2. CMT Set-Up
2.1 Structure
The CMT core materials database will hold all materials related information in a highly
structured manner, accessible to the end-users.
In order to achieve the advanced and structured specification ensuring uniformity in item
specification, CMT makes use of the following main entities:

2.2.2 Characteristics
Characteristics are used to describe a material item in a structured way. In CMT the
characteristics are maintained in a separate reference table. The characteristics can be
selected from this table and linked to Noun/modifiers in order to create a format (template)
for specifying material items in detail.
Examples of characteristics:

2.2.3 Formats
A Format is a consistent layout or pattern to all descriptions, where data is stored in
specific fields of entry. The layout of descriptions is defined by a unique set of Nouns and
Modifiers supported by a comprehensively defined set of characteristics.

For the Format Characteristics the units of measure can be according to the "Syteme
International" (e.g. m, PSI, kg, etc.) or according to "User defined" units of measure (ANS
class, etc.).

3.1 Objects
Normally, an application developed using Oracle Forms consists of the following objects
from a user's point of view:
Windows, Canvases, Menu bar, Scroll bar, Text items, Selection List fields, Check boxes,
LoV (List of Values) buttons, Text editors, Static text, Push Buttons and Radio Buttons.
Objects like Scroll bar, Text items, Check boxes, Static text, Push Buttons and Radio
Buttons are placed on the canvas and a canvas is assigned to be displayed in a window.
A form consists of at least one window, one canvas and a menu bar.
A form comes up with the menu bar assigned to it. When a form is invoked from another
form, the called form may come up with a new menu bar or the existing menu bar
depending on the way in which the form is invoked. Logically, a form consists of blocks
and records.

3.1.1 Block
A group of objects which may be directly linked to a table in the database. In CMT, a
block is identified by a block header and separated form another block by a horizontal red
line.
It is primarily through the blocks that the data is created/updated (deleted) in/from the
system.
A block may consist of a single record or multiple records as required.
It is possible that blocks have a relation between them. Typically, A "Master - Detail"
relation is common whenever a One to many relation exists between two blocks in a form.
Example of a "Master - Detail" relation is a Format where the Noun/Modifier (master) has
characteristics (details).

3.2 Modes
Form screens essentially operate in two modes:
• Maintain mode
• Query Mode
3.3 Operations
The primary operations that can be performed in the forms are:
Insert/Create : Mode = maintain
Update : Mode = maintain
Delete : Mode = maintain
View : Mode = query
How these operations are accomplished in the CMT system is explained in Section 5.2.
3.3.1 Insert/Create
This operation helps to insert/create records in the database. In order to create data the user
should be in the Maintain Mode, enter a new record and save it.
3.3.2 Update
This operation helps to modify the existing data in the database. In order to update the
existing data, the user should retrieve data using Query Mode and then modify and save it.
3.3.3 Delete
This operation helps to remove irrelevant and obsolete data in the system.
In order to delete the existing data, the user should retrieve it using Query Mode and then
delete and save the transaction by clicking on the "Save" button.
3.3.4 View
This operation enables the user to view the data stored in the database.
In order to view the existing data, the user must specify the retrieval condition in the
Enter-query Mode (i.e., Query Mode of CMT) and execute the query.

The application menu bar basically provides menu options which are common to each
screen. For example, with the "Edit" sub menus the user can cut, copy and paste text. The
"Record" sub menu enables row transactions such as Previous, Next, Clear, Delete, Insert,
Duplicate, Go Top and Go Bottom of displayed records. The Tool bar "button" options are
also covered under the Menu bar options "Action", "Menu", "Item", and "Query".

3.4.5 Help
Help is provided in following formats:
3.4.6 Messages
User messages are displayed at:
• Message Line : Message appears at the bottom of the screen.
• Alert Box : Message appears in alert box with appropriate symbol and
comment.
Messages of "Information" and "Query" type would be displayed at the bottom of the
screen. All other types of messages would be displayed in alert boxes.
3.4.7 Colours
Following colour schema is used:
In Maintain mode all mandatory fields have "Blue" colour. User cannot leave them blank.
In Query Mode these fields can be left blank.
All insert allowed/update allowed / display fields have "White" colour. User may or may
not enter data into field for insert/update allowed fields.

