REQUIREMENTS AND GUIDE IN ECE110D COURSE

A. GROUPING

1. The students form the groups by selecting their groupmates in the same section.
Each group is composed of 2 or 3 students.

2. The group selects their design adviser from the list of available faculty members.
The group meets with the adviser to discuss the project, finalize the project title,
enumerate the specifications and features, draw the pictorial diagram of the expected
prototype of the project, and set the regular consultation schedule.

3. The course instructor creates groups in BlackBoard (BB) and the students self-enroll
themselves in their respective group.

4. The group submits the group details with the list of members, name of adviser,
project title, and project specifications/features. Due on Monday 12noon Week 3.

B. PROGRESS REPORT

5. To monitor and document the progress, the group prepares a 1-page progress report
every week, starting on Week 3, Week 4, Week 5, Week 6, and Week 7.

6. The Progress Report must be signed by all group members, by adviser, and by course
instructor.

7. Scan the signed Progress Report, save as pdf file, and upload in BB.

Name the file before uploading and edit the Section and GroupName accordingly.

C. BEFORE THE DEFENSE

8. Revise the Billing Form accordingly, print and submit to the ECE Subject Chair
for billing on Monday Week 8.

Use the form.

All groups that has been billed can no longer be unbilled.


It cannot be transferred or be deferred to another term.

9. Scan the processed Billing Form and the original Official Receipt, save as pdf files,
and upload in BB. Due on Wednesday 12noon Week 8.

10. After the compliance of billing procedure, the panel members will be assigned to each
group. The names of panel members will be announced in BB in Week 8.

11. Once the panel members are posted, each group prepares two forms:
Oral Examination, and Advisors and Panel Members forms.

ensuring their commitments to attend the scheduled defense on time.

12. Scan the signed forms, save as pdf files, and upload in BB.

BEFORE THE DEFENSE (continuation)

13. Prepare and bring the following on the day of defense:

Envelope 1 – Place inside this envelope the signed progress reports.

Envelope 2 - Place inside this envelope the original accomplished forms:


(a) Form 1 Billing Form, (b) Photocopy of Official Receipt of billing,
(c) Form 2 Oral Examination form, and (d) Form 3 Advisors and Panel Members form;

Envelope 3 – Place inside this envelope the following:


(a) Four (4) sets of Culminating Design Rubric (grading forms) for adviser and 3 panel
members, properly filled up with information.
(b) One (1) copy of Recommendation Form, properly filled up with information.
(c) Four (4) sets of IEEE paper, including the Appendices, for adviser and 3 panel members.

Use small brown paper envelopes. Write the course-section, student names,
name of adviser, name of course instructor, and the contents on each envelope.

Suggestion for IEEE Paper (6-pages):


I. Introduction – include the items A, B, C, D, and E in grading rubrics; needs of
customer, use of engineering standards, impact of design solution, differentiation, and
benefits.
II. Design and Prototype – include the item G in grading rubrics; include block diagram,
schematic diagram, flowchart, photo/drawing of prototype; include discussion on how
you implemented the design and how you used the engineering standards in the
design; include items I, J, K, L, M, N in grading rubrics.
III. Test Results – include the drawing of test setup; includes tables and graphs to
present your test measurements with several test conditions and number of trials
IV. Conclusion, Acknowledgment, References
Place other diagrams, photos, program codes, raw test data in the Appendices.
Also include a Users’ Manual, the step-by-step instructions on how to use the
prototype in the Appendices.

D. DEFENSE DAY

14. Defense will be on Monday 8am Week 10. Room TBA.

The conduct and preparation for the actual design defense is similar with the thesis
defense. Must be on time, must be in business attire, with prepared documents,
with prepared presentation, with prepared prototype demonstration, etc.

15. Do an oral presentation to adviser, panel members, and course instructor.


Answers the questions and inquiries.

16. Demonstrate the features and functions of prototype.

17. The group rating and individual ratings will be evaluated by the adviser and panel
members using the Culminating Design Rubrics. After the evaluation, the students place
their signatures in the Recommendation Form.

Save a scan/photo of signed Recommendation Letter.

18. After a successful prototype presentation, turn-over the working prototype to the
adviser. Package the prototype, in a box with label (course-section, instructor,
prototype name, adviser, students’ names). Include inside the box the following:
(a) Prototype and its peripherals, (b) CD or USB, whichever is applicable, for installers,
software, etc. needed to run the prototype, (c) Users’ Manual, and (d) Transmittal Letter
signed by the adviser stating that the prototype had been properly turned over to the
said adviser.

Save a scan/photo of signed Letter of Transmittal.

19. Failing grades will be given to those groups that will not defend their design.

E. AFTER THE DEFENSE

20. Upload the final version of IEEE Paper, with Appendices, both in word and pdf files, in BB.
Due on Friday 12noon Week 10.

Name the files accordingly before uploading. Edit the Section and GroupName.

21. Upload the final version of Presentation Slides, both in pptx and pdf files, in BB.
Due on Friday 12noon Week 10.

22. Upload the scan copy of signed Recommendation Form, in pdf file, in BB.

24. For prototypes that were not collected during the defense, because of needed revisions,
turn-over the prototypes to your adviser. Refer to item no. 18 for the requirements.

25. Final grades will be given based on the compliance with post-defense requirements.
