Web-Based Enterprise Resource Planning (ERP) System In Action at the Case of A


Catering Industry Company in Indonesia

The progress of integrated information technology has contributed greatly to the current
business development. All business processes within an organization have been widely
supported and facilitated by rapid advances in information technology. According
Sukoharsono (2012), because of the need for time and cost efficiency, entrepreneurs feel the
need to apply information technology in their work environment. The use of IT has brought
about a change in the way staff work. With the technology, the quality of every business
process is increasingly measurable.

ERP systems are important software tools that can help integrate and automate internal
processes and corporate data. Company data can be about the process of marketing,
production, purchasing, accounting, which is important to carry out the company's operations
and to achieve success.

Types of ERP Systems according to Loizos (1998):


a. Propiertary. Proprietary or licensed ERP systems include the following: Microsoft
Dynamics, SAP, Baan, Oracle, PeopleSoft, JD.Edwards and IFS.
b. Open Source. Conlon & Hulick (2006) states that open source software refers to
computer software developed and distributed under an open-source license. Anyone can
learn, change, and improve software for distribution. Includes: Apache OFBiz,
Compiere, Openbravo, xTuple, ERP 5, Opentaps, and Web ERP.

The purpose of the study is to explore the implementation of ERP by using Qualitative
Case Study Research in a catering industry company. Using primary data and secondary data
using multiple references and interviews. This study found that there are 3 aspects namely;
Knowledge of ERP, ease of operation of ERP system and integrity level. The study also
concludes that the Company has utilized ERP, and has determined that it is easy to operate
the ERP System. However, ERP does not mean there is no problem at all, the Company is
always consistent and continues to look for the best way to solve any problems that occur as
soon as possible.

Large and medium scale industries are selected as research objects which are AJC
Company. AJC Company has implemented ERP in various activities since 2011 until now.
Used in managing work contracts, purchases, maintenance of raw materials are abundant and
complex.

This research uses informants to collect data. Informants come from various AJC
Company divisions. The informants are asked separately to ensure that he has experience and
has the background to use the ERP system

Data analysis is done by writing interview result which can be used as supporting
evidence. To maintain corporate secrecy as an object of research, this study does not describe
the company's system in detail.

Results
The company has been managing the ERP system well. The company has IT
Administrators who are responsible for the technical problems of ERP systems. This IT
administrator understands the system very well and in detail. The responsibility for the ERP
given to the IT Administrator has shown that the Company really wants to maximize the
performance of the ERP system. The better and better the ERP system and the less technical
problems that occur, it will definitely help the performance of employees who implement the
system.

The organization of the ERP system by the Company is as expected by the user. The
managers explained that they found it quite easy to operate this system. The convenience felt
by users when operating the system is that the company has provided ERP training for all
ERP users in the company. However, technical failures during ERP implementation are
frequent, for this reason they still require some additional training devoted exclusively to new
staff.

Researchers found 3 aspects that support ERP system running well in oprasional
company, that is:
a. Knowledge of ERP
Based on the results of interviews by researchers, all informants or ERP users
have gained general knowledge about ERP. This is a basic requirement for an
informant or ERP user in order to operate the system properly. Adequate education and
training are essential to improve employee / user knowledge and skills and to
successfully achieve the system.

b. Easy to Operate System


From the interview results, ERP system is easy to use. However, there are
constraints when operating the system, such as: errors made by users in entering data,
unstable internet connection caused by sudden power failure and data overload caused
by the number of input data by the user. However, with the help of IT Administrator,
barriers can be overcome and will not hinder the company's operational activities.

c. Level of Integrity
Referring to the interview results, the data available in the ERP has been well
integrated. So, all employees can more easily access the data. With the integration of
existing data and data, ERP can help management make better decisions that can lead to
increased operational activities of the company.

Conclusion
Given that the company under study has a long distance from the operational location.
Operational report has an important role in a company because the company must always pay
attention, evaluate, improve the effectiveness and efficiency in its operational activities. The
ERP system implemented in the company under study has not been fully implemented.
However, the implementation of the ERP system in the operational activities of the company is
considered good, because the availability of 3 basic elements of the system, namely: Physical
components, human resources, organization, or industrial process. Moreover resources at Branch
and Head Office locations that perform daily tasks are professional enough and dedicated in
implementing ERP system.

And During the observation of the implementation, the ERP system in the Company has
also been implemented well that can be seen from 3 aspects of knowledge of ERP, ease of
operation of ERP system and integrity level. All informants understand the definition and
benefits of ERP, and have agreed that it is easy to operate ERP. The informant argues that ERP
is very helpful in integrating data and divisions in the Company.
