SALES AND INVENTORY ONLINE MONITORING SYSTEM OF AJJ-CJ COCA-COLA ENTERPRISES

CHAPTER I

1.1 Overview of the current state of the technology

AJJ-CJ Coca-Cola Enterprise has been operating since 2002. It started with just a small store in
Don andres Ipil, Zamboanga Sibugay, It was owned and mage by Cesar Gardose. The business is know for
ordering and delivering all Coca-Cola products such as coke, sprite, royal, wilkins mineral from ounce to
liters. They also accept walk-in Costumers.

Besides that, the primary goal of the business is to maintain the good relationship to the
customers by providing a quality service and products because the trustworthy business is honest to
their mission and vision. That’s why providing an excellence service through products and strong
partnership with dealers and customers are the satisfactory of business image. Through online ordering,
it helps the business to become more popular by marketing to the internet world.

Then, the business is used to have a process of manual ordering where in the customer/s can
also browse the info of the business through facebook or by visiting the shop. If the customer decided to
purchase or buy the products then they will just pay it through direct deposit on their business bank,
walk in or pick up, cash basis or through shipping. However, the store also provided a delivery service.

Since the business is using the manual method of generating and keeping a record day by day. Loss of
records and products and monitoring of the condition of products if it has a damaged are most of the
problems encountered, because of using logbook, excel and physical inventory. The store also provides
hard copy and softcopy for the backup of their files. In reality, it’s nonsense for them because
sometimes in softcopy, the flash drives infect by viruses while in hard copy, the business encounter
misplaced of records and losing it.

An Online Ordering System with Inventory Management will help to facilitate the work of the owner of
AJJ-JC Coca-Cola enterprise. The proponent will be supposing to make an Online Ordering System with
Inventory Management that will help to lessen the problem and manual works of this business. Slow
processing of records and inventory due to manual transactions of every records of AJJ-JC Coca-Cola
enterprise. Time consuming is a main tackled problem that the business encountered and also the
manual records of sales.

1.2 Statement of the problem

Manual recording of an Ordering System and Inventory Management and loosing of some files and
record by misplacing the important papers of every individual customer. Time consuming of every
transaction needed to be recorded.

1.3 Research Objectives

The proponents now endorse our proposal which can help to implement good and accurate system
to the company. The proponents gave their best to satisfy the current needs of the business by making a
Online ordering and inventory system that will help them in their business. Develop and implement
Online Ordering and inventory system for AJJ-CJ Coca-Cola Enterprises that will enhance the company’s
operation.

1.3.1 Genera Objectives

To develop and implement an Online Ordering System with Inventory Management to monitor
the incoming and outgoing items.

1.3.2 Specific Objectives

Objectives 1. To provide an efficient way of generating a report.

To speed up every process like ordering, purchasing and even manual inventory so that it can
save more time using the proposed system.

Objectives 2. To help the business to secure all the important files for the privacy of the store
information.

To have a backup for their files or documents for every transactions and inventory written only
on their logbooks.

Objectives 3. To provide a system that will enhance the relationship of seller between the customer.

Sometimes the business that the picture uploaded was not same as its real figure.

Objectives 4. To provide a system that will catch the attention of the customer having complete and
specific information needed by the customer.

Competitions is the one of the main problem encountered by the client.

Objectives 5. To provide a system that taking care the privacy and ensure the security of Stacey’s Online
Shoppe.

Blocking of online shop of business was the main problem also that the business encountered.
1.4 Scope and Limitation of the research

SCOPE

This study focuses only on Online Ordering and Inventory Monitoring System of AJJ-CJ Coca-Cola
Enterprises. Along the process, the sales incurred by the said establishment will be computed and updated
automatically during every transaction and recording of products will be made accurate, fast and reliable
due to the reduction of human errors accuracy of data provided by the system. The system will also
provide automated and dynamic searching of products to respond to product inquiries; it will generate
accurate records on the inventory, sales and transaction; and lastly, it will provide system security to
protect the business data stored in the database obliging user to log in and open their specific account,
which in turn, are granted by the system administrator, manager or owner.

LIMITATION

The proponents have come up with the following limitations in the proposed system:

 The proposed system does not accept any other options of payment like ATM and credit cards.
 The proposed system cannot accept order outside the areas of Zamboanga Sibugay.
 The proposed system will not accept cancellation of orders when given 3days for deciding to
cancel was left.

1.5 Significance of the research

In this proposed system, “Online Ordering and Inventory Online Monitoring System AJJ-CJ Coca-Cola
Enterprise” will provide an alternative way for efficiency to give their customers a fast, secure and
reliable service.

Changing manual system to a computer-based system will make a big difference in the existing
system of AJJ-CJ Coca-Cola Enterprises. The major beneficiaries of the system are the following:

The Company - The implementation of the proposed system will enhance the company’s
transaction. The system will secure all the records of the AJJ-CJ Coca-Cola Enterprise, they’ll
have an accurate detailed and timely reports of the transaction made by the store.

