ASSESSMENT DETAILS AND RESULTS SHEET

Purpose:
This sheet enables assessors to determine a student’s competency for each unit based on all assessment tasks submitted. It also provides
evidence to ASQA that the student has been assessed appropriately, after the student’s assessment is destroyed after the mandatory 6

Instructions:

Assessment Overview
Unit Description and Application
This unit describes the skills and knowledge required to manage the performance of staff who report to
them directly. Development of key result areas and key performance indicators and standards, coupled with
regular and timely coaching and feedback, provide the basis for performance management.

It applies to individuals who manage people. It covers work allocation and the methods to review
performance, reward excellence and provide feedback where there is a need for improvement.

The unit makes the link between performance management and performance development, and reinforces
both functions as a key requirement for effective managers.

No licensing, legislative or certification requirements apply to this unit at the time of publication.

Assessment Submission Guidelines


 All assessments must be submitted by the due date specified by the Trainer/Assessor on the UIT
Learning Management System (Moodle). To log in to UIT Moodle visit
https://uit.learnbook.com.au/login/learnbooklogin.php.
 When submitting assessments students agree that it is their own work, except where
acknowledged, and has not been submitted for academic credit elsewhere.

If you miss an Assessment Deadline:


If you miss a scheduled assessment you are required to provide proof of legitimate absence within three (3)
working days after the official due date.
 Proof must be provided to the Student Services Department and may be required to complete an
assessment extension application form.
 If the proof is not provided within the time period, then the student will receive a ‘Not Yet
Competent (NYC)’ outcome.
 No supplementary assessments will be scheduled without proof of legitimate absence.
 If the proof of legitimate absence is rejected, the student can appeal to the VET Academic
department.

Re-submission
Students are permitted 2 attempts for each assessment task. If you are deemed Not Yet Competent (NYC)
for the unit, you must re-enrol and pay the required tuition fees for the unit.

Assessment Task and Unit Outcome


All individual assessment tasks are marked as either Satisfactory (S) or Not Satisfactory (NS).
Once all individual assessment tasks are marked Satisfactory (S) for a unit, the student can be deemed
Competent (C).
If the student does not achieve Satisfactory (S) results for all individual assessment tasks for a unit, they will
be deemed Not Yet Competent (NYC).

Reasonable Adjustment
At the Trainer/Assessors discretion reasonable adjustment, also known as reasonable accommodation, may
be applied. This means that 'reasonable' adjustments may be made wherever possible; to meet the needs
of a student with disability or with other learning needs. If you require more details about reasonable

Feedback to student
Feedback on students’ assessment performance is a vital element in their learning. Its purpose is to justify
to students how their competency was assessed, as well as to identify and reward specific qualities in their
work, to recommend aspects needing improvement, and to guide students on what steps to take.

Feedback defines for students what their trainer/assessor thinks is important for a topic or a subject. At its
best, feedback should:
• Be provided for each Unit Assessment Task (UAT)
• Guide students to adapt and adjust their learning strategies
• Guide trainers/assessors to adapt and adjust teaching to accommodate students’ learning needs
• Be a pivotal feature of learning and assessment design, not an add-on ritual
• Focus on course and unit learning outcomes
• Guide students to become independent and self-reflective learners and their own critics
• Acknowledge the developmental nature of learning

department in the RTO/person responsible for looking after the VET department/administration of the RTO.

Unit Pre-Assessment Checklist (UPAC)
UAT 1 – Unit Knowledge Test (UKT) – Written
Questions
Purpose of the checklist
The pre-assessment checklist helps students determine if they are ready for assessment. The trainer/assessor
must review the checklist with the student before the student attempts the assessment task. If any items of the
checklist are incomplete or not clear to the student, the trainer/assessor must provide relevant information to
the student to ensure they understand the requirements of the assessment task. The student must ensure they
are ready for the assessment task before undertaking it.
Section 1: Information for Trainers/Assessors
• Please make sure the student has completed the necessary prior learning before attempting this
assessment.
• Please make sure you as a trainer/assessor have clearly explained the assessment process and tasks to
be completed.
• Please make sure the student understands what evidence is required to be collected and how.
• Please make sure the student knows their rights and the Complaints and Appeal process.
• Please make sure the student has discussed any special needs or reasonable adjustments to be
considered during the assessment (refer to the Reasonable Adjustments Strategy Matrix).
• Please make sure the student has access to a computer and the internet (if they prefer to type the
answers).
• Please ensure that your student must have all the required resources needed to complete this Unit
Assessment Task (UAT). (Refer to Training and assessment resources for more information).
• Due date of this assessment task is according to the timetable.
• In exceptional (compelling and compassionate) circumstances, an extension to submit an assessment
can be granted by the trainer/assessor.
• Evidence of the compelling and compassionate circumstances must be provided together with the
request for extension to submit the assessment work.
• Request for an extension to submit assessment work must be made before the due date of this
assessment task.
Section 2: Reasonable adjustments
• Students with carer responsibilities, cultural or religious obligations, English as an additional language,
disability etc. can request for reasonable adjustments.
• Please note, integrity of the unit/course will not be lowered to accommodate the needs of any student,
but there is a requirement to be flexible about the way in which it is delivered or assessed.
• The Disability Standards for Education requires institutions to take reasonable steps to enable the
student with a disability to participate in education on the same basis as a student without a disability.
• Trainer/Assessor must complete the section below “Reasonable Adjustment Strategies Matrix” to ensure
the explanation and correct strategy have been recorded and implemented.

