This unit describes the skills and knowledge required to manage a range of meetings including
overseeing the meeting preparation processes, chairing meetings, organising the minutes and
reporting meeting outcomes.

It applies to individuals employed in a range of work environments who are required to


organise and manage meetings within their workplace, including conducting or managing

You are required to conduct role play to demonstrate skills and ability to manage meetings
in two different tasks:
• Task 1 – Formal meeting

Note This pack only informs the students of what types of assessment will be used and what areas
of knowledge and skills will be assessed. The content of actual assessments that will be
conducted for the unit is secured.

Performance & Knowledge evidence
Performance Evidence:
Evidence of the ability to:
• apply conventions and procedures for formal and informal meetings including:
- developing and distributing agendas and papers
- identifying and inviting meeting participants
- organising and confirming meeting arrangements
- running the meeting and following up
• organise, take part in and chair a meeting
• record and store meeting documentation
• follow organisational policies and procedures.

Knowledge Evidence:
To complete the unit requirements safely and effectively, the student must:
• outline meeting terminology, structures, arrangements
• outline responsibilities of the chairperson and explain group dynamics in relation to managing meetings
• describe options for meetings including face-to-face, teleconferencing, web-conferencing and using webcams
• identify the relevant organisational procedures and policies regarding meetings, chairing and minutes including
identifying organisational formats for minutes and agendas
Assessment Outcomes
• Project: Students must satisfactorily address all of the assessment requirements in accordance to the expected
performance to achieve a satisfactory outcome.
• Written Test: Students must answer all questions in the test correctly to achieve a satisfactory outcome.
Achieving Competency

You must achieve a satisfactory outcome for all assessment methods for this unit, to be ‘deemed competent’.

Plagiarism / Cheating
If a student is caught cheating, the test will be marked “Not Satisfactory” and the student will be subject to the penalties
stated in ATMC’s Academic Conduct policy regarding cheating.
Important information about assessments
• In written tests and multiple-choice tests, students must answer all questions correctly to achieve a satisfactory result
for the assessment.
• In observation tasks, written projects, or presentations, students must satisfactorily meet the expected performance
requirements, and achieve a satisfactory result for all items on the assessor checklist to receive a satisfactory result for
the assessment.
• Students must achieve a satisfactory result for all assessments in a unit of competency to be deemed competent for
the unit.
• Students have up to three (3) attempts to complete each assessment task. If after the third attempt for any
assessment task, the student does not achieve a satisfactory result, he/she will receive a result of “Not Satisfactory” for
the assessment and will be deemed “Not Yet Competent” for the unit.
• If a student is not satisfied with any aspect of the assessment process, he/she may lodge a formal complaint or
appeal by submitting the form SS116 Student Complaint & Appeal Form available on ATMC’s website
(www.atmc.edu.au) to ATMC’s student support email address at e.support@atmc.edu.au or at the support centre(s).
Where an appeal relates to an assessment decision, ATMC will appoint the course coordinator/alternate assessor to
validate the assessment judgement and evidence gathered. If the student is still not satisfied with the internal appeal
outcome, he/she may lodge an external appeal with an external body in accordance with the complaints and appeals
policy.
• For information about reasonable adjustments, see the section ‘Reasonable adjustments’.
Reasonable adjustments:
All students go through a Pre-training Review before commencing their course to identify areas where they need
support. However, ATMC recognises that circumstances can change. Our support centre(s) always endeavour to detect
any indicators of needing help or support. If the students are in a situation where they need support, the support

centre(s)’ staff will assist them immediately. During assessment, the appropriate “reasonable adjustments” to the

