The Veterinary Clinic Appointment Management System (VeCAMS) for V.E.N Veterinary Clinic

provide an appointment and secured record management. The system is design to lessen the

difficulties encountered during the manual recording and billing. It saves them substantial time from

scheduling appointments and allows them to check resources to single platform. The website covers

Admin profile, Clients profile, online appointments, Prescription report, billings, and pets record.

The registered user can choose and book an appointment at the flexible time and date. They can

confirm or cancel their reservations. Clients can register to the system by entering required details,

and then they can login to the system by entering login credentials. Able to locate the history record

details and allows to maintain patient’s information through a computerized process.

CHAPTER 1

This chapter aims to describe the introduction, conceptual framework, statement of the problem

as well as objectives, significance of the study, scope and delimitation of the proposed system and

definition of terms.

INTRODUCTION

In today’s modern technology, computer is used in every office and institution for performing a

number of tasks from maintaining and processing data, keeping records of transactions, preparing

and maintaining account statements. Particularly in most veterinary facilities, daily veterinary

transactions are still done on a paper. Modern veterinary clinic is now operating at great pace striving

to serve as many animals as possible with the best of their abilities. But as the years rolled by, the

number of animal has grown and various medical cases arise that the manual method of managing

animal records, prescriptions, billing and appointment schedule, is no longer practical.

It has a centralized web portal and allows doctors to manage their booking slots online.

BACKGROUND OF THE STUDY

The V.E.N. Veterinary clinic was founded on September 2017, by Dr. Loven Beltran, located at 9

Eastside PFCI, San Andres Cainta, Rizal.

The old process for booking appointment are through calling and Facebook messaging. Keeping

and maintaining clients file record are manually settled.

STATEMENT OF THE PROBLEM

Because of the rapid change in season as the evolution of technology, there are people who

are contented on what they have and there are others who are not. Most of the time, people do not

realize modern ways or suitable ways to do things using technology.

There are some businesses which is still using manual process from their time of operation

till their closing time in the evening. That’s why the owner has to count their income using paper and

ball pen before closing instead of just resting. When it gets unlucky, the record might get lost because

it is only on paper record. The veterinary clinic management system is the only solution to the existing

problem which the owner uses to encounter especially veterinary clinic businesses.

Main Problem

The main problem of the study is the existing manual system of the veterinary clinic. It takes a

long time to compute the total bills and also the bookkeeping of the records.

Specific Problems:

1. How to minimize the time and effort being spent on appointment reservation?

2. How to easily manage information of patients?

3. How to develop an automated veterinary record management system?

4. How to develop a module that will easily search pet’s information?

5. How to develop a module that will securely store all the information?

Data gathering – the proponent conducted a face to face interview with the veterinary clinic

owner/doctor to gather important information such as current process of appointment reservation

and manage patients record.

Problem Identification – base on the conducted face to face interview the proponent identified the

current system’s problem wherein the proponent and the veterinary clinic owner/doctor

Synopsis

Veterinary Clinic Appointment Management System (VeCAMS) is a centralized web portal that

allows doctor to manage booking slots online. This system saves loads and time during their already

busy day that helps provide a more customer friendly experience. Clients provide information once

then is has already recorded to the systems data based that reduce process every time client has to

visit the clinic.
