Attendance PPolicy

1. Objective:

1.1 The company expects all employees to conduct themselves in a professional


manner during their employment. This includes practicing good attendance
habits. All employees should regard coming to work on time, working their shift
as scheduled and leaving at the scheduled time (as per exigencies of the job and
function) an essential function of their jobs.

2. Applicability:

2.1 This policy applies to all employees on the regular payroll of the organization.

* Any exception to the above should be explicitly approved by the HOD in consultation
with Head- HR.
* Timings once noted and finalized would stand for a period not less than one month.
Employee cannot choose different timings for different days.

** Employee(s) may be expected to work on all Saturdays or on rotational
SaturdaysSundays & Tuesdays at the discretion of the HOD as per the location and
business.

4. Good Attendance Habits

“Good Attendance Habits form an integral part of every employee’s job


description”

4.1 Appearing for work 15 minutes prior to start of shift and to finish any
personal tasks such as visits to canteen/washroom well before the start of the
shift.

4.2 Being at your work station ready for work by the start of the shift.

4.3 Remaining at your workstation unless the needs of the job require you being
elsewhere, except during authorized breaks (including restroom breaks).

4.4 Taking only the time normally allowed for breaks.

4.5 Remaining at work during your entire shift unless ensured by an Immediate
Reporting Authority / superior/ manager.

4.6 Leaving within 30 minutes after the end of your shift, unless you have been given
advance permission from your Immediate Reporting Authority to work beyond
that point or your job in hand requires you to be present beyond the stipulated
time.

4.7 Calling in personally to notify your Immediate Reporting Authority or any senior
member of the team, if you are going to be either late or absent, unless a
verifiable emergency makes it impossible for you to do so.

5. General Guidelines

5.1 All employees should be punctual in reporting to work and must be at the work
place before the start time.

5.2 Employee(s) who report later than their chosen shift timing will be marked late.
Three (3) late marks in a month will be taken as 1 Day leave. Similarly,
employee(s) leaving office earlier, before shift end time on three occasions in a
month will be considered as having taken 1 Day Leave. Incase in any given
month, an employee has two late marks and one early leaving mark on the
attendance sheet or vice versa this too will be considered as 1 Day leave.

5.3 Similarly, employee(s) attending office after two hours from their office timings
or leaving office before two and half hours will be considered as having taken a
½ (half) day leave. (Leave rules apply for confirmed employee)

5.4 Lunch time shall be typically between 1:00 p.m. to 1:45 p.m. However, this can
vary location wise and can be changed /staggered for different sets of businesses
& people. The lunch timings, if not standard as per the aforesaid timings then in
such circumstances a circular will be sent by the Head of the Department (HOD)
to the concerned employees or they be suitably informed.

5.5 Exigencies at work may necessitate an employee to stay in office beyond their
shift end time and even work on paid holidays.

6. Attendance Protocol

6.1 If an employee forgets to bring the identity card cum access card then he/she
has to log onto “Service Engineers IWIN Group– My attendance – Forget to bring
/ punch card” and put a request with remarks.by 9:30 Am whether being present
at Works or at Client facilities Records of the same will be rechecked before
updating changes for payroll. Similarly for those working out of the Operations /
Manufacturing or Sales office, will need to adhere as per the timings in the
circular above.

6.2 In case an employee returns to his base office from a local branch visit, he must
update his status to OD ‘Out Door’ by logging on to IWINThe Group or email the
same to his/her department head. This option is available under HR Menu > My
Attendance > Report.

6.3 If an Employee is going on an official tour, he must update his details on IWIN
The Group by selecting the ‘Tour’ option available on the attendance page under
HR Menu > My Attendance > Report, two days before commencing the travel,

unless it is an immediate requirement. Same goes for those working at the back
office.

6.4 Employee(s) availing of a leave for a day or more, have to inform the HR
department by submitting a leave application form duly signed by his/her
immediate Reporting Authority/HOD. The leave application form can be
obtained by logging on to IWIN and following the link – Human Resources > HR-
Forms & Formats > Leave Requisition Form. Employee(s) will have to update the
leave(s) availed by logging on IWIN and following the link – Human Resources >
My Attendance > Leave.

