CMT
Catalogue Management Tool, an efficient approach towards Materials Catalogue
Management

1. Introduction
CMT is the successor of the MESC system and continues to use the MESC culture and
terminology

1.1 The Big Picture


In a business-wide environment, the various disciplines such as Procurement, Inventory,
Engineering, Standardization, Manufacturing, and Technical Maintenance, all share
technical material information. In a broader view also Operating Companies share this
information and also with Third Parties. An integral approach for managing and sharing
this technical information in a structured and advanced method is essential for improving
cost control and efficiency.

CMT as a Materials Catalogue offers the tool for efficient management of a Materials
Database by:
• containing information on materials & equipment in use & recommendation for use
within the organisation
• promoting standardisation and variety control.
• enabling "perfect requisitions"
• supporting communication (in operating companies and externally)

CMT as a Materials Catalogue offers a Technical Database of Specifications with the
following:
• "Formatted Descriptions" providing consistent & structured item descriptions
• "Unformatted Descriptions" for Proprietary Items/Spares
• "Formats" which replace MESC coding schedule
• Item relationships/associations to other items and manufacturers/suppliers
• Multiple access paths: such as on "Word", "Characteristic", "Standard", "MESC No"
etc.
• Reference tables: such as Standards, Abbreviations, Value Units
• Highlighting the differences between catalogue descriptions

1.3 CMT System


The CMT system characteristics are:
• Oracle 7 Relational Database Management System based
• Client/Server technology with Windows based PC Clients

1.4 Access Authorisation


The access in CMT is user related. CMT basically distinguishes two types of user roles
with different access rights as follows:
• Users who have Maintain & Search access
• Users who have Search access only via the Search functionality

For those Users having Maintain & Search access rights the whole of this Manual applies.
For those Users with Search access rights only, need only refer to the following parts of
this manual: 1, 2, 3, 4 and 8.

2. CMT Set-Up

2.1 Structure
The CMT core materials database will hold all materials related information in a highly
structured manner, accessible to the end-users.
In order to achieve the advanced and structured specification ensuring uniformity in item
specification, CMT makes use of the following main entities:

• Formatted Items
• Template Items
• Unformatted Items
• Associations
• Reference Data

• Each block represents an entity or group entity in CMT
• The lines represent the mandatory relations between the entities

An explanation and definition of each entity in Figure 2 is given in paragraph 2.2.

2.1.1 Explanation of the entity relations (Figure 2 - CMT Setup)


• A Format is created when Characteristics are linked to a Noun/Modifier
• A Format is needed to create Formatted and Template Items
• The MESC Hierarchy is needed to assign the Material Item numbering to Formatted
and Unformatted Items
• Formatted and Unformatted items can be associated in the Item Associations entity
• Reference data such as Standards and Additional Documents can be related to items
and their associations.
• An Unformatted Item can optionally be linked to a Noun/Modifier

2.2 CMT Terminology & Definitions

2.2.1 Nouns and Modifiers


The classification of commodities in CMT is by Nouns. Example: all valves will be
classified under the noun "Valves". Each noun can be further specified by a maximum of 3
modifiers.

2.2.2 Characteristics
Characteristics are used to describe a material item in a structured way. In CMT the
characteristics are maintained in a separate reference table. The characteristics can be
selected from this table and linked to Noun/modifiers in order to create a format (template)
for specifying material items in detail.

2.2.3 Formats
A Format is a consistent layout or pattern to all descriptions, where data is stored in
specific fields of entry. The layout of descriptions is defined by a unique set of Nouns and
Modifiers supported by a comprehensively defined set of characteristics.

2.2.4 Formatted items


A formatted item is created by making use of an existing format (framework) and entering
values for the format characteristics "Characteristic Values" and other attributes related to
a formatted item.
Example of a formatted item:

2.2.5 Template Items


A special type of a formatted item is a so-called Template Item. Template items are not
fully specified formatted items and when required will be used as a blue print for the
creation of formatted Items. Make use of Template items, where many items use common
values within a format, but the variety of those items is substantial and all of them may not
be required by the business.

2.2.6 Unformatted items


In CMT basically two types of items are distinguished i.e. Formatted items and
Unformatted items. The unformatted items are specified without making use of a format
(framework). This is the case, for example, with unique spare parts which are normally
specified in relation to the parent equipment. Also special equipment, sub-assemblies, and
specific components, which are considered to be not general supply items, should be
registered as unformatted items. In general these items will be specified with their short
description, the manufacturer's reference, additional free text, and their association(s) with
other material items

2.2.7 Material Item Details


Materials item details enables the user to store additional information about Material
Items. The additional information being: Additional text, Unit of Purchase, Unit of receipt,
Receipt of issue and their conversion factors, Usage codes, etc.

2.2.8 Item Associations


Item associations serve to indicate the various relations between items such as:
• parent equipment and its spare parts
• parent equipment and its sub-assemblies
• which item to be used in conjunction with another item.
• equivalent items
• substitute items

2.2.9 Buying Descriptions


The buying description is the full specification of a Material Item. This may be either
Formatted or Unformatted. Template items are excluded. The full buying description for
formatted items comprise the Noun/modifier, Characteristics, Characteristic values, Issue
unit, and Short description.

2.2.10 Company References


A Company reference for a Material Item can be a Manufacturer and/or Supplier name &
code with the unique reference number for that item (e.g.: Part, Model, Serial, Drawing
numbers etc.). In this way these Reference Numbers identify the Catalogue Item uniquely
for that Company.

2.2.11 Reference Data


In CMT, Reference Data in tables ensure minimizing manual effort while ensuring high
quality information and maintenance at one place. These tables can be selected from look
up help provided in form of List of Values (LoV), for inclusion into specific transactions.
All important information is maintained in these reference tables e.g.: Standards (internal
& external), Additional Documents, Units, Format Characteristics, Product Groups,
Alternate Hierarchy (MESC), Organisation & roles, Organisation role types, Company
reference number types, Association types, Material item indicator types, and Material
Item association types

2.2.11.1 MESC Hierarchy and Coding Schedule


The MESC hierarchy is a classification system for commodities with three hierarchical
levels: Main group, Sub-group and Sub-Sub group. There are 100 Main groups. Each
Main group is divided into 100 Sub-groups. Each Sub-group on its turn is divided into 100
Sub-Sub groups. This MESC hierarchy up to the sub-sub group level is called the Coding
Schedule. The MESC hierarchy and coding schedule are further used to compose the item
codes in CMT. Each sub-sub group can hold 1000 item numbers ranging from 001 to 999.
Example of a MESC coding schedule is:

2.2.11.2 Material Item


A Material Item in CMT has an article code consisting of the first 6 positions of the
Coding Schedule together with an index of 3 positions defining the item in detail. Also a
10th position is added as an indicator (See Material Item Indicator). Example of a Material
Item number derived from the coding schedule with its abbreviated description is:
77.10.21.003.1 CHFLPT WLD CL150 DN15

2.2.11.3 Material Item Indicators


Material Item Indicator codes serve to further specify MESC codes, to indicate CSS
(Company Selected Standards used by Stock Analysts), MIS (Material Info Statistics),
Usage codes, and Codes for Local use.
Examples:

For other Material Item Indicators refer to screen CMT250 "Maintain Material Item
Indicators and Values".

2.2.11.4 Material Item Association Types


Material Item Association types indicate the Association Role between one item to another
being for example:
• Accessory for
• In conjunction with
• Equivalent for
• Sub-assembly for
• Spare part for
• Substitute for
• Etc.

2.2.11.5 Additional Documents


Additional documents in CMT are all documents containing information in text or images
that can be referenced to material items. Additional documents can be requirements or
specifications issued by internal organisational bodies within the Company or Company
Group. They contain information used in catalogue descriptions, e.g. Inspection &
marking requirements.

2.2.11.6 Organisations & Roles


Organisations in CMT can be Source companies for material items (e.g. suppliers ,
manufacturers) or Custodians within the organisation who are responsible for maintaining
certain areas of the catalogue (e.g. departments, sections, individuals). These organisations
& Roles are stored & maintained in a separate table (library).

2.2.11.7 Product Groups


A product group is an expenditure commodity classification serving Stock Analysts and
procurement purposes. The product groups can be linked on various levels such as:
Noun/modifier, MESC coding schedule, or at item level. These Product group codes have
to be determined by the custodian in charge of the product group codes.

2.2.11.8 Reference Number Types


Reference number types indicate what type of reference is involved. These Reference
number types are maintained in a separate table in CMT. Example of Reference number
types can be:

PN Part number

2.2.11.9 Standards References


Standards reference information relevant to catalogue items is stored in a separate table in
CMT. The standards can be:
• international
• national
• regional
• local.

The actual standards are not stored as part of the catalogue, only the reference information
about them such as:

2.2.11.10 Units of Measure (UOM)


In CMT all applied Units, Value units, and Units of measure are stored and maintained in
a separate table.

The following Units of measure (UOM) are distinguished for Material Items
1) UOM of Issue
2) UOM of Purchase
3) UOM of Receipt

For the Format Characteristics the units of measure can be according to the "Syteme
International" (e.g. m, PSI, kg, etc.) or according to "User defined" units of measure (ANS
class, etc.).

3. Screen Basics & Navigation


This section is essentially designed to cater for the user of an application developed using
Oracle forms. In particular it addresses the CMT System.
This section is subdivided into:
• Objects
• Modes
• Validations and
• Operations

3.1 Objects
Normally, an application developed using Oracle Forms consists of the following objects
from a user's point of view:
Windows, Canvases, Menu bar, Scroll bar, Text items, Selection List fields, Check boxes,
LoV (List of Values) buttons, Text editors, Static text, Push Buttons and Radio Buttons.

Objects like Scroll bar, Text items, Check boxes, Static text, Push Buttons and Radio
Buttons are placed on the canvas and a canvas is assigned to be displayed in a window.
A form consists of at least one window, one canvas and a menu bar.

A form comes up with the menu bar assigned to it. When a form is invoked from another
form, the called form may come up with a new menu bar or the existing menu bar
depending on the way in which the form is invoked. Logically, a form consists of blocks
and records.

3.1.1 Block
A group of objects which may be directly linked to a table in the database. In CMT, a
block is identified by a block header and separated form another block by a horizontal red
line.
It is primarily through the blocks that the data is created/updated (deleted) in/from the
system.
A block may consist of a single record or multiple records as required.
It is possible that blocks have a relation between them. Typically, A "Master - Detail"
relation is common whenever a One to many relation exists between two blocks in a form.
Example of a "Master - Detail" relation is a Format where the Noun/Modifier (master) has
characteristics (details).

3.1.2 Text field


A field where the user types in the data which may correspond to a column in the database.

3.1.3 Text editor


An editor where the user types in the data which may correspond to a field in the database.
It may be compared to a multiline text item.

3.1.4 Check Box


A box where the user can check or uncheck the data in a field in the database.
It is, usually, used in place of a text item which can take only one of two valid values.

3.1.5 Scroll Bar


A vertical rectangular bar with a movable button, used to scroll up or down in a multiple
records block. This corresponds to a block.

3.1.6 Static text


A constant piece of text to label the check boxes, text items, etc.

3.1.7 Radio Button/Group


A group of fields from which the user can choose only one. When the user chooses a radio
button other than the one that has been already selected, the earlier selection gets canceled
automatically.

3.1.8 Selection List field


A field displaying pre-defined selections from which the user can select by clicking on the
down arrow symbol next to the field. Default just the active selection is displayed.

3.1.9 Push Button


A button which helps the user to show an image, invoke a new window, save the record,
perform any special function.

3.1.10 LoV (List of Value Button)


In CMT, the LoV (List of Value) buttons are as push buttons represented with two dots on
it. On pressing these buttons the user can invoke an LoV screen which will display data of
the corresponding field to the right or left of this LoV button.

3.2 Modes
Form screens essentially operate in two modes:
• Maintain mode
• Query Mode

3.2.1 Maintain mode


In this mode, the user can create, update and delete the data from the database. This mode
is referred to as Maintain Mode in the CMT.

3.2.2 Query mode


In this mode the user can specify the retrieval conditions of the screen. When the user
executes a query, the records corresponding to the query conditions are retrieved and the
screen will go into the Maintain Mode.

3.3 Operations
The primary operations that can be performed in the forms are:
Insert/Create : Mode = maintain
Update : Mode = maintain
Delete : Mode = maintain
View : Mode = query
How these operations are accomplished in the CMT system is explained in Section 5.2.

3.3.1 Insert/Create
This operation helps to insert/create records in the database. In order to create data the user
should be in the Maintain Mode, enter a new record and save it.

3.3.2 Update
This operation helps to modify the existing data in the database. In order to update the
existing data, the user should retrieve data using Query Mode and then modify and save it.

3.3.3 Delete
This operation helps to remove irrelevant and obsolete data in the system.
In order to delete the existing data, the user should retrieve it using Query Mode and then
delete and save the transaction by clicking on the "Save" button.

3.3.4 View
This operation enables the user to view the data stored in the database.
In order to view the existing data, the user must specify the retrieval condition in the
Enter-query Mode (i.e., Query Mode of CMT) and execute the query.

3.4 Screen Features


The screens and menus are Windows based. There are essentially two Menus:
1) CMT Main Menu
2) CMT Screen Menu

1) Application Title bar
On top of the screen displaying the Application name "Catalogue Management Tool"
2) Application Menu bar
Appears below the CMT application Title bar. All menus will be drop down menus.
3) Screen Title Bar
Appears below the Menu bar. It contains the abbreviation "CMT", Screen Id, and
Screen title.

4) Screen Tool Bar


Appears below the Screen Title bar. It will have 3 segments: Mode segment, Common
button segment, and Navigation Segment. Each segment is separated by a thin "Red
Line".
5) Client Area
Here the user can create/update/delete transactions. The client area may consist of one
or more blocks. In case there are more blocks, they will be divided by thin red lines.

The application menu bar basically provides menu options which are common to each
screen. For example, with the "Edit" sub menus the user can cut, copy and paste text. The
"Record" sub menu enables row transactions such as Previous, Next, Clear, Delete, Insert,
Duplicate, Go Top and Go Bottom of displayed records. The Tool bar "button" options are
also covered under the Menu bar options "Action", "Menu", "Item", and "Query".

3.4.1 Screen Modes


Mode of each screen will be displayed to the user, when the screen is opened. The screen
can be either in "Maintain Mode" or "Query Mode". The user can toggle between modes
by selecting the "Change" button.
• In Query Mode:
Buttons Save and Delete are disabled.
Screen menu option "Menu" is not available.
Screen menu option "Action/Rollback", "Action/Save",
"Block/Previous", "Block/Next", "Record/Next", Record/Previous",
"Record/Insert", Record/Delete", "Record/Duplicate", "Record/Go Top",
"Record/Go Bottom", "Query/Enter", "Query/Fetch Next Set" are
disabled.
• In Maintain Mode:
Buttons Execute and cancel button are disabled.
Screen menu option Query/Execute, Query/Last /Count Hits are disabled.

3.4.2 Button Tool bar operations


Change : Changes the mode of the screen i.e. Query and Maintain.
Save : Save the changes
Delete : Delete the selected record
Execute : Executes Query
Clear : Clears the selected block
Cancel : Cancels the Query
Fast backward (<<) : Fetch next set of records
Forward (<) : Fetch next record
Backward (>) : Fetch the previous record
Fast forward (>>) : Fetch previous set of records

3.4.3 CMT Navigation


Allowed User can navigate from one screen to another screen in following ways:
• Through "Menu" menu option.
• Through buttons available in third segment of tool bar.
• Through LoV (List of Value) buttons. These buttons trigger pop-up screens with
listing of values for the corresponding fields.

3.4.4 General Screen Navigation


Depending on the Screen, Screen Mode, User access and current Transaction, some of the
menu and button tool bar options may not be available. This will be indicated by dimmed
appearances of the menu options or button tool bar options.
The CMT menu bar options "Menu" with its pull-down sub-menu's have the same
functionality as some of the Tool bar buttons.
Use Menu options "Block" and "Record" to move through or clear the respective block or
records in the Client Area. For example, to clear the current block, place the cursor in a
field within the block and select Menu Option "Block" followed by "Clear".
Alternatively the standard command buttons located in the tool bar can be used. The
command button "Clear" has the same functionality as its corresponding Menu Option.
Use the command button "Delete" for record deletions and always confirm with the "Save"
button. For toggling through multiple records, after having executed a Query, use the tape
recorder buttons "<<", "<", ">", ">>", or Arrow key buttons.

3.4.5 Help
Help is provided in following formats:

3.4.5.1 Field level help


Provided for each field in the message line at the bottom o f the screen. User can also
select Help/Field level menu option to display field help for the current cursor position.

3.4.5.2 Screen level help


Gives complete overview of the screen usage. User can select Help/Screen level menu
option to display help. Screen help is available only when that screen is active.

3.4.5.3 System level help


Gives application overview. User can select Help/System level menu option to display
help. System Help is available at all times.

3.4.6 Messages
User messages are displayed at:
• Message Line : Message appears at the bottom of the screen.
• Alert Box : Message appears in alert box with appropriate symbol and
comment.

Messages of "Information" and "Query" type would be displayed at the bottom of the
screen. All other types of messages would be displayed in alert boxes.

3.4.7 Colours
Following colour schema is used:
In Maintain mode all mandatory fields have "Blue" colour. User cannot leave them blank.
In Query Mode these fields can be left blank.
All insert allowed/update allowed / display fields have "White" colour. User may or may
not enter data into field for insert/update allowed fields.

3.4.8 LoV (List of Values) & LoV Button symbols


Following button symbols are used:
Buttons having ".." ( 2 dots) as labels are list of value buttons. By pressing on the LoV
button the data is displayed of the field to the right or left of the LoV button if there is any.
Next the user can view or select a record from the available list of values. A LoV screen
may have various columns per row (See Figure 9 below). The pop-up LoV screens have a
"Find" text field at the top default presented with a "%" wild card search sign. By typing a
character string in front of the "%" sign will result in a listing that matches the values in
the first column of the LoV. Typing a string after the "%" sign will result in a listing that
matches the values in the next column., etc. The user can select a row by highlighting the
row and clicking on the "OK" button. Use the Cancel button to cancel and return to the
previous screen.

This Search functionality provides the user with a single entry point for various common
search patterns. The user is provided with enhanced search facilities, allowing linked
screens to be selected.

The Search options in CMT are:

4.1 Catalogue Search

4.1.1 Screen CMT060 - Catalogue Search

4.1.1.1 Menu navigation


From the Main menu select option "Search". Next select one of the following search
entries from the sub menu list to come in Screen CMT060 "Catalogue Search":
• On Word

This screen is divided into three blocks as follows:
• The upper block is for the user to enter a retrieval query based on one of the available
search options. Click in the list field "Select Search Option" to select one of the
search options
• In the middle block the user can specify the search criteria. The middle block is
dynamic, dependent upon the search option being queried by the user
• The third block displays the Noun/Modifier information of the Search result

4.1.1.3 Mode
The screen can be used in "Query" mode only

4.1.1.4 Screen Navigation


Use Menu options "Block" and "Record" to move through or clear the respective block or
record/records. For example, to clear the current block, place the cursor in a field within
the block and select Menu Option "Block" followed by "Clear".
Alternatively the standard command buttons located in the tool bar can be used. The
command button "Clear" has the same functionality as its corresponding Menu Option.

Within the CMT060 "Catalogue Search" the user can again redefine (see Figure 10) one of
the below listed search options in the "Select Search option" field:
• On Word Search
• On Characteristic Search
• On MESC Search

• On Equipment Asset No. Search
• On Template Item No. Search
• On Standards Search
• On Product Group
• On Additional Documents Search.

The Catalogue Search screen eventually serves to retrieve a material item via the various
search options. From there on continue to view/maintain related information to the
Material Item in the following screens by clicking on the screen menu buttons:
• CHGE MESC screen CMT240 Change MESC Number
• VW ASSOC screen CMT010 View Associations and Related Spares
• MNT FOR IT screen CMT020 Maintain Formatted Items
• MNT UNF IT screen CMT030 Maintain Unformatted Items
• MNT EQ NO screen CMT220 Maintain Equipment Asset Number
• ENQ FOR IT screen CMT200 Enquire Formatted Items
• BUY DESC screen CMT400 On line display of Buying Description

Depending on the retrieved item type (Formatted or Unformatted) or the user role
(Maintain Access or Search Access) the above listed Buttons will be available or not.

4.1.1.6 Word Search


The user can retrieve Noun/Modifier records by either:
a) selecting the "Execute" button and using the arrow buttons to toggle through to the
required record, or;
b) entering a wild card search in the "Word Search" field and selecting the "Execute"
button to retrieve those records matching the search criteria.
After having retrieved a Noun/Modifier record the user can continue via one of the inter
linked screens to retrieve more details on the Noun/Modifier related items.

4.1.1.7 Characteristic Search


The search on Characteristic will enable the user to see which Noun/Modifiers are linked
to a certain characteristic. The user can retrieve records by either:
a) entering a wild card search in the "Characteristic Search" field and clicking the
"Execute" button. Next the user can select the record matching the search criteria from
the LoV screen. By doing this the next LoV screen will appear listing the
Noun/Modifiers linked to the selected characteristic. By selecting a Noun/Modifier the
user returns to the Catalogue Search screen with the retrieved data, or
b) clicking the "Execute" button and selecting the Characteristic from the CMT410
Characteristic Types LoV.
After having retrieved a Noun/Modifier record the user can continue via one of the inter
linked screens to retrieve more details on the Noun/Modifier related items.

4.1.1.8 MESC No. Search


The MESC No. Search enables the user to retrieve a MESC item and the related
Noun/Modifier. The user can retrieve MESC items by either:
a) entering wild card search criteria in the "MESC" field and clicking the "Execute"
button. Next the user can select from the MESC sub-sub groups from the LoV, By
doing this the next LoV screen will appear listing the MESC item(s) linked to the
selected MESC sub-sub group. By selecting a MESC item the user returns to the
Catalogue Search screen with the retrieved data, or
b) entering a Group, Subgroup or Sub-sub-group and then select from the LoV as in (a),
or
c) entering a complete MESC code in the MESC field, click the Execute button. Next the
LoV screen with the item can be selected.
After having retrieved a record the user can continue via one of the inter linked screens to
retrieve more details on the related item.

4.1.1.9 Coding Schedule Search


The Coding Schedule search enables the user to retrieve a MESC item and the related
Noun/Modifier via the hierarchical steps of the MESC coding schedule of Group, Sub-
group and Sub-Sub group. The user can retrieve MESC items by either:
1) Selecting the "Execute" button and selecting the MESC Group from the LoV screens:
680 LoV MESC Main Group: to select a main group, next
690 LoV MESC Sub group : to select a Sub Group within the pre-selected Main
Group, next
300 LoV MESC Sub Sub Group :to select a Sub Sub Group within a pre-selected Sub
Group, next
530 LoV MESC :to select a Material item within the pre-selected Sub
Sub Group.
After having retrieved a Noun/Modifier record the user can continue via one of the inter
linked screens to retrieve more details on the Noun/Modifier related items.

4.1.1.11 Abbreviated Description Search


The user can retrieve records by:
1) Entering a wild card search in the "Abbrev. Desc." field and selecting the "Execute"
button
2) Next, retrieve those records matching the search criteria from the pop-up LoV 570
"Material Items per Short Description".

4.1.1.12 Equipment Asset Number Search


An Equipment Asset No. is the unique identification code of an individual piece of
equipment applied in a plant. For instance if there are 100 identical compressors applied in
a plant, they will all have the same MESC code. However, individually they will all have a
unique Asset Equipment number.
This option enables the user to retrieve a piece of Equipment with a MESC code which has
an Asset number linked to it. The user can retrieve records by:
1) Selecting the "Execute" button.
2) Entering a wild card search in the Equipment Asset No. field and selecting the
"Execute" button to retrieve those records matching the search criteria.

4.1.1.13 Template Item Number Search


This search option enables the user to find the Template Items in CMT. After having
found a required Template item, the user can maintain or view it. Also a formatted item
can be created then by using this template item as a basis. The user can retrieve records by:
1) Selecting the "Execute" button and selecting the required record from the pop up LoV
670 Template Item No's.

2) Entering search criteria in either or both of the following fields, and selecting the
"Execute" button to retrieve those records matching the search criteria:
-Template Item No.
-Item Custodian.

4.1.1.14 Standards Search


This search enables the user to search for a Standard by its attributes such as "Prefix",
"Reference" and "Issue date". After the Standard has been located. The user then can view
the Description of the Standard or view the associated items to that standard. Next the user
can select a related MESC item again.

The user can retrieve records either by:


a) Entering a wild card search in either one or more of the following fields, and selecting
the "Execute" button to retrieve those records matching the search criteria:
- Prefix (e.g.: BS EN)
- Reference (e.g.: 10025)
- Issue (e.g.: 1995)
Next from the LoV CMT340 "Standards" a record can be selected. Click "OK" and a
pop-up screen will appear with two radio buttons to either select between the options:
- Find the Associated Items (LoV CMT550 Material Item per Standard)
- View the Standard (Text pop-up screen with contents of the document)
b) Not specifying search criteria and clicking on the "Execute" button. This will result in
LoV CMT340 with all Standards in the table from which can be selected.

4.1.1.15 Additional Documents Search


This search enables the user to search for an Additional Document by their attributes such
as "Custodian", "Prefix", "Reference" and "Issue date". After the Additional document has
been located. The user then can view the contents of the document or view the associated
items to that document. Next the user can select a related MESC item again.

The user can retrieve records either by:


a) Entering a wild card search in either one or more of the following fields, and selecting
the "Execute" button to retrieve those records matching the search criteria:
- Prefix (e.g.: MESC SPEC)
- Reference (e.g.: 77/301)
- Issue (e.g.: 1994)
Next form the LoV CMT350 "Additional Documents" an Additional Document can be
selected. Click "OK" and a pop-up screen will appear with two radio buttons to either
select between the options:
- Find the Associated Items (LoV CMT600 Material Item per Additional Document)
- View the Additional Document.
When the “View the Additional Document” is selected, the appropriate text viewer
will show the content of the document. If for a particular Additional Document ASCII
text as well as PDF text exist, a dialogue box will be displayed. This dialogue box can
be used to display either document.
b) Not specifying search criteria and clicking on the "Execute" button Documents from
which can be selected.

4.1.1.16 Product Group Search


The search on Product Group Code will enable the user to see which MESC items are
linked to a certain product group code. The user can retrieve records by either:
a) Entering a wild card search in either the “Product Group Code” field or the “Product
Group descr.” Field or both and clicking the “Execute” button. Next the user can
select the record matching the search criteria from the CMT420 Product Groups LoV.
By doing this the next LoV screen (CMT315 LoV MESC) will appear listing the
MESC items linked to the selected product group code. By selecting a MESC item
the user returns to the Catalogue Search screen with the retrieved data, or
b) Clicking the “Execute” button and selecting the Product Group Code from the
CMT420 Product Groups LoV.

After having retrieved a Noun/Modifier record, the user can continue via one of the inter
linked screens to retrieve more details on the Noun/Modifier related items.

4.1.2 Screen CMT710 - Historic MESC

4.1.2.1 Menu Navigation


Via Main menu and option "Search" then "Others" next "Historic MESC" the user will be
in screen CMT710 "Historic MESC".

4.1.2.2 Historic Search


This search enables the user to retrieve the history of a Material item. The user can retrieve
records by entering a MESC code or wild card search and pressing the "Execute" button.
The retrieved history comprises:
• MESC code
• Date created
• Transaction Type
• Transaction date
• New MESC

4.1.2.3 Screen Structure

4.1.2.4 Mode

4.1.2.5 Additional functionality

Two new reports (files) can be generated in CMT. Firstly a list of all active MESC items.
This list contains two columns, the MESC number and the abbreviated description. The
list is sorted on MESC number. Secondly a list of all deleted items (either deleted or
changed MESC number). This list contains three columns, the MESC number, the
abbreviated description and the date of deletion. The two files can easily be read into
Microsoft Excel.
The new functionality is built into CMT710 ‘Search for Historic MESC’. The generated
file is created in the %TEMP% directory of a user which is usually C:\Temp, but will e.g.
be on a network drive in a GID environment.

It is not necessary to fill in the top half of the screen when a user wants to create one of the
report files. A button press on the appropriate button will do.

4.2 Enquire Formatted Items


This functionality enables the user to select a particular Material Item by a selected
number of, or all Characteristic Values against a Format. Alternatively, retrieval can be
based against a Format without entering any Format Characteristic Values or by MESC
providing the option of viewing the full description of the associated Material Item

4.2.1 Screen CMT200 - Enquire Formatted Items

4.2.1.1 Menu navigation


From the Main Menu select the "Search" option, next select the sub menu "Formatted
Search".

4.2.1.2 Screen Structure:

The screen is divided into three blocks:
1) In the upper "Format" block the user can search on the Noun/Modifiers and MESC
and specify whether a Formatted Search should be executed.
2) In the middle "Characteristics" block The user can specify the Characteristics and
Values to be applied to the search.
3) The lower "Items Found" block displays the Material Items which have been
retrieved based upon the search criteria used.

4.2.1.3 Mode
The screen can be used in "Query" mode only.

4.2.1.4 Screen Navigation:

4.2.1.5 Searching for a Formatted Material Item


This screen can also be accessed through CMT060 "Catalogue Search" CMT010
"Equipment & Related Spares" and CMT020 "Maintain Material Items". Where the user
accesses the current screen from one of these linking screens the fields in the upper
"Format" block will be filled in with the carried in values. Where the user has used this
access path, go to steps 3), 4), 5), 6) and 7) below.
With the screen in "Query" mode:
1) Enter a wild card search in any of the fields in the upper" Format" block, or select the
LoV to the right of the "Noun" field to select a Noun/Modifier combination from the
triggered LoV.
2) Select the "Execute" button to retrieve the Noun/Modifier combination. On retrieval
where the "Formatted Search" check box is selected OFF , the user will retrieve the
following warning message "A formatted search can not be executed for this format.
Please access "Catalogue Search" or "Enquire Unformatted Item". This means the user
has retrieved a Format (although set up) where no Formatted Items have yet been
linked to it. The user should leave the screen as advised.
3) Enter the Characteristic values to be searched upon, by using the LoV button to the
right of the "Query Value" field to show a list of possible values. Where a "multiple
value" is chosen Material Items matching any of the values will be retrieved, and not
Material Items matching all multiple values chosen.
4) Select the "Find Items" button to execute the search. The number of matching Material
Items are displayed in the lower "Items Found" block.

4.2.1.6 Additional Functionality:


The user cannot maintain a Formatted material Item from within this screen but can do so
by accessing any of the linked screens:
• screen 010 "Equipment & Related spares"
• screen 020 "Maintain Formatted Item".

4.2.1.7 "Restricted/Unrestricted Search"


Where "Restricted" is chosen the contents of the LoV to the right of the "Query Value"
field(LoV 330 Existing Values for a Characteristic) will be restricted to those Material
Items currently found. If "Unrestricted" selected, LoV 330 will contain all Characteristic
Values linked to the displayed format. The default is "Restricted" after the initial "Find
Items" query is executed.

4.2.1.8 Buying Description


With the cursor in the required MESC field selecting button "Buy Desc" will display
screen 400 "On-Line display of Buying Description"

4.3 Enquire Unformatted Items


The user can query Unformatted Items and, optionally, review the context of their
Associations to other items through linked screen CMT010 "Equipment and Related
Spares".

4.3.1 Screen CMT650 - Enquire Unformatted Items

4.3.1.1 Menu navigation


From the Main menu select the "Search" menu option, next select the Submenu
"Unformatted Search".

4.3.1.2 Screen Structure

• Upper "Item Description" block detailing Material Item related details, such as
"Company Reference", "Unit of Issue" and "Short Description"
• Middle block where Additional Information/long Description can be entered. Also the
print indicator can be switched on to incorporate the information into the Buying
Description
• Lower "Item Classification" block detailing such aspects as the items "MESC"
Number and linked "Noun/Modifiers".

4.3.1.3 Mode
The screen can be used in "Query" mode only Maintenance of the selected Unformatted
Item should be done through one of the linked screens (accessible from within screen
CMT650). Note: for users with Maintain access.

With the screen in "Query" mode select a material item by either:
1) entering a wild card search, or
2) selecting the LoV button to the right of the "MESC" field to help define the search, or
3) enter a wild card search against the "Company" field.
Select the "Execute" button to activate the search.

With the Unformatted Material Item retrieve the user can:


1) Go to screen 010 "Equipment and Related Spares" by selecting the "Item Association"
button, from here the user can view/maintain the Associations the selected
Unformatted Material Item has with other items.
2) Go to screen 180 "Material Item Details" by selecting the "Item Details" button. From
here the user can view/maintain the details associated with the selected Unformatted
Item.
3) Go to screen 030 "Maintain Unformatted Items" by selecting the "UNFMT ITMS"
button, from where the user can maintain the selected item.

This screen enables the user to view the associations between Material Items from various
angles such as:
1) from the "Focus item"
2) from the "Used in Item"

The screen CMT010 can be selected via the Main menu and selecting option "Search" and
the sub menu "View Associations & Related Spares".

4.4.4 Mode

4.4.6 View Item Associations


Coming from screen 210 "Maintain Item Associations" the "Focus Item will be presented
as the last item from the previous screen block. Coming from the Search menu the Focus
Item can be selected by the LoV buttons to the left and "MESC NO" button to the right of
the MESC field. If there are any "Used In" items or "Associated Items" related to the
Focus Item they will show in the corresponding blocks with the relevant association
attributes.
The Focus Item can be changed by:
a) clicking on one of the row items in the "Used In" upper block and then click on the
"Change Focus" button. This will result in positioning the selected "Used in" row item
now as the "Focus Item". The "Used In" items and "Associated Items" will change
accordingly with the Focus Item.
b) clicking on one of the row items in the "Associated Items" lower block and then click
on the "Change Focus" button. This will result in positioning the selected "Associated
Items" row item now as the "Focus Item". The "Used In" items and "Associated Items"
will change accordingly with the Focus Item.

5. Maintain Structure

5.1 Maintain Noun/Modifiers & Synonyms

5.1.1 Screen CMT040 - Maintain Noun/Modifier and Synonyms

5.1.1.1 Menu navigation


From the Main menu select "Maintain Catalogue" and sub menus "Maintain Structure" and
"Nouns/Modifiers and Synonyms".

5.1.1.2 Purpose
This screen enables the user to create and maintain Noun/Modifier combinations, and the
optional links to Synonym and Product Group for the displayed Noun/Modifier(s).

5.1.1.3 Screen Structure

The screen is separated into three blocks.
• The first block can be used for creating, maintaining and retrieving the
Noun/Modifier combinations.
• The second block provides the user with an on line view of images which are linked
to the Noun/Modifier combination or enables the user to set up the links to specified
images (in relation to the displayed Noun/Modifier combination).
• The third block enables the user to create, maintain or retrieve the additional retrieval
words (Synonyms) and Product Groups and their links to the Noun/Modifier.

5.1.1.4 Screen Modes


The screen can be used in both "Maintain" and "Query" mode. To create new or maintain
existing records, ensure the screen is in "Maintain" mode. To retrieve records, ensure the
screen is in "Query" mode.

5.1.1.5 Screen Navigation


Use Menu options "Block" and "Record" to move through or clear the respective block or
records.
For example, to clear the current block, place the cursor in a field within the block and
select Menu Option "Block" followed by "Clear".
Alternatively the standard command buttons located in the tool bar can be used. The
command button "Clear" has the same functionality as its corresponding Menu Option.
Use the command button "Delete" for record deletions and always confirm with the "Save"
button. For navigating through multiple records retrieved by a query, use the tape recorder
buttons "<<", "<", ">", ">>", or arrow keys.

5.1.1.6 Create New Records


Noun/modifier records are created by specifying the following attributes specified as
follows:

5.1.1.6.1 Noun/Modifier Combinations


To create a new record ensure that the screen is in "Maintain" mode and enter the Noun in
the "Noun" field. When creating new records, the specified Noun should be, as a rule,
entered in its plural form (e.g. Valves). The following three "Modifier" fields can be used
for entering three distinct Modifiers, which as a rule should be in singular form e.g. Gate,
input however is not mandatory.

5.1.1.6.2 Status field


Indicating the status in the CMT database of the noun/modifier:
Status A = Active, meaning that the Noun/Modifier is being applied within the database.
Status N = non-active, meaning that the Noun/Modifier is present in the database but
flagged as not to be applied.
The "Status" field is by default set to "A" denoting "Active", although by typing in "N"
will set the Format on display to "Non active". Status

5.1.1.6.3 Formatted Search


The "Formatted Search" check box is by default with a check mark.

5.1.1.6.4 Abbreviation
This is the abbreviated name of the noun/modifier determined by the user. This
abbreviated name will appear by default as the beginning of each item description.
Example: "CHFLPT WLD" is the abbreviated name for "Welded cover, piston type,
flanged, check valves".
An optional shortened description can be entered in the "Abbreviation" field, specifying
first the noun, then a space between its abbreviation and that of the modifiers.

5.1.1.6.5 Name
This is basically a name in the reversed order of noun/modifiers. This Name is used for
buy description purposes. Example: "Flanged piston type welded cover check valve"
The user must then enter a "Name" which equates to the Buydesc (description on which
the item will be purchased) name for the displayed Noun/Modifier combination.

5.1.1.6.5.1 Definition

This provides the possibility to link a definition to the noun/modifier. Example of a


definition for "Flanged welded cover piston type check valve" is:
"A one-directional flanged valve with a welded cover, which is opened by the fluid flow in
one direction and which closes automatically when the flow stops or reverses direction.
The working element is a cylindrical type piston which fits into the shell or guide, with
sufficient length to ensure its effective guidance over the whole distance of its travel.
Piston type check valves shall be used in sizes up to 2 inch".
The "Def"" command button provides the user with a pop up screen in which the editing of
the Noun/Modifier definition can be executed. Prior to moving to the second block "Image
File" select the "Save" button to commit the new data input so far.

5.1.1.6.5.2 Image File.


An image (stored as a bitmap in the database) can be linked to the noun/modifier serving
visual explanation. The Images should be stored as bitmaps first before they can be linked
by the user.
To link a new image while creating a new Noun/Modifier combination, select the "Link
Image" button and specify the "Path" where the image file is located and name of the
Image File on the pop up screen which is activated. Where an Image has been newly
linked to the displayed Noun/Modifier, select the "Save" button prior to moving to the
"Associations" block. Where no Image is to be linked to the Noun/Modifier combination,
move to the third block "Associations".

5.1.1.6.6 Associations synonyms


New or existing synonyms can be linked to the noun/modifier. Example of Synonyms for
"Piston type check valves" is "ONE WAY VALVES".
In the "Associations" block the user can either link new Synonyms or existing Synonyms,
and link existing Product Group Codes to the current Noun/Modifier.
To link a new Synonym, type in the keyword in the first "Synonym" field. Alternatively
by selecting the LoV to the right of the field, a full listing of existing Synonyms can be
retrieved, and in turn selected.
Only existing Product Group Codes can be linked to the Noun/Modifier. Where the
required Product Group Code does not yet exist, this must first be created in screen
CMT120 "Product Groups" before a link can be made.
Once all data has been entered, select the "Save" button to commit the newly entered data.

5.1.1.7 Maintain or Retrieve Records Noun/Modifier Combinations


To retrieve a record which can then be updated or deleted ensure the screen is in "Query"
mode. To retrieve a record either:

a) Enter a noun and/or modifier or their partially specified data in any of the fields in the
first block and click the LoV button of the Noun/Modifier record, or
b) Enter no data and click the LoV button. Next the LoV list with all noun/modifiers
appears or,
c) Enter no data and select the "Execute" button to retrieve all existing Noun /Modifier
combinations one by one. Use the arrow key buttons to navigate through the retrieved
records.

"Wild card searches" can also be carried out. In any field type in part of the word followed
by the character "%" and select the "Execute" button. All records which start with the
partial characters entered will be retrieved.

The data retrieved can now be updated by the user. Where data is updated select the
"Save" button prior to moving to the next block.

Image File
Where images have already been linked to the current Noun/Modifier they will be
displayed in the "Image File" field, and can be viewed by selecting the "View Image"
button. To link a new image, select the "Link Image" button and specify the "Path" and
"Image File" data on the pop up screen which is activated.

Associations
Triggering the LoV buttons to the right of the "Synonyms" and "Product Group"
respectively will display those Synonyms and Product Groups from which a selection can
be made to link to the current Noun/Modifiers.

The Synonym logic is as follows:


1) Synonyms can be updated, created and deleted here.
2) Where a Synonym is only used in this Format (currently displayed) the user can
update and/or delete the Synonym.
3) Where a Synonym is used in more than one Format (more than just the one currently
displayed), the user can update the record into a new Synonym, so that the original
Synonym and the updated Synonym both exist.
4) Where a Synonym is used in more than one Format (more than just the one displayed)
the user cannot completely delete the Synonym, but the association with the
Noun/Modifier (on display) can be removed.
5) Once the data has been updated, select the "Save" button to commit the changes.

This screen enables the user to maintain the reference table of Characteristics.

5.2.1.4 Mode
The screen can be used in both "Maintain" and "Query" mode. To create new or maintain
existing records, ensure the screen is in "Maintain" mode. To retrieve records, ensure the
screen is in "Query" mode.

5.2.1.5 Screen Navigation


Use Menu options "Block" and "Record" to move through or clear the respective block or
record/records.
For example, to clear the current block, place the cursor in a field within the block and
select Menu Option "Block" followed by "Clear".
Alternatively the standard command buttons located in the tool bar can be used. The
command button "Clear" has the same functionality as its corresponding Menu Option.
Use the command button "Delete" for record deletions and always confirm with the "Save"
button.

5.2.1.6 Create Characteristic


With the screen in "Maintain" mode add a "Characteristic Description", "Abbreviation"
and "Status". Once the new record, or multiple records have been entered, select the
"Save" button.

5.2.1.6.1 Conventions
To aid identification of which characteristic should be used, the following convention has
been adopted.
• Characteristics that apply to the noun/modifier as a whole: Example: The
characteristic for the type of noun/modifier "Pneumatic gauges" should be just
"Type". If however, it refers to the type of fasteners used, then it should be described
as "Type, fasteners".

Examples:
Material Relates to the Noun/modifier
Material spec Relates to the Noun/Modifier
Material, clamp Relates to a component of the Noun/Modifier
Material spec, clamp Relates to a component of the Noun/modifier
Material, coupling Relates to a component of the Noun/modifier
Material spec, coupling Relates to a component of the Noun/modifier

• The first letter of the first word should be in capital letters, all other letters should be
in lower case lettering.

• The identification of "primary words" for the start of characteristic description such
as:

Certification Pressure
Connection Radius
Diameter Range
Dimensions Resistance
Inspection Signal
Length Size
Mass Temperature
Material Thread
Number Type
Option

• Words such as, "maximum", "minimum", "internal", "outside", "operating", and


"working" are adjectives and hence should not be used to start the characteristic, but
rather as qualifiers, i.e. "Pressure, working", "Pressure, operating" etc. Primary words,
are used to group similar characteristics together, and make a logical link to the
characteristic value, i.e. "Size, flange" = 12 mm, rather than "Flange size" = 12 mm.

• Full wording for characteristics are preferred. However, due to the maximum of
positions allowed, they are sometimes abbreviated. All abbreviations are shown in
lower case. E.g. "Design spec", and "Design spec, end connections".
In most cases "Material specification" and "Design specification" could be written out
in full, when relating to the Noun/Modifier concerned. This however will cause
complication when referencing to a component in the Noun/Modifier, e.g.: "Material
specification, remote seal diaphragm". Therefore, all characteristics relating to these
two common elements have been abbreviated to "Material spec" and "Design spec",
respectively, in order to ensure logical display of characteristics in alphabetical order
e.g. "Material spec, remote seal diaphragm".

• "Material spec" should be selected in preference to "Material" where a Standard or


Additional document needs to be referenced as a characteristic value. "Material"
should be selected when the required characteristic value expected is generic, such as:
"Carbon steel", "Rubber" etc. If either a generic value (i.e. carbon steel) or a standard
are acceptable then select "Material". If "Material spec" is selected, it is recommended
that a standard is used as value for all items.

• Standardized descriptions are used, such as


- "Service requirements" to "Service"
- "Weight" to "Mass"
- "Limits" to "Range"
- "Scale" to "Range"

5.2.1.7 Maintain Characteristic

5.2.1.7.1 Retrieve Characteristic:


With the screen in "Query" mode either:
1) enter a wild card search in any of the fields, select the "Execute" button to retrieve the
records associated with the search criteria, or
2) select the "Execute" button to retrieve all records, use the scroll bar to reach the
required entry.

5.2.1.7.2 Update characteristic


After having retrieved a characteristic then: With the screen in "Maintain" mode update
the Characteristic "Description", "Abbreviation" and "Status" as required. Select the
"Save" button on completion to commit the changes to the record or multiple records. The
user should take note that modifications to an existing Characteristic will effect all related
Format Characteristics.

5.2.1.7.3 Delete Characteristic


After having retrieved a characteristic, then: With the screen in "Maintain" mode, place the
cursor on the record to be deleted and select the "Delete" button. You will be prompted to
confirm deletion of the current record. Select "OK" to continue.
Note: A characteristic can not be deleted when it is related to a Noun/Modifier format.

update characteristic records from a format, ensure the screen is in "Maintain" mode. To
retrieve records, ensure the screen is in "Query" mode.

b) Select the LoV button to the right of the "Noun" field, and from the activated LoV
box, select the required record, or
c) Enter a wild card search in either the "Noun", or "Modifier" fields, and select the
"Execute" button. Use the arrow keys to navigate to the required record.
After a selection has been made the screen automatically changes to "Maintain" mode.

5.3.1.7 Associate Characteristics


With the required Noun/Modifier combination retrieved, and with the screen in "Maintain"
mode, a new Characteristic can be associated to the Noun/Modifier as follows:
1) where Characteristics have already been linked to the Noun/Modifier, select the Menu
Option "Record, Go Bottom" to navigate to the end of the Characteristics block
2) select the menu Option "Record, Insert" to enter a new free row (this can be done
within a block of existing characteristics as well, if required)
3) select the LoV button to the right of the "Description" field
4) select from the existing characteristic types. If not present, then exit the screen and
first create the characteristic type in screen CMT160 "Maintain Characteristics".

5.3.1.8 Format characteristic attributes


Next, the values for the characteristic have to be specified.
Note: Attributes set for the characteristic within a Format DO NOT affect the attributes for
the characteristic within another Format. Nor the meaning of that characteristic, hence
there is a definition per Format.
The following characteristic attributes are distinguished:

5.3.1.8.1 PCF (Product / Common / Functional)


This attribute states whether the characteristic is describing a functional or product element
of the material item. Common means that the characteristic classifies for both Functional
& Product.
Default : Product

5.3.1.8.2 Seq. In (Sequence in)


This attribute determines the sort sequence of the characteristics in Maintain Formatted
Items, Screen 020. It also determines the sort sequence for the Buying Description (Report
010 & Report 020) for Format Characteristics with attribute "Header ON & for Format
Characteristics with attribute Header OFF unless qualified by Item Sort (see further "Item
Sort").

5.3.1.8.3 Seq. Out (Sequence Out)


This attribute determines the sort sequence of the characteristics in "Enquire Formatted
Items", Screen 200. If Seq Out value is "0" then the characteristic is not displayed in
"Enquire Formatted Items" (Screen 200). It will be displayed in "Maintain Formatted
Items", Screen 020. It does not affect Reports.
Default : Equals "Seq In" if not entered.

5.3.1.8.4 HD (Header)
If a characteristic has a header indicator set as ON, then in screen "Maintain Formatted
Items" (Screen 020) its values are likely to be "common" for a number of Formatted Items,
and hence a "copy data" functionality is available to copy over the header values, to allow
quicker entry of similar Formatted Items.
If set to OFF, then its values are likely to "differ" for a number of Formatted Items, and
hence the "copy data" functionality will NOT copy these ITEM Characteristic values.
If ON then in Report 010 & Report 020 the Values for these Format Characteristics for all
Formatted Items are grouped into unique strings ( sets of common values across items )
and used to create "common text blocks" for values set against the Format Characteristics
with Header
Attribute ON. This is then used to sequence the order of Formatted Items under a Format,
based on an alphanumeric sort on Values.
Default : ON

5.3.1.8.5 Item Sort


This attribute determines the sort sequence for item format characteristics in Report 010 &
020. If left blank, then the "Seq In" is used for Item Format Characteristics.
Note:
If Format Characteristic Attribute Header is "ON", then Item Sort must be blank.
If Format Characteristic Attribute Header is "OFF", then Item Sort can be entered.
Default : Blank

5.3.1.8.6 Bin (Bin label)


If a characteristic has a bin label indicator set as ON, then material items under this
Format, must have an abbreviated value entered for this characteristic in "Maintain
Formatted Items" (Screen 020), or "Maintain Restricted Characteristic Values" (Screen
500).
These abbreviated values are then used to create an auto-generated abbreviated
description, or BIN label, for Formatted Items.
Default : ON

5.3.1.8.7 Bd Hd (Buydesc Header)


Report 010 takes those Abbreviated Values for those Values linked to Format
Characteristics that have attribute Header ON & attribute Bin ON, and creates a summary
for a set of common values.
If Bd HD is ON, then in "Maintain Formatted Items", can create an "alternative"
abbreviated value for the value linked to this characteristic per item to be used in Report
010, rather than use the "normal" abbreviated value. Can only be set to ON if Attribute
Header & Attribute Bin are both set to ON. If BD Hd set to OFF, then Report 010 takes
the "standard" abbreviated value. Default : OFF

5.3.1.8.8 Opt (Optional)


If a characteristic has an optional indicator set as ON, then Formatted items under this
Format, do not have to have a value entered in "Maintain Formatted Item" (Screen 020) for
this characteristic.
If set to OFF, then Formatted items under this Format, must have a value entered in
"Maintain Formatted Items" (Screen 020) for this characteristic.
Default : OFF

5.3.1.8.9 Res (Restricted)


Selection from GR (Group Restricted = set at Central Office), R ( Restricted = set at
OpCo), or U (Unrestricted).
If selected "GR" or "R" then the user must set Restricted Values for this characteristic
within this Format. This means that the user set a limited list of values that can be selected
for this characteristic. All Formatted Items under this Format, can only have one or more
of these values for the characteristic.
If select U then any value can be selected or entered for this characteristic within this
Format.
Default : U

5.3.1.8.10 Rng (Range)


If a characteristic has a range indicator set as ON, then in screen "Maintain Formatted
Items" the values for this characteristic under this Format MUST be expressed as a range,
consisting of two values ( i.e. a particular form of multiple values).
If set to OFF, then the value can be singular or multiple & no restriction is placed on the
values.
Restrictions based on attribute Value Type :
• If Value Type is "D" (document) then Range cannot be ON
• If Value Type is "N" (numeric) and Range is ON, then range values are validated to
ensure that one value is a minimum and one is a maximum.
• If Value Type is "O" (open) then no validation is applied to range values to ensure
any numeric and the application finds those items that have a minimum less than
the value entered and a maximum greater than the value entered, i.e. there is a
"special" search for Numeric Ranges. Default : OFF

5.3.1.8.11 Value Type:


The user can select from D (Document ) , N ( Numeric ) or O ( Open ).
If set to "D" all values linked to this Format Characteristic MUST be either a Standard, A
Reference to a Standard or an Additional Document.
If set to "N" all values linked to this Format Characteristic MUST be a numeric, i.e. cannot
be a Document nor have any non-numeric characters.
If set to "O" values linked to this Format Characteristic may be either a Document, or a
Numeric, or a alphanumeric value.
Default : Open

5.3.1.8.12 Nom (Nominal)


If a characteristic has a nominal indicator set as ON then in screen "Maintain Formatted
Items" the values entered against this characteristic are "nominal" values. i.e. are not actual
values. For example, piping classes showing millimeters or inches as a characteristic value
for the characteristic "Size" are "nominal" measures, and not actual measurements. Can
only be set to ON if a Value Unit has been selected. Default : OFF

5.3.1.8.13 Val Unit (Value Unit)


Select from the existing list of Units those that are either "Characteristic Value Units
Types" or " Combined Unit Types". This is the measurement system for the values for this
characteristic. The Values should therefore be entered in screen "Maintain Formatted
Items" in this measurement system. i.e. Piping items may show both imperial and metric
measurements. Only one value unit can be selected per Format Characteristic.
Default : Blank.

5.3.1.8.14 Def (button) Definition : [Def] button & pop-up field


This is a Text block allowing clarification of the meaning of the Format Characteristic,
used within this Format.
Default: the definition set for the Characteristic in "Maintain Characteristics is copied into
the field and can then be updated for the specific application in this Format Characteristic
Definition.

5.3.1.8.15 Narrative (button): Characteristic Narrative


Linking phrase between Characteristic description and value.
To be used in Reports not yet defined.
Default : Blank.

5.3.1.8.16 Change Display (button)


This button displays the selected characteristic with all its attributes.

5.3.1.9 Retrieve Existing Format Characteristics


With the screen in "Query" mode enter a search criteria in either the "Noun" or "Modifier"
fields and select the LoV button to the right of the "Noun" field. Next, select the required
record from the activated LoV box.

5.3.1.10 Update Existing Format Characteristic


With the screen in "Query" mode retrieve the required Format and linked Characteristics
to be maintained (see "Retrieve Existing Format Characteristics" for individual retrieval
steps above). Now with the screen in "Maintain" mode, update the Characteristic attributes
as required. On completion select the "Save" button to commit the updates made. The user
should be aware, (and make updates accordingly) that modifications to characteristic
attributes are only possible if consistent with the Material Item values linked to the
Format.

5.3.1.11 Delete Existing Format Characteristic


With the screen in "Query" mode either retrieve the required Format and linked
Characteristics to be deleted (see "Retrieve Existing Format Characteristics" for individual
retrieval steps above); With the screen now in "Maintain" mode, place the cursor in the
target Format Characteristic row, and select the "Delete" button.
Note: A format characteristic can not be deleted when there are values linked to it. First
the values have to be deleted prior to deletion of the format characteristic.

5.4 Copy Characteristics feature


The "Copy Characteristics" functionality serves to copy characteristics from one existing
format (Source Format) to a similar new format (Target Format). This avoids creating new
similar formats by linking each characteristic separately again.

5.4.1 Screen CMT051 - Copy Characteristics


This screen enables the user to copy Characteristics between Formats. One Format being
the source and the other the target format.

5.4.1.1 Menu Navigation


From the Main menu select "Maintain Catalogue" and submenu "Maintain Structure".
Next select sub menu "Formats" which brings you to CMT050 "Maintain Formats". After
having retrieved a Noun/Modifier as the target format in this screen, select the menu
button "CPY CHAR" which will bring you to a LoV list from which a Source format can
be selected. After selection you will be in screen CMT051 "Copy characteristic".

5.4.1.2 Screen Structure

The screen is divided into three blocks:


• The first "Source Format" block displays the Noun Modifiers of the Format which is
the source of the Characteristics, the contents are copied in from the linked screen.
• The second block "Target Format" displays the Noun Modifiers of the Format which
is targeted to receive the Characteristics, the contents are copied from screen 050
"Maintain Formats" where a Format was created or selected.
• The third block "Characteristics" section displays the Characteristics which are to be
associated with the Target Format. By default all Format Characteristics associated
with the Target Format are displayed. These characteristics can be copied, edited or
deleted, while new Characteristics can be added.

5.4.1.3 Mode
The screen can only be used in "Maintain" mode.

5.4.1.4 Copy Characteristics


After having created a new Noun/Modifier for the target format, take the following steps
(To illustrate this "copy" functionality the example target Format will be used).
1) From within screen 050 "Maintain Formats" retrieve the Noun/Modifier that will hold
the new format (This is the Target Format which will receive the copied
Characteristics). See Figure 35
2) Select the "CPY CHAR" button.
3) From the triggered LoV270 Noun/Modifiers (See Figure 36) select the Source Format,
that is the Format from which the Characteristics will be copied from.
4) Screen 051 "Copy Characteristics" is now displayed. (See Figure 37). The Format
selected in step 1) above will be displayed in the middle "Target Format" block. The
Format selected via step 3) above will be displayed in the upper "Source Format"
block.
5) In the lower "Source Characteristics" section select those Characteristics for copying
over to the "Target Format" by checking the first field to "ON" , where the
Characteristic is to be copied over. Or checking the first field "OFF", where the
Characteristic is not to be copied over.
6) select the "Save" button to copy over the selected Characteristics.

If subsequent transfer of Material Items from the source to the Target Format is required,
the Transfer Item-button (TRNS IT) should be selected

5.5 Transfer Material Items feature


The "Transfer Material Items" functionality enables users to transfer Material Items
between Formats, i.e. Noun/ Modifier combinations. In the linked screen 051 "Transfer
Characteristics" a Source and Target Format had been selected and a selection (or all) of
the Format Characteristics copied over. Subsequently, this screen enables the user to
transfer Material Items between these Formats and copy the Format Characteristic Values
for the Format Characteristics that have been transferred.

5.5.1 Screen CMT052 - Transfer Material Items

5.5.1.1 Menu navigation


From the Main menu select "Maintain Catalogue" and submenu "Maintain Structure".
Next select sub menu "Formats" which brings you to CMT050 "Maintain Formats". After
having retrieved a Noun/Modifier as the Target Format in this screen, select the menu
button "CPY CHAR" which will bring you to a LoV list from which a Source Format can
be selected. After selection you will be in screen CMT051 "Copy characteristic" (See
Figure 37 - CMT051 Copy Characteristics).
Next the user can optionally select the "Transfer Material Items" screen by clicking on the
"TRNS IT" button in screen CMT051.

5.5.1.2 Screen Structure

This screen can be only used in "Maintain" mode.

5.5.2 Transfer Material Item


In screen 051 "Copy Characteristics" (Figure 37 - CMT051 Copy Characteristics select the
"TRNS IT" button, screen 052 "Transfer Material Items" is now displayed (Figure 38 -
CMT052 Transfer Material Items.

5.5.2.1 Material Items To be Transferred


In the third block the Material Items to be transferred can be selected as follows (see also:
Figure 38 - CMT052 Transfer Material Items (Example Target):
1) The user can enter selection criteria for the items to be transferred from the Source
Format by specifying two characteristics with their values in the "Characteristic" and
"Characteristic Values" fields. Next click the "Retrieve" button" to display the selected
Items, and/or.
2) The user can enter another selection criteria for the items to be transferred by
specifying the specific MESC Sub Sub group in the "MESC Sub Sub group" field.
Next click the "Retrieve" button to display the selected Items, or .
3) Skip the two first steps and click the "Retrieve" button to select all the associated items
to the Source Format.
4) Select the "Save" button to commit the transfer of Material Items from the "Source
Format" to "Target Format".

5.5.3 Additional Functionality


For each Material Item selected for transfer a new abbreviated description will be system
generated, based upon the new "Target Format" name.

6.1.1.2 Purpose
This screen enables the user to:
• Select, review and edit Format Characteristic Values for existing Material Items
(Formatted and Template).
• Set up new Material Items by defining Format Characteristic Values for the Material
Item.
• Transform an Unformatted Item into a Formatted Item by assigning the Format
Characteristic Values.

6.1.1.3 Screen Structure

This screen is divided into three blocks.


• The upper block can be used for retrieval of existing Formats or displays the retrieved
Noun/Modifier combination (Format) that was selected by the user in either screen
CMT060 " Catalogue Search" or screen CMT030 "Maintain Unformatted Items".
This information of existing Formats can not be modified in this block.
• The middle block displays both the Format Characteristics associated with the Format
and the Format Characteristic Values for Material Items that have been retrieved by
the user or are in the process of being created. Dependent upon the user's selected
"Type of Characteristics" choice in the upper block, the middle block will display
either only product, functional or all characteristics. Only the Characteristic Values
and Abbreviated Values can be modified in this block.
• The lower block displays the Material Item and related information currently linked
to the retrieved Format displayed in the upper block, or in the process of being linked
to the displayed Format. This information can all be modified in this block.

6.1.1.4 Mode
The screen can be used in both "Maintain" and "Query" mode. To create new or maintain
existing records, ensure the screen is in "Maintain" mode. To retrieve records, ensure the
screen is in "Query" mode.

6.1.1.5 Screen Navigation


Use Menu options "Block" and "Record" to move through or clear the respective block or
record/records.
For example, to clear the current block, place the cursor in a field within the block and
select Menu Option "Block" followed by "Clear".
Alternatively the standard command buttons located in the tool bar can be used.
The command button "Clear" has the same functionality as its corresponding Menu
Option.
Use the command button "Delete" for record deletions and always confirm with the "Save"
button.

Cursor in block 1 : scrolling of Noun-Modifier combinations.


Cursor in block 2 : scrolling of Format Characteristics, of which there may be more than
are visible on the screen.
Cursor in block 3 : scrolling of Material Items that are associated with the Format.

6.1.1.6 Retrieve an existing format in screen CMT020


Follow below listed steps:
1) Ensure screen CMT020 "Maintain Formatted Items" is in query mode.
2) Enter search criteria in the "Noun" or Noun" and "Modifier" fields and click the LoV
button for the noun/modifier.
3) Select the required Noun/Modifier row from the pop-up LoV. Next the format for this
Noun/Modifier will be displayed.
Note:
Prior to selecting the "Noun/Modifier", the user can specify the range of Characteristics to
be shown. The options are :
"All" : set by default, will show both Product and Functional.
"Functional" : displays Functional Characteristics only.
"Product" : displays Product Characteristics only.

6.1.1.7 Retrieve an existing formatted Material Item in screen CMT020


There are two ways of retrieving existing formatted items in screen CMT020:

6.1.1.7.1 From within screen CMT020 "Maintain formatted Items"


Follow below listed steps:
1) Retrieve an existing format as described in 6.1.1.6
2) Position cursor in the MESC field by clicking in it (Colour changes to blue).
3) Set screen in "Query" mode again.
4) With the cursor still in the MESC field, click on the LoV button left to the MESC field
Select the required MESC sub-sub group from the LoV pop-up screen.
With the cursor still in the MESC field, Click on the "Execute" button form the menu
bar to retrieve existing items against the data (Noun/Modifier & MESC sub-sub group)
displayed. The retrieval of items per sub-sub group can even be restricted by also
typing in a wild card search in the last 3 positions of the MESC code. The existing
formatted items are now presented one at the time.
5) With the cursor still in the MESC field, navigate through the retrieved items by using
the arrow keys or tape recorder buttons "<<", "<", ">", ">>".

6.1.1.7.2 Starting from within screen 060 "Catalogue Search""


Menu navigation: "Main Menu" , next "Search".
After having retrieved an item by one of the various search options in screen 060, (See
chapter Catalogue Search for more details) click on the toolbar button "MNT FOR IT" to
go to screen 020 "Maintain Formatted Item".
The previously retrieved formatted item in question will now be displayed in screen 020.

6.1.1.8 Maintain Characteristic Values and their abbreviated values


Having retrieved a Formatted item, the user can maintain the characteristic values.
The Characteristic value and abbreviated value fields having a blue color being "Non-
optional" have to be filled in. A characteristic can hold multiple values indicating "or/or"
values or "and/and". Just one of the multiple values is displayed in the value field. To view
and or maintain the multiple values the user first positions the cursor in the value field and
next clicks on the "Multiple value" button. A pop-up screen with the multiple entries is
displayed (See Figure 40)

6.1.1.8.1 Enter/update the characteristic values & their abbreviated values as


follows:
1) Position the cursor in the required characteristic value field. Click first on the
corresponding LoV button to view and/or retrieve a value with or without an
abbreviated value. If there is no applicable value to select from, cancel the LoV and
enter the new value manually in the characteristic value field. Make sure you follow
the set-up of the existing values and abbreviated values for this characteristic.
Note: When selecting values which may hold Standards or Additional Documents,
make sure you select these values from the special tables where they are pre-defined.
So, never manually adjust these values in the characteristic value fields.
2) To enter/update multiple characteristic values, the user first positions the cursor in the
required value field and then clicks on the "Multiple value" button. Next a pop-up
screen with the multiple entries is displayed. Within this pop-up screen follow the
same enter/update rules as under (1). Always click on the "OK" button in the pop-up
screen to commit the changes.