Assessment task description


 This is the first (1) unit assessment task that you need to complete successfully to be deemed
competent in this unit of competency.
 The Unit Knowledge Test is comprised of nine (9) written questions.
 You must respond to all the question and submit them to the Trainer/Assessor.
 You must answer all questions to the required level, e.g. provide the number of points, to be
deemed satisfactory in this task.
 You will receive your feedback within two weeks - you will be notified by your trainer/assessor
when results are available.

Applicable conditions
 All knowledge tests are untimed and are conducted as open book tests (this means you can refer to
textbooks during the test).
 You must read and respond to all questions.
 You may handwrite/use computers to answer the questions.
 You must complete the task independently.
 No marks or grades are allocated for this assessment task. The outcome of the task will be
Satisfactory or Not Satisfactory.
 Trainer /Assessor will assess your written skills and knowledge as you complete this assessment
task.
 The trainer/assessor may ask you relevant questions on this assessment task to ensure that this is
your own work.

Resubmissions and reattempts


 Where your answers are deemed not satisfactory after the first attempt a resubmission attempt will
be allowed.
 You may speak to your Trainer/Assessor if you have any difficulty in completing this task and require
reasonable adjustments (e.g. can be given as an oral assessment)

 Provide on-the-job coaching when necessary to improve performance and to confirm excellence in
performance

 Counsel individuals who continue to perform below expectations and implement the disciplinary
process if necessary

Lisa is a new administration manager for a medium sized accounting firm. She took up this position only
recently, and nearly six months after the previous manager had left the job.

Scenario
You are the newly appointed Human Resources Manager for a fast-growing courier company, which has
staff ranging from office clerks and sales / marketing staff to delivery drivers. Initially the company had only
a few employees and was managed by Joe Bloke, the owner/manager. However, over the last two years
they have grown considerably and have over 40 employees now, which is why they have hired you.

The company has no formal HR systems, processes or forms and one of the first things you will need to do is
to educate the owner, Joe Bloke, on the requirements and importance of Awards and systems of
performance appraisals, and set up the HR Department.

Task

You are required to prepare and submit a portfolio of evidence of the research you have prepared for Joe
Bloke as follows:

Purpose of the checklist
The pre-assessment checklist helps students determine if they are ready for assessment. The
trainer/assessor must review the checklist with the student before the student attempts the assessment
task. If any items of the checklist are incomplete or not clear to the student, the trainer/assessor must
provide relevant information to the student to ensure they understand the requirements of the assessment
task. The student must ensure they are ready for the assessment task before undertaking it.

Assessment task description


 This is the fourth (4) unit assessment task that you have to successfully complete to be deemed
competent in this unit of competency.
 There are 5 parts (with 1 role play task each) in this assessment, and you must complete all parts in
order to satisfactorily complete this assessment
 In each scenario, a classmate or your assessor will play the role of the individual with whom you
must interact in the role play.
 Your assessor will observe you performing this task
 You will be assessed on the criteria specified in the Role Play Observation Checklists given below
 You will receive your feedback within two weeks - you will be notified by your trainer/assessor
when results are available.
 You must attempt all activities of the project for your trainer/assessor to assess your competency in
this assessment task.

Applicable conditions
 All role plays must be conducted in the classroom.

How trainer/assessor will assess the work?


 You will be briefed on the requirements of the task a minimum of 1 week prior to the due date as
set out in the delivery and assessment guide for this unit
 Trainer/assessor shall provide you with initial oral feedback in class, after the presentation/role play.
This may take the form of individual feedback, if time allows, or it may be incorporated in
observations of a general nature in the debriefing exercise following the presentation/role play.
Written feedback incorporating the feedback on the presentation/role play and preparatory work
must be provided within two weeks from the due date of this assessment, using the Observation
Checklist.
 If all assessment tasks are deemed Satisfactory (S), then the unit outcome is Competent (C).
 If at least one of the assessment task is deemed Not Satisfactory (NS), then the unit outcome is Not
Yet Competent (NYC).
 Once all assessment tasks allocated to this Unit of Competency have been undertaken,

Role Play 1
Robin: Confirm performance standards, code of conduct and work outputs

You are the principal of a secondary school and you have recently hired Robin as a science teacher to teach
years 10 – 12. At this level, the school uses digital and interactive media such as computers, Internet,
cameras, etc., to teach. Robin is a very experienced science teacher. However, you have discovered that his
IT skills are limited.