4. Search
This Search functionality provides the user with a single entry point for various common
search patterns. The user is provided with enhanced search facilities, allowing linked
screens to be selected.

4.1.2.4 Mode
The screen can be used in “Query” mode only.

Two new reports (files) can be generated in CMT. Firstly a list of all active MESC items.
This list contains two columns, the MESC number and the abbreviated description. The
list is sorted on MESC number. Secondly a list of all deleted items (either deleted or
changed MESC number). This list contains three columns, the MESC number, the
abbreviated description and the date of deletion. The two files can easily be read into
Microsoft Excel.
The new functionality is built into CMT710 ‘Search for Historic MESC’. The generated
file is created in the %TEMP% directory of a user which is usually C:\Temp, but will e.g.
be on a network drive in a GID environment.
It is not necessary to fill in the top half of the screen when a user wants to create one of the
report files. A button press on the appropriate button will do.

For example, to clear the current block, place the cursor in a field within the block and
select Menu Option "Block" followed by "Clear".
Alternatively the standard command buttons located in the tool bar can be used. The
command button "Clear" has the same functionality as its corresponding Menu Option.

5. Maintain Structure
5.1.1.2 Purpose
This screen enables the user to create and maintain Noun/Modifier combinations, and the
optional links to Synonym and Product Group for the displayed Noun/Modifier(s).

5.1.1.6.4 Abbreviation
This is the abbreviated name of the noun/modifier determined by the user. This
abbreviated name will appear by default as the beginning of each item description.
Example: "CHFLPT WLD" is the abbreviated name for "Welded cover, piston type,
flanged, check valves".
An optional shortened description can be entered in the "Abbreviation" field, specifying
first the noun, then a space between its abbreviation and that of the modifiers.
5.1.1.6.5 Name
This is basically a name in the reversed order of noun/modifiers. This Name is used for
buy description purposes. Example: "Flanged piston type welded cover check valve"
The user must then enter a "Name" which equates to the Buydesc (description on which
the item will be purchased) name for the displayed Noun/Modifier combination.
5.1.1.6.5.1 Definition

a) Enter a noun and/or modifier or their partially specified data in any of the fields in the
first block and click the LoV button of the Noun/Modifier record, or
b) Enter no data and click the LoV button. Next the LoV list with all noun/modifiers
appears or,
c) Enter no data and select the "Execute" button to retrieve all existing Noun /Modifier
combinations one by one. Use the arrow key buttons to navigate through the retrieved
records.
"Wild card searches" can also be carried out. In any field type in part of the word followed
by the character "%" and select the "Execute" button. All records which start with the
partial characters entered will be retrieved.
The data retrieved can now be updated by the user. Where data is updated select the
"Save" button prior to moving to the next block.

Image File
Where images have already been linked to the current Noun/Modifier they will be
displayed in the "Image File" field, and can be viewed by selecting the "View Image"
button. To link a new image, select the "Link Image" button and specify the "Path" and
"Image File" data on the pop up screen which is activated.
Associations
Triggering the LoV buttons to the right of the "Synonyms" and "Product Group"
respectively will display those Synonyms and Product Groups from which a selection can
be made to link to the current Noun/Modifiers.

5.2.1.2 Purpose
This screen enables the user to maintain the reference table of Characteristics.
5.2.1.4 Mode
The screen can be used in both "Maintain" and "Query" mode. To create new or maintain
existing records, ensure the screen is in "Maintain" mode. To retrieve records, ensure the
screen is in "Query" mode.

5.2.1.6.1 Conventions
To aid identification of which characteristic should be used, the following convention has
been adopted.
• Characteristics that apply to the noun/modifier as a whole: Example: The
characteristic for the type of noun/modifier "Pneumatic gauges" should be just
"Type". If however, it refers to the type of fasteners used, then it should be described
as "Type, fasteners".