6.1.1.8.2 Deleting a characteristic value:


1) Position the cursor in the characteristic value field that has to be deleted.
2) Click on the "Delete" toolbar button. This will clear the value.
3) To commit the deletion click on the "Save" toolbar button.
4) For deletion of multiple values the user first positions the cursor in the required value
field and then clicks on the "Multiple value" button. Next a pop-up screen with the
multiple entries is displayed. Within this pop-up screen position the cursor in the value
field that has to be deleted. Click on the "Delete" button in the pop-up screen. This
will clear the value. To commit the deletion always click on the "Save" button in the
CMT020 screen to commit the changes.

6.1.1.9 Maintain Attributes for Material Items


In block 3 of this CMT 020 screen the below listed attributes can be maintained in relation
to the Material Item:

6.1.1.9.1 Template Item


The user can select a "Template Item" by clicking on the LoV button next to this field.
These template items can then be adjusted and saved as a normal formatted item. The
template items of course first have to be created. See also 6.1.1.14 Maintain Template
Items.

6.1.1.9.2 Record Type


The user can choose from the values Formatted, Template, Unformatted, or "Obsolete".

6.1.1.9.3 Status
Item Status can either be "A" (active), "N" (non-active), "D" (Item to be deleted)

6.1.1.9.4 CSS Code


The "CSS code" (Company Selected Standard code) allows the user to stipulate the
recommended CSS code to be used by the Stock Analyst. CSS codes have to be created by
each individual Company. See also screen CMT250 Maintain Material Item Indicators and
Indicator Types. Example of CSS codes are:
- S: normal stock item
- Y: Capital spares (money value > xxx)
- N: Do not reorder, exhaust till stock = 0
-Etc.

6.1.1.9.5 Custodian
The "Custodian" field enables the user to create the link between the Organisation and
Material Item. Such as a person, department, operating company who is responsible for
maintaining certain areas of the catalogue. Input is required in this mandatory field.

6.1.1.9.6 Unit of Issue


Used to quantify the system of measurement for the material item, i.e. is it a piece, a roll or
per cubic meter, etc.

6.1.1.9.7 Product Group


A product group is an expenditure classification that can be linked to a material item. See
also screen CMT120 "Maintain Product Groups" .

6.1.1.9.8 Abbrev. Desc.(Abbreviated Description)


This field will hold the Abbreviated Description of the material item. The Abbreviated
Description can be generated either by:
a) Clicking on the "Gen Abbrev Desc" button. By doing this the Abbreviated Description
will be auto generated and composed of the "Short name Noun/Modifier" plus the
Abbreviated Characteristic Values with BIN labels set to "ON". or
b) Manually typing the Abbreviated Description or over typing the auto generated
Abbreviated Description.

6.1.1.10 Create a new Formatted Item


There are basically two ways to start creating a new material item
1) The user starts with a blank format (no existing item is used)
2) The user makes use of an existing item and the copy functionality.

6.1.1.10.1 Ad 1: The user starts with a blank format


1) Retrieve a Format, see 6.1.1.6
2) Move the cursor to the third block.
3) If the third block is not empty, select Menu option "Record" and select sub-option
"insert".
4) Fill in all mandatory information, including a MESC number in the third block
5) Fill in Characteristic Values and Abbreviated Values in the second block
Note: the user should always first consult the LoV's for characteristic values and select
these values if applicable. If not applicable, the user should create these values
following the lay-out of existing values.
6) Press "Save".
Please be aware that a Formatted Item cannot be saved unless:
a. Values have been entered for all "Non-optional" characteristics (blue fields)
b. Abbreviated Values have been entered for all "Bin" Characteristics (blue fields)
7) Click the "Gen Abbrev Desc" button to generate the abbreviated description (composed
of the abbreviated characteristic values with BIN label ON ) or manually adjust the
abbreviated description by over typing it.

6.1.1.10.2 Ad 2: Create a formatted item by copying from an existing Material


Item
To copy a Material Item do as follows:
1) Retrieve an existing formatted item (See: Retrieve Formatted Item).
2) Position cursor in the MESC field that holds the existing MESC no.
3) Tick off the "Keep Header Value" Check Box if all the values for the header
characteristics have to be copied to the new item.
4) Tick off the "Keep Item Values" Check Box if the item (detail) values have to be
copied to the new item.
5) Tick off both Check Boxes if all values have to be copied to the new item.
6) With the cursor still in the MESC field, click on the "Copy" button. This will enable the
user to enter a new MESC no.
7) Enter the new (non-existing) MESC code either by:
a) typing it in.(the new MESC code must be known already of course)
b) clicking on the "MESC no." button. Next, an LoV of existing MESC codes within
the sub-subgroup will be displayed. Lookup a free code in the LoV and select the
existing code that precedes the free number. This free code will now be displayed in the
MESC field. Complete the code with the indicator.
8) Update the Characteristics "Value" fields as required. Furthermore, the "Record Type",
"Status", "CSS Code", "Custodian", "Unit of Issue", "Product Group" and "Abbrev.
Desc" fields have to be updated. Click on the "Gen Abbrev Desc" to auto-generate the
abbreviated description or manually adjust the abbreviated description by over typing
it.
9) Click on the "Save" button to commit the transactions.

6.1.1.11 Convert an Unformatted Item into a Formatted Item


This transaction may be required in case that an item was previously registered as a
unformatted item because of missing specifications or a missing format and later can be
registered as a fully specified formatted item.

Starting from within screen 030 "Maintain Unformatted Item" take the following steps:
1) select the required Unformatted Material Item (see "Maintain Unformatted Items).
2) select the option "Menu", "Maintain Formatted Items"
3) now from within screen 020 "Maintain Formatted Items" change the "Record Type" to
"Formatted".
4) update any Characteristics "Values" as required
5) select the "Save" button to commit the updates made.

6.1.1.12 Delete a Material Item


An item can be deleted from the CMT database by a user with sufficient authority as
follows:
1) Retrieve the item to be deleted (see retrieve an item).
2) Click in the "Status" field and replace status "A" (active) by "D" (to be deleted).
3) Click on the "Delete" toolbar button.
4) Finally click on the "Save" toolbar button to commit the transaction.

6.1.1.13 Flag a Material Item as being "Obsolete"


1) With the screen in "Maintain" mode, select the "Record Type" list field.
2) Select the Record Type "Obsolete".
3) Click on the "Save" button to commit the changes made.

6.1.1.14 Maintain Template Items


Follow the same steps for Formatted Items, however with the following exceptions:
Template items do not have MESC numbers in the MESC fields. The Template item
number should be entered in the "Template Item No." field. In order to assign Template
Item No's the MESC hierarchy numbering system can be used for this purpose. See Figure
41.

6.2 Maintain Unformatted Items


In CMT basically two types of items are distinguished i.e. Formatted items and
Unformatted items. The unformatted items are specified without making use of a format
(framework). This is the case, for example, with unique spare parts which are normally
specified in relation to the parent equipment. Also special equipment, sub-assemblies, and
specific components, which are considered to be not general supply items, should be
registered as unformatted items. In general these items will be specified with their short
description, the manufacturer's reference, additional free text, and their associations
towards other material items.
Note: Existing Catalogue Items (both Formatted and Unformatted) can be linked (non
hierarchically) to Equipment, Assemblies and other items as Equivalencies or Substitutes
in screen CMT210 " Maintain Materials Items Associations".

6.2.1 Screen CMT030 - Maintain Unformatted Items

6.2.1.1 Menu navigation


From the Main menu select "Maintain Catalogue" and sub menu "Maintain Item Values.
Next select "Maintain Unformatted Items".

6.2.1.2 Purpose
The screen CMT030 "Maintain Unformatted Items" enables users to create Unformatted
Material Items and, optionally, link them hierarchical to the Equipment and/or Assemblies
they are used in.

6.2.1.3 Screen Structure

This screen is divided into three blocks.

Item with other Catalogue Items i.e. Assemblies or Equipment.
• The middle block enables the user to maintain (create, delete or update) the details of
Unformatted Items.
• In the lower block, the user can enter additional information such as the role
description, drawing and parts list item information in relation to the "Used In Item".

6.2.1.4 Mode
The screen can be used in both "Maintain" and "Query" mode. To create new or maintain
existing records, ensure the screen is in "Maintain" mode. To retrieve records ensure the
screen is in "Query" mode.

6.2.1.5 Screen Navigation


Use Menu options "Block" and "Record" to move through or clear the respective block or
record/records.
For example, to clear the current block, place the cursor in a field within the block and
select Menu Option "Block" followed by "Clear".
Alternatively the standard command buttons located in the tool bar can be used. The
command button "Clear" has the same functionality as its corresponding Menu Option.
Use the command button "Delete" for record deletions and always confirm with the "Save"
button. For scrolling through multiple records, retrieved by a query, use the arrow buttons
or tape recorder buttons "<<", "<", ">", ">>".

6.2.1.6 Creating an Unformatted Item


All steps required for creating an Unformatted Item are made in the middle block "Item
Details" in screen CMT030. When creating an Unformatted Item the user must ensure that
the item has either:

a) a MESC No. or;


b) a unique identifier against a Company Reference, or;
c) at the time of creation an association with an item which has a unique Company
Reference identifier (e.g.: Manufacturer & Part number).
With the screen in "Maintain" mode, enter the following information in the middle block
"Item Details":

1) If the MESC NO is already known to the user then type in the full MESC NO. and
continue with step 3.
2) If the MESC NO still has to be determined, the user utilizes the LoV buttons as
follows:
(i)To determine the MESC sub-sub group click on the LoV button to the left of the
"MESC" field. Next a pop-up screen prompts the user to select either "All sub-sub
groups" or "All coding schedule". Select the option "All coding schedule" if you want
to determine the sub-sub group via the hierarchical steps of Main group, Group, and
Sub-sub group. Select the option "All sub-sub groups" only if you have filled the
"MESC" field partially. By doing this the user is presented with all sub-sub groups
matching the value in the "MESC" field.
(ii)After having selected a MESC sub-sub group from The LoV list determine the next
free 3 positions of the MESC NO as follows: Position the cursor in the middle section
of the MESC field. Then click on the "MESC NO" button. As a result, all existing
MESC NO's within that sub-sub group are presented in an LoV. Search for a free
number. To select that free number position the cursor over the row that precedes that
free number and click on the "OK" button. The selected free number is now displayed

in the MESC field (Note: if the number is lower than 100 it will at first not be
preceded by zero's. e.g.: "009" will be represented by "9"). Complete the MESC NO
with the indicator (Note that the representation of the 3 positions is now correct).
3) Enter the Unformatted Items abbreviated description in the "Abbrev. Desc" field, and
indicate the status of the Material Item, either Active or Inactive in the "Status" field.
Enter the Company code in the "Company" field. A full listing of company's can be
displayed by selecting the LoV to the right of this field.
4) Enter the unique reference no. (when used in combination with the Company Code in
the "Reference No." field, such as a part number, drawing number etc.)
5) Enter the reference number type in the "Ref Type" field.
6) Enter the unit of measure the material item is generally issued in, in the "Unit of Issue"
field.
7) Next to the abbreviated description for the Material Item, the user can manually type
the long description for the item by selecting the "Long Desc" button.
8) The user can specify a Product Group Code for the Material Item in the "Product
Group" field. By selecting the LoV button to the right of this field, a full listing of
Product Groups will be displayed. Where the user wishes to limit the list to only those
Product Groups associated with the Noun/Modifier combination the check box "All
Product Groups" should be checked OFF.
9) The "CSS Code" allows the user to stipulate the recommended CSS code to be used by
the Stock Analyst.
10) In the "Record Type" field the user should choose the option "U" denoting that an
Unformatted Item has been created.
11) Select the Noun/Modifier combination to be associated with the Unformatted Item.
The Noun/ Modifier must already exist. If not, it should first be created in screen 040
"Maintain Noun/Modifiers and Synonyms".

6.2.1.6.1 Additional functionality


1) The "Print Ind." check box can be either checked ON to indicate that the Long
Description should be printed on purchase orders, or checked OFF when this facility is
not required.
2) The user (if required) may enter the reference number of the originating document
which initiated the request for the Material Items creation. The field "Proposal Ref."
serves this purpose. To enter multiple values in this field, click the next record button
while the cursor is still in the field.
3) The "Custodian" field enables the user to create the link between the Organisation and
Material Item. Such as a function within an Operating Company, or Third Party. Input
is required in this mandatory field.
4) Finally select the "Save" button to commit the new record to the existing data.

6.2.1.7 Create Unformatted Items by using the "Copy" Functionality


Having created an Unformatted Material Item, the user can create further (or multiple
numbers of) items by copying the information already entered and updating the item
specific data. To do so:
1) Select the "Copy Data" button, the mode of the screen is changed to "Maintain"
2) Update the information as required, particularly the MESC number, unique reference
no. and abbreviated description, since these fields can obviously not be the same for
any two items.
3) On completion select the "Save" button to save the changes made. The "Copy" button
functionality can be used repeatedly as required by the user. Care should be taken to
always save the newly created Material Item prior to proceeding.

6.2.1.8 Maintain an Unformatted Item


With the screen in "Query" mode, select the Material Item to be maintained by either;

1) Selecting a MESC number from the pop up box, triggered by using the LoV to the
right of the "MESC" field, or
2) Entering a wild card search in the "MESC" and or "Abbrev. Desc." fields, and
selecting the "Execute" button to retrieve the records matching the search query, or
3) Via Company reference query in the corresponding fields "Company" and "Refrence
No."
All fields can be updated as required except for the "MESC" field. To change an existing
MESC No., screen 240 "Change MESC Number" should be accessed.

6.2.1.9 Create an Item association


The purpose of creating item associations is to indicate the relations between items such
as:
• parent equipment and its spare parts
• parent equipment and its sub-assemblies
• which item to be used in conjunction with another item.
• equivalent items
• substitute items

This screen CMT030 can only be used to create associations for new Material Items. For
associations between existing items, screen CMT210 "Maintain Associations" should be
used.

Creation of an association requires the following steps:


1) First retrieve the "Used In" item as follows:
Clear the screen and position the cursor in the "Used In" block. Switch to the "Query"
mode. Enter a MESC sub-sub group or complete MESC number in the "MESC" field
and then click on the "Execute" button. Select the MESC item from the pop-up LoV.
2) Create the unformatted item to be associated to the "Used In" item (see create
Unformatted item)

3) Position cursor in the third block "Association Details" and complete the following
data:
a)Role Description: The user can define a description specific to the association.
Example of a Role Desc is: "Bearing for drive shaft" as opposed to the Abbrev Desc
"Bearing, ball". Default the Abbrev. Desc will be stated.
b)Asso Type: being the code for the association type: e.g.: AC=Accessory for,
SA=Sub-assembly for, SP=Spare part for, EQ=equivalent for, CJ=In conjunction with,
SU=Substiture for. Click on the LoV button next to the "Asso Type" field to select
from a predefined list of codes.
c)Quantity: fill in the quantity of the item required when used with the associated
equipment or assembly
d)Drawing Item No: allows the user to specify the drawing number on which the
Unformatted Material Item appears in relation to the Equipment or Assembly.
e)Parts List Item: enables the user to specify the parts list on which the Unformatted
Materials Item appears in relation to the Equipment or Assembly.
f)Association restricted to current reference: Not applicable

6.2.1.10 Retrieve Item associations

6.2.1.10.1 Retrieving Hierarchical/Non hierarchical associations


By selecting "Hierarchical" associations in the top right section of the screen, the user
limits the retrieval of linked items to those with the following associations only;
• spares
• used in conjunction with

By selecting "Non hierarchical" associations the user limits the retrieval of linked items to
those with the following associations;
• equivalents
• alternatives.

6.2.1.10.2 Retrieving All Associated Items/Item Associated to Reference


By selecting "All Associated Items" the user specifies the retrieval of all items linked to
the "Used In " item, and without having to be in use with a specific company Reference.
By selecting "Item Associated to Reference" the user limits the retrieval of linked items to
those linked to the "used In" item where the association is restricted to a specific Company
Reference.

6.3 Maintain Company References


A Company reference for a Material Item can be a Manufacturer and/or Supplier name &
code with the unique reference number for that item (e.g.: Part, Model, Serial, Drawing
numbers etc.). In this way these Reference Numbers identify the Catalogue Item uniquely
for that Company.

