Calibration or Inspection to
Work Notification
Demo Script
Objective
The purpose of this script is to demonstrate condition-based maintenance using an inspection or
calibration activity. The defined activities have associated Quality Collection Plans with
predefined conditions associated with actions to trigger additional work, record a quality action
log and send notification indicating the need for additional work based on the condition. At
operation or work order completion, an associated quality collection plan triggers actions based
on results entered. The generated work can have a predefined Activity, which has been defined
with one of the examples. Content variables with inspection activity are provided for Fleet,
Facilities and Retail. Content for demonstrating using calibration activity is provided with
industry variables for Life Sciences, Medical Devices & Pharmaceuticals.
What's New?
Industry content has been added for Life Sciences, both Medical Devices and Pharmaceuticals.
These examples use calibration activity.
Triggering follow-up Work Request using Quality Results can occur at either Operation
Completion or Work Order Completion. The Facilities example, Conference Room Checklist
has been setup for Operation Completion. All other seeded content has been setup for Work
Order Completion.
Additional examples for Fleet have been defined and scripted with Preventive Maintenance
Schedules. These are included in the script: EAM – Fleet Maintenance.
The navigation and responsibilities for self-service maintenance user has changed.
Pitfalls
The navigation provided is using html (OA Framework) interface and Operator messages during
entry of Quality Results is not supported. In order to see the operator notification, you must use
forms. However, since the UI is better positioned with html, the script will perform all steps in
this interface.

Vision is deployed without Mandatory Quality Collection, except where the field made
specific request to establish as mandatory. Depending on the focus of your presentation, you
may choose to make these collections mandatory, so that you are prompted for the entry – a
positive selling feature.
Login
All collection plans are setup for Work Order Completion, with the exception of
Facilities example, Conference Room Checklist, that is associated with Operation
Completion. If using Facilities, you may choose either or both by repeating the step to
make mandatory.
There is another example for Tire Inspection setup for Fleet. If this is preferred, please
see script: EAM – Fleet Maintenance.

Save.
Select the Mandatory checkbox next to the Collection Element record/s that you want to
be Mandatory

The email notification has been defined for the Conference Room Checklist collection plan.

4. Verify that there are no Work Order's in Released status with Activity being used in the
demonstration.
If you have existing Work Order's with this Activity, the result of the collection WILL NOT
trigger the Work Order as the script defines. This is due to a product limitation, preventing
multiple Work Order's in a Released status with the same Activity. These should be
completed or cancelled prior to your demonstration.
If Pre Demo Steps complete, goto task #5. Otherwise, goto task #1.
Begin Demo
Optionally, you can start the flow with creating a Work Request and create the Work Order with
reference to the Work Request. We will begin this script with the entry of a Work Order.

Checklist has been setup for Operation Completion. All others have been setup for Work Order
Completion.

Login
There are many optional fields you may enter as required. This script addresses the
variables by industry, required fields and anywhere suggestions help with ease of
navigation or value points.
Seeded content include other assets listed below, but the script will be written using a
single example in each situation.
For Fleet, you may use C401, TR401 or assign the Activity to any of the applicable
Asset Number.
For Retail and Life Sciences - Medical Devices, the seeded content is listed in the table.

provide you the number.
If Showing Facilities Example with Operation Completion Trigger goto task #6. Otherwise,
goto task #8.

script.

You should receive a confirmation message that a Work Order was created. It should
provide you the number.
If you are using the Facilities, Conference Room, Asset Number OFC-B100-2-240C
example, the trigger of additional work and notification based on the condition of the
conference room occurs with the Operation Completion transaction.
Now we are going to simulate that the employee has actually performed the inspection and
change roles to be that employee entering the completion. We will not change users for this
script, so you will need to position the change in role to that of the Facility Assistance who
just conducted the inspection.
You may choose to show this using the Maintenance User Workbench, the role based UI. To
do so, you will need to Logout and Login as a User in the assigned department. In this
script, we will change roles in positioning only, using the same Login to perform the
Operation Completion.
Field Facilities
Work Order Value Generated in Prior Step
The Work Order will be displayed or a list of Work Orders may be displayed if you
searched using information.
There are many options for searching for the Work Order. You can cut and paste it from
the confirmation message you just received. You can use simple or Advanced Search
option, so position these benefits as you see appropriate in your presentation.
If you queried the Asset Number prior to creating the Work Order, your Work Order will
be displayed on the page upon creation.

The Operations Tab for the Work Order is displayed along with the links to other Work
Order information.

You will get a message indicated page content has not been saved and will be lost – this
is a framework standard.

This will clear the message box and the Enter Quality Results page will be displayed.
Discuss that default values can be seeded in the results and that LOV can be available
for consistent and accurate collections.

