Data Mapping for ESComXML Files (Outbound)


Use
The preliminary ESComXML data model (ESCom data model, revision May 2014) defines the structure of the ESComXML file that is electronically exchanged
when between IT systems.
When creating documents, data needs to be mapped between data in the specification workbench and the data which is to be written into the ESComXML file.

Outbound processing of exposure scenarios only supports the preliminary version of the ESComXML Data Model. The ESComXML Data Model is only
available in English. The description of the preliminary version of the ESComXML Data Model can be found in the ESComXML Data Model section of this
document.

The preliminary ESComXML version is not a published version of the ESComXML Data Model.

Prerequisites

 You have implemented Specification Management (EHS-BD-SPE) in your system.


 You have implemented Phrase Management (EHS-BD-PHR) in your system.
 You have implemented the prerequisites described in the SAP Library under Phrases for Exposure Scenarios in your system.
 You have carried out the settings for generating ESComXML files described in the Customizing activity Specify Settings for Generating ESComXML
Files. These settings are necessary in order that the system can determine specification data for the ESComXML file.
 You have defined phrases that represent a substance or a mixture in the Customizing activity Identify Phrase as Substance or Mixture. You use these
phrases in the substance workbench to specify if a product is a substance or a mixture.
 You have assigned ESCom phrases to the units of measurement used in the Customizing activity Assign Phrases to Units of Measurement. When you
generate an ESComXML file, the system replaces the unit of measurement with an ESCom phrase.

ESComXML Data Model


The ESComXML Data Model defines specific cardinalities of sections, sub-sections and attributes. There are mandatory sections and optional sections in the
data model, as well as mandatory and optional attributes. The structure of the data model is described in the following chapter, together with information
regarding which data is taken from the SAP system in order to fill the ESComXML file.

Root Section
The highest section of the ESComXML Data Model is “ESCOMXML_TOP“, also called the root section.

The root section is a mandatory section and it contains the following attributes in the ESComXML file:

Types of ESComXML files:

 PROD
The ESComXML file is generated for a product. In this case, the generating system is the EHS system of the supplier that sold the product to a customer
and sent the ESComXML file with the extended safety data sheet.
 SUB
The ESComXML file is generated for a substance. This is the case of an own registration. The system that generates the ESComXML file is the system
in which the chemical safety assessment is carried out.

In the ESComXML Data Model, additional sections can be assigned to the root section (ESCOMXML::ESCOMXML_TOP). The following assignments with the

The sections for supplier and product (see the following chapter Product) are only filled if the attribute ‘Type’ is filled with the value PROD in the root section. An
ESComXML file can only provide information on exactly one supplier. These entries must be filled if the ESComXML file is sent to a customer.

Substance Section
The substance section in the ESComXML Data Model describes the hazardous ingredients of the product; these are also provided in chapter 3 of the extended
safety data sheet.

The substance section is optional if the attribute Type in the root section has assigned the value PROD. The substance section is mandatory if the attribute Type
in the root section has assigned the value SUB. See Root Section above for further details.

The substance section contains the following attributes in the ESComXML file:

A separate substance section is created in the ESComXML Data Model for each hazardous ingredient. This means that the product section can be assigned one
or more than one substance section.

You maintain hazardous ingredients at product level (REAL_SUB) in the value assignment type Hazardous Ingredients (GHS) (SAP_EHS_1012_022). If you use
a different value assignment type to maintain hazardous ingredients, you can define this in the Customizing activity Specify Settings for Generating ESComXML
Files.

If the system cannot determine hazardous ingredients when generating the ESComXML file, the system issues a message in the generation log. The type of
message depends on the settings you have made in the Customizing activity Specify Settings for Message Types for Checks; these settings control system
reaction (Defined Composition Does Not Contain Valid Entries).

If a hazardous ingredient only contains an exception value and no details regarding the concentration in the composition, this ingredient is not taken into
consideration in the ESComXML file in the substance section.

Lead and Priority Substance Sub-Sections


Each substance section can be assigned one or more sub-sections for lead and priority substances.

The lead and priority substances sub-sections contain the following attributes in the ESCOMXML file.

Lead and priority substances are maintained at product level in the value assignment type DPDplus (EU) (SAP_EHS_1012_026). You assign substances that are
lead or priority substances in the composition. If a substance is both a lead and priority substance, you create 2 instances.

The system determines for each substance whether a lead or priority substance is listed in the value assignment type DPDplus (EU) (SAP_EHS_1012_026) on
the Composition tab page.

The individual attributes of the substance section, as well as which data is transferred from the SAP system to fill the attributes in the ESComXML file, are

Exposure Scenario Section


As a minimum, you need at least one exposure scenario for a product to create an ESComXML file.

You can assign exposure scenarios at either substance or product level. For this reason, there can be one or more than one exposure scenario section under the
substance and/ or product section in the data model.

The exposure scenario section contains the following attributes in the ESComXML file:

You maintain exposure scenarios at product level (REAL_SUB) in the value assignment type Use and Exposure Scenario (SAP_EHS_1027_001). You create an
instance for each exposure scenario. You also assign an exposure scenario Header Data Specification (specification type ES_HEAD) in the specification listing to
this instance. For more information, see Structure of Exposure Scenarios in the SAP Library.

You assign an exposure scenario to a substance or a product using the characteristic Substance for Exposure Scenario (SAP_EHS_1027_001_SUB_FOR_ES)
in the value assignment type Use and Exposure Scenario (SAP_EHS_1027_001). The following logic is implemented:

 If a substance is assigned to a substance that is also contained in the hazardous ingredients, this exposure scenario is assigned to the substance section
in the ESComXML data model.
 If an exposure scenario is not assigned to a substance or a product, this exposure scenario is assigned to the product section in the ESComXML data
model.
 If the exposure scenario is assigned to a substance that is not contained in the hazardous ingredients, this exposure scenario is assigned to the product
section in the ESComXML data model. The system also issues a message in the generation log depending on the message type. The message type
depends on the settings in the Customizing activity Specify Settings for Message Types for Checks, and this controls system reaction (Check: Foreign
Substance Assigned to Exposure Scenario).

If you wish to assign Guidance to Downstream Users directly to an exposure scenario, maintain the data in the Exposure Scenario Header Data specification
(specification type ES_HEAD) in the value assignment type Guidance to Downstream Users (SAP_1027_015). This guidance is then valid for all uses that are
defined in the assigned contributing scenarios.

Each exposure scenario can have one or more than one Contributing Scenario Consumer section assigned.

Each exposure scenario must have at least one Contributing Scenario Worker section or one Contributing Scenario Consumer section assigned, depending on
whether the exposure scenario is an example of worker activities or consumer activities. For more information, see Structure of Exposure Scenarios in the SAP
Library.

The Contributing Scenario Consumer contains the following attributes in the ESComXML file:
