Website Design and Development Proposal

Introduction
Thank you for the opportunity to submit a proposal for the redesign of the BIWAD website.
Working together, I believe we can create a site that is simple to navigate, understand and that
has a professional yet welcoming design.

Based on our preliminary discussion with the General Manager, I have identified and listed
below the Needs and Solutions that we want to address in this project.
Needs
BIWAD needs a website to reach out to the community and also to serve and support the
current BIWAD clients by providing the following information and service features:

o Announcements
o Updates
o Bids
o Photos
o Contact Form that allows client to report, inquire, and send a message
o Provide office information like address and phone number
o History and Introduction about BIWAD
o To show transparency to the community and BIWAD clients

Furthermore, BIWAD needs a website that can be maintained by a BIWAD employee, without
the need to regularly call the programmer to make changes. The BIWAD employee needs to be
able to add and revise both text and photos and additional pages if necessary.

Some BIWAD clients refer to Facebook for updates and announcements using mobile phone
and computer. BIWAD needs a website that is integrated with the social media platform
Facebook.com to provide continuous service to clients that refer to Facebook.com as well as a
website which is responsive to give service to a wider range of website viewers.

BIWAD needs a dynamic website that is readily expandable for future integration of features as
well as for easier adding of pages and posts.
Solutions
WebDevDragon will provide BIWAD with a fresh new web design that is easy to navigate and
provide useful information to current subscribers. The design will also convey to potential
subscribers that BIWAD is a professional, transparent, and reliable company.

The design will integrate the current logo and color palette as well as the theme of service so it
will maintain a familiar look to current subscribers, but will at the same time show them that
BIWAD is improving its web presence in order to serve them better.

Content Management System

Central to the new design from BIWAD will be a robust Content Management System (CMS).

This CMS will allow BIWAD to make changes easily to the website, without requiring a
dedicated workstation or additional software. Not only will the CMS save BIWAD website
revision costs but it will also ensure that the website stays fresh and up to date.

The CMS will be a standard platform to be readily expandable for additional feature requests
and expansion of services of the BIWAD website.

Social Media Integration

Majority of the population today spend time in social media platforms like Facebook that gives
an opportunity for companies to communicate with their clients easily.

The new BIWAD website will be integrated with the social media engine internally. This will
provide the following modern features :

o All updates, posts, and announcements of the BIWAD website will automatically
be published on the official Facebook page of BIWAD .

o Website viewers can post their comments and suggestions to BIWAD website
posts and announcements without further registration to the website by using
their own Facebook login. This feature will also provide the user an option to post
the comment on his/her account timeline.

An example is provided below :

o Website viewers can "like" and "share" each content of the website into
Facebook to be able to post the content to the viewer's Facebook account

Responsive Website

According to Google, 89% of the Filipino population already uses mobile phones in browsing
media and internet based services and looking into the future, 100% of the population will rely
on these devices other than the traditional personal computers and laptops to browse different
websites. These devices include smart phones, tablets, smart TVs, and laptops all of different
screen sizes. That is why modern websites uses the responsive technology that allows the
website to be easily readable to viewers on all types of screen sizes from large smart TVs, to
desktop and laptop computer and to the smallest tablet that a person may have.

The programmers would like to propose that the BIWAD website will be a modern website that
uses the responsive technology so that it will be efficient and comfortable to users that uses
different devices not only in a matter of years but for decades.

This is important nowadays since majority of people use their mobile phones to visit websites.
Responsive websites provide readability, easy navigation, and the same experience when using
mobile devices.
Website Organization
The new design will have seven main landing pages:

 Home Page
 About
 Gallery
 News
 Announcements
 Bids
 Contact Us Page

These five pages will be "hardwired" into the design by WebDevDragon and links to them will
appear in the horizontal menu bar at the top of the page (below the logo and other header
content).