• Full wording for characteristics are preferred. However, due to the maximum of
positions allowed, they are sometimes abbreviated. All abbreviations are shown in
lower case. E.g. "Design spec", and "Design spec, end connections".
In most cases "Material specification" and "Design specification" could be written out
in full, when relating to the Noun/Modifier concerned. This however will cause
complication when referencing to a component in the Noun/Modifier, e.g.: "Material
specification, remote seal diaphragm". Therefore, all characteristics relating to these
two common elements have been abbreviated to "Material spec" and "Design spec",
respectively, in order to ensure logical display of characteristics in alphabetical order
e.g. "Material spec, remote seal diaphragm".

5.3.1.2 Purpose
This screen enables the user to maintain (create, update and delete) Formats against
existing Noun/Modifier combinations, and allows the user to enter Format Characteristic
Attributes.
5.3.1.4 Mode
The screen can be used in both "Maintain" and "Query" mode. To associate, delete or
update characteristic records from a format, ensure the screen is in "Maintain" mode. To
retrieve records, ensure the screen is in "Query" mode.

5.3.1.8.4 HD (Header)
If a characteristic has a header indicator set as ON, then in screen "Maintain Formatted
Items" (Screen 020) its values are likely to be "common" for a number of Formatted Items,
and hence a "copy data" functionality is available to copy over the header values, to allow
quicker entry of similar Formatted Items.
If set to OFF, then its values are likely to "differ" for a number of Formatted Items, and
hence the "copy data" functionality will NOT copy these ITEM Characteristic values.
If ON then in Report 010 & Report 020 the Values for these Format Characteristics for all
Formatted Items are grouped into unique strings ( sets of common values across items )
and used to create "common text blocks" for values set against the Format Characteristics
with Header
Attribute ON. This is then used to sequence the order of Formatted Items under a Format,
based on an alphanumeric sort on Values.

6.1.1.9.3 Status
Item Status can either be "A" (active), "N" (non-active), "D" (Item to be deleted)
6.1.1.9.5 Custodian
The "Custodian" field enables the user to create the link between the Organisation and
Material Item. Such as a person, department, operating company who is responsible for
maintaining certain areas of the catalogue. Input is required in this mandatory field.

Starting from within screen 030 "Maintain Unformatted Item" take the following steps:
1) select the required Unformatted Material Item (see "Maintain Unformatted Items).
2) select the option "Menu", "Maintain Formatted Items"
3) now from within screen 020 "Maintain Formatted Items" change the "Record Type" to
"Formatted".
4) update any Characteristics "Values" as required
5) select the "Save" button to commit the updates made.

6.2.1.2 Purpose
The screen CMT030 "Maintain Unformatted Items" enables users to create Unformatted
Material Items and, optionally, link them hierarchical to the Equipment and/or Assemblies
they are used in.

6.2.1.4 Mode
The screen can be used in both "Maintain" and "Query" mode. To create new or maintain
existing records, ensure the screen is in "Maintain" mode. To retrieve records ensure the
screen is in "Query" mode.
1) If the MESC NO is already known to the user then type in the full MESC NO. and
continue with step 3.
2) If the MESC NO still has to be determined, the user utilizes the LoV buttons as
follows:
(i)To determine the MESC sub-sub group click on the LoV button to the left of the
"MESC" field. Next a pop-up screen prompts the user to select either "All sub-sub
groups" or "All coding schedule". Select the option "All coding schedule" if you want
to determine the sub-sub group via the hierarchical steps of Main group, Group, and
Sub-sub group. Select the option "All sub-sub groups" only if you have filled the
"MESC" field partially. By doing this the user is presented with all sub-sub groups
matching the value in the "MESC" field.
(ii)After having selected a MESC sub-sub group from The LoV list determine the next
free 3 positions of the MESC NO as follows: Position the cursor in the middle section
of the MESC field. Then click on the "MESC NO" button. As a result, all existing
MESC NO's within that sub-sub group are presented in an LoV. Search for a free
number. To select that free number position the cursor over the row that precedes that
free number and click on the "OK" button. The selected free number is now displayed