6.3.1 Screen CMT230 - Maintain Company References

6.3.1.1 Menu navigation


This screen can be accessed via the following screens by clicking on the "MNT CO REF"
button:
CMT020 "Maintain Formatted Item"
CMT200 "Enquire Formatted Items"
CMT650 "Enquire Unformatted Items"
CMT400 "On-line Display of Buying Description"

6.3.1.2 Purpose:
This screen enables the user to maintain Company Reference Numbers (e.g.:
Manufacturers and Suppliers) against existing Catalogue Items.

6.3.1.3 Screen Structure:

• The upper block displays the Material Item for which the Company References are to
be maintained.
• The lower block displays the linked Company References with the displayed Material
Item.

6.3.1.4 Mode:

existing records, ensure the screen is in "Maintain" mode. To retrieve records, ensure the
screen is in "Query" mode.

6.3.1.5 Screen Navigation:

select Menu Option "Block" followed by "Clear".

6.3.1.6 Create a Company Reference


With the screen in "Query" mode either:
1) select the "Execute" button. From the pop-up screen select button "MESC", or
"Company" to retrieve existing Company references from LoV tables.
2) input a wild card search in either the "MESC" or "Abbrev. Desc" field and select the
"Execute" button to retrieve the records matching the search criteria, or;
3) enter the MESC or part MESC number and select the "Execute" button, or;
4) select the LoV button to the right of the "Abbrev,. Desc." field. From the pop up box
select the required record.
5) Where Company References are linked to the Material Item these will be retrieved as
the user selects the "Execute" button. With the Item retrieved and with the screen in
"Maintain" mode move to the lower block and:
6) Select the LoV button to the right of the "Company" field. From the pop up box select
the required Company Reference.
7) Type in the the company number in the "Reference No." field, ensuring that this
reference together with the displayed Company Code will uniquely identify the
Material Item displayed in the upper block.
8) Select the LoV to the right of the "Ref. Type" field and select the required Reference
Number Type.
9) Check the "Preferred" field either ON or OFF. Where a new or non-preferred Company
Reference is made preferred, the current preferred Company Reference becomes non-
preferred. The logic being, that there must always be one preferred Company
Reference.
10)Check the "Unique" field either ON or OFF. If the "Unique" filed is ON it indicates
that the Company Reference is unique.
11)Indicate whether the "Status" of the Company Reference is either "A" for Active or "N"
for Non active
12)On completion, select the "Save" button to commit the newly entered information.

Equipment Asset Numbers can be created to uniquely identify an individual piece of
equipment applied in a plant. The below specified screen enables the user to maintain
(create, update, delete) Equipment Asset Numbers linked to a Material Item.

6.4.1 Screen CMT220 - Maintain Equipment Asset Numbers

6.4.1.1 Menu navigation


From the main menu select “Maintain Catalogue” and “Maintain Item Values”. Next select
“Maintain Equipment Asset No”. The screen can also be accessed from CMT060
“Catalogue Search” by clicking on the “MNT EQ NO” button.

This screen is divided into two blocks:


• The upper block displays the Material Item for which the Equipment Asset
Numbers are to be maintained.
• The lower block displays the linked Equipment Asset Numbers with the displayed

The screen can be used in both “Maintain” and “Query” mode. To create new or maintain
existing records, ensure the screen is in “Maintain” mode. To retrieve records, ensure the
screen is in “Query” mode.

With the screen in “Query” mode either:
1. Enter a wild card search in the “MESC” field or the “Company” field and select one
of the LoV buttons. From the displayed LoV windows, select the required record
2. Enter part of the MESC number, e.g. only the first 6 digits and select the “Execute”
button. With the tape recorder buttons, all Material Items can be selected.
With the tape recorder buttons, select the appropriate MESC number and Company
Reference combination, in case there are multiple Company References linked to the
Material Item.
Move to the lower block and:
1. Type in the Equipment Asset Number and optionally an Equipment Description.
2. Type in more Equipment Asset Numbers if desired.
3. Select the “Save” button to commit the newly entered information.

6.4.1.6 Maintain an Equipment Asset Number


1. Retrieve the selected record as required (see above for retrieval)
2. With the screen in “Maintain” mode:
3. Move to the lower block “Equipment Asset Numbers”
4. Update records as required
5. Select the “Save” button to commit the newly entered information.

6.4.1.7 Delete an Equipment Asset Number

6.5 Maintain Item Associations


Item associations can be created to indicate the various relations between material items.
The below specified screen enables the user to maintain (create, update, delete)
associations of Material Items That is equipment hierarchies, equivalents and additional
substitutes where the Material Items involved already exist.
Associations can be made between all material item types, i.e. Unformatted to
Unformatted, Formatted to Unformatted, Unformatted to Formatted and Formatted to
Formatted, with the exception of Template Items

Note:
No maintenance of existing material item information can be performed in this screen, so
only information related to an association between two existing material items can be
created or updated.

6.5.1 Screen CMT210 - Maintain Materials Item Associations

6.5.1.1 Menu navigation


From the main menu select "Maintain Catalogue" and "Maintain Item Values". Next select
"Material Item Associations".

Number") entering a wild card search, and selecting the "Execute" button, or;
b) selecting the LoV to the right of the "Company" field to see all existing CMT Material
Items sorted by Company and Company Reference, from which a record can be
selected.

6.5.1.6 Retrieve an Associated Item:


Having retrieved a Focus item, do the following to retrieve an existing associated item:
1) in the upper block first select from the radio button options "Restricted Association" or
"All Associated Items";
(a)"Restricted Association" will select only those items which are associated to the
Focus Item in relation to the "Company" and "Reference No." on display
(b)"All Associations" will select all items which are associated to the Focus Item
2) move the cursor to the lower block and select the "Execute" button, or;
3) enter a wild card search in one of the following fields, "Company", "Reference
Number", "MESC" and select the "Execute" button, or;
4) select one of the LoV's to the right of the "Company", "MESC" or "Assoc Type" field,
and select the required item from the pop up boxes activated.

6.5.1.7 Maintain Item Association


With both a Focus and Associated Item retrieved (see above), and with the screen in
"Maintain" mode, update the association information as required. On completion select the
"Save" button to commit the changes made.
More than one item may be associated to the Focus Item. Where this is the case, use the
arrow keys to toggle through the records, and carry out multiple updates if required.
Ensuring the "Save" button is selected prior to toggling onto a new item.

6.5.1.8 Create a New Association


Having retrieved a focus item (see above) place the cursor in the lower block. Switch to
the "maintain" mode and retrieve an item to be associated either by
a) clicking the LoV to the right of the "Company" field, and selecting the Company
Reference from the pop up box and clicking the "Execute" button to retrieve all items
linked to this Company Reference, or;
b) entering the "MESC" field and clicking the LoV to the right of the "MESC" field

Having retrieved the item to be associated the user can optionally fill in the following
fields:
1) "Role Description": the associated item has an Abbreviated Description of its own.
However, in its association with the Focus Item the user may wish to specify an
alternative description.
2) "Issue Unit": the Associated Items unit of issue.
3) "Qty": the Associated Item may occur more than once if the association is in the form
of a Bill of Materials. i.e. the Focus Item is a piece of equipment, and the association
being made is to code the spare parts/assemblies, in the form of associated items, that
"make up" the piece of equipment.
4) "Assoc Type": Here, the user can select the LoV to the right of the field, and select the
type of association which will link the associated item to the focus Item, namely,
Substitute, Equivalent or Spare Part. Having selected the required association, select
the "Save" button to commit the links made

the Focus Item can be selected by the LoV buttons to the left and "MESC NO" button to
the right of the MESC field. If there are any "Used In" items or "Associated Items" related
to the Focus Item they will show in the corresponding blocks with the relevant association
attributes.
The Focus Item can be changed by:
a) clicking on one of the row items in the "Used In" upper block and then click on the
"Chg Focus" button. This will result in positioning the selected "Used in" row item
now as the "Focus Item". The "Used In" items and "Associated Items" will change
accordingly with the Focus Item.

Materials item details enables the user to store additional information about Material
Items. The additional information being: Additional text, Unit of Purchase, Unit of receipt,
Receipt of issue and their conversion factors, Usage codes, etc., (see also end of this
chapter).

6.6.1 Screen CMT180 - Maintain Material Item Details

6.6.1.1 Menu navigation


From the Main menu select "Maintain Catalogue" and then maintain "Item Values". Next
select "Maintain Formatted" or "Maintain Unformatted". Having an existing Material Item
displayed in these screens you can approach "Maintain Item Details" by clicking on the
"MAT IT DTL" button
or
From the Main menu select "Search" and via "Formatted Search" or "Unformatted Search"
retrieve an existing Material Item. Next click on the "MAT IT DTL" (Material Item
Details) button.
or
From the Main menu select "Search" and via one of the other search options retrieve an
existing Material Item. Next click on the "ENQ FOR IT" (Enquire Formatted Item) or
"ENQ UNF"T" (Enquire Unformatted Item) button and after the material items are
displayed on these screens then click on the "MAT IT DTL" (Material Item Details) button

This screen cannot be accessed directly from the Main Menu, and to display a Material
Item in the upper block an item first have been selected in one of the linked preceding
screens.

6.6.1.6 Update Material Item Details


With the Material Item displayed in the upper block and with the screen in "Maintain"
mode, update the information in the following fields as required:
1) Unit of Purchase: any currently existing unit can be used, select the LoV button to
obtain a full listing.
2) Unit of Receipt: any currently existing unit can be used, select the LoV button to
obtain a full listing.
3) Additional Data: this may already contain text, having been previously input via
screen 030 "Maintain Unformatted items". Where this is the case the user can edit as
required. Where no text has been previously input, the user can do so.
4) Additional Data Print Indicator: the user can indicate whether the "Additional Data"
should be printed on Purchase Orders, or not.
Conversion Factors
- New UOM: select the LoV to the right of the field to
select from the available choices.
- Old UOM Multiple: entered by the user, this is
the same as the displayed "Unit of Issue".
- New UOM Multiple: entered by the user.
- Purchase to Receipt: entered by the user.
- Receipt to Issue: entered by the user.
5) Proposal Ref: the reference number of the originating document. if more than one
reference number needs to be input, with the cursor in the field select the next record
button. Selecting the LoV button to the right of the field will display the multiple
references.
6) Product Group Code: select the product Group code to be linked to the Material Item.
The product Group must already exist. To view the available options select the LoV

button to the right of the field. By checking the "All product Groups" check box ON
all codes are displayed. If checked OFF only those linked to the format are displayed.
7) MIS: select the LoV to the right of the field to view the available options.

9) Usage Code: select the LoV to the right of the field to view the available options.
10) Local code 1: select the LoV to the right of the field to view the available options.
11) Local Code 2: select the LoV to the right of the field to view the available options.
12) Sponsor: select the LoV to the right of the field to view the available options.
13) Last Update On: this field is updated by the system. No user input is required. The
field reflects the last date the buying description was changed of the related material
item, e.g. a characteristic value change. The following list summarizes the buying
description changes that will update the ‘Last Update On’ field:
1. Characteristic value insert/update/delete
2. Noun, modifiers and buydesc name update
3. Characteristic type update
4. Characteristic insert/update/delete
5. Value unit insert/update/delete
6. Product group code insert/update/delete
7. Additional text insert/update/delete

6.6.1.7 Conversion Factors


The section "Conversion Factors" has to be updated in case that the Unit of Measure is
modified.
1) New UOM select from LoV
2) Old UOM Multiple: Same as Unit of Issue on display
3) New UOM Multiple: NA
4) Purchase to Receipt:
to prevent stock inaccuracies where a material item is purchased under one unit e.g.
tonnage, but receipt under a separate unit e.g. joint, a numeric conversion factor
negating the differences in unit should be input.
5) Receipt to Issue:
to prevent stock inaccuracies where a material item is purchased under one unit e.g.
tonnage, but receipt under a separate unit e.g. joint, a numeric conversion factor
negating the differences in unit should be input.

6.6.1.8 Equipment Detail


• Equip Mod No. : enter the model number if required.
• Co Ref Manual : enter the reference manual identifier if required.
• Drawing No : enter the drawing number of the Material Item if required.

On completion select the "Save" button to commit the updates made.

6.7 Maintain Buying Description


The buying description is the full specification of a Material Item. This may be either
Formatted or Unformatted. Template items are excluded. The full buying description for
formatted items comprises the Noun/modifier, Characteristics, Characteristic values, Issue
unit, Short description and optionally the Additional/Long Description.

6.7.1 Screen CMT400 - Online display of Buying Description

6.7.1.1 Menu navigation


This screen can be accessed via the following screens by clicking on the "Buy Desc"
button:
1) CMT020 "Maintain Formatted Items" or
2) CMT030 "Maintain Unformatted Items" or
3) CMT200 "Enquire Formatted Items" or
4) CMT650 "Enquire Unformatted Items"

6.7.1.2 Purpose:
This screen enables the user to retrieve and scroll through the full specification of a
particular Material Item. These may be either Formatted or Unformatted. Template items

The user can access this screen from within other screens where there is a "Buydesc"
button. For example, from within screen CMT060 "Catalogue Search" and screen
CMT200 "Enquire Unformatted items".
With the screen selected to view the details associated with the material Item on display
select the "Item Details" button. This will trigger screen CMT180 "Maintain Material Item
Details".
To create/update/delete the Company details associated with the Material item on display
select the "MNT CO REF" button. This will trigger screen CMT230 "maintain Company
References".
Select the "Previous" button to return to the linked access screen.

The "Multiple Value " button will display the possible multiple characteristic values for
the selected characteristic.

The "Long Description" text field will display the additional information of the item if
there is any.

6.8 Block Updates


The block update functionality enables the user to update or delete blocks of records with
the minimum of manual effort while safeguarding the integrity of the data. Furthermore,
the transaction enables the user to modify a potentially large number of Material Items
with conservative effort.

6.8.1 Screen CMT260 - Block Updates

6.8.1.1 Menu Navigation


From the Main Menu select menu option "Maintain Catalogue", then select submenu
"Maintain Item Values", next select submenu "Block Update Material Items".

6.8.1.2 Screen Structure

The screen is split into two blocks:
• The upper block has a selection list field called "Block Update Type". This allows the
user to specify the type of update, dynamically determining the fields to be displayed
in the lower "New Value" block.
Furthermore the upper block has "Selection Criteria" fields which allow the user to
specify the selection criteria for the Material Items that are to be updated.
• The lower "New Value" block specifies the new values for the Material Items that
have to be modified.

6.8.1.3 Mode
The screen can be used in "Maintain" mode only.

6.8.2 General Setting up of Block Updates


This paragraph is generic to all Block Updates. Any issue that is specific to a particular
Block Update Type will be dealt within the corresponding Block Update Type.

General Steps
1) Click on the List Box button and select the update type. The possible selections are:
• Material Items
• Units of Measure
• Product Groups
• Characteristic Values
• Organisations
• Delete Material Items
• MESC Sub Sub Group

2) In the upper "Selection Criteria" block specify the selection criteria: e.g.:
Noun/Modifier combination and MESC range, etc. for which the update is to be made.
Note: Use the LoV buttons to select the selection criteria in the upper block.
Important note: When Noun/Modifier fields are left empty, these fields are not
interpreted as wildcards, except for the Organisations block update and the MESC Sub
Sub Group block update where these fields are always empty.
3) In the lower "New Value" block update the fields as required with their new values.
4) Click on the "EXECUTE UPDATE" button
5) Next a pop-up screen with a Listing of the Material Items involved for the block
update will appear. Select the "CANCEL" button to cancel the transaction or select the
"OK" button to continue with the block update transaction.
6) After clicking the "OK" button a pop-up screen will appear to prompt the user for
Priority handling of the Block Update and finalise the transaction.

