Undergraduate Thesis/FS, Special Problems Guidelines

Article I. Title of the Policy

This policy shall be known as Institutionalized Undergraduate


Thesis/FS Guidelines to serve as common policy encompassing all theses,
research works, special problems, and feasibility studies of undergraduate
students as one of the requirements in their course programs in the Davao
Oriental State College of Science and Technology (DOSCST).

Article II. Declaration of Principles

This policy underscores that Thesis Writing as subject in most


undergraduate programs is a special and unique discipline compared to other
subjects due to the following features:

1. Transcends the conventional classroom management where the student-


researcher may not have regular classroom contact with the
Instructor/professor;

2. Requires concerted effort between the researcher and the adviser which
necessitates consultation and technical services of the adviser within in and
beyond the official consultation and office hours; and

3. Fosters independent work of the student-researcher thus be given


leverage to pursue problem of student’s interest and choice relevant to the
student’s course program.

Article III. Definition of Terms

In order to have common understanding of the important terms used in this


policy,
these terminologies are hereby defined.

Advisee- refers to the student who enrolled the subject that involves thesis
writing or FS as a requirement of completing a degree.

Adviser- refers to a faculty member of the College who possessed the


necessary research background about the problem chosen by the student and
to assist him until the completion of the research work. In some cases, an
adviser may be an individual who is not a faculty member of the College but
has the research expertise and other qualifications.

Adviser’s Fee- is the amount to be received by the adviser on his services


in imparting his technical expertise on the thesis of his advisee from
problem conceptualization until the acceptance of the final research report.

Advisory Committee-is a group constituted and approved by the Department


Chair as endorsed by the Thesis Coordinator for the purpose of scrutinizing,

technical critiquing, and help improving the thesis, FS, special problem/project
outline and final manuscript of the student enrolled in thesis writing, feasibility
study or special problem.

Panel Members’ Fee- it is the amount to be received by the members of the


panel on their services on the thesis of the student to be taken from the
Thesis Fee.

Panel Members –are pool of technical experts on the problem under study
requested by the student to scrutinize his research work from proposal stage
until the final reporting of the research output; composition and their
incentives are specified in item V of this policy.

Thesis/FS –refers to the research document to be submitted by an


undergraduate student to the academic department where his course
belonged as part of his requirements for the degree he is seeking. This is
usually a 3-unit subject that needs the services of a thesis adviser, panel
members, and in some cases, a language critic, and statistician apart from the
instructor who may handle the course.

Thesis/FS Fee- it is the amount to be paid by the student to the Cashier’s


Office before the final defense and to be disbursed by the latter to the thesis
adviser and panel members after the final defense.

Article IV. Undergraduate Thesis

A. Students who passed the subject in Methods of Research or


Introduction to Undergraduate research shall be allowed to enroll in
Undergraduate Thesis writing or special problem. In some cases,
introduction to thesis writing is the presentation of the thesis proposal
while the actual conduct of the study will be done during the Thesis
writing proper thus Thesis A, Methods of Research will be continued to
Thesis B.

B. Thesis Writing or special problem shall be offered usually during the


Second Semester of the last two semesters of the course program.

C. Thesis Writing, FS or special problem/project shall be enrolled once


and in case the student can not finish the research/project work, he will
be given an In-Progress (IP) mark and only be removed and be given
numerical grade in accordance with the grading system of the State
College upon submission of the approved Manuscript/project.

D. Upon enrolling the subject Undergraduate Thesis (Thesis B) each


student regardless whether the thesis writing will be done in group shall
pay Thesis Fee to the Cashier’s Office before the final defense.

Thesis Fee shall comprise the following:


1. Adviser’s Fee 1,000.00
2. Chairman of the Panel 400.00
3. Panel members 300 X 2 members
600.00
Total 2,000.00

E. The number of students that will comprise a study is based on the


discretion of the department offering the program.

