SECURITY DIRECTOR (SD)

Act as the Security Director, shall head the Agency. He shall be


responsible for the entire operation and administration management of the
security.

JOB DESCRIPTION:
Responsible in the conduct of planning, organizing, directing,
coordinating, and controlling of the day to-day operation and activities of the
security agency under his command. Hereunder are the duties and functions are
as follows:
 Administer and enforce standard operating procedures to ensure
optimum compliance on the delivery of quality security services.
 Carry out all activities directly related to the security agency
including administrative control over the recruitment, selection,
replacement, termination of security personnel.
 Administer and review agency staff payroll and service billing to
clients including local collection progress and update.
 Report and recommend strategies in improving systems and
procedures that will be beneficial and productive in carrying out
security services.
 Under the supervision of the Assistant Staff Director for Operation
(Marketing Officer), negotiates service contract with clients; checks
manning compliments against manpower requirements, monitor
firearms and equipments issuance, monitors renewals of licenses
and ensures that permits of detailed security personnel are
updated.
 Investigate, evaluate, coordinate and promptly addresses work-
related concern and client’s related predicaments.
 Enforces applicable disciplinary actions to security personnel who
commits breach of contract and violation to the company’s code of
discipline and with the existing government laws, rules and
regulations.
 Under the supervision of the Assistant Staff Director for Operation
(Marketing Officer), promotes and markets the services of the
company and maintains good business relationships with clients
(i.e. pays courtesy visits, makes social contacts, attend meeting,
market, prospective clients).
 Submit periodic operation and marketing report to the Board of
Directors and other mandated documents to be submitted to
government agencies.
 Perform other tasks and assigned as directed and/or assigned by
the Board of Directors.
SECURITY EXECUTIVE DIRECTOR (SED)

Assist and perform the duty of the Security Director in the absence of
that officer and to render whatever assistance that may be required in the
performance of his duties.

JOB DESCRIPTION:
Shall perform duty in the absence of the Security Director. Hereunder
are the duties and functions are as follow;

SECURITY STAFF DIRECTOR FOR ADMINSTRATION (SSDA)

JOB DESCRIPTION:
Act as the Security Staff Director for Administration, shall assist the
Security Director in the efficient administration of the Agency. He shall be
responsible for the professionalization for the personnel recruitment, salaries,
allowances and other benefits, confirming of awards, mobility, and the issuance
of firearms and other necessary equipment/s. Hereunder are the duties and
functions are as follows:
 Receives application forms/applicants.
 Screening of applicants, preliminary interview and scheduling of
applicants for semi-interview to final interview.
 Conduct orientation proceedings for newly hired applicants such as
introduction of company officer, briefing of company rules and
regulations.
 Prepares monthly disposition, process papers, documentary
requirements of newly hired guards such as SSS R1A registration,
Company I.D. Cards and other documents as may be needed.
 Process contract of employment and clients, monitors employment
records. Maintain individual 201 files and other records.
 Clerical works concerning personnel matters like (Disciplinary
Action regarding its violations on company rules and regulations.)
 Prepare records of guards such as accomplishing of personnel
information sheet to be used to Philhealth/SSS/Tax and other
related documents
 Prepare post employment documents for separated employees
such as clearance, certificate of employment, SSS and Cash Bond
contributions.
 Coordinates with Staff Director for Operations and Detachment
Commanders regarding guards to be deployed
 Monitor DTR of each employee to be sign before the payroll
 Maintain on file all memo given to all employees future guidance
and references.
 Handles all ATM transactions (Application of ATM cards, lost and
damage cards, debited salaries and others.
SECURITY STAFF DIRECTOR FOR OPERATION (SSDO)

JOB DESCRIPTIONS:

Act as the Security Staff Director of Operation, shall assist the Security
Director in the efficient operation of the Agency. He shall be responsible for the
canvassing of clientele and the implementation of the contract and agreement.
He shall be directly responsible for the conduct of investigation and the conduct
of training. Hereunder are the duties and functions are as follows:

 Formulate policies, programs and system in the development of


security services.
 Conduct spot inspections to all detachments and security personnel’s
posts including issued firearms, equipment and duty detail orders
(DDO). Prepare the necessary after inspection report to the Security
Director.
 Conduct background investigation of security applicant and other
subject as maybe request by the client.
 Prepare Spot Security Survey Inspection Report to prospective client.
 Recommend and, in some limited capacity as may be delegated by
the Security Director, enforce applicable disciplinary actions against
security personnel who committed breach of contract and violation to
the company’s code of discipline and with the existing government
laws, rules and regulations.