in the MESC field (Note: if the number is lower than 100 it will at first not be
preceded by zero's. e.g.: "009" will be represented by "9"). Complete the MESC NO
with the indicator (Note that the representation of the 3 positions is now correct).
3) Enter the Unformatted Items abbreviated description in the "Abbrev. Desc" field, and
indicate the status of the Material Item, either Active or Inactive in the "Status" field.
Enter the Company code in the "Company" field. A full listing of company's can be
displayed by selecting the LoV to the right of this field.
4) Enter the unique reference no. (when used in combination with the Company Code in
the "Reference No." field, such as a part number, drawing number etc.)
5) Enter the reference number type in the "Ref Type" field.
6) Enter the unit of measure the material item is generally issued in, in the "Unit of Issue"
field.
7) Next to the abbreviated description for the Material Item, the user can manually type
the long description for the item by selecting the "Long Desc" button.
8) The user can specify a Product Group Code for the Material Item in the "Product
Group" field. By selecting the LoV button to the right of this field, a full listing of
Product Groups will be displayed. Where the user wishes to limit the list to only those
Product Groups associated with the Noun/Modifier combination the check box "All
Product Groups" should be checked OFF.
9) The "CSS Code" allows the user to stipulate the recommended CSS code to be used by
the Stock Analyst.
10) In the "Record Type" field the user should choose the option "U" denoting that an
Unformatted Item has been created.
11) Select the Noun/Modifier combination to be associated with the Unformatted Item.
The Noun/ Modifier must already exist. If not, it should first be created in screen 040
"Maintain Noun/Modifiers and Synonyms".

1) Selecting a MESC number from the pop up box, triggered by using the LoV to the
right of the "MESC" field, or
2) Entering a wild card search in the "MESC" and or "Abbrev. Desc." fields, and
selecting the "Execute" button to retrieve the records matching the search query, or
3) Via Company reference query in the corresponding fields "Company" and "Refrence
No."
All fields can be updated as required except for the "MESC" field. To change an existing
MESC No., screen 240 "Change MESC Number" should be accessed.
This screen CMT030 can only be used to create associations for new Material Items. For
associations between existing items, screen CMT210 "Maintain Associations" should be
used.

3) Position cursor in the third block "Association Details" and complete the following
data:
a)Role Description: The user can define a description specific to the association.
Example of a Role Desc is: "Bearing for drive shaft" as opposed to the Abbrev Desc
"Bearing, ball". Default the Abbrev. Desc will be stated.
b)Asso Type: being the code for the association type: e.g.: AC=Accessory for,
SA=Sub-assembly for, SP=Spare part for, EQ=equivalent for, CJ=In conjunction with,
SU=Substiture for. Click on the LoV button next to the "Asso Type" field to select
from a predefined list of codes.
c)Quantity: fill in the quantity of the item required when used with the associated
equipment or assembly
d)Drawing Item No: allows the user to specify the drawing number on which the
Unformatted Material Item appears in relation to the Equipment or Assembly.
e)Parts List Item: enables the user to specify the parts list on which the Unformatted
Materials Item appears in relation to the Equipment or Assembly.
f)Association restricted to current reference: Not applicable
By selecting "Non hierarchical" associations the user limits the retrieval of linked items to
those with the following associations;
• equivalents
• alternatives.

Manufacturers and Suppliers) against existing Catalogue Items.