Note: the status of a block update transaction can be viewed on screen CMT 730 "Request
Cancellation/Modification. Menu navigation for this screen is: from the Main menu select
"System Admin" and next submenu "Request Cancellation/Modification"

6.8.2.1 Additional Functionality


To aid the user in updating the required fields use the LoV's to the right of fields to trigger
the list of values from which a selection can be made. For example if updating "Product
Group" select the LoV to the right of the field, to view a full listing of available options.
Tip: use a selection criteria in the field for the LoV button to limit the search within the
LoV. This especially the case with the MESC Sub-Sub LoV's.
To enhance the searching in large listings the user can specify the content of the LoV's.
For example, the "Characteristic Value" LoV (in the lower block "New Value") can be
triggered to display either existing Standards or Additional Documents. This can be
specified by checking the respective "Existing Values" or "All Additional Documents"
check box under the field.
To limit the LoV content, when performing a MESC Sub Sub Group block update type, in
the "MESC Sub Sub Group" field (in the lower "New Value" block) either:
Check the "All Coding Schedule" box ON this will ensure the user can select from the
following sequence:
1) Main Group
2) Sub Group within Main Group
3) Sub Sub Group within Sub Group, or

Check the "All MESC Sub Sub" box to ensure the LoV contains all MESC Sub Sub
Groups.
Where neither check box is checked, the LoV to the right of the "MESC Sub Sub Group"
field will contain all MESC Sub Sub Groups of all Material Items within the selected

This block update type enables the user to block update the Characteristic Values for
Material Items by one or a combination of the following selection criteria:

Steps
1) With the screen in Maintain mode select the option "Characteristic Value".
2) Enter the required search criteria
3) Enter the required update values
4) Click on the "EXECUTE UPDATE" button

Note: After having viewed the items involved with the block update, the user is prompted
to confirm if the abbreviated item descriptions have to be updated. This will be the case if
the updated values are part of BIN values that may appear in the short item descriptions.
Therefore the abbreviated item descriptions have to be generated again.

In illustrated example (see Figure 54) the characteristic "Pressure designation" is to be


updated from 150 to 300 ANSI Class for the "Check valves in question within the range
77.10.20.008 till 014. Also the abbreviated value for the new value is updated to "CL300".
Note: If intentionally the MESC range was left out, the block update would affect all
"Piston type, bolted cover flanged check valves". If however, not intended, this block
update could have caused lots of incorrect data! Therefore be careful when executing
block updates!

Adding a new characteristic value by block update:


For this purpose you can select the check box ‘Insert Char Value’. When inserting a new
characteristic value, the selection criteria cannot be based on characteristic and
characteristic value. These fields will be cleared automatically. The new characteristic with
its value can be filled in the New Value section.

Deleting a characteristic value by block update:


For this purpose you can select the check box ‘Delete Char Value’. When deleting a
characteristic value, the characteristic value in the New Value section must be empty. This
field will be cleared automatically. The characteristic and its value to be deleted should be
selected in the Selection Criteria section.

Old tips:

• Tip 1: Adding a new characteristic value by block update (old method):


For this purpose you have to make use of a so-called "Host characteristic and
characteristic value" in the selection criteria. The host characteristic must be a different
characteristic than the one in the New Value section that has to be added. The host
characteristic and its value must be common to the range of material items to be updated
with the new value. In this way also multiple characteristic values can be added.

Note: during this transaction the user will be prompted for confirmation to continue since
there are different characteristics involved. Click on the "OK" button to continue and
finish the transaction as normal.

• Tip 2: Deleting a multiple characteristic value by block update (old method):


Select the characteristic and the value in question to be deleted in the selection criteria. In
the New Value section select the same characteristic and one of the other existing
multiple values. Executing this block update will result in updating it to another existing
multiple value which has the same result as if it has been deleted.

This functionality enables the user to either:
• in case a MESC modification is required: update the MESC number of a Material
Item.
• in case a Material Item received more than one MESC number, transfer Company
References and Material Items prior to deletion of the duplicate Material Item(s).

• "MESC Ind" button, to display a list of MESC Indicators from which a selection
can be made.
• "MESC No" button to display LoV 310 showing Material Items already coded in
the entered MESC Sub, Sub.
4) Select the "Save" button to commit the MESC replacement.

6.9.1.6 Merge Material Items


1) With the screen in "Maintain" mode:
2) Select the option "Merge MESC Number" in the upper block.
3) Enter the MESC Number for the remaining Material Item (to which the merged
Material Item Associations and Company References will be copied to) in the
"Existing MESC Number" field.
4) Enter the MESC for the Material Item(s) to be merged in the "Merged MESC
Number" fields.
5) Select the "Save" button.

7.1 Maintain Additional Documents


Additional documents in CMT are all documents containing information in text or images
that can be referenced to material items. Additional documents can be:
• Additional Requirements within the Company or Company Group, which contain
information used in catalogue descriptions (e.g.: MESC SPECS such as Inspection &
marking requirements.
• Standard Drawings (STD DRG)
• Design Engineering Practices (DEP's)
• Additional information (MESC INF)
• Illustrations (MESC ILL)

7.1.1 Screen CMT100 - Maintain Additional Documents

7.1.1.1 Menu navigation


From the Main menu select "Maintain Catalogue" and sub menu "Maintain Reference
Data". Next select "Additional Documents".

7.1.1.2 Purpose
This screen enables the user to maintain (create, update and delete) the reference
information on Additional Documents.

The screen consists of one block where the user can specify the Additional Document. The
large field displays the contents of the selected additional Document, and enables the user
to maintain the content details. In this context an Additional document can comprise of
either:
a) text
b) image
c) text & image.

7.1.1.4 Mode
The screen can be used in both "Maintain" and "Query" mode. To create new or maintain
existing records, ensure the screen is in "Maintain" mode. To retrieve records, ensure the
screen is in "Query" mode.

7.1.1.5 Screen Navigation


Use Menu options "Block" and "Record" to move through or clear the respective block or
record/records.
For example, to clear the current block, place the cursor in a field within the block and
select Menu Option "Block" followed by "Clear".
Alternatively the standard command buttons located in the tool bar can be used. he

7.1.1.6 Create Additional Document


Creating an Additional Document requires the following steps:
1) With the screen in "Maintain" mode enter the relevant Document details, ensuring that
the mandatory attributes (fields with blue colour) "Custodian", "Prefix", "Reference",
"Issue" and "Status" are entered as a minimum. Explanation of the Attributes:
- Custodian :e.g.: a department or body responsible for the content of the
document
- Prefix :e.g.: STD DRG (Standard Drawing), DEP (Design Engineering
Practice), MESC SPEC (MESC Specification), MESC ILL (MESC
Illustration), MESC INF (MESC Information)
- Reference :a specific reference within the prefix
- Issue :year of issue of the additional document
- Subject :stating the subject (Title) of the additional document
- Status :A(Active) or N(Non-active)
2) Select the "Import/Export" button to link the Additional Document text or Image from
the Windows application in which it was originally created.
3) In the dialogue box which is activated by selecting the "Import/Export" button, enter
the filename and path of the Additional Document. Select Text (ASCII), Text (PDF),
or Image to import respectively an ASCII document, a PDF (Portable Document
Format) document, or an image file. Finally select the “OK” button. The document is
now linked.
4) Select the "Save" button to commit the details of the new record.

7.1.1.7 Retrieve Additional Document


With the screen in "Query" mode, retrieve a record by:
a) selecting the LoV button to the right of the "Issue" field. (the LoV can be restricted by
first specifying already known data in the fields). Next retrieve the required record
from the pop up LoV.or;
b) enter a wild card search in any of the mandatory fields, and select the "Execute"
button. Next, toggle trough the results with the Up/Down Arrow cursor keys or use the
Tape recorder buttons from the Button Tool bar.
The content of the Additional Document is displayed in the lower block, by selecting the
"Text" and/or "View Image" button.
When the “Text” button is selected, the appropriate text viewer will show the content of
the document. If for a particular Additional Document ASCII text as well as PDF text
exist, a dialogue box will be displayed. This dialogue box can be used to display either
document.

7.1.1.8 Maintain Additional Document


With the screen in "Maintain" mode, update the details of the selected record as required.
Select the "Save" button to commit the updates made to the record. To delete an
Additional Document, place the cursor in any of the fields in the first block and select the
"Delete" button. Confirm the deletion in the activated pop up box by selecting the "OK"
button.

The text linked to the Additional Document can be maintained either by:
a) Selecting the "Text" button, and editing the text in the activated pop up screen if it is
an ASCII text, or;
b) Editing the text in its source form (e.g. in Notepad, Adobe Acrobat, etc.) and re-
importing the document on completion.

The image linked to an Additional Document can be maintained by opening the image in
its source application (e.g. paint brush, power point) and re-importing the image on
completion.

7.2 Maintain Material Item Indicators and Indicator Types


Material Item Indicator codes serve to further specify MESC codes, to indicate CSS
(Company Selected Standards used by Stock Analysts), MIS (Material Info Statistics),
Usage codes, and Codes for Local use.

7.2.1.1 Menu navigation

data". Next select "Material Item Indicators and Indicator types.

7.2.1.2 Purpose
The screen enables the user to maintain Material Item Indicator Codes. The screen
combines the maintenance of various indicator types, such as CSS or MIS codes, and
allows local introduction of additional code sets. Another example of an indicator type is
USG (usage codes). The indicator values specified for the USG indicator type can be used
in screen 060 and screen 200 for search and selection purposes. Material items should in
that case contain these specific usage codes. This can be done in screen 180.

Move to the lower block and enter the required number of indicator Value "Codes",
associated "Descriptions" along with their "Status". Again, on completion select the
"Save" button to commit the new records.

7.2.1.7 Maintain Indicator Type and Values


With the screen in "Query" either:
a) Select the Indicator Type "Code" LoV button, and from the dialogue box select the
required record, or;
b) Retrieve the required record by entering a wild card search in either the Indicator Type
"Code" field and/or "Description" field. Select the "execute" button to retrieve the
associated records.

With the required record or records retrieved update accordingly. On completion select the
"Save" button to commit the changes made.

7.2.1.8 Delete Indicator Type or Value


With the screen in "Query" mode retrieve the required record (see Maintain Indicator Type
and Values for individual retrieval steps above). With the required record or records
retrieved and selected, choose the "Delete" button, and then "Save".

Having retrieved the required record (see above), and with the screen in "Maintain" mode:
Update the record details as required, select the "Save" button to commit the changes
made.

7.3.1.8 Delete a Record:


Having retrieved the required record (see above), and with the screen in "Maintain" mode:
1) Place the cursor in the record to be deleted.
2) Select the "Delete" button or select the Menu option "Record", "Delete".
3) Select the "Save" button to commit the changes made.

7.3.1.9 Create a Material Item Association Type:


Ensure the screen is in "Maintain" mode. The fields "Code", "Description" and "Status"
are all mandatory and must be completed for a record to be valid.
To insert a record:
1) Place the cursor in the record above which you wish to insert a new row.
2) From the Menu Option "Record", "Insert".
3) In the newly inserted row, enter the details of the record as required.
4) Select the "Save" button to commit the changes made.

7.4 Maintain MESC Hierarchy / Coding Schedule


The MESC Hierarchy / Coding Schedule is a classification system for commodities with
three hierarchical levels: Main group, Sub-group and Sub-Sub group. There are 100 Main
groups. Each Main group is divided into 100 Sub-groups. Each Sub-group on its turn is
divided into 100 Sub-Sub groups. This MESC hierarchy up to the sub-sub group level is
called the Coding Schedule. The MESC hierarchy and coding schedule are further used to
compose the item codes in CMT. Each sub-sub group can hold 1000 item numbers ranging
from 001 to 999. Example of a MESC coding schedule is:

7.4.1.1 Menu Navigation


From the Main menu select "Maintain catalogue" and submenu "Maintain reference data".
Next select submenu "MESC Hierarchy".

7.4.1.2 Purpose
This screen enables the user to maintain, retrieve existing MESC Main, MESC Sub and
MESC Sub Sub groups, and additionally enables the user to create new Main, MESC sub
and MESC Sub Sub groups.

• The first block holds the MESC Group information.
• The second block the MESC Sub group data
• The third block holds the MESC Sub Sub groups.

7.4.1.4 Mode
The screen can be used in both "Maintain" and "Query" mode. To create new MESC
Main, Sub, Sub Sub groups ensure the screen is in "Maintain" mode. The retrieval of
records should be carried out in "Query" mode and thereafter, the updating/deletion of
records in "Maintain" mode.

7.4.1.5 Screen Navigation


Use Menu options "Block" and "Record" to move through or clear the respective block or
record/records.

For example, to clear the current block, place the cursor in a field within the block and
select Menu Option "Block" followed by "Clear".
Alternatively the standard command buttons located in the tool bar can be used. The

7.4.1.6 Create New Records

7.4.1.6.1 Group
In "Maintain" mode, enter the new MESC "Code" and tab to the "Description" field and
enter the appropriate information. Tab to the "Loc Ind" (Local Indicator)check box. By
clicking the check box with a check mark will indicate that there will be no central
catalogue items linked to it and will be used for Local purposes only.
A blank check box "Loc Ind" will indicate that central catalogue items will be linked and
not to b used for Local purposes.. The final field "Status" allows the user to specify
whether the Main Group is "A" (Active) or "N" (Non active). All fields in this block are
mandatory and require input by the user. Prior to moving to the second block select the
"Save" button to commit the data input.

7.4.1.6.2 Sub Group


As in the previous block all fields are mandatory, with the fields "Loc Ind", and "Status"
sharing the same functionality. The fields "Code" and "Description" although sharing the
same functionality, refer to the MESC Sub group. Enter the data as required, selecting the
"Save" button prior to moving to the third block.

7.4.1.6.3 Sub Sub Group


As with the prior two blocks the same functionality is inherited by the fields "Code",
"Description", "Loc Ind" and "Status". The content of the fields refer however, to the
MESC Sub Sub groups. In this final block, more than one Sub Sub Group can be entered.
Select the "Save" button to commit the final information entered.

7.4.1.7 Retrieve and Maintain Records


Ensure the screen is in "Query" mode. Retrieval of records can be carried out by either
wild card queries, or by retrieving all existing records. To retrieve records by using wild
cards, enter the partial data along with the wild card indicator "%" and select the "Execute"
button. To retrieve all existing MESC Main Groups:
1) Select the LoV button to the right of the "Status" field in the first block. Screen
CMT680 LoV MESC Main Group is activated.
2) Select the MESC main group, this becomes the active record on the main screen. The
first existing MESC Sub and MESC Sub Sub Groups linked to the active MESC Main
Group are now displayed.
3) To retrieve another sub group with a main group on display do as follows: Position the
cursor in the sub group field, select the "Clear" button. Next switch to "Query" mode.
And click on the LoV of the sub-group. Now select the required sub-group from the
LoV screen. Alternatively a wild card search can be executed in the sub-group fields.
Having retrieved a MESC Main Group, the user can similarly maintain the linked MESC
Sub, and Sub Sub groups, in turn.

Select the "Save" button once the required updates have been made.

7.4.1.8 Delete Records


In "Maintain" mode MESC Main, MESC Sub and MESC Sub Sub groups can be deleted,
but only where no records are still hierarchically linked. For example, a MESC Sub group
cannot be deleted where MESC Sub Sub groups are still linked. Upon completion of the
update exercise, select the "Save" button to commit the changes made.

7.5 Maintain Organisations and Roles


Organisations & Roles in CMT contain the following information:
1) Source companies, e.g. suppliers, manufacturers etc.
2) Custodians within the Company organisation who are responsible for maintaining
certain areas of the catalogue, e.g. departments, sections, individuals etc.

7.5.1 Screen CMT110 - Maintain Organisations and Roles

7.5.1.1 Menu navigation


From the Main menu select "Maintain catalogue" and submenu "Reference data". Next
select the submenu "Organisations & Roles".

7.5.1.2 Purpose
This screen enables the user to maintain information about companies and catalogue
custodians.

7.5.1.3 Screen Structure

With the screen in "Maintain" mode, enter as a mandatory minimum:
1) the Organisation "Code" (e.g. SHELL)
2) the Organisation "Long Name" (e.g. SHELL International ).
3) the Organisation "Status" (e.g. "A" for Active or "N" for Non active).
4) The "Short Name" and "Vendor Code" are optional fields. Prior to moving to the
lower block, select the "Save" button to commit the changes made.

The lower block enables the user to link roles to the Organisation specified in the upper
block, although this is optional, and the user can leave this screen without Organisational
Role links having been made.

Where a link is to be made, a minimum of one record is required.


