JOB TRUST INFO LETTER – CODES FOR CANDIDATES WHILE

WORKING IN HOTELS

Dear Applicant,

The reason you get this email is that you have already been selected by one of our
hotels. Below, you will find listed the necessary qualifications that you should
possess, the hotel’s internal code of conduct which students and employees should
follow, the dress code and the internal regulations for residence in the staff
apartments. We hope that this information would help you during your future work in
Greece and would make you to avoid problems with your colleagues, supervisors and
managers.

EMPLOYEES’ QUALIFICATIONS:

 Very good knowledge of the English language (the knowledge of any other
languages, e.g. Russia, German, French, etc would be appreciated)

 Good attitude towards the guests and their supervisors

 Willing to complete the whole duration of the contract and gain experience

COMPANY’S INTERNAL CODE OF CONDUCT:


Students & Employees:

 should be on time for work (in case of absence, they should inform their
supervisor) and not sleeping during work

 should give to their supervisor a doctor’s diagnosis, when they are absent due
to illness

 should not hang around in the hotels (they should be in the hotels, only while
they are on duty)

 should not invite family or friends, in the hotels, unless their supervisor is
accordant with that

 should participate in all the meetings with employees

 should take care of their personal hygiene

 should not swim in the hotel’s swimming pool or at the adjacent beach.

 should not have any personal relationships with other staff or guests of the
Hotel.
 may not go to another person’s room, or to take anyone to your room.

 cannot sign contracts with any third party, or take any commissions from
anyone, while under contract.

 should not use their mobile phones or the hotels’ phones to make calls when
they are on duty, unless it is an emergency

 whenever needed can use the staff bus, which they should keep in great
condition (smoking is not allowed)

 can smoke only in restricted areas determined by the department manager

 in most hotels, should only enter and exit the hotel via the staff entrance and
use the elevators until a certain time

 can have free meals in staff restaurant, which they should keep in great
condition (breakfast, lunch, dinner/ smoking is not allowed)

 should have their meals only at the staff restaurant of the hotel, where they
work (they cannot use the staff restaurant of other hotels)

 are not allowed to buy, sell or use alcohol, drugs or weapons

 should not violate the company’s policy for the forbidding discriminations
against people concerning race, nationality, sex, sexual preferences or other
personal characteristics

 should avoid the taking of any company property without the previous written
approval of the management. The destruction or contamination of files,
documents or electronic data of the company is strongly prohibited as well the
cause of damage or destruction of tools, equipment, material or products of the
company

 can always discuss everything that comes up with their supervisors and obey
to their instructions about the job procedures

 Violation of even one single from the above obligations is a major reason for
firing the violator.

DRESS CODE:
Students & Employees:

 should wear their uniform, while they are on duty

 should not wear their uniform outside of the hotels’ premises

 should keep their uniform in great condition (clean, ironed)


 should be dressed properly, whilst they are in hotels’ premises (they should not
wear swimsuits or provocative clothes-sandals, opened and high-heeled shoes
are not allowed). Watches and wedding rings are permitted.

STAFF HOUSE:
Students & Employees:

 have the right to use free of charge accommodation, in the staff house, as long
as this is agreed

 have to keep the staff house in great condition (all damages will be charged)

 should not invite family or friends, in the staff house, unless their supervisor is
accordant with that

 should respect their roommates’ or their neighbors’ privacy (they cannot have
parties etc)

 should maintain the best possible standards of cleanliness and keep their
personal belongings tidy.

 should not turn the music or television up very loud as it may annoy
neighboring guests or staff. This is especially important after midnight.

 should not forget to turn off water and electric appliances and lights before
they leave the room.

 Broken material should be paid for or replaced by the staff living in the room
or apartment.

 It is forbidden to go out until late at nights after 01 am., as it is not possible to


be fit for work the next day. It is permitted to go out later than 1 am., only one
night before your day off, so you may sleep in, on your day off.

 When you enter the area of accommodation late at night, do not be loud, as
other people may be sleeping. Respect your neighbors. Some colleagues start
work very early in the mornings and wish to rest at night.

GENERAL RULES

 Staff always smile, greet the hotel guests and members of the hotel staff. (also
in Greek, if you are able to learn the basic terms)

 Staff always have to be happy, social, helpful and polite.

 Staff never argue, with or in front of a hotel guest or other Staff. Sort out all
differences in the privacy of your rooms, in a quiet and civilized manner.

 Never talk bad about the hotel where you are placed to work, to ANY person.
 Never discuss personal problems or team problems with the hotel guests.

 Never ask for money, cigarettes or drinks from the hotel guests or other staff.

 Staff that do not respect the rules of the hotel and do not follow the orders of
their chief will be removed from the hotel.

 If you face a problem with client(s) and you do not know what to answer or
they seem angry, call your supervisor and let them handle the situation.

 Never promise the guests anything, even if you have the consent of your
supervisor.

 If you are found to be taking or handling narcotics of any sort, the police will
be informed immediately, and you will be dismissed from the company.

 Each staff is obliged to have proper communication skills and mix well with
people of all nationalities.

 Every staff is responsible for a good relationship with the rest of the team.

 Do not forget that this is a place for learning and work and not for holidays.