Having retrieved the item to be associated the user can optionally fill in the following
fields:
1) "Role Description": the associated item has an Abbreviated Description of its own.
However, in its association with the Focus Item the user may wish to specify an
alternative description.
2) "Issue Unit": the Associated Items unit of issue.
3) "Qty": the Associated Item may occur more than once if the association is in the form
of a Bill of Materials. i.e. the Focus Item is a piece of equipment, and the association
being made is to code the spare parts/assemblies, in the form of associated items, that
"make up" the piece of equipment.
4) "Assoc Type": Here, the user can select the LoV to the right of the field, and select the
type of association which will link the associated item to the focus Item, namely,
Substitute, Equivalent or Spare Part. Having selected the required association, select
the "Save" button to commit the links made

General Steps
1) Click on the List Box button and select the update type. The possible selections are:
• Material Items
• Units of Measure
• Product Groups
• Characteristic Values
• Organisations
• Delete Material Items
• MESC Sub Sub Group
2) In the upper "Selection Criteria" block specify the selection criteria: e.g.:
Noun/Modifier combination and MESC range, etc. for which the update is to be made.
Note: Use the LoV buttons to select the selection criteria in the upper block.
Important note: When Noun/Modifier fields are left empty, these fields are not
interpreted as wildcards, except for the Organisations block update and the MESC Sub
Sub Group block update where these fields are always empty.
3) In the lower "New Value" block update the fields as required with their new values.
4) Click on the "EXECUTE UPDATE" button
5) Next a pop-up screen with a Listing of the Material Items involved for the block
update will appear. Select the "CANCEL" button to cancel the transaction or select the
"OK" button to continue with the block update transaction.
6) After clicking the "OK" button a pop-up screen will appear to prompt the user for
Priority handling of the Block Update and finalise the transaction.
Note: the status of a block update transaction can be viewed on screen CMT 730 "Request
Cancellation/Modification. Menu navigation for this screen is: from the Main menu select
"System Admin" and next submenu "Request Cancellation/Modification"

Check the "All MESC Sub Sub" box to ensure the LoV contains all MESC Sub Sub
Groups.
Where neither check box is checked, the LoV to the right of the "MESC Sub Sub Group"