ADMINISTRATIVE / HR OFFICER

Act as the Administrative/HR Officer, shall assist the Security Director in


the efficient administration of the Agency. He shall be responsible for the

JOB DESCRIPTION:

Act as Training Officer of the agency; ensure the security personnel are
properly trained in accordance with the existing rules and regulation and to see to
it that they have their possession of genuine licenses while in the performance of
duty.

Duties and Functions

 Coordinate and communicate to legitimate security guard training


centers regarding the training schedules and possibly initiate an
agreement; consolidate their contact persons, numbers and other
related matters.
 Coordinate to Staff Director for Administration regarding the list of
security guards with an expired/about to expire and no license
applicants.
 Check the medical certificate of the guards before sending them to
training center.
 Prepare the POI for Refresher/Seminar
 Plans and program for the Refresher/Seminar to all guard who are
reported always of deficiencies while in the performance of duty
 Monitor the guards under training and render report to Staff Director
for Operation from time to time.
 Submit written report on any accomplished training / refresher/
seminar
 Perform other duties as the Security Director may direct.
ADMINISTRATIVE /HUMAN RESOURCE
DEVELOPMENT SECTION

JOB DESCRIPTION

Act as Administrative/ Human Resource Management Officer.

Duties and Functions

 Conduct recruitment, selection and replacement activities through


initial screening and testing of applicant and prospective employee,
profile and all other pre-employment requirement and examination of
security personnel..
 Assist in the administration and implementation of policies and
procedures of the security agency and personally attend the
employee’s requirements and inquiries.
 Regularly submit vital and required report on security manpower
resources and turn-over the report to the HRMD assistant.
 Recommend to the HRMD/Administrative Officer all repairs,
replacements and acquisition of the office furniture, fixtures and
equipment used in the ordinary course of business.
 Act as receptionist, entertain and attend to the concern of visitor and
personnel.
 Assist in the implementation of office cleanliness and orderliness.
 Assist in the purchase and replenishment of office supplies and
monitor inventory of stock
 Assist in monitoring of usage of photocopier, telephone and other
incidental expenses.
 Prepares monthly remittance to SSS, Philhealth HDMF contributions
and loans including to BIR for withholding taxes.
 Prepares and submits monthly reports to government agencies
namely SSS; Philhealth, HDMF, and BIR.
 Assist employees in filing loan applications, sickness notifications
and other related benefits concerning SSS, Philhealth and HDMF.
FINANCE SECTION

JOB DESCRIPTION:

Assist the Security Director in the efficient handling and management of


financial concerns of the Agency. He shall be responsible for the disbursement
of funds as well as the collection of the services fees and other receivables due
to the Agency. Responsible for overseeing the control and accurate recording of
all monetarial transactions including the preparation of various financial reports,
schedules and other related documents of the Agency. Hereunder are the duties
and functions are as follows:

 Ensure that all accounting transaction is properly and accurately


recorded in corresponding books; review, reconcile and
subsidiary ledger.
 Review and records all disbursement for validity, authenticity
and propriety.
 Review and prepare reports such as: balance sheet and income
statement from the adjusted trial balance; review and prepare
reconciliation of the general ledger and subsidiary ledgers in the
making of a trial balance and provides adjustment when necessary.
 Ensure that all required government taxes are paid on the due date
and tax return are filed on time.
 Monitor, verify and collect security services billing from clients.
 Safeguard confidentially of all records and documents and ensure
availability of all data when needed. Assist in the purchase and
replenishment of office supplies and monitor inventory of stock

MARKETING SECTION

JOB DESCRIPTION:

Act as Head of the Marketing Section, ensure the skills and knowledge
about marketing strategies to be implemented and give due and timely notice or
meeting with the prospective client.

