of a subset of the


individuals from within a statistical population to estimate characteristics
of the whole population. The three main advantage of sampling are the
cost is lower, data collection is faster, and the accuracy and quantity of
the data can be easily improved.

Simple Random Sampling

A randomly selected sample from a larger sample or


population, giving all the individuals in the sample an equal chance to be
chosen. In a simple random sample, individuals are chosen at random
and not more than once to prevent a bias that would negatively affect
the validity of the result of the experiment.
