Oracle Learning Management:


(Extra Query by Audience) Competency Assessment:
HOD will raise a request for competency assessment by carrying following steps
Selected template ‘Competency Assessment Template’, will copy jobs from employee job description
and also HOD can add more competencies.

Click ‘Next’ to move towards the next page.

By default, Oracle will pick competencies from ‘Job Description’, if more competencies need to be
entered then you need to click button ‘Add Competencies’.
Choose ‘Competency Type’ and click ‘Go’, it will show all the competencies available for the
‘Competency Type’, click select and then click ‘Apply’ to add that competency at competency
assessment.

New competency has been added to assessment template, now employee will rate him/her on each
competency and also indicate if he/she thinks that further development required (check the check box),
and add the development course if further development required in that particular area.

Scroll down to add the appraiser.


Click button ‘Add Secondary Appraiser’, it will take you to the page of adding the secondary appraiser.

Type in then initial name words of the secondary appraiser, oracle will show all available persons
starting from this name initial. Select the person by clicking on the full name. OR you can click on the
magnifying glass to search the secondary appraiser.
Write the name’s initial and click go to search all available employees. Click ‘quick select’ to add the
employee as second appraiser.

Click Apply to move towards next step.

Secondary appraiser details come on to the Secondary Appraiser section, Click ‘Next’ to move towards
next step.

This page shows the full review of assessment before submitting it to the Main Appraiser. Review and
click ‘Back’ if there is an update in the data. Or Click ‘Share with Main Appraiser’ to share the appraisal
details with main appraiser.
Main Appraiser (Requesting for Secondary Appraiser Rating):
Login with Main Appraiser user name

Navigation: Manager Self Service> Performance Management

Manager will get a notification with the subject ‘The appraisal of (Employee Name) needs your attention
as main appraiser’. Once he/she receives a notification he/she will do the following steps.

Go to Manager Self Service> Performance Management.

Click on the Appraisals

Click the pencil button ‘Appraise’ the employee on his/her competencies.


Click on ‘Request Feed Back’ to get the second appraiser rating or click update to change the second
appraiser.

Oracle will give a confirmation message that appraisal has been notified to the Secondary appraiser.

Secondary Appraiser (Giving feedback on Appraiser’s request):


Now login as secondary appraiser login.

Navigation: Worklist
A notification will be received by the secondary appraiser to give rating to appraisee. Click on the
notification to take further action.

One page view will be opened when you click the notification along with comments of appraiser. Click
‘Update Action’ to proceed to next step.
Click ‘Update’ button to give rating for each competency.

Rate each of the competency and click ‘Complete’ button to provide the feedback as secondary
appraiser.
On clicking submit button appraisal feedback will be successfully sent to the main appraiser. Now login
as main appraiser to give the final rating on the basis of feedback provided by Secondary Appraiser.

Secondary Appraiser (Giving Feedback on request of Main Appraiser)


Now login as Main Appraiser

Navigation: Worklist.

Main appraiser gets a notification when secondary appraiser completes the evaluation.

Go to> Manager Self Service> Performance Management.

Click on Appraisals

Click on appraise pencil to view the secondary participant rating and to give employee final rating.
Secondary Appraiser status has been completed as he/she has provided feedback for employee. To
review the feedback of secondary appraiser click on ‘Comments’.

Click back button to update the appraisal, so main appraiser can give his/her ratings to employee.
Click ‘Update Appraisal’ to give rating.

Scroll down and give comments and overall comments as an optional

Click apply to give the final rating to employee.


Click ‘Give Final Rating’

Fill in the highlighted fields in red and click ‘continue’.


Review the assessment before submitting. Click ‘Submit’ if final rating is ok.

Click ‘Yes’ to complete the appraisal.

Now login with employee to provide the rating feedback to finally move the appraisal to completed
section.

Navigation: worklist

Click on the notification with subject ‘Your appraisal has been completed. Please review and provide
feedback’.
Click on update action hyperlink
Click ‘Provide Overall Feedback’ to give feedback on rating.

Give feedback on overall rating and click submit.

Navigate: Manager Self Service> Performance Management

So that HOD Can review the competency


Click on appraisals
Click on details.
After Assessment HOD can enroll the candidate in relevant training

(Extra Query by Audience) Enroll a single person in a class:


Navigation: Learning Administrator> Learning Administration> Catalog Administration
Click on the ‘select’ radio button and click on the available class for this offering.