6.9.1.3 Mode

7.1.1.2 Purpose
This screen enables the user to maintain (create, update and delete) the reference
information on Additional Documents.
The screen consists of one block where the user can specify the Additional Document. The
large field displays the contents of the selected additional Document, and enables the user
to maintain the content details. In this context an Additional document can comprise of
either:
a) text
b) image
c) text & image.
7.1.1.4 Mode
The screen can be used in both "Maintain" and "Query" mode. To create new or maintain
existing records, ensure the screen is in "Maintain" mode. To retrieve records, ensure the
screen is in "Query" mode.
The text linked to the Additional Document can be maintained either by:
a) Selecting the "Text" button, and editing the text in the activated pop up screen if it is
an ASCII text, or;
b) Editing the text in its source form (e.g. in Notepad, Adobe Acrobat, etc.) and re-
importing the document on completion.
The image linked to an Additional Document can be maintained by opening the image in
its source application (e.g. paint brush, power point) and re-importing the image on
completion.
7.2.1 Screen CMT250 - Maintain Material Item Indicators and Indicator Types
7.2.1.2 Purpose
The screen enables the user to maintain Material Item Indicator Codes. The screen
combines the maintenance of various indicator types, such as CSS or MIS codes, and
allows local introduction of additional code sets. Another example of an indicator type is
USG (usage codes). The indicator values specified for the USG indicator type can be used
in screen 060 and screen 200 for search and selection purposes. Material items should in
that case contain these specific usage codes. This can be done in screen 180.
7.2.1.4 Mode
The screen can be used in both "Maintain" and "Query" mode. To create new or maintain
existing records, ensure the screen is in "Maintain" mode. To retrieve records, ensure the
screen is in "Query" mode.
With the required record or records retrieved update accordingly. On completion select the
"Save" button to commit the changes made.
7.3.1.2 Purpose:
This screen enables the user to maintain (create, update, delete) Association Types for
Material Items.
The screen consists of one block containing the mandatory fields for Association Type
creation and maintenance.
7.3.1.4 Mode
The screen can be used in both "Maintain" and "Query" mode. To create new or maintain
existing records, ensure the screen is in "Maintain" mode. To retrieve records, ensure the
screen is in "Query" mode.
7.4.1.2 Purpose
This screen enables the user to maintain, retrieve existing MESC Main, MESC Sub and
MESC Sub Sub groups, and additionally enables the user to create new Main, MESC sub
and MESC Sub Sub groups.
7.4.1.4 Mode
The screen can be used in both "Maintain" and "Query" mode. To create new MESC
Main, Sub, Sub Sub groups ensure the screen is in "Maintain" mode. The retrieval of
records should be carried out in "Query" mode and thereafter, the updating/deletion of
records in "Maintain" mode.
For example, to clear the current block, place the cursor in a field within the block and
select Menu Option "Block" followed by "Clear".
Alternatively the standard command buttons located in the tool bar can be used. The
command button "Clear" has the same functionality as its corresponding Menu Option.
Use the command button "Delete" for record deletions and always confirm with the "Save"
button.
7.4.1.6.1 Group
In "Maintain" mode, enter the new MESC "Code" and tab to the "Description" field and
enter the appropriate information. Tab to the "Loc Ind" (Local Indicator)check box. By
clicking the check box with a check mark will indicate that there will be no central
catalogue items linked to it and will be used for Local purposes only.
A blank check box "Loc Ind" will indicate that central catalogue items will be linked and
not to b used for Local purposes.. The final field "Status" allows the user to specify
whether the Main Group is "A" (Active) or "N" (Non active). All fields in this block are
mandatory and require input by the user. Prior to moving to the second block select the
"Save" button to commit the data input.
Select the "Save" button once the required updates have been made.
7.5.1.2 Purpose
This screen enables the user to maintain information about companies and catalogue
custodians.
7.5.1.4 Mode
The screen can be used in both "Maintain" and "Query" mode. To create new or maintain
existing records, ensure the screen is in "Maintain" mode. To retrieve records, ensure the
screen is in "Query" mode.
The lower block enables the user to link roles to the Organisation specified in the upper
block, although this is optional, and the user can leave this screen without Organisational
Role links having been made.
7.6.1.2 Purpose
This screen enables the user to maintain (create, update, delete) all Organisation Role
Types.
7.6.1.4 Mode
The screen can be used in both "Maintain" and "Query" mode. To create new or maintain
existing records, ensure the screen is in "Maintain" mode. To retrieve records, ensure the
screen is in "Query" mode.

8. Reports
CMT provides the user with predefined reports on catalogue items.
Note: With the special software "Oracle Report Writer" also Customized Reports can be
developed. For this option one should have this Software at his disposal and should have
further knowledge of the CMT database.
8.1.1.2 Purpose
This screen enables the user to select ranges of Material Items (Formatted and
Unformatted Items) for inclusion on a report, to select the type of report and to specify the
report medium.
8.1.1.4 Mode
The screen can be used in "Maintain" mode only.

9.2.1 Scope
This chapter should be regarded as an addition for users who have interest in basic
information about the CMT Database. This information will help the users to have a better
understanding of various transactions and how they are handled at the database level.
Further it will help the user to decipher the various messages that are displayed on the
screen.
Again there are different kinds of databases like Structured, Hierarchical and Relational.
CMT system is developed using Oracle 7 Relational Database Management System
(RDBMS).
So, it would be relevant to expound what is an RDBMS.
Here an attempt is made to give an explanation that would be comprehensible and context
relevant.
A relational database is one that stores the entities and relation between the entities.
Suppose there are two tables like Organisation and Organisational roles. There is a one to
many relation between them. i.e., for one record in Organisation there would be many
records in Organisational roles. (This is also termed as A Master-Detail relationship) In
such situations, if a Master is deleted while Details exist, referential integrity of the
Database is lost. Therefore, this deletion should be prevented.
This kind of relational constraints, called Referential Constraints, may be reinforced at
database level.
