SECTION TWO: MANAGEMENT OF THE FIELD WORK PRACTICUM

2.1 The Department to which student is assigned

I was assigned to the IT department of TOP Media.

2.2 Role of Department in this program, in the organization structure.

The IT Department of TOP Media provides the following roles to its clients.

2.3 Description of responsibilities and roles assigned to the student, naming officers that
you have worked with and how they supported you.
This internship was divided into three parts: Hardware Maintenance and troubleshooting,
Software Installation, Troubleshooting and update and Network installation and troubleshooting

In Hardware
I have learnt that the computer system consists of two main components hardware and software.
During my internship, the following tasks were accomplished: Hardware is the physical
equipment such as the case, storage drives, keyboards, monitors, cables, speakers and printers.
And all these components I was able to see them physically then I started with the assembling
and disassembling of computers.

Components of computer system

These include System unit, Screen, monitor, mouse, keyboard etc.

Computer sets

A computer consists of input, processing, storage, and output sets.

[4]
Figure 1: Components of a computer set

Hardware comprises all of the physical part of the computer such as Monitor, CPU,
motherboard, RAM, CD-ROM, printer, scanner, hard disk, processor, PCI buses, floppy disk,
power supply, VGA card, sound card, network interface card, peripherals, joystick, mouse,
keyboard, foot pedal, computer fan, camera, headset and others.

CPU (Central Processing Unit): CPU or central processing unit relates to a specific or processor.
The performance of the computer is determined by the CPU chip (processor speed) and the other
computer circuitry. Currently, the Pentium chip (processor) is the most popular even though
there are other chips available in the market today such as AMD, Motorola and others. The
clocks speed becomes most important factor in determining the performance of a computer. The
motherboard contains the hardware circuitry and connections that allow the different hardware
components of the PC to interact and communicate with each other. Most computer software is
being developed for the latest processors so it would be difficult to use the older systems.

Hard Disk Drives: Disk drive is the mechanism to run the disks. All disks need a drive to get the
information, read it and put it back to the disks. Hard disk is used to store the data permanently.
Often the terms disk and drive used to describe the same thing but it should be clear that a disk is
a storage device.

[5]
Video cards: Video cards allow computer to display video, graphics and animation. Some video
cards allow computers to display television. A video card with a digital video camera allows
users to produce live video. I removed the interface cards and took pictures of them as seen
below.

Figure 2: Examples of interface cards

Remove the Power Supply Unit (PSU)

I also removed the power supply units and took pictures of them as shown below.

Figure 3: Power supply units from one unit

I also removed all PSU connectors from devices and the motherboard.

Remove the Central Processing Unit (CPU)

[6]
I removed the CPU and examined the following parts with their descriptions.

LIF socket: To remove processor from a LIF socket, use a special removal tool that resembles a
many-pronged fork.

Figure 4: LIF socket

ZIF socket: The ZIF socket has a lever at one side. When you release this lever, you can lift the
processor out of the socket by hand with very little force. To avoid bending the pine, ensure that
you lift the processor straight out of the socket.

Figure 5: ZIF socket

I also removed the RAM

Figure 6: RAM

[7]
I was then able to remove the motherboard

I disconnected all cables from the motherboard; I made a diagram of how they are connected
before removal.

Figure 7: Parts of a motherboard

[8]
I then reassembled the parts back step by step

The reassembling of the PC was done in the reverse order to disassembly.

Figure 8: Computer hardware

TROUBLESHOOTING TECHNIQUES
We have been advised that before beginning troubleshooting, we must have spent some time
gathering as much information as you can about the problem. This will help to locate where the
problem is located. We have been taught different kinds of techniques of troubleshooting.

Troubleshooting the boot process

No power: Perhaps the power supply fan unit is not working.

Causes

[9]
 Faulty power supply unit,

 Power cables,

 Fuses,

 Main electricity supply.

Tests and solutions

 Check that the power supply unit is connected to the PC and the wall socket
correctly,

 Try another power cable,

 Check the fuse resistance with multimeter,

 Test the wall socket.

Usage of multi-meter

Figure 9: Multimeter

A multi-meter can be used to measure voltage, current and resistance. It is also used to test
continuity.

Testing a PC power supply

[10]
1) Turn off the power supply unit

2) Insert the black probe into a ground.

3) Insert the other probe into the connector to be tested.

4) Turn on the power supply unit, ensuring that you are not touching any part of the PC,
and take a reading from the multi-meter.

5) Repeat this process for each connector that you test.

POST
POST checks to see that all of the hardware in the computer is operating correctly.

POST not running.

Symptoms:

Power is present but the screen is black and there are no beeps from the speaker.

Causes:

- Faulty cabling

- CPU

- Motherboard component

Test and solutions

- Plug the monitor into another PC.

- Check cabling and connection.

- Check chip seating.

- Faulty interface card and device.

- IF possible, replace the CPU and BIOS chips.

