1) SESSION DESCRIPTION:

Individual and team success depends upon the ability of individuals to communicate with
others, face to face, as well as virtually. Every interaction with another person determines
how you are perceived and every interaction is an opportunity to develop trust and exert
positive influence. Whether presenting one to one or to an audience of one thousand,
conveying information to a project team or delivering a difficult message, communicating
effectively is one of the most powerful skills for achieving your objectives.

This session will help participants in developing communications skills. This training session
will increase participant’s knowledge.

2) OBJECTIVES OF THE TRAINING SESSION:

The objectives of the training session are to:


 Help participants to acquire the concept effective communication
 Help participants to identify filters/barriers and develop methods to break down
those barriers
 Practice active listening and speaking
 Learn to communicate and facilitate effective group interactions
 Tips to improve communication

3) CONTENT OF THE SESSION:

The session will cover following topics:

 What is communication
 Importance of communication
 Key communication elements
 Filters/barriers to communication
 Common ways of communication
 Tips/consideration for effective communication

4) TARGET GROUP:
This training session is intended for students who are near to their graduation so that they
can interact and communicate easily and effectively in the corporate world.

5) RESOURCE PERSONS:

Highly qualified trainers with practical know how of effective communication were drawn
from Bahria Institute to make presentation and conduct training session on topics for the
program.

They included:

6) SESSION PROCESS:

The training program involves individual and group exercises as well as input from the
trainers, and presentations from guest speakers, specializing in their domain. The following
approaches were used
 Lectures
 Discussions
 Group/ Syndicate work which constituted a means for developing the skills of
participants
 Case studies
 Videos

7) TRAINING OVERVIEW:

A. OPENING OF THE SESSION:

The workshop will be on May 20, 2015 at about 1.30 pm by Shumaila - Snr lecturer
and consultant at Bahria Institute. She will emphasize on the importance of the
communication, since it will impact development of skills in the participants. She will
therefore ask participants to participate fully and actively in the session so as to
derive the maximum benefit from it and realize the session objectives.

B. PARTICPANTS EXPECTATIONS:

The expectations were found to be in line with the objectives of the session.
Participants will be encouraged to monitor the session process and draw the
attention of the facilitator if some expectations were not being addressed.

C. LECTURE ONE: INTRODUCTION AND IMPORTANCE OF COMMUNICATION

The session will be delivered by __________________. It was to give participants a


quick overview into the concept of effective communication and its importance.
Participants will also have the opportunity of watching a 2-minutes video clip on
effective communication.

D. CASE STUDY REALTED TO ELEMENTS OF COMMUNICATION:

Apart from lecture session there will be a case study session through which students
will be able to identify key communication elements.

Case: A senior researcher from Pakistan, who worked for a German pharmaceutical
company, didn’t know how to talk to his supervisor (as he was working from home
to ask for a promotion). He felt he was not being valued for his contributions though
his contributions were very crucial for company’s success. He was ready to leave the
company!

E. VIDEO RELATED TO FILTERS/BARRIERS FOLLOWED BY AN ACTIVITY:

There are many barriers can obstruct effective communication. These barriers
includes: noise, distractions, lack of interest, discomfort with the topic, distance etc.
So a short video clip related to the “barriers in communication” will be shown to the
participants. Afterwards they will be asked to guess the barriers they have identified
or seen in the video with the help of cloud activity.

F. COMMON WAYS OF COMMUNICATION FOLLOWED BY AN ACTIVITY:

In this session ways of communication will be delivered.

Activity: On-going Telephone


This game is designed to improve people’s skills in both listening and speaking. It is a
somewhat old game that is still quite effective today. Many people may remember
playing this game as a young child in school, as teachers often use it to show how
gossiping and not listening can be harmful.
However, this game can be very effective for families and employees as well. The
first person in the game must simply choose a phrase and quietly whisper it in the
next person’s ear. That person will then whisper the phrase to the next person and
so on until they reach the last person in the group.
Once the last person has listened to the phrase, each person must write down what
they thought they heard. The group will then be able to see how much the phrase
changed as it was passed down the line.
This game, shows people the importance of getting information from the initial
source rather than from other people and the barriers that occur while delivering or
transforming of information.

G. TIPS/ CONSIDERATIONS:

Finally tips and considerations will be given on how to communicate effectively


which includes the following:
 Keep appropriate distance
 Take care of your appearance
 Maintain eye contact
 Smile genuinely
 Speak clearly and audibly etc

8) CONCLUSION:

Session will be closed on May 20, 2015. At the end of the session participants will be asked
to evaluate the training in terms of relevance and effectiveness of delivery as well as
meeting objectives and expectations. The evaluation of the participants will indicate that the
session was successful. Objectives of the training session and expectations of participants
will try to be met. The experiences, skills, knowledge, activities, videos and interactive mode
of presentation will make facilitation friendly, lively and helpful.