Owner and Staff. The developed system could lessen the difficulties in managing the inventory
count which is a key activity of business logistics and a major preoccupation in the entity’s daily
activities. This would also minimize their time in doing a yearly physical count because of the
computerized system that can search and update records quickly.

The customer - The customer will also benefit because they will not experience insufficient
service and slow transaction process. Customers will not experience a long time waiting for the
calculations for the price of the product purchased.
Future researcher. The study will serve as a guide for other students or researcher who are also
conducting similar study on Ordering and inventory system. The study will also give them the
ideas and hints on what kind of system the future researcher will plan to make.

Other Coca-Cola franchised business - would have an idea of upgrading from manual system to
computerized transactions.

CHAPTER II

2.0 Review of Related Literature

Introduction

This chapter presents a brief discussion of the literature reviewed by the researchers which
further enriched the conceptualization of the study and helped in describing the cognitive design that
guided the conduct of the researcher.

For further understanding of the study, the researchers made use of different reading
materials related to the online system. These materials such as books, magazines, newspapers, thesis
and other web articles are essential in broadening the knowledge of the researchers. These will also
guide the researchers to achieve their target objectives by getting ideas on other related studies and
make improvements as possible.

The information gathered by the researchers focuses on the development of e-commerce or


online marketing and its advantages to the economy, consumers and businesses. Security measurement
information in terms of payment and customer’s privacy to be considered in developing an online
system are also obtained.

The researchers also sum up the different techniques on how to gain web visitors and eventually
convince them to purchase the products based on some surveys gathered by the past studies. Some of
the programming background skills needed to create a website is also being discussed to further
understand why the researchers chose PHP5 as front end and MySQL as backend of the proposed
system.

since 16% of the population is using Internet. This new marketing strategy will not only benefit those big
companies but also the small businesses who cannot afford to advertise their products. Just by creating
a website in a very affordable cost would make the business grow in terms of sales and enhance the
company image as well.

Philippine firms have yet to fully tap the potentials of e-commerce that will help them to compete
in domestic and global markets. In the process of preparing themselves to conduct e-commerce, these
firms will be changing the way they do business. These changes are expected to have an impact on the
welfare of Philippine workers. Most efforts to measure the economic effects of e-commerce—including
those on workers’ welfare—have focused on the U.S. and Europe, who are considered to be the leaders
in e-commerce. (Roberto, 2002) In general, it discuss the changes in the nature of work from the front to
back office is likely within the sectors performing services Employment demand for these industry, they
may be focused away from agents and blue collared workers, toward higher management and executive
staff.

As Filipinos entered the 21st century, local e-commerce transaction reached Php 1 billiion. It
shows that there’s at least one billion transaction sales growth annually. If this trend continues, figures
can reach up to Php 20 billion as more businesses conduct online transactions. If significant economic
growth takes place in the next 10 years, these estimates may even double or triple (Toral, 2004).

One indisputable benefit of e-commerce is its ability to reduce transaction costs. For consumers
or buyers, this is most likely to take the form of lower search costs and better information on products
and prices. There could be drastic savings in production and delivery costs of electronic or digital goods
as well. (Lee, 2006)

part of the day-to-day life of every Filipino across all levels of our society. The occurrence of
communication technology around the world necessitates that government get on a cohesive and
coordinated strategy on how to prepare its citizens to survive, live and thrive in a digital world.(The

the paper is to have a competitive society where everyone has a reliable, affordable and secure
information access in the Philippines.

2.1.2 Foreign Studies

The web has become an opportunity for the marketers to add value to products and
services. The phenomenal growth and rising of the popularity of the internet and the World Wide Web
have become a key to attract more consumers and businesses to engage the benefits of Electronic
Commerce (E-commerce). This E-commerce is sited as any form of business transaction in which the
parties interact electronically rather than by physical exchanges or direct physical contact (Aldin,
Brehmer & Johansson, 2004). This has transformed the traditional commerce and enhanced sales and
exchanges of merchandise and information. It is not just considered as single entity of technology but a
combination of technologies where applications, processes, business strategies are necessary to do
business electronically. The availability of goods and services with the click of a mouse is changing the
global setting.

marketing, there are several criteria to be considered first before developing website. These are the
target visitors, the web design, security, maintainability, reliability, handiness, quality and ease of use.

The researchers aim is not just build a website but a customer-converter online marketing by
providing adequate details of the products, user-friendly interface, secured payment transaction,
search-engine friendly and easy-to-maintain environment. The proposed system will not just build to
advertise all over the web but to provide good services to the target visitors. These considerations will
help the company in gaining a good image and eventually attracting more customers to buy their items.