There is a professional development program available, that you have referred Robin to. You are also going
to discuss with Robin the Australian Professional Standards for Teachers that are relevant to technology use.
Currently, Robin does not meet the minimum “Graduate” level of the standards, but he is required to
perform at a “proficient” level. This is a requirement of your school’s new HR and recruitment policy.

To make sure that Robin maintains these standards and outputs you must:
a. Convey, informally, your appreciation for his experience and his positive attitude toward
professional development
b. Discuss the performance standards required and confirm his understanding

Refer to standards 2.6, 3.4 and 4.5 in the extract of Australian Professional Standards for Teachers included
at the end of this assessment pack, as a reference in your discussion with Robin.

Role Play 2
Kevin: provide informal feedback and training in the performance review process
You are the new owner of a massage business. You intend to establish annual performance reviews of all
staff. Kevin has been working in the business since its inception, 5 years ago, and is the most experienced
employee. You intend to promote Kevin to a supervisor role, and give him the responsibility of conducting
performance reviews for new employees on probation.
You send Kevin an email requesting a meeting to discuss his new role and the new performance review
system.

However, Kevin has not responded well to the introduction of a performance review system, as the previous
owner of the business did not have a performance review system. Kevin seems worried that this is a
negative process in which he will be responsible for firing colleagues from their jobs.

Meet formally with Kevin to address his concerns. In the meeting you must:
a. Put Kevin’s mind at ease by explain the purpose of the performance review process

role of Supervisor. Refer to this position description in your discussion with Kevin, to clarify the standards

Role Play 3
Amira: consult a human resources specialist
You have recently contracted Amira, a human resources specialist, to develop performance management
policies and review templates, for your massage business.
You are to conduct a meeting with Amira to discuss three ways in which you can manage employee
expectations of the change brought about by introducing the performance management system.
Research and prepare three methods or activities you can use to include employees in the change process
so that it is smoother for them.
Present each idea to Amira and discuss:

 What your goals are


 What the barriers to achieving your goals are
 How you can overcome these barriers
 How this method of engagement with employees serves your goals and manages change smoothly
 What are your strengths are
 What the expected outcome is
 Who can you collaborate with within the organisation in implementing these activities

Seek Amira’s feedback and discuss how you her feedback changes your action plan.
This role play should be 5 – 7 minutes long.

Role Play 4
Kamal (receptionist): performance appraisal and coaching on the job

Kamal is a young, enthusiastic receptionist in a marketing firm, Visionet. You are the HR manager at
Visionet. Kamal has been working at the company for one month, but his colleagues have been complaining
about his poor phone manners. Kamal answers calls from external lines with merely a “hello”. He doesn’t
ask who is calling before transferring calls to various extensions in the office, and has been known to
transfer calls by saying “somebody wants to talk to you.”

You are to provide on the job coaching to Kamal.

Research and prepare a plan for a 10 minute coaching session that covers:

 how to ask who is calling
 how to take messages and transfer calls
 opportunity for Kamal to repeat all actions independently and ask questions if necessary

Part A
Rollo: counsel individuals who continue to perform below expectations and implement disciplinary
processes if necessary

Rollo, who works at Sporty Shoez as a salesperson, is severely underperforming in his role for the third
month in a row. He builds good rapport with customers and is skilled at upselling by routinely increasing the
value of individual sales. His sales and customer service skills are strong. He also has good product
knowledge. However, lately he has been unmotivated and undisciplined. He has started coming to work late,
spends a lot of time distracting colleagues or taking breaks, and frequently takes days off. Thus his overall
sales figures are low and he has not met more than 20% of any of her monthly sales targets for the last
month

Rollo has not responded to performance management techniques. You, as the store manager, feel it is
necessary to implement the disciplinary process, which includes putting Rollo on a 1 month probation, which
may result in termination of employment if he does not meet his KPIs. It is your company’s policy to put
serially underperforming employees on probation after each quarter of the financial year.

Rollo’s KPIs for the 1 month probation period are:


 Meet at least 80% of monthly sales target of sales staff
 Reduce absenteeism and aim to report to work on all rostered days or provide medical certificate for
each day of leave

sales targets, and his absenteeism improved only briefly before Rollo reverted to coming late and taking
days off.

Follow Fair Dismisal Law and prepare a termination letter. Your letter must include the reasons for dismissal,
the opportunities you have provided for the employee to improve their performance, and notice period and
final pay.

Consider the following facts when preparing your termination letter:


 Rollo has worked at Sporty Shoez for less than 5 months.
 Rollo is employed on a full time basis and has used up all his annual leave entitlement.