Duties and Functions

 Organize and train the marketing personnel as to the marketing


strategy, company profile, referral fee or commission and other
matters.
 Make a list of marketing personnel, their addresses and contact
numbers.
 Provide ID and calling cards to all active marketing personnel.
 Facilitate and deliver the contract of service to the client.
 Monitor the demand of the client.
 Prepare power point presentation regarding company profile and
proposal.
 Recommend observation for the betterment of our security
services.
 Perform other duties as the SD or SSDO may direct

INSPECTORATE AND INVESTIGATION SECTION

JOB DESCRIPTION:

Act as Inspector of the agency; ensure the proper checking of the security
guard personnel as to their conduct, wearing of prescribed uniform and religious
performance in their respective duty.

Duties and Functions:

 To conduct routine inspection to all detachment/post as required.


 To record all deficiencies noted during the conduct of inspection.
 To render after inspection report to the SD (Attn: SSDO) immediately
thereafter.
 To assist the OIC, Staff Director for Administration in determining
security guard personnel who are being selected to give due
recognition.
 To assist the OIC, Staff Director for Operation for the effective
deployment of security guard personnel in the field.
 Recommend the necessary changes, reshuffle, punishment and other
disciplinary action against the offending guards.
 Perform other duties as the SD, SSDO and SSDA may direct.
INFORMATION AND COMMUNICATION CLERK

JOB DESCRIPTION:

Act as the Message Center of the Agency; ensure that the calls
from the radio and telephone are properly answered and relayed to the
concerned parties during the tour of duty.

Duties and Functions:


 To properly receive calls from radio, telephone and other
messages and relayed to the concerned parties.
 To transmit radio messages /communication to all concerned
parties.
 Ensure the visitors are properly asked on what is their
purpose in visiting our office and who is about to visit.
 If there is a visitor, asked him/her, who or why? Then inform
first the concern employee regarding the visitor. Then… do
the next.
 Supervise the log in and out of the employees especially
during office hours.
 To conduct minor repairs of radio communication equipment.
 To assist in the installation of other radio communication
equipment in the field.
 Perform other duties as the SD and SSDA may direct.
COMPANY DRIVER/MESSENGER

JOB DESCRIPTION

To act as company driver, ensure the readiness of the vehicle and


to deliver/pick up matters in relations to the regular and special activity of the
agency.

Duties and Functions

 Company service vehicles based on trip tickets, schedules and or


requests duly approved by the Security Director or his authorized
representative to designated destination.

 Maintains the cleanliness of the service vehicle assigned to him.

 Perform minor trouble shooting and monitors required maintenance of


the service vehicle.

 Deliver and collect clients semi-monthly billings

 Render report upon completion of instructed scheduled activity.

 Perform other duties as the Security Director may direct.


ACCOUNTING CLERK

JOB DESCRIPTION:

To prepare accounting and financial records of the Agency, ensure the


proper recording, analyzing, interpreting of all financial transaction in order to
immediately provide the necessary requirements when so required.

Duties and Functions

 Ensure that all accounting transaction are properly and accurately


recorded in the corresponding books; review’s reconciliation of the
general and subsidiary ledger.
 Monitor all collection from the clients such as sending of billing, monitor
and follow-up, issuance of official receipt.
 Ensure that all account receivables from clients/employees are
properly recorded and accounted.
 Record all disbursement, expenses and determined the validity,
authenticity and propriety.
 Prepare necessary reports such as: income statement, balance sheet
together with all assets.
 Prepare bank reconciliation in the general ledger and subsidiary
ledger for purposes to make a trial balance and provide adjustment
when necessary.
 Ensure that all payables required are properly recorded.
 Safeguard confidentiality of all record, documents and ensure
availability of the data when needed.
 Cautiously report inconsistency and irregularity of any agency
transaction.
 Consolidate and check all Daily Time Record (DTR) from the clients
 Act as Payroll Master
 Prepare accounting and financial transaction in accordance with
existing Accounting General Principles.
 Perform other duties as the SD and SSDA may direct.
PROPERTY CUSTODIAN/ARMORER

JOB DESCRIPTION

Assist the Security Director in the proper procurement, storage,


maintenance and accounting of all agency equipment and properties.
DETACHMENT COMMANDER

JOB DESCRIPTION

Act as head a relatively large unit manned by twelve (12) or more


personnel. A detachment shall consist of several posts. They shall be
responsible for the day-to-day operations and administration of their respective
detachment.

