JOINING INSTRUCTIONS
2019/2020 ACADEMIC YEAR

1. CORRESPONDENCE
All correspondences to the University should be routed through your
Head of Department and Dean of School. Also, you should quote your
year of study, programme and registration number as shown on your
Identity Card.

2. ORIENTATION WEEK
All freshers are required to report at Ardhi University for the orientation
and registration week, which begins on Monday, 28th October, 2019.
You should ensure that you register at University level first and then at
School level. University Registration will last for two week from the first
day of the orientation week. Note that only those who have paid all
the registration costs and at least 50% of the University Annual
Fee will be allowed to register. Registration of first year students will be
closed formally on Friday, 08th November, 2019.

3. RESIDENCE
Due to limited rooms in the hall of residence, priority is given to foreign
students, the physically disabled and female students from upcountry.
Adhering to accommodation agreement/contract is a must. Cooking is
strictly prohibited in the Halls of Residence.

4. DEFERREMENT OF STUDIES
Students who have been selected but cannot join the University for any
reason cannot defer the admission to the next year. Such students need
to apply afresh for the coming year.

5. CHANGE OF COURSE/PROGRAMME
Except in exceptional circumstances, no student will be allowed to
change subjects/courses or programme later than the Friday of the
fourth week after the beginning of the first semester. Transferring from
one academic programme to another will be allowed only where the
student has the required admission criteria for the academic programme
for which transfer is being sought and vacancy exists in that
programme.

6. CHANGE OF NAME
No change of name will be allowed during the course of study. Students
will be allowed to use only those names which appear in their
certificates.

7. POSTPONEMENT OF STUDIES
Postponement of studies is not allowed except under special
circumstances, e.g. sickness, serious social problems or severe
sponsorship problem. Application for postponement for those being
sponsored by HESLB must be routed through it for approval.

8. IDENTITY CARD
During your studies at ARU, you will be issued with New Identity Card at
the beginning of each academic year.

9. DRESS CODE
During your studies at ARU, you are required to observe appropriate
dress code as provided by Students’ By-Laws 2018 and University
Circular on Dress Code for Staff and Students. Posters of allowed and
not allowed dress are provided at the main entrance gate and other
public places at ARU.

10. REGISTRATION PROCESS


Registration will be done online through the Academic Management
Information System (AMIS). Registration is subject to payment of the
requisite University fees as stated in respective admission letters. In
order to evoke the registration process, students will be required to:

a) Log in using their registration numbers as usernames, and their


surnames in capital letters as their initial passwords in AMIS ,
then they should fill in their basic details;
b) Pay the requisite University fees for the respective programme as
stated in respective admission letters by using their payment
control number found in their portal on the payment menu.
Payment of fees will be done through the Government Electronic
Payment Gateway (GePG);
c) Submit original academic certificates and birth certificate to
respective Heads of Department for verification;
d) Upload all certificates (academic, birth) and registration form into
AMIS); and
e) Print the uploaded forms and submit them to the office of the
Director of Undergraduate Programmes for verification and
records.

f) Registration will be done online through the Academic
Management Information System (AMIS). Registration is subject
to payment of the requisite University fees as stated in respective
admission letters. In order to evoke the registration process,
confirmed students will be required to:

Fee payment can also be done using any Mobile Network Operators
(MNO’s) i.e. MPESA, TIGOPESA, AIRTELL MONEY, CRDB SIMBANK AND
NMB MOBILE.

To complete payments using the using Mobile Network


Operators (MNO’s), students need to follow the following steps;
a) Dial the menu option and select Pay Bills.
b) Select option (Government payments)
c) Enter the control number (12 digits) obtained from item (ii) above
d) Enter the amount payable.
e) Print receipt confirmation message from GePG and submit it to
bursar office to get University receipt.

11. REQUIRED DOCUMENTS AT THE TIME OF REGISTRATION
In addition to the Bank pay-in slip, students will also be required to have
the following documents in order to expedite the registration process:
a) Original and two photocopies of Certificate of Secondary
Education Examination (C.S.E.E.), Advanced Certificate of
Secondary Education Examination (A.C.S.E.E.) or Diploma
Certificate;
b) Two up-to-date passport size photographs bearing your name,
and programme of study at the back;
c) Original and two photocopies of birth certificate certified under
the Birth and Deaths Registration Ordinance;
d) A dully filled Medical Examination Form (Form C); and
e) A dully filled Registration Form

12. ORIENTATION WEEK PROGRAMME


Obtain a copy of the Orientation Programme from the Dean of Students
office.