6.5 When ill or unable to report to work, the employee should inform his/her
immediate reporting authority /HOD before the commencement of shift. Incase
the leave for sickness exceeds 3 days or more a satisfactory medical certificate
has to be produced to the HR Department on resuming of duty.

6.6 In case an employee is absent without notice for 7 days in a row, he/she will be
considered as having abandoned his/her job, and the company shall process the
employee’s work separation as a voluntary resignation on the employee’s part.

7. Attendance through Access Card Reader System

7.1 The Automatic Access Machine is available at the Corporate Office & Zonal
Offices. It is located at the entrance gate or at the reception. Identity cards cum
access cards are allotted to every employee situated at the Corporate office &
Zonal Offices by the company which captures records of the attendance. Every
employee has to punch/swipe their identity card cum access cards at the time of
entering or leaving the office premises. ( We have this already at Sales Office and
can implement the same again as before at all Works offices.)

7.2 If an employee is on a visit to another office/branch/location where the access


card reader system is installed, the employee must swipe his/her card at the
respective locations.

8. Attendance through SARS Sheet

8.1 The SARS sheet is available at Branches and Area Offices. At these offices the
Access Machine is not available. The SARS sheet ensures that the attendance is
captured for every employee working at these offices. Hence, all employees
utilizing a SARS sheet to capture their attendance have to follow the guidelines
given below.

8.2 The SARS sheet should be legibly filled and properly maintained without any
scribbling or overwriting. Employees have to ensure that they write their correct
employee code, name and signature legibly in the SARS Sheet.

8.3 No employee is allowed to sign for future timings, future attendance, and for
proxy for friends and colleagues for a future date. This is a serious offence
involving integrity & code of conduct. Disciplinary action including termination
shall be taken against the concerned employee(s).

8.4 The late mark protocol & the lunch timings at Branches & Area offices remain
the same as followed at the Corporate and Zonal Offices. (Refer to Pt. 5.2,5.3 &
5.4 aforesaid above)

9. Duties of the Branch Manager/Branch Coordinator while maintaining the SARS


Sheet.

9.1 The SARS sheet should be placed at Branches & Area Offices for tracking the
attendance of every employee. This sheet should be placed at the reception or
entrance gate in the morning. After the reporting time to the office (as
mentioned in the above table), the SARS should be kept under lock and key
under the supervision of the Branch Coordinator.

9.2 All employees who come late to the office should approach the Branch
Coordinator in order to mark their attendance in the SARS sheet.

9.3 The Branch Manager/Branch Coordinator should ensure that the sheet is legibly
completed for the HR personnel to comprehend.

9.4 Branch Managers are required to keep a copy of the SARS Sheet at their end for
future records before sending the same to the HR Department.

9.5 The SARS sheet should be couriered to the Corporate Office by the 25th 29th of
every month. No SARS Sheet will be accepted after the aforesaid date. In case an

employee (s) details is incomplete i.e. employee name, employee code, branch
code & signature is not complete in the SARS sheet the attendance of the
concerned employee(s) will not be marked in the payroll.

10. Duties of the HR Personnel

9.1 On receiving the SARS sheet from the Branch & Area Offices, the HR personnel
should ensure that the sheet is duly filled. Incase of any discrepancy in the SARS
sheet the same has to be informed via mail to the Immediate Reporting
Authority/Branch Manager/AVP/VP/HOD.

9.2 Once the comments are received from the Immediate Reporting
Authority/Branch Manager/AVP/VP/HOD the HR personnel should update the
same in the system.

9.3 The data that is collated should be sent to the payroll team for salary processing.

9.4 Also note that there will be an audit of the SARS sheets before salary processing
by our Internal Audit Team who will calculate the number of leaves as per the
policy.

11. Working on Paid Holidays/Weekly Offs:

11.1 In case an employee works on a paid holiday/weekly off he can avail of a


compensatory off as per company polices.(For a detailed policy note on availing
of a Compensatory off, kindly refer to the Compensatory Off policy).