F. In case there are more than one (1) students in a study, the Fee
shall be divided equally among themselves, for example:

1. Two (2) students: 2,000/2 = PhP 1,000.00 each


2. Three (3) students: 2,000/3= PhP 666.65 each

Article V. Advisory Committee

1. There shall be an Advisory Committee in every Academic


Department where the course program is offered and in which
Thesis Writing, feasibility Study, or Special Problem is required
which shall be composed of the following :

a. Adviser (Non-voting Ex -Officio)


b. Panel :
1 Chairman of the Panel
2 Members of the panel

A. Selection, Designation and Termination of members of the


Advisory Committee

1. The Thesis/FS Adviser (s) and panel members who shall compose the
Thesis/FS Advisory Committee shall be selected by the Thesis
Coordinator who handled the subject.
2. The Thesis/FS Advisory Committee is constituted after the Thesis
Coordinator has filed the duly signed and approved Thesis/FS Advisory
Agreement to the Department.
3. The Thesis/FS Advisory Agreement shall be endorsed by the Thesis/FS
Coordinator, approved by the Department Chairman and noted by the
Department Research Coordinator (Pls. see appendix A.)

4. Upon signing the agreement, the contract commenced between the


student and the Committee.
5. In case an adviser or any member of the panel wants to cease and
terminate his membership in the Thesis Advisory Committee, he shall
file a letter of Termination of Services addressed to the Department
Chairman, Attention to the Undergraduate Student (s) and noted by the

Thesis Coordinator stating the reasons thereto and shall be done at


least one (1) month before the proposed termination date, provided, no
change of topic shall be done as a consequence of the change of panel
membership. The termination letter shall be made as one of the forms
available in every Department ( see appendix B).

6. Except for very meritorious reasons like travel abroad, separation from
service, constrained relationship between and among members of the
panel and the student, and incapacitation due to physical and mental
illnesses, no member of the Thesis/FS Advisory Committee shall send
a letter of termination after the proposal/outline defense.

A. Adviser

There shall only be one (1) adviser for every Thesis, Feasibility
Study or Special Problem.

A.1 Eligibility of Adviser

a) Full time faculty members of the College whose expertise and


discipline fit to the research works of the students must serve as
theses/FS advisers with a maximum of four (4) advisees and on some
meritorious cases, additional one (1) advisee will be allowed by the
Department Chairman.

b) Accepting additional one (1) advisee may be allowed due to the


following conditions:
b.1 Manpower in the department is limited;
b.2 Personnel are available but the research problem does not fit to the
expertise of a certain available faculty ;
b.3 Replacement of a former adviser whose employment was terminated,
or he is on official travel due to scholarship; and
b.4 Personal choice of the student.

c) In cases where there are no available or limited full time faculty of the
College, part time Instructors may become thesis advisers but shall only
handle up two (2) advisees.

d) In the event that a student (s) can not find any adviser from among the
qualified faculty in the College, the Department Chairman shall assign one
faculty within his department to be the adviser of the student.

A.2 Duties of Adviser (s)

1. Adviser

The Adviser shall have the following duties:

a) Guides the student in formulating and conceptualizing his/her


research topic.
b) Offer possible research options to the student.
c) Initiate effort that the student can fully grasp and understand his
research problem.
d) Assist in the formulation of detailed parts of the thesis proposal.
e) Ensure that student follows and considered all the suggestions and
recommendations of the panel members as resolved during proposal
defense.
f) Facilitate the student for the scientific and correct interpretation of
his data.
g) Shall take an over-all accountability on the pace and progress of the
thesis of his advisee.
h) Endorses the thesis manuscript of the student to the Panel Members
for Approval and to the Thesis Coordinator, Department Chairman and
Director for Instruction for Acceptance.
i) Sit during the thesis defense and help clarify points in case the
student can not clearly express his points acceptable to the panel
members.
j) Act as Ex Officio member of the Thesis Advisory Committee.
h) Ensure that the chosen topic is attainable within the specified period.
k) Act as Secretary during proposal and final defense.

2. Technical Adviser – in case the thesis/special research problem has


a technical adviser, he shall:
a) Provide specialized assistance on the aspects of the research where
he is considered an expert;
b) Ensure that technical aspects of the study are considered in the
preparation and conduct of the study.