The website will also have an administrator dashboard which is secured and password
protected that allows the programmers and employees of BIWAD who will be in charge to be
able to add sub pages as they wish as well as the content without incurring additional cost
beyond the original design and landing pages fee.
Workflow
Preliminary Design

Working in conjunction with BIWAD, WebDevDragon will provide BIWAD with a preliminary
design concept for the new website.

BIWAD can at that point request one round of design revisions within the scope of the Fee
Schedule. If more revisions are deemed necessary at that point by BIWAD, the work will be
discussed fully before any additional fees are assessed.

Integration of Content Management System

Once the design is approved, then will incorporate the Content Management System into the
design as well as the basic features like social media integration.

If the website responsiveness feature of the website is approved, it will after then be integrated
on the website.

The website will be hosted on a test website server online and will have the address
http://webdevhero.com/test/biwad/. This will allow the employees of BIWAD check the updates
as well as the production feel of the website.

Training

WebDevDragon will then run a half day training session with BIWAD employees, showing them
how to use the Content Management System. This can be done on site or online.

Training videos will also be provided as a future reference to the training.

Launch

When all the content they wish to have at launch are incorporated, an approval of BIWAD will
be discussed to move the website from the test domain to the main domain, thereby making the
site go live. Congratulations!
Development Timeframe

The development speed will not be later than a month. The schedule will be as follows :

Fee Summary

Website Design and Setup PHP 12, 000.00

Includes the following :

 work with client to create a custom website interface


 set up website architecture and navigation system
 implement nameplate/logo placement and design
 create website mirror (test server) for beta testing purposes
 integrate content management system

Website Pages and Social Media integration PHP 12, 000.00

Using the webpage template developed during the initial design phase, this includes

integration of the main landing pages into site architecture and navigation:

o Home
o About
o Gallery
o News (Updates)
o Announcements
o Bids
o Contact Us Page

The Social Media Integration feature will be provided free of charge by the programmers.
Training and Training videos Php 1,500.00

The training includes a half day of website training usage and a video tutorial as well as a
printed manual on how to use the website.

Website domain and hosting Php 3,000.00

Includes the following :

 Setting up / Publishing of website to live

 Integrating preliminary contents like existing images,


announcements, and other media to the website

 1 year website hosting and domain name

Fast Indexing of website to Google.com and other search engines

Website Responsiveness Php 9,000.00

This includes creating and integrating responsive website technology to all of the pages,
as well as future contents (posts and announcements) of the BIWAD website to make it
fluid and easier to read for users.

Other Related Expenses Php 3,500.00

Total : Php 41,000.00


Fee Schedule
If BIWAD wishes to go forward with the project, here is the schedule for

payments of the fee:

50% due upon acceptance of the proposal before work commences

25% due upon delivering the completed design with the content management system in place

25% plus any incurred additional fees no later than 30 days from when the completed

design was delivered to BIWAD

WebDevDragon will launch the website when requested, providing that there is no balance due.

Terms and Conditions

Once project fee is paid in full to WebDevDragon, any elements of text, graphics, photos,
contents, trademarks, or other artwork furnished to BIWAD for inclusion in website are owned
by BIWAD.

The programmers assume BIWAD has permission from the rightful owner to use any images or
design elements that are provided by BIWAD for inclusion in the website, and will hold
harmless, protect, and defend programmers from any claim or suit arising from the use of such
elements.

The programmers retain the right to display graphics and other Web content elements as

examples of their work in their portfolio and as content features in other projects. They also
have to retain the right to place a discreet text link at the bottom of the website page(s).
The agreement contained in this contract constitutes the sole agreement between BIWAD and
WebDevDragon regarding all items included in this agreement.

Next Steps

To proceed with this project, BIWAD is required to take the following steps:

Accept the proposal "as is" or discuss desired changes. Please note that changes to the scope
of the project can be made at any time, but additional charges may apply.

Finalize and sign contract.

Submit initial payment of 50% of total project fee.

Once these steps have been completed we will begin the project.