[11]
Troubleshooting internal devices
CPU

Processor failures are rare and most system faults are more likely to be caused by incorrect
configuration, overheating problems or problems with other failed components.

Memory

You should first check that the modules have been installed correctly in their sockets.

I/O Ports

It is possible to perform loopback test on both parallel and serial ports.

Hard drives

If the hard drive does not appear to be working, first check that it is powering up. Once you have
determined that they are drive is powering up try the following:

 Check the data cables are not damaged and that they are correctly connected to the drive.

 Check that the IDE drive jumpers are set to single /master/slave as appropriate.

 If the drives are connected to a motherboard controller, check that it has not been
disabled by a jumper or Bios setting.

 Check that ID number and terminators are set correctly for SCSI drives.

Floppy Drives

If you are unable to access your floppy drive, ensure that the power cable and data cable are
correctly connected.

Sound Cards

If there is a problem related to playing or recording sound, tries the following:

 Plug equipment into correct connect;

[12]
 Verify audio cable from PC to the sound card;

 Check software volume control;

 Check multimedia properties from the control panel.

Software maintenance
Concerning software maintenance, the following were done: to install and repair operating
systems precisely Windows XP and Windows 7, to install updates of antivirus, to review
software application and windows updates, to review drivers’ updates, remove unwanted
program through control panel. The purpose of this preventive maintenance is because it is the
key to obtain years of trouble-free service for the computer system. A properly administered
preventive maintenance program pays for itself by reducing problem behavior, data loss, and
component failure and by ensuring a long life for the system. Preventive maintenance also can
increase the system s resale value because it will look and run better.

Before begin a troubleshooting of software problems like a new installation of an operating

system, you must backup to protect data on a computer in a case of the obligation for formatting
the PC.

Installing Windows 7
There are two options to choose from during the Windows 7 installation process:

Upgrade: This option replaces your current version of Windows with Windows 7, and keeps
your files, settings, and programs in place on your computer.

Custom: This option replaces your current version of Windows with Windows 7, but doesn't
preserve your files, settings, and programs. It's sometimes referred to as a clean installation for
that reason.

To install Windows 7 using the Upgrade option

1. Turn on your computer so that Windows starts normally. (To perform an upgrade, you can't
start, or boot, your computer from the Windows 7 installation media.)

2. After Windows has started, do one of the following:

[13]
If you downloaded Windows 7, browse to the installation file you downloaded, and then double-
click it. If you have a Windows 7 installation disc, insert the disc into your computer. Setup
should start automatically. If it doesn't, click the Start button, click computer, double-click your
DVD drive to open the Windows 7 installation disc, and then double-click setup.exe. If you've
downloaded Windows 7 installation files onto a USB flash drive, insert the drive into your
computer. Setup should start automatically. If it doesn't, click the Start button, click Computer,
double-click the drive, and then double-click setup.exe.

3. On the Install Windows page, click Install now.

4. On the Get important updates for installation page, we recommend getting the latest updates to
help ensure a successful installation and to help protect your computer against security threats.
You need an Internet connection to get installation updates.

5. On the Please read the license terms page, if you accept the license terms, click I accept the
license terms, and then click on Next.

6. On Which type of installation do you want? page, click Upgrade to begin the upgrade. You
might see a compatibility report.

7. Follow the instructions to finish installing Windows 7.

Installation of Software application

After new installation of windows 7 in Computer there are necessary software to be added such
as:

- Microsoft office 2003 or 2007

- Kaspersky Antivirus

During the internship in NPPA the software used is called Globodox which is a document
management software suite designed for the medium to large business. It features an integrated
set of tools for scanning, indexing, searching, securing, sharing, auditing and workflow. This
software is used in the following steps:

[14]
2.4 Role of the work place supervisor
a) To involve the student in the daily work in his/her Department to the fullest level
possible. This will involve the senior officer delegating some work to the student then
aiding me in the execution of the delegated work; there after demand for the
accountability/ report concerning accomplished activities by the student.
b) To ensure quality of service rendered by the student to the organization/agency. It is
therefore necessary to regulate the behavior of the student and institute disciplinary
actions of necessary.
c) To provide the necessary re-assurance to the student in case of fear, worry, or stress that
may be generated in the student as a result of particularity difficult or sensitive
assignments. Thus the workplace supervisor is expected to take care of any practical
problem that may prevent the student from being a good participant during the Industrial
Training exercise.
d) To ensure that the trainee/student understands the relevant policies of the organization
concerning the student’s work processes, procedures and any other important matters in
the institution that may be deemed fit for the student to know. The student will also be
expected to attend important discussions, meetings and organizational activities
emphasized once again that the faculty is very much interested in having the students
involved in the daily work of the units where they are placed.
e) To complete and return to the University a student’s assessment form.