These values will each result in a Work Request and an entry in the Quality Action Log.
The Conference Room Checklist Quality Collection Plan has a number of fields, some
with default values and LOV options. If you accept default values, you will not
generate a notification or a Work Request.
If you want to trigger a Work Request, you will need to indicate ‘Yes’ in the Collection
Element ‘ Does the room need cleaning?’ This will result in a Work Request for
janitorial services for the conference room.
If you want to trigger an email notification, you will need to indicate ‘Yes’ in the
Collection Element ‘Is Conference Table Damaged?’ This will result in an email
notification to the address specified on the Collection Plan.
You will be returned to the Operation Completion page. There is not a confirmation
message and the Results Entered checkbox is not yet marked.
All required information to complete the Operation should default – change and discuss
according to your needs.

goto task #8.
We are not changing users, so you will want to discuss the role that you are now taking. The
Work Order for Inspection has just occurred. You want to record the completion and collect
the related Quality Collection.
You may choose to show this using the Maintenance User Workbench, the role based UI. To
do so, you will need to Logout and Login as a User in the assigned department. In this
script, we will change roles in positioning only, using the same Login to perform the
Operation Completion.

creation. You may modify it.

If the asset for which you created the Work Order has a mandatory meter reading
associated, you will be required to enter the meter reading value before completing the
Work Order. Enter the reading value.
This is an opportunity to point out how the application controls can benefit accuracy
and maintenance history for an asset.

The search Work Order page will appear retaining the Work Order search that was
previously entered.
Once you have completed the Operation or the Work Order Completion with Quality
Results, you can view these results from the Work Order.
You should be on the Work Order Tab with your Work Order listed.
Select the Work Order that you created and transacted above.
This link provides access to Work Order level and Operation level Quality Collection
Plans associated.
The Quality Results Entered column should have a check, indicating that the quality
information entered previously has been stored with the Work Order for reporting.
Choose the Work Order or Operation Quality Results Eyeglass icon to view results
previously entered.
Discuss that the user has the opportunity to correct any results entered in error, using the
Update icon located to the right.
Now let’s change roles again and review the results of this collection.
Provided you entered in the Collection Elements described above for triggering work, you
will now be able to illustrate the generation of additional work and/or electronic notification.
Note that system performance can affect the amount of time this takes.
Facilities Example: Based on the reported condition, the conference room reported as not
cleaned, will trigger a request for janitorial services to clean the asset (room) or the building
safety inspection will trigger a Work Request for each condition failing to pass code. If
multiple conditions triggered a Work Request, there will be a separate Work Request for
each condition.
Fleet Example (provided in EM1 and FAC): Based on the percent of water reported in the
oil with a value greater than one, the results will trigger a follow up Work Request,
suggesting and Oil Change. Oil Change has been defined as an Activity with Routing and
BOM associated, so you may carry on through creating a Work Order from the Work
Request; however, we will not cover this in the script.
Life Sciences examples will result in a Work Request based on the result of the calibration,
Medical Device example - OHM reading for the multi-meter and Pharma example - gross
mass for the scale.

The asset for which we just performed inspection will now have associated Work
Request displayed.
Quality Initiated Work Request: followed by the applicable text used defined with the
Quality Action Details.
You may continue and create the Work Order for the request if you choose, although
this script will not address this. You can create a Work Order directly from the Work
Request or you may create a Follow-up Work Order.
(B) Clear
Clear the previously entered search criteria and perform new search.
A new Work Order will have been generated using the Followup Activity for the Oil
Change.

The asset for which we just performed inspection will now have an additional Work
Order with Activity for Oil Change. It will be in Released status, ready for transactions
to be performed.
Summarize the flow: Work Order for inspection with collection of measured elements.
When results entered did not meet predefined criteria, additional work was triggered in
response to the condition. In the case or the Work Order, an Activity is already assigned and
the work is Released.
If Showing Facility Example with Operation Completion Trigger goto task #12. Otherwise,
End of activity.
Review Notification
12. Review the Notification generated – Optional.
Provided you entered ‘Yes’ in the Collection Elements described above for triggering the
notification, you will now be able to view the electronic notification at the address that you
specified. Based on the reported condition of the conference room table, reported as
damaged during operation completion, will trigger a notification for the facilities manager to
determine the disposition of the asset.
If you modified the alert notification email address, check the assigned email and review the
notification.
If you did not modify the email address for this notification, use the next tasks to display the
notification.
Note that system performance can affect the amount of time this takes.
Login: General/welcome
View Notifications
The notification from the result about the conference table damaged will contain the
subject: Furniture Damage Notification.
The message text indicates the need to determine the disposition of the fixed asset by
the facilities director or the role of the person you determined makes this decision for
your customer.
