Workplan Overview

Workplan is a set up/component in Oracle Project


Management suite to provide a structure/tool to project
managers to track progress of projects. Workplan
achieves this by providing:
1. A high degree of visibility and control with enough
details for each team member in the project.
2. An efficient means of communication to/from project
managers and amongst team members, which in turn
drives efficient collaboration, thereby helping
scheduled completion of tasks.

Workplan Topical View

1. Workplan gives you full visibility and updatability by all


members with excellent control and access over
workplan information from single repository. One can
see:
a. Phase of the Project
b. Planned work information
c. Work assignments
d. Progress (Work Units)
2. Team members enter information from lowest level of
granularity in the project which gives very accurate and
timely status of project.

2. Workplan Structure and Financial structure allows


Project Managers to manage project work execution via
Workplan separately from project financial aspects.
3. Skelton project workplan structure from any other setup
can be used which can leverage best practices of
another project and if it has used standard then current
project inherits it in project work execution.
4. Web-Based interaction of suite helps in collaboration in
very flexible environments.

1. Workplan Publish: An unpublished workplan version is


published, causes all other unpublished versions to be deleted.
2. Designate Baseline version: A published workplan version
may be designated as the baseline version for the project
which gives flexibility of different starting points.
3. Change Control: Change Control is administered through a
locking mechanism as well as approval and publication of the
workplan.
4. Approval of Workplan: Workplans are routed to an approver
through workflow.The approver may Approve, Reject or
Reassign the request of approval.

5. An approved workplan version is ready for publication and If
auto-publication is enabled, the workplan version will
automatically be published.
6. On publcation, a notification will be sent to all project
members/stake holders and task managers of the project to
inform them of the publication of a new workplan version.
7. It may be be useful for shorter or simpler projects to disable
versioning to allow for quicker administration of the projects.
This disables approval and publication, and all changes made
to the workplan are immediately reflected to all users.

Projects and Structures

• Structure is hierarchically arranged tasks which are


unique within a project. There can be many structures.
• Currently there can only be two structures (Workplan
and Financial).
• Two structures were introduced in 11i PJT. Before PJT
the model only had one structure (Financial).
• Workplan Structure is only available in PJM Foundation
• The Workplan Structure depends on the customer’s
business need and their project management
requirements . It can be complex or simple.

• Workplan Structure in a project is used for Workplan
functionality such as the planning of work and task
progress collection.
Project Structures (Workplan/Financial) are integrated in
four different ways:
• Fully shared
• Partially shared
• Non-shared and mapped
• Non-shared
When Workplan Structure and Financial Structure are
share then workplan management functionality act upon

Some Terminology in Workplan
1. Work Quantity in Workplan: Work Quantity is more
accurate measure of to quantify work in task vs. vague
measures which can not be compared or rolled or
shown. Work Quantity can be any user-defined
measure of work such as number of walls painted ,
number of windows installed , number of lines of code
written etc.
2. Base % Complete: Base %age Complete is derived or
manually entered at lowest level tasks and is rolled up
for higher level tasks till the top task.
3. Rolled Up Effective % Complete: Rolled up %age
Complete is used for top tasks and is rolled up from the
% Complete of subtasks or lowest level tasks.

Create Workplan
1. Create First Project Template and Enable Workplan &
Financial structure. Structure is hierarchically arranged
tasks representing business logic of a project and right
now there are only two structures, Workplan & Financial.
2. Create Project from This template.
3. Workplan structure in a project gives functionality such
as the planning of work and task progress collection.
4. Financial Structure is to create transactions, budgeting,
etc.
5. Create Tasks and Subtasks which will be reflected in the
workplan structure.
6. Enable workplan versioning for your workplan to modify
or alter the tasks in the structure.

Workplan Creation
1. It is possible to choose whether the workplan and
financial structures will be one single or two
separate structures.
2. By using a single structure, project managers can
manage project finances and work using the same
structure. In this case, progress information can
only be entered through the web interface.
3. Using separate structures allows financial and work
management to be carried out totally separately for
a project.

Workplan Creation Cont..

1. When a workplan structure is shared with a financial


structure, it is possible to automatically update task
transaction dates so that they reflect the most up-to-date
workplan dates such as actual or scheduled dates.
2. Work Quantity can be enabled at the workplan level.
3. Approval options must be set up to use approval routing
and notifications.

Priority  Relative Importance of Task.