1) To do so select the LoV to the right of the "Role" field. From the activated list box
select the role. The associated role "Description" is automatically displayed for the
user. Thereafter, enter any relevant information in the "Notes" field. Additionally,
enter either "A" for Active or "N" for Non active in the "Status" field.
The user will only be able to link existing Organisational Roles. If a "Role" has not yet
been defined the user will receive a warning message on trying to save. At this point
the user should first create the "Role" in screen 150 - Maintain Organisational Role
Types.
2) Select "Save" on completion to commit the newly input record.

7.5.1.7 Retrieve Organisation and Associated Organisation Roles


With the screen in "Query" mode, retrieve a record by:
a) using a wild card retrieval in any of the fields in the first block, select "Execute" to
retrieve the associated records against the search criteria. Use the tape recorder buttons
"<<", "<", ">", ">>" or the cursor arrow keys to navigate to the required record, or
b) select the "Execute" button, all records are retrieved, use the tape recorder buttons
"<<", "<", ">", ">>" or the cursor arrow keys to navigate to the required record, or;
c) select the LoV button to the right of the "Code" field. From the pop up box displayed,

1) ensure there are no Organisation Roles associated

7.6.1.7 Maintain Organisation Role Type


Having retrieved the required record (see above) and with the screen in "Maintain" mode:
1) update the record as required;
2) select the "Save" button to commit the updates made.

7.6.1.8 Delete Organisation Role Type


With the retrieved record displayed, and with the screen in "Maintain" mode:
1) ensure the cursor is in the record to be deleted,
2) from the menu choose "Record" then "delete", or click on the "Delete" button.
3) select the "Save" button to commit the update made.

7.6.1.9 Create Organisation Role Type


With the screen in "Maintain" mode;
1) Place the cursor on an empty row or insert a record by placing the cursor in the listing
where the record is to be inserted, next choose "Record" then "insert"
2) Type in a Reference Number "Code" and "Description" and indicate whether the
record is Active or Inactive in the "Status" field. All fields are mandatory.
3) Select the "Save" button to commit the changes made.

7.7 Maintain Product Groups


A product group is an expenditure commodity classification serving Stock Analysts and
procurement purposes. The product groups can be linked on various levels such as:
Noun/modifier, MESC coding schedule, or at item level.

7.7.1 Screen CMT120 - Maintain Product Groups

7.7.1.1 Menu navigation


From the Main menu select "Maintain Catalogue" and submenu "Maintain Reference
data". Next select the submenu "Product Groups".

7.7.1.2 Purpose
This screen provides the user with a reference table for the maintenance of Product Group
Codes. Subsequently Product Groups can be linked to Material Items (formatted or
unformatted) and are used as an expenditure classification.

With the screen in "Maintain" mode do the following:
1) In the first free row enter "Code", related "Description" and associated "Status"
indicator. This can either be "A" for Active or "N" for Non active.
2) Select the "Save" button once details have been input.

7.7.1.7 Retrieve Product Groups


With the screen in "Query" mode either:
1) select the "Execute" button to retrieve all existing Product Groups, thereafter, use the
arrow buttons or scroll bar to toggle through the listing as required until the required
record is reached, or
2) enter a wild card search in the Product Groups field, and select the "Execute" button to
retrieve the records matching the query. Again use the arrow buttons or scroll bar to
toggle through the listing as required until the required record is reached.

7.7.1.8 Update a Product Group


After having retrieved a record (see above), the screen will be in "Maintain" mode. Carry
out the changes required, and on completion select the "Save" button. In the case of a
Product Group still being linked to a Noun/Modifier combination or a Material Item(s), a
pop up box will inform you and ask to continue the transaction or cancel.

7.7.1.9 Delete a Product Group


To delete a Product Group, first retrieve the record (see retrieve above) and next:
1) with the Product Group Code highlighted, select the "Delete" button. You will be
prompted to confirm deletion.
2) In the case of a Product Group still being linked to a Noun/Modifier combination or a
Material Item(s), a pop up box will inform you and prevent the deletion.
3) Where this is the case, first delete the link with the Noun/Modifier (from within screen
040 Maintain Noun/Modifiers and Synonyms and/or screen 020 Maintain Formatted
Items & screen 030 Maintain Unformatted Items) prior to re-attempting the deletion in
this screen.

A Company reference for a Material Item can be a Manufacturer and/or Supplier name &
code with the unique reference number for that item (e.g.: Part, Model). Reference number
types indicate what type of Company reference is involved. These Reference number types
are maintained in a separate table in CMT. Examples of Reference number types are:
• CER Certificate
• DOI Document & Item number
• DW Drawing
• MM Manufacturers model
• MS Manufacturers serial number
• PN Part number

7.9.1.6 Retrieve and Update Standard Organisation, and Standard


Position the cursor in the first block and with the screen in "Query" mode retrieve the
existing Institute by:
a) Selecting the LoV button to the right of the Standard Organisation "Country" field,
and scrolling through the pop up list box. or
b) Entering a wild card search in the Standard Organisation "Symbol", "Name",
"Country" and/or "Status" field, and selecting the "Execute" button, or;
c) Selecting the "Execute" button and using the record "Next" button to scroll through all
entries
d) With the selected record retrieved update accordingly and select the "Save" button to
commit the changes. Alternatively with the cursor positioned at the record to be
deleted select the "Delete" button.

7.9.1.7 Create a Standard Organisation


First verify that the Standards Organisation does not exist by a query as stated above.
Where the Standards Organisation does not exist enter the relevant data while in
"Maintain" mode and select the "Save" button prior to moving to the second block.

7.9.1.8 Create a Standard record


To create a Standard record do as follows:
1) Retrieve the relevant Standard Institute as stated above. The second block "Standard"
will display the first Standard for the selected Standard Organisation.
2) By positioning the cursor in the second block and selecting the "Clear" button, the
second block is cleared. In Query mode searches for new values can be made either
using wild cards or using the LoV button to the right of the Standard "Title" field.
3) Where the Standard does not exist, enter the Standard "Prefix", "Reference", "Issue",
"Title" and "Status" details. On completion select the "Save" button to commit the new
record.

7.9.1.9 Create Cross References


Having retrieved the Standard Organisation and Standard (see above), the user can
optionally enter the appropriate information in the "Selected References" and "Status"
fields. Where the user chooses to enter information in this third block, both fields are
mandatory and a minimum of one record must be entered. On completion select the "Save"
button.

7.9.1.10 Retrieve a Standard


To retrieve an existing Standard position the cursor in the second block and with the
screen in the "Query" mode:
a) Select the LoV button to the right of the Standard "Title" field, and scroll through the
pop up list box or;
b) Enter a wild card search in the Standard Organisation "Prefix", "Reference", "Issue",
"Title" and/or "Status" field, and select the "Execute" button, or;
c) Select the "Execute" button and using the record "Next" button to scroll through all
entries

In CMT all applied Units, Value units, and Units of measure are stored and maintained in a
separate table.

The following Units of measure (UOM) are distinguished for Material Items
1) UOM of Issue
2) UOM of Purchase
3) UOM of Receipt

For the Format Characteristics the units of measure can be according to the "Syteme
International" (e.g. m, PSI, kg, etc) or according to "User defined" units of measure (ANS
class, etc).

With the screen in "Maintain" mode, enter the "Unit Code" and from the "Unit Type" LoV
select the linked Type.
The business logic for the "Unit Type" is as follows:

• CVU (Characteristic Value Unit):


Used to quantify the system of measurement for the Format Characteristic value. Set
against a characteristic in screen 050 Maintain Formats. Can differ by allocation of a
given Characteristic Type to a specific format, i.e. Dimensions, in Format A can be
measured in imperial, while in Format B the same characteristic is measured in metric.

• UOM (Unit of Measure)


Used to quantify the system of measurement for the material item, i.e. is it a piece, a
roll or per cubic meter. There are three Units of Measure set per material item, but
only Unit of Issue (UOI) is mandatory.

• CMB (Combined)
Can be both a UOM and a CVU e.g. Meter - m..

Select the "Save" button to commit the newly entered details.

7.10.1.7 Retrieve Units - Value Units and Units of Measure:


With the screen in "Query" mode, retrieve a record by:
a) selecting the "Execute" button to retrieve all records, use the arrow keys or tape
recorder button keys "<<", "<", ">", ">>" to navigate through the records, or;
b) enter a wild card search in one of the upper block fields then continue as in step a).

7.10.1.8 Maintain Units - Value Units and Units of Measure


With the screen in "Query" mode, retrieve the required record (see above):
1) move to the lower block
2) select the LoV to the right of the "Linking Base Unit" field. From the activated list
box, select an existing Unit that can be converted into the Unit displayed in the upper
block (e.g. lower block - inches, upper block - feet). The user can now specify two
possible conversion options, either:
a) an Actual Conversion using a conversion factor where the "Conversion Unit
x Conversion Factor = Unit Code" (this must be a linear relationship)
b) a Nominal Conversion Factor. To specify this option:
- select the "Nominal" check box On.
- select the "Nom Conv" button
- screen "Nominal Values" activated
- enter the "From", "To" values
- select the "OK" button on completion
- select the "Save" button to commit the changes made.
Whether an item has a nominal or actual conversion unit can be set in screen 050
"Maintain Formats".

7.10.1.9 Nominal Values Format


The Nominal Values can contain numeric values only.
The special characters allowed are SPACE, "/" and "." only. Only one occurrence is
allowed for each of this character. Either "." or "/" and SPACE is allowed

CMT provides the user with predefined reports on catalogue items.
Note: With the special software "Oracle Report Writer" also Customized Reports can be
developed. For this option one should have this Software at his disposal and should have
further knowledge of the CMT database.

8.1 Report Selection

8.1.1 Screen CMT390 - Catalogue Report Selection Screen

8.1.1.1 Menu Navigation


From the Main menu select "Reports" and the sub menu "Catalogue Report Selection".

8.1.1.2 Purpose
This screen enables the user to select ranges of Material Items (Formatted and
Unformatted Items) for inclusion on a report, to select the type of report and to specify the
report medium.

8.1.1.3 Screen Structure

The screen is divided as follows:


• The first block is a dynamic block, where the user can select the search option for
selecting the Material Item or range of Material Items to be included on the report.
• The next block enables the user to specify the detail to be reported on , for example
the Full Buydesc or only the Short Description. Furthermore the user can specify the
choice of writing the report to File or to print.

8.1.1.4 Mode
The screen can be used in "Maintain" mode only.

8.1.1.5 Setting up a Report


With the screen in "Maintain" mode select:
1) The "Search Option" button to display the options available for identifying the
Material Items to be reported on.
2) The upper block of the screen determines the fields displayed for searching
dynamically dependent upon the "Search Option" specified.
3) From the check box group, select which items are to be reported on from within the
chosen "Search Option", the possibilities are:
-All
-Formatted
-Unformatted
-Template
-Obsolete
4) In the "Contents" section the level of detail to be included on the report for the chosen
Material Items, the options available are:
-Full Buydesc
-Quality Control
-Short Descriptions
-Material Item Associations
5) The Check box "Show Associations for Non-unique Spares" if set to "ON" will list the
associations for Non-unique Spares
6) Click on the "Count" button to display the number of Material Items involved for the
entered criteria
7) In the "Report Medium" block specify whether the report should be either:
-written to file, or;
-printed.
8) Select the "Report Request" button to execute the report
9) A pop-up screen will then prompt the user to specify the priority i.e. "Small Reports"
or "Large Reports". These priorities can be set by your IT department to run at defined
times during a day. For example it is preferable to print large reports after working
hours (over night etc.)

Note:
Where the user has entered screen CMT390 via screen CMT060 "Catalogue search" or via
screen CMT200 "Enquire Formatted Item" the select option is by default set to "Pre-
select", and the selection of Material Items to be reported on will be copied in from the
linked screen. In this event start at step 4.

9. Additional Information

9.1 System Administration


This functionality enables:
• Maintaining User Roles in CMT
Such as Enquirers, System Administrators, and Data Base Administrators
• EMA Interfaces and Execution
For EMA users only.
• Request Cancellation/Modification
To monitor the Status of certain data base transactions requests

9.1.1 Screen CMT720 - Maintain User Roles

9.1.1.1 Menu Navigation


From the Main menu select "System Admin" and next submenu "Maintain User Roles".

9.1.1.2 Purpose
This screen enables the user to register the Users in CMT with the attributes:
User name, Description, User ID, Role, Status

9.1.1.4 Mode
The screen can be used in "Query" and "Maintain" Mode.

record/records. For example, to clear the current block, place the cursor in a field within
the block and select Menu Option "Block" followed by "Clear".
Alternatively the standard command buttons located in the tool bar can be used. The
command button "Clear" has the same functionality as its corresponding Menu Option.

9.1.1.6 Maintain User Roles


The User Roles can be Maintained by the Database Administrator.
The User Roles are registered with the following attributes:
• User name : Code name of the User (e.g.: CMTDBA = CMT Database
Administrator)
• Description : Full name of the User
• User ID :Unique sequence ID of the User
• Role :E.g.: ENQUI (Enquirer), SYSAD (System Administrator)
• Status : A(=active), N(=non-active)

9.1.1.7 Retrieve User Roles


To retrieve the User Roles do as follows:
1) Ensure that the screen is in Query mode
2) Next select the execute button

9.1.2.6 Query and View the Requests


The User can specify from which date on the requests should be viewed. To do so:
1) Select one of the request list field options "On" or "Before" date
2) Then specify the date in the "Date" field
3) Next the user can specify further selection criteria in one of the columns which will
accept data.
4) Execute the query by selecting the "Execute" button

9.2 CMT Database Basics

9.2.1 Scope
This chapter should be regarded as an addition for users who have interest in basic
information about the CMT Database. This information will help the users to have a better
understanding of various transactions and how they are handled at the database level.
Further it will help the user to decipher the various messages that are displayed on the
screen.

9.2.2 Database Fundamentals


A Database essentially consists of entities (Tables). Each table consists of attributes
(Columns). A record in this entity is called a row. The storage of data is in the form of
records. Further a record is uniquely identified by a key called primary key which may be
one of the fields (Attribute) of the table (Entity) or a combination of the fields of the table.

Again there are different kinds of databases like Structured, Hierarchical and Relational.
CMT system is developed using Oracle 7 Relational Database Management System
(RDBMS).
So, it would be relevant to expound what is an RDBMS.

Here an attempt is made to give an explanation that would be comprehensible and context
relevant.

A relational database is one that stores the entities and relation between the entities.
Suppose there are two tables like Organisation and Organisational roles. There is a one to
many relation between them. i.e., for one record in Organisation there would be many
records in Organisational roles. (This is also termed as A Master-Detail relationship) In
such situations, if a Master is deleted while Details exist, referential integrity of the
Database is lost. Therefore, this deletion should be prevented.
This kind of relational constraints, called Referential Constraints, may be reinforced at
database level.

Following are various kinds of constraints that are used in CMT Database and are
enumerated with the associated error messages that pop up on violating these constraints.

9.2.2.1 Primary Key Constraint


This constraint helps to uniquely identify a record in a table. In CMT, this field is not
shown to user and hence whenever a record is inserted in the database internally a unique
number is generated and copied in that field, this number is the primary key for that entity.

9.2.2.2 Foreign Key Constraint


This constraint checks the referential integrity of the database and helps in the
maintenance of consistency of the database. This is explained through the example
illustrated above in topic "Database Fundamentals". However, whenever user tries to
delete a record (Master) that is being referenced by other records (Detail) error messages
like "Cannot delete Master, Details exist" or "Organisation in use cannot delete" and "
Record referenced cannot delete" are displayed.

9.2.2.3 Uniqueness Constraint


When a field in a table needs to take unique values (extensions) this constraint is imposed
on it. Suppose, a table has four records and a field "f1" of this table has values "a", "b", "c"
and "d" and it has a Uniqueness constraint on it.
Then, whenever user tries to Insert a record with the existing values (i.e., "a", "b", "c", "d")
an error message appears. Typical error messages are "Organisation already exists",
"Template Number already exists", "Conversion Code already exists".
It is also possible to define a combination of fields to be unique. When such a constraint is
imposed the user tries to save a record with existing combination, the system will display
error messages like, "Image already associated with Document", "Already User has been
assigned this Role", "Noun/Modifier combination already exists" and "Already a record
exists for this combination".

9.2.2.4 Not Null Constraint


A field in a table may be defined as Not Null. Such a field should be given a value before
it is saved. Otherwise the user will get a message like "501-E-Organisation must be
entered". All error messages with error 501 belong to this class.