Duties and Functions

1. Overall responsible in the effectiveness and efficiency of personnel


in his area of jurisdiction.
2. Responsible for the accounting and readiness of all the detailed
guards. .
3. Prepare Guard Detail, reports and all necessary paper works and
submit same to the office for information or action taken.
4. Conduct daily guards mounting/inspection for both Day and Night
shifts.
5. Maintain files and logbooks, reports and all other important
documents of the detachment.
6. Conduct roving/inspection on all guarded areas and all other
specific concerns.
7. Give immediate assistance to emergency calls and all important
concerns of his subordinates.
8. Conduct intelligence and information gathering and investigations.
9. Assist LEAD MARSHALL during fire and/or disasters.
10. Perform other duties as the Security Director may direct.
POST IN CHARGE

JOB DESCRIPTION

Act as head the entire detailed unit within a certain establishment with less
than twelve (12) personnel.

SHIFT IN CHARGE

JOB DESCRIPTION

Act as head a particular shift belonging to a post or detachment.

11. Draft reports and all necessary paper works for finalization and
submission of the Detachment Commander.
12. Attend guard mounting/inspection.
13. Conduct roving/inspection of all guarded areas and all other
specific concerns.
14. Extend immediate assistance to emergency calls and all important
concerns of his subordinate.
15. Conduct regular radio check.
16. Assist LEAD MARSHALL during fire/disasters.

SECURITYGUARD/WATCHMAN

JOB DESCRIPTION

Those security personnel actually posted to perform the guard duties. The
following are the basic requirements for security guards:

2. GATER/TRAFFIC:
1. Maintenance of continuous flow of traffic to avoid accident during
entry/exit of incoming/outgoing motorcycles/motor vehicles
especially big trucks and haulers.
2. Manning of the VEHICLE/PEDESTRIAN ENTRANCE/EXIT gate.
3. Give instructions to vehicle drivers and riders as well as authorized
visitors, as to existing company policies rules and regulations.
4. Conduct inspection/record activities.
5. Attend guard mounting on time and in complete uniform.
6. Report to SIC and coordinate with Information/Roving guards.
7. Turn over/receiver PDR properly and effectively

3. INFORMATION GUARD:
1. Coordinate closely with gaters.
2. Controls/monitoring and recording of incoming/outgoing visitors.
3. Issue visitors pass in exchange of ID’s after inspection/identification
according to existing company policies, rules and regulations and
give specific instructions.
4. Attend guard mounting/inspection on time in full uniform.
5. Receive/turn-over PDR properly.

4. ROVING GUARD:
1. Assist/coordinate with the gaters for his routinary duties and
responsibilities.
2. Conduct roving/inspection/protection against assault, robberies,
theft, pilferage and other criminal acts.
3. Maintain cleanliness and orderliness of his assigned post.
4. Attend guard mounting/inspection.
5. Report to SIC for further instruction.
6. Support company guards.
7. Turn-over/Receiver PDR properly and attentively.
8. Assist LEAD MARSHALL during fire/disasters.

5. BACK POST/ROVING GUARD:


1. Conduct rigid inspection on all guarded areas covered by the back
post.
2. Conduct roving/inspection/protection against assault, robberies,
theft, pilferage and other criminal acts.
3. Control/monitoring and recording of activities in the back post area.
4. Attend guard mounting/inspection on time and in complete uniform.
5. Turn-over/receive PDR properly and attentively.
6. Assist LEAD MARSHALL during fire/disasters.