Assessment 1 – Project
Project Instructions
Please read the requirements carefully before carrying on the tasks based on your consolidated skills and knowledge. To
achieve a satisfactory result for the Project, students must properly perform all activities included in the checklist of this
Project.
Submission date: The submission date of this assessment must be no later than the last day studying this unit.
Duration 15 minutes for each task
All submissions must be uploaded online in the relevant upload option on the LMS
Save your file(s) in acceptable format (please refer to the student’s handbook)
Save the file name in the format: StudentID_unitcode
Submission requirements
If you are caught cheating/plagiarism, the test will be marked “Not Satisfactory” and you will
be subject to the penalties stated in ATMC’s Academic Conduct policy regarding cheating
and plagiarism
Assessment Summary:
You are required to conduct role play to demonstrate skills and ability to manage meetings in two different tasks:
• Task 1 – Formal meeting
• Task 2 – Informal meeting
To prepare for, conduct and follow up on the two meetings, you are responsible to invite four other persons and get
their consent to role play with. The meetings must be video recorded and submitted for marking.
Assessment Details:
Meeting topics may include (but are not limited to):
• WH&S issues
• Attendance at college
• Student progress
• Policies and Procedures
• Team activities
• Event organisation, etc

Each task consists of three following stages:


Stage 1 - Preparation
In preparation, you are required to:
• Clarify purpose of meeting and develop the agenda in line with stated purpose
• Make sure the style and structure of the meeting is appropriate to the meeting’s purpose
• Identify meeting participants and notify in accordance with organisational procedures
• Confirm meeting arrangements in accordance with requirements of meeting
• Despatch meeting papers to participants within designated timelines

In this stage, you are required to submit:


• A meeting preparation form for each of the meeting (template provided – Appendix AT 1.1 Meeting Preparation
Form)
• The agendas for both meetings
• Emails for notifying participants, sending meeting papers and confirming attendance (including agendas) to
participants (the emails will need to be converted to and submitted in PDF files) for both meetings
• Emails from participants confirming with the requirements of each meeting (the emails will need to be converted to
and submitted in PDF files) for both meetings

Stage 2 - Conducting
Whilst conducting the meetings, you are required to:
• Chair the meetings in accordance with organisational requirements, agreed conventions for the type of meeting and
legal and ethical requirements
• Conduct meetings to ensure they are focused and time efficient
• Ensure meetings facilitation enables participation, discussion, problem solving and resolution of issues

• Brief minute takers on method for recording meeting notes in accordance with organisational requirements and
conventions for type of meetings

Stage 3 - Following up
After each meeting, you are required to:
• Check transcribed meeting notes to ensure they reflect a true and accurate record of the meeting and are formatted
in accordance with organisational procedures and meeting conventions
• Distribute and store minutes and other follow-up documentation within designated timelines and, and accordance
with organisational requirements
• Report outcomes of meetings as required, within designated timelines
In this stage, you are required to submit:
• Minutes of meeting for each of the two meetings (the minutes can be submitted in Word or PDF files)
• Emails distributing minutes and other follow-up documentation for each of the meetings (the emails will need to be
converted to and submitted in PDF files)
• A self-evaluation form regarding the experience in following up for each of the meetings (template provided –
Appendix AT 1.2 Self-Evaluation Form)
Expected Performance:
You are required to complete all the requirements below to get a satisfactory result for this assessment:
Stage 1 – Preparation:
• Identify purpose of the meetings and develop agenda in line with stated meeting purpose
• Choose a meeting style to suit its purpose
• Identify all participants and notify them in advance via writing
• Forward agenda to all participants and confirm attendance
• Despatch meeting papers to participants within designated timelines
Stage 2 – Conducting
• Chair the meeting efficiently
• Keep the meeting focused and time efficient
• Include participants in discussions and issue resolutions.
• Instruct minute taker on minute style required
Stage 3 – Following up
• Check completed minutes to ensure correct reflection of meeting
• Distribute minutes to all participants promptly
• Store minutes and other meeting documentation
• Follow up on any arising issues and store follow-up documentation within designated timelines
• Follow organisational policies and procedures in terms of checking, distributing, storing, following-up as well as
reporting minutes, meeting documentation and outcomes of meeting
• Attach two (2) meeting preparation forms – Appendix AT 1.1 Meeting Preparation Forms
• Attach two (2) agendas for both meetings
• Attach two (2) emails for notifying participants, sending meeting papers and confirming attendance (including
agendas) to participants
• Attach at least two (2) emails from participants confirming with the requirements of each meeting
