METHODOLOGY:

Business correspondence have various types. Each type has its own significance. As human

civilization becomes modernized, business correspondence has evolved from papers and pen to

digital media including text messages through phones, faxes, and emails. All over the world,

English language has its own contribution to business correspondence.

Different types of business correspondence:

The business correspondence is broadly classified based on purpose of communication

and based on the persons involved in the communication.

1. Internal correspondence
2. External correspondence
3. Sales correspondence
4. Personalized correspondence
5. Circular correspondence
6. Routine correspondence

1. Internal correspondence:

The correspondence or written communication between the individuals or groups

within an organization is called internal correspondence. It may be informal if the

information is short and quick. Internal correspondence is necessary for mutual

sharing of information like approval or disproval for any tender, promotion,

memos, roadmap to future products, etc. This correspondence may flow

horizontally (between individuals of same level), upward (letter from lower level

to higher level) or downward (letter from higher level to lower level).


Example: A written communication from a supervisor to a worker for absence in

work. Or a written communication for issuing information to the staffs.

2. External correspondence:

The correspondence between two different organizations or between an

organization and outside the organization is called external correspondence. This

correspondence must be formal type. This helps in having mutual relationship

outside an organization. An advertisement from a company is also a type of

external correspondence. This includes written communication from an

organization to dealers, customers, sponsors etc...

Example: A written communication between consumer and company regarding

any complaint or feedbacks.

3. Sales correspondence:

The correspondence regarding sales of products is called sales correspondence.

It includes purchasing letters, marketing letter, offer letter, tenders, sponsorships

etc. This correspondence helps in promoting a company’s product to markets. The

main motive of this correspondence is sales. so, it should be in formal. The sales

letter plays an important role in a company’s marketing.

Example: a purchase letter from a consumer to a shop.

4. Personalized correspondence:

The correspondence or a written communication that is written personally and

emotionally regarding business is called business correspondence. This

correspondence is mostly informal. This written communication generally

contains personal opinions, may not related to business but, may be helpful in a
healthy relation between a worker and higher authority This includes thanksgiving

letters, appreciation letter, recommendation letters etc.…

Example: A letter from a manager to an employee on appreciating his work

personally

5. Circulars:

The Circular is a method of conveying general information to many persons

through written communication. The circulars are also called as fliers. This

written communication helps to transmit general information to mass of workers.

Circulars may also be helpful in advertising. This includes transmitting messages

regarding any changes in schedules, dress code, invitation to a business meeting,

upgradation of daily routines, announcement of increment or bonus, new tenders

etc. This correspondence mostly informal and short.

Example: A written communication to announcing bonus in the company to the

employers.

6. Routine correspondence:

The correspondence that regarding the daily activity or daily routine is called

routine correspondence. In this correspondence the reader should be able to catch

the main information on partial reading. This correspondence is generally very

short. This written communication is quick and used to pass short messages. It

includes appointment letters, short notices, bulletins etc...

Example: A written communication from a manager regarding appointment of

new worker to supervisor.

particular subjects related to the topic

2. Data collection: The data related to the project were collected with the help of various

resources, including internet, library.

3. Analyzing many companies interest toward business correspondence.

Approaches:

1. Influences of various languages in business correspondences, particularly the main theme

of the project is influence of English language in business correspondence.

2. Methods of business correspondence used in various business sectors. And to find the

most used method. The influences of each method are observed.

corporate companies.