2.5 Role of the university supervisor

a) Preparing the student to make sure that he intellectually benefits from the Industrial
Training exercise. This is through defining the learning objectives and scope of the
Industrial Training, identifying suitable methods that would enable the students to
accomplish learning objectives, develop a work plan to guide the supervision experience.
A student should ask a supervisor for guidance in the industrial training exercise.
b) The University Supervisor has the responsibility of liaising with the work place
supervisor that the student does his work, adapts to the realities of the organization, is
focused and on schedule. The university supervisor should ensure that the student is able
to translate theory into practice and is able to learn from the Industrial Training practice.

[15]
c) The University Supervisor should find out from the student if there are challenges and
relevance of the work being done to the objectives of the Industrial Training. In case of
hindrances and problems being faced by the students, the U.S should bring them to the
attention of the WBS (Work Based Supervisor) and look for solutions and ways of
overcoming the hindrances.
d) The U.S (University Supervisor) has the responsibility of liaising with the WBS and
discuss with her the progress and any problems with the student, how best to facilitate the
student, clarifying on issues of evaluation of the students and contribution of the student
to the overall objective of the organization.
e) The U.S writes a report about the Industrial Training exercise pointing out the challenges
faced by the students, host agencies, lessons learnt, areas that need improvement and
make the necessary recommendations to the responsible university officers on whether
the student passed the Industrial Training.
f) The U.S shall assess and evaluate the student’s performance according to the set
guidelines by looking at evaluation forms and the final report of the student.

SECTION THREE: SELECTED CASE STUDIES

3.1 Case study 1: NETWORKING

3.1.1 Finding

TYPES OF NETWORK CABLES COMMONLY USED IN PC NETWORKS

Straight-through

Crossover

Straight through Cable

A straight-through network cable is just what the name implies, a cable that passes data straight
through from one end to another. Straight-through cables are used for a variety of connections. (e.g.
connecting a computer to a hub or switch, connecting a computer to a cable/ISDN/DSL modem, and
linking switches and hubs together.)

 If you hold the two ends of an RJ-45 cable side by side, you'll see eight colored strips, or pins, at
each end.

 If the order of the colored pins is the same at each end, then the cable is straight through.

 If the order of the colors is reversed at each end, then the cable is crossed over or rolled.

 Straight-thru Ethernet uses pins 1, 2, 3, and 6.

 Straight-through cables are used for switch to router cabling, switch to PC or server cabling, or
hub to PC or server cabling.

3.1.2 Problem assessment/diagnosis

Network troubleshooting

3.1.3 Objectives for this case study

 Some basic concepts of networking,

 Cabling

 Network technology (LAN)

 Network configuration

 Wireless networks

[18]
3.1.4 Choice of course of action
I had to know how to make straight through and cross over cables.

3.1.5 Implementation of course of action

HOW TO MAKE A NETWORK CABLE

Things I needed

• Crimping tool

• Tester

• RJ45 Connectors

• Bulk Cable

Steps:

Unroll the required length of network cable and add a little extra wire, just in case.

Carefully remove the outer jacket of the cable.

Inspect the newly revealed wires for any cuts or scrapes that expose the copper wire inside.

Untwist the pairs so they will lay flat between your fingers.

Arrange the wires based on the wiring specifications you are following.

Put the wires in the following order, from left to right:

568B Standard: white orange-orange-white green-blue-white blue-green-white brown-brown.

568A Standard from left to right: white/green, green, white/orange, blue, white/blue, orange,
white/brown, brown. You can also use the mnemonic 1-2-3-6/3-6-1-2 to remember which wires
are switched.

[19]
Figure 10: Standard T568A and T568B for terminating UTP

Figure 11: RJ45 connector

Keep the wires flat and in order as you push them into the RJ-45 plug with the flat surface of the
plug on top.

Figure 12: Crimping tool

Place the wired plug into the crimping tool.

Repeat all of the above steps with the other end of the cable.

After all the steps are done you can use a cable tester to test whether your cable is working.

SECTIONFIVE: CONCLUSION

5.1 Your assessment of the field work experience in the organization and its
future prosperity.
I enjoyed being an intern at Top Media because it made me put more work to achieve what I
want to be in the IT field.

It also taught me to be smart and to be on time and endurance even when things get hard.

But above all, it taught me about team work as I interacted and produced ideas with other
students from different Universities.

In years to come, Afrosoft IT Solutions is like to be the number one place to do intern from in
order to benefit from it.

5.2 Recommendations for improvement

I recommend that the computer lab is equipped with better computers so that the next interns can
actually do work in a more efficient way.

I also recommend that the internet or Wi-Fi is made available to the internees so that they can
make some research while at the organization

5.3 Conclusion
I conclude by saying that I enjoyed doing intern from Afrosoft IT Solutions Ltd coz it opened me
up to a multitude of possibilities and also it made me make good relations with other internees.

May God bless Afrosoft to fulfill its vision in Jesus’ name, Amen.
