Updates to Editing Guide:

February 9th

Please review these notes before continuing work.

HEADING STYLES:

Please set your heading styles so that they do not automatically revert to blue text and Calibri. You can
do this by right clicking “heading 1” under the styles and clicking “Modify”. It will lead you to a
window that looks like this:
Adjust accordingly so that it matches the above (or whatever font size, alignment, etc, matches your
book).

Then, when you change your headings in the styles tab, the Heading 1 button should be updated
accordingly!

FOOTNOTES:

Please make sure the numbers on your footnotes are in EB Garamond too. A lot of them are still in
Calibri. Check the numbers in-text and in-footnote to make sure both are in EB Garamond. Check
your asterisks in-text and in-footnote to make sure they are also in EB Garamond. Make sure your
footnotes are formatted consistently.

CHAPTER TITLES:

Make sure these are formatted consistently. Do not press “enter” multiple times to make your chapter
start on the next page – this will just create lots of empty lines in the final document. To get each
chapter to start on the next page, please use “command+enter” (on a mac).

PAGE NUMBERS:

Make sure your page numbers are in EB Garamond as well. You can click where the page numbers
show up on the lower right and adjust the font accordingly.

BREAKS:

If you need to insert breaks for any reason (to do page numbers, to make footnotes start at the right
places), please ONLY use section breaks. Do not use a page break, do not use a “continuous” section
break.

TOC:

Right now, the TOC’s look sloppy. Remember, these books are going to be published. So, if the TOC
entries are all in caps, make sure the “CONTENTS” is in caps too.

Center the word “CONTENTS” as well please.

Also, a lot of entries have extra periods at the end of the chapter headings. They look very similar to the
dots leading to the page number but should not be there. I’ve had to manually delete a lot of them. To
solve this, when creating the headings, do not highlight the period when setting the styles. Then
it just won’t show up in the TOC. Otherwise, just double-check the TOC before you submit and
delete the extra periods.

There are also TOC’s with the page numbers still in Calibri. Double-check this before you submit the
book.

And, do not send me a TOC that has repetitive entries for the same thing. We don’t want to see
multiple lines leading to the same page number. See below for an example:

REMOVE PUBLISHER INFO:

This means both the publisher information on the copyright page AND the publisher info on the title
page. Right now, I’m seeing a lot of title pages with the publisher info intact. You need to delete them.

Below is an example of publisher info that may appear on the title pages (usually at the bottom of the
page) that needs to be deleted.
PAGE NUMBER REFERENCES:

Instead of using a comment, use a red tag that says [Page Number Reference] in the text itself, next to
the page number reference. Then on the title page, put:

Contains: [Page Number Reference]

If you’ve inserted other tags, the note on the title page should be adjusted to include that. So
if a book had images, adverts deleted, and page number references, the title page would
contain a note that looks like this:

Contains: [Page Number Reference] [Images] [Advert(s) deleted]

CONJOINED LETTERS:

I added this to the last update to the guide but it’s still a chronic problem. In fact, it’s the most
consistent problem in the work that I’m getting back.

Notice how the first one is connected – it reads as ONE character when you try to highlight it, instead
of TWO. To fix this, you need to delete the connected character and replace it with the two separate
characters. If your document contains these errors, it WILL be sent back to you to correct.

A quick way to fix them all at once is to search for the conjoined character and use the
“Replace all” function in Word. To do this: copy the conjoined character, paste it in the
“Search in Document” bar (or CTRL+F), and then use the “replace all” function and insert
the correct two letters to fix them all at once.

TITLE PAGES:

If there are numerous title pages, combine all the information (or pick the page that has the most
comprehensive information) and put that as the first page. Do not send me a book that has numerous
title pages, and do not transfer over any original markings on the title pages via screenshots. We
are preparing these books to be published, so we specifically DO NOT want extraneous markings on
them!

OTHER NOTES:

DO NOT spend your time adjusting the margins so your text fits exactly the way it does on the
original PDF. This will waste your time. We have layout people to do this after we are done with the
books.

FOREIGN LANGUAGES:

If you find that your book has substantial amounts of foreign language sections that you are unable to
process, please stop work and let me know. I will pay you the amount up until then and we will
forfeit the book. If there are a couple of words here and there that you are able to handle, please
continue with the book accordingly.

We are implementing a new intake system that will hopefully screen out these books, but it’s not an
exact science so I appreciate your help with this.

MISSING PAGES/TEXT:

If you find that you are given a book with missing pages/missing text/blurry text or anything that
would prevent you from being able to finish the book (and you have looked on archive.org to find
appropriate replacements), please let me know. We cannot accept books that are incomplete so it
would be no use for you to keep working on it.
DROP CAP LETTERS:

If you find that your book uses drop cap letter to start every chapter, please insert them using the Drop
Cap function in Word. If the letters are more elaborately illustrated, put [Drop Cap Letters are
illustrated] on the title page please.
