1.1 Background of the study
According to littlehotelier, (2016), a hotel management system is a software
application that is implemented by hotels to allow guests to create secure online
reservations and hotel management administrators to control internal hotel operations .

According to Macmillan Dictionary, (2002), an online reservation system is “used


to store and retrieve information about tour product, tour product options or
lodging facility and conduct transactions for booking it.” Contribution is something
that you do that helps to achieve something or to make it successful.

Online management systems are not just a place to book a reservation, but a
search database for potential guests to find the right hotel for the occasion, in the right
location, and at the right time (Lee, 2006).

Therefore, many hotels in Uganda including Capital Palace Hotel have embraced the
use of Information Communication Technology (they have websites, computerized
systems used for accounting) but online hotel management systems have not yet
developed to meet the public demand yet it is one of the great contribution of
online hotel reservation system on customer service satisfaction as Tourism Industry in
Uganda is one of the income generating sectors due to tourists who come and make
use of these facilities.

The hotel management system can be synced, not only with the current website
being used by Capital palace hotel, but also with social networks like Facebook. This
allows guests to reserve rooms in a way that is convenient for them via online hotel
management system platform and social media platform as well. In addition to allowing
guests to book online directly, Hotel management control internal operations like
managing vacant rooms, different departments among others this hotel management
systems can also provide hotel operators with additional resources like distribution
of their products and live availability simultaneously to their entire network of online
agents. This has prompted researchers to come up with the idea of designing an online
hotel management system for Capitol Palace Hotel
1.2 The Statement of the Problem
With use online hotel management system client’s information is safe, centralized in one
database and also increases on the company’s productivity.
According to the House keeping manager Capital Palace Hotel Naguru, the hotel has a
website which doesn’t not keep track of the vacant rooms and other operations with in the
hotel. Most of the records with the hotel are kept manual with in paper files and use of
Microsoft excel databases. The papers are subjected to destruction and it has resulted into
loss of important files and in most cases relating to customers payments making
accountability a serious problem. More so, with the increase in the number of
transactions at a hotel, the total workload of the staff has become so big that the company
is employing more staff to handle the ever- increasing amount of paper work. The manual
system is inadequate for this type of work. In order to manage the records appropriately
and monitor the vacant and occupied rooms together with managing rent fees for its
tenants, Capital Palace desires to have a system that can be used to manage problems
associated with the current system.