B. Panel Members

B.1 Composition

1. There shall be an utmost three (3) panel members per study in which 1
will serve as Chairman and others as members.
2. A faculty member is limited to be a panelist to a maximum of eight (8)
studies.
3. Panel members shall be selected, identified, and terminated following
the same procedure in selecting the Thesis/FS Adviser as specified in
Article V.A.2 in this policy.

B.2 Chairman of the Panel

1. The Chairman of the panel shall act as presiding officer during


the conduct of proposal and final defense.
2. He shall ensure that panel members are in quorum and the
adviser is present.
3. Convene the panel members and preside over meetings to
decide any deviation and amendment of the approved
proposal.

4. The Chairman of the panel shall collect and consolidate the ratings of
each panel member on the thesis presented.

5. Shall submit the consolidated rating of presenter to the Thesis


Coordinator.
6. Facilitate the resolution of conflicts that may arise during the defense.
7. Facilitate the decision over matters pertaining on whether the student
had successfully passed the defense or it needs to repeat the presentation
due to poor performance or there are data that are need to be added.

B.3 Other Panel Members

B.3.1 Other panel members shall have the following duties:

1. Scrutinize the proposal and thesis of the students.


2. Give suggestions for the improvement of the thesis during the proposal
and final defense.
3. Decide any deviation and amendment of the approved proposal.
4. Act as judges during the final defense.
5. Give their consensual rating on the presentation.
6. Approve the thesis/FS manuscript of the student.

Article VI. Coordinator

There shall be a Thesis Coordinator per program in the Department


who usually take the Undergraduate Thesis as his academic load. As
academic load, the services of the Thesis Coordinator shall be credited
and reflected in the Faculty Loading as his work load corresponding on
the number of units of the subject.

A. Duties of the Coordinator

The Thesis Coordinator shall have the following duties:

1. Selects appropriate adviser of the student (s) enrolled in


thesis/feasibility study/special problem.

1. Sets the Calendar of Presentations ensuring that all logistics


needed are well prepared.

2. Conducts periodic contact with Undergraduate Thesis students to


determine their progress towards their research works.
3. Initiates the selection of adviser and panel members of the
student.
4. Endorses Thesis Advisory Agreement to the Department
Chairman.
5. Accepts approved thesis manuscript of the students.
6. Submits Report of Grades of students to the Registrar.
7. Collects thesis/FS fee from students and facilitate payment of
incentives of the chairman of the panel, panel members and
thesis adviser.

Article VII . Other Consultants (optional)

1. In case there is a need for the expert services of an English critic


and/or statistician, the student shall pay the following :

English Critic- PhP 300.00


Statistician - Php 500.00

2. Payment for the services of the Statistician and English Critic shall be
done by the student directly to them after the final defense.

2. An adviser or a panel member must not act as an English critic or a


Statistician for the purpose of collecting additional fees intended for
either consultant.

Article VIII. Procedures in Conducting Defense

A. Outline Defense

1. There shall be an oral outline/proposal defense to be done prior to the


actual data gathering.

2. Oral outline defense shall be done primarily in order to set the over-all
nature of the thesis work .i.e. the problem and scope of research as well as
the methods and design to be employed.

3. An Undergraduate Thesis student with the consent of his adviser may


apply for proposal/outline defense through a letter of intent to be sent to the
members of the panel at least one (1) week before the date of defense in
order to determine their availability.

4. If majority of the members of the panel are available on the date proposed
by the student in accordance with the Calendar of Defense prepared by the
Thesis Coordinator, copies of the proposal shall be distributed to them at least
one (1) week before the date of defense in order for them to have advance
reading of the proposal.

5. Application for Thesis Defense Form shall be made available in the


Department (See appendix C).

6. Panel members shall have to use the prescribed Recommendation Forms


during the proposal defense as basis of the student in improving the study or
special project (see appendix D).

7. In no case that an undergraduate student can start the actual conduct of


the study without submitting to the Department an approved softbound copy
of the thesis proposal.

8. Any deviation or amendments on the approved proposal shall be done


through the approval of the Advisory Committee in banc prior to the conduct of
the study.

B. Final Defense

1. Final defense shall be conducted after the data had been gathered,
analyzed, interpreted and written in the research report known as
Thesis manuscript.
2. Final defense shall be done primarily to report the research results to
the members of the panel and to determine whether the researcher
has fully satisfied the objectives of the study.
3. The process of applying final defense shall follow the steps
enumerated in conducting proposal defense.
4. In no case that a thesis defense be conducted without the presence
of the adviser and the chairman of the panel.
5. Final defense shall be done one (1) week before the final
examinations of the graduating students.

C. Rating System

1. During the final defense, the Thesis presenter shall be rated using a
standard rubrics designed by the Department as deemed appropriate for
a particular program.

2. The rating of the presenter to be given by the panel members shall be


the basis of giving numerical grade in accordance with the grading system
of the State College by the Thesis Coordinator.
3. The department-made rubrics will also be the instrument to be used in
determining who among the presenters will be given recognition as best
presenter and best paper in the department.

Article IX. Approval and Acceptance of Thesis/FS Manuscript

1. Approval of the Thesis/FS Manuscript shall be done by the members of


the panel.
2. This shall be done after all corrections and suggestions of the panel
during the final defense had been incorporated in the research work.
3. Approval of the panel members shall be done through signing the
prepared Approval Sheet after endorsement of the Thesis Adviser.
4. The thesis/FS manuscript shall be accepted by the Thesis/FS
Coordinator, Department Chairman and the Director for Instruction only
when endorsed by the Thesis/FS Adviser and all panel members had
signed the approval sheet.

X. Submission of Thesis/FS Manuscript

1. Undergraduate student whose Thesis/FS had been successfully


defended, approved by the Panel Members and accepted by the
Department Chair and the Director for Instruction shall submit
seven (7) hardbound copies of his work as requirement in
obtaining a grade on the aforementioned subject. Copies of the
Thesis/FS shall be distributed to the following:

2. In case the student can not produce the required number of


copies as specified above due to some valid reasons, he can still be
given a grade in thesis writing provided he will submit at least one
(1) duly signed hardbound copy of his work. The College Registrar
will hold in abeyance the release of his documents until all copies
are submitted to concern offices as shown by the Acknowledgement
Receipts.

Thesis Manuscript Technical Specifications

Part A. Style

Font. Font size is 11; Arial type of print is used throughout the thesis manuscript. Words are
typed, italicized or underlined when appropriate.

Paper. Short-sized (8.5 x 11 in.) substance 20 book paper is used in the final printing of the
manuscript.

Lay-out. Printing/Typing must be in portrait mode except for unusually large illustrations, and
the like, where landscape mode can not be avoided.

Spacing. Text of the manuscript is double-spaced except in the abstract where it is single-
spaced. Lengthy quotes as well as captions on tables, figures and plates may be
single-spaced especially if these captions cannot be contained in one line. A space is
generally placed after punctuation marks.

Margins. Top: 1.25” (top margin: 1.25; header: 1.0)


Bottom: 1.00”
Right: 1.00”
Left: 1.50”
Tables, figures and illustrations use the same margins as the text.

Pagination. Page numbers are located at the upper right hand corner of every page. The
numbers should appear alone, without bracketing, dots or dashes. Page numbers
should be the same font and size as the text.

The page in the preliminary pages uses lowercase Roman Numerals. The Title Page
and the Approval Sheet are counted but no page numbers appear on these pages.

Arabic numbers must be used in the text. The first page of each chapter of the text is
counted, but no page number is printed. The numbering series in the text is followed
through the back matters of the manuscript.

Printing. Ink/laser jet or letter quality printer should be used in the final printing of the
manuscript.

Binding & Labeling. Manuscript is hard-bound and wrapped in transparent plastic. The hard
cover is colored sky blue and should contain the title, name of author, degree, and date
of approval for binding, stamped in gold foil font all in uppercase. The spine contains
the same information as the front cover except for the thesis title.

