RESERVATION LETTER

 A letter of making a reservation is a letter that is sent to reserve a place


somewhere, such as a conference, function or activity. This letter will either be a
reply to an invitation or request on its own. A reservation means booking of
anything. A reservation letter is considered as a tool about the agreement of
something. After the last stage of negotiation, the reservation letter is usually
written. Once the parties have agreed, then only a reservation letter is written to
seal the agreement. It is a formal confirmation letter.

A letter of reservation is a short letter. So, you have to be concise in specifying all
information necessary for your communication. When applicable, ask for a written
confirmation of the reservation. For example, when requesting a reservation for a
room in a hotel, detailed information about what you want like: the kind of room (with
or without bath); the kind of bed (low priced or medium priced); the day and hour of
arrival; the day and hour of leaving; and the price or rate. A letter to answer a
request for reservation repeats the necessary details mentioned in the original letter.
It is concise, courteous, and expresses appreciation.
RESERVATION LETTER WRITING TIPS

 A reservation letter must be written when all the deals are finalized and agreed
upon.

 To make the letter simpler to read it is advised to use bullet points.

 The name of the addressee must be explicitly mentioned to avoid any ambiguity.

 The reservation letter must be signed by all the parties involved in that
agreement..

 All the details must be provided when this reservation letter is written for a hotel
booking.

 There must not be any punctuation or grammatical error.

 The letter must be provided with a contact number so that it can be easy for the
addressee to communicate with you for any details.