Click on single enroll to enroll an employee into the class.


1. Fill in the enroll status as ‘Enrolled
2. Add learner details, enter last name of the employee.
3. Enter contact details, enter last name of employee.
4. Correspondent as student
5. Click on the ‘Enrollment Details’.
6. Enter source as employee requested.

7. Click on ‘Attendance’ tab to view the details.


After entering all the mandatory information, click on ‘Apply’ button to successfully enroll employee in a
class.

Click ‘Yes’ to move further.

Point no#99. Enrolling Specific Department in bulk in a class:


Navigation: Learning Administrator> Learning Administration> Catalog Administration
Click on the ‘select’ radio button and click on the available class for this offering.

Click on the ‘Bulk Enroll’ to bulk enroll employees.


Select your search criteria and click go, you can add Department as per your requirement.

Based on the search criteria system will search all the relevant employees. Select the desired employees
and Click ‘Add’ button to enroll employees in class.
Click ‘Apply’ to successfully enrol learners in class.

On successful enrollment system will give a confirmation note.

Point No# 103, 100.Ability to register for any training by employees


through Self Service:
Navigation: Learner Self Service> Learning> Learner Home

Click on learning home

Click on learning tab to view the available learnings.


Click on Learning Category

Click on course name to view the details of course.


Click on the offering name to view more details.
Click on enroll button to get enrolled in class.

Click ‘Review’ button to proceed further.


Enrollment needs to be approved by the supervisor. Click submit button to send the notification to the
supervisor.

A confirmation note will be given to the employee on successful submission of learning request.
How manager will approve the learning request of his/her subordinate.

Navigation: Main Menu> Worklist

Click on the notification to review.

Add comments and click approve

Check employee notification for approval of class enrollment


Navigation: Main Menu> Worklist

Click on the received notification with subject ‘Class enrollment ‘Name of employee’ has been approved.

Review and click ‘Ok’ to close the notification.

Navigate to Learner Home


Enrollment details of employee will be coming in enrollment region.

Point no# 105.For departmental trainings, HOD can nominate trainees:


Navigation: Learning Administrator>Learning Administration>Resource Booking

Click on ‘Go’ to add a trainer to the class.


Add the highlighted details and click ‘Apply’ button to successfully add the resource for a class.

Point no# 107.Eligibility criteria can be set and checked for each training:
Navigation: Learning Administrator> Learning Administration> Catalog Administration
Click on Details button of learning category.

Click on learner access to move towards the restriction of category.


Click ‘Go’ to add the departments which are not part of restriction.

Give organization name ‘Finance Department’

Click yes to include child organizations of finance department

Give ‘ABC_ORG_HIERARCHY’

Click ‘Apply’ to save the learner access.

System will give a confirmation message on saving the record.


Point no# 112 Attendance of training can be maintained at the time of
training as well as by authorized person.
Navigation: Learning Administrator>Reports and Other Requests>Submit Report

Click ‘Ok’ to submit a single request


Give the Name ‘Attendance Signature Sheet Report (XML)’ and click on Parameter field.

Fill in the parameters and click ok.


Click ‘Submit’ button to submit the request for generating attendance sheet.

Click No to proceed further.


On Main Navigator, click on ‘View Report’ to view the report.

Click on ‘Find’ to view all reports.

Select the report and click ‘View Output’ to view the attendance sheet.
Point no#101.System should maintain trainer dictionary with all
information of Trainer
Navigation: Learning Administrator>Learning Administration>Resources
Fill in the fields and click ‘Search’ button to Search the resource

It will show the resource then select resource and click on for further details

Point No#108, 110.Trainee can fill Training Evaluation in system:


Navigations >Employee Self Service
HOD can also fill and attach goals
And submit it for Approval

Following Points can be configured through alerts and report development

 Report will be generated for Training Evaluation (Report Development)


 After x days, HOD will be notified for Post Training Evaluation Achievement (Alert)
 Provision to maintain training Calendar with all training details and resources (Report
Development)
 Periodic email announcement from system for specific audience(Alert)
 Different reports can be generated including training by an employee, no show employees,
departmental involvement in training, training by topic etc. (Report Development)