Part B. Thesis Manuscript: Form and Style

Centering. Chapter and chapter title are centered, capitalized and in boldface.

Example:

CHAPTER I

INTRODUCTION

Headings. Section headings must correspond to the Table of Contents. Primary headings are
centered while secondary headings are flushed to the left.

Language. The thesis must be written in English, preferably, American English rather than the
British English (e.g. program instead of programme)

Organization. The manuscript is arranged in the following sequence:

a. Preliminaries. Include the ff., in this order:

c. Title Page – provides the ff. information: title of the study, author, submission
statement, degree pursued, date (month and year of approval by the Thesis Panel).
ii. Approval Sheet – statement containing the title of the study, author, and degree sought,
names and signatures of the Thesis Committee, acceptance statement by the Graduate
School Head and Director for Instruction and the date of affixing the signature.
Names of Thesis Panel , thesis coordinator, dept. chair, ODI: Title included; suffix
iii. Dedication – An optional 1-page tribute of the author to certain person(s)
iv.Acknowledgement – Contains statement/expression of gratitude, appreciation or
recognition of individuals and/or institutions that have important contribution to the
study; maximum of two pages only, with signature of the author at the end
v. Table of Contents – Contains list of chapters/sections with their titles and the titles of
subsections of each chapter/section and the corresponding page where they can be
found. The titles should be worded exactly as they appear in the text of the manuscript.
Any space between the last word of the title of a part and the page number can be filled
with a dot leader.
vi. List of Tables – listing of tabulated numerical data and their corresponding location;
captions are copied exactly as they are worded in the text.
vii. List of Figures – listing of non-verbal materials such as illustrations, charts, graphs,
maps, drawings, diagrams, and the like and their location in the text; captions are
copied exactly as they are worded in the text.
viii. List of Appendices – list of supplementary materials and their location
ix. List of Plates – contains the list of photographs, their captions and locations within the
manuscript.
x. Abstract – concise; not more than 300 words

b. Text. This is organized into logical chapters as shown below. For thesis subject covering
pure mathematics, chapter and sub-chapter subdivisions other than those stated below
may be added.

Chapter number and title are written in uppercase letters and in boldface.

One single space separates the chapter number from the title while 3 single spaces
separate the chapter title from the first line of entry.

c. Back Matters. Include the literature cited, the appendix/appendices and the plates.

i. Literature Cited. Entries are listed in alphabetical order following the APA form/style of
writing.
ii. Appendix/Appendices. Includes supplementary material, tables too detailed for the text
presentation, figures, technical notes, raw data, computer programs, sample
questionnaires, schedules, etc. Entries are listed in alphabetical order (A, B, C, etc.),
may be single-spaced and uses the same font and font size as of the text in its caption.
iii. Curriculum Vitae – A concise information on the personal background, educational
attainment and work experience(s), among others, of the author.

Tables and Figures. Tables and figures are placed as soon as they are cited. As much as
possible, they are located such that they do not run over the next page. Table captions
are typed above the table while figure captions are typed below the figure. Copied
tables and figures must include the source in their captions. Captions must be identical
with those in the list of tables and figures.

Numbering of Illustrations. Tables and other illustrative material are numbered


consecutively in order of their citation in straight sequence (1, 2, 3, etc.). However,
subsequences (ex., Table 1.1, Table 1.2, etc.) may be allowed if there is a need to.

Begin by citing what the study is all about, followed by the objectives, research locale,
methodology and statistical tool/s used. Then discuss and explain the results by answering each
objective in order of presentation. This is followed by the conclusion and recommendations in brief, then
the policy implications, if any.

The abstract is the summary in brief but concise statements. If a reader does not have enough
time to read the whole manuscript, he just has to go through the abstract and knows what the whole
study is all about. Hence, the abstract must contain all the vital information about the entire study.

Single space in between sentences, two spaces in between paragraphs. One page only. Not to
exceed 300 words.

Note: Form and Style for Feasibility Study shall follow the format approved by the concerned
department except for Part A of the Technical Specifications in this guideline.
