Music Ministry

The Music Ministry consists of four different choirs. There are a team of leaders who
provide leadership to each facet whose responsibilities include Communication,
Hospitality, Finance, Spiritual Guidance, Creative Planning and Orientation.

Keys to Effective Ministry


Purpose
Understand the dynamics of ministering the Word of God through the medium of Song.
Three-fold area of study:
 (The) Minister of Song (Psalm)
 (The) Ministry/Ministering of Song
 (The) Message of Song

Introduction
The highest calling that we possess as members of the Body of Christ is to express
ourselves in worship at the feet of Jesus.
To render praise unto the Lord is the highest calling of the order, and one in
which each of us should take great pleasure in fulfilling. To extol His majesty and
glorify His Name in the earth is more than vocalization; it is a lifestyle that will
bestow honor unto God.
Worship is the expression of our reverence for an Omniscient, Omnipotent, and
Omnipresent God who made us in His image with a capacity to identify with Him.

II Chronicles 5:13 – 14

trumpets and cymbals and instruments of music and praised the Lord saying , For He is
good, for His mercy endureth forever: that then the house was filled with a cloud, even
the house of the Lord; so that the priests could not stand to minister by reason of the
cloud: for the glory of the Lord had filled the house of the Lord.

Minister of Song (Psalm)


Psalm – Sacred poems/songs
Minister – (Greek – Diakonos) equivalent to our English Word Deacon which means to
serve…….one assisting the officiant in church worship.
Ministers can be a soloist, psalmist, choir, etc.
 Appointed (I Chronicles 15: 16-17)
 Anointed (I Samuel 16: 13; II Samuel 5:4)

Ministry / Ministering of Song


Ministry – (Greek-Diakonia) service or function
Preparation precedes Blessing!
Preparation: Prayer, meditation, study (2 Timothy 2:15; Philippians 4:6; Psalms
119:15-16)
Practice: Brings about discipline, development and direction
Presentation: Image of Christ, humility and servitude. Colossians 1:10

Message of Song
The Message of the song is the good news of the Gospel.
 Convict (me) a strong opinion or belief (I John 3:20)
 Convey (them) to communicate what the Word is saying
 Convert (sinners) to persuade adopt a given religion or belief (Psalms 51:13)

Conclusion
We must understand that we are Ministers, and our ministry is not to one another but
unto the Lord. As we minister unto the Lord, the people will be ministered to. When we
lose the Lord as center of our focus, our ministry can become vain and a deadly
burden…..

Ministry Expectations
Must be a Born-Again Christian
Must be a member of St. John Baptist Church
Must have completed New Members Orientation
Be a student of the Word
Be involved in a teaching ministry of the church; Church School, Worship in the Word,
St. John Bible Institute
Regular attendance at all rehearsals
Willing to represent and support our Pastor and church in all services requiring the
ministry of the choir
Purchase robes and other designated uniforms
New members are asked to attend four (4) rehearsals before ministering. Returning
members two (2) rehearsals.
Don’t ROB God! Wherein have we robbed thee? In tithes and offerings. Malachi 3:8

Singing with Understanding


I Corinthians 14:15

What are some things that I must understand?

 That the most important aspect of what I do is lifting up Jesus


 That I am a vehicle of evangelism, what I do, should lead others to Christ
 That my commitment lies beyond the local assembly
 That it isn’t about me, I should be a functioning part of a growing and functioning
body
 That my gift I have will make room for me
 That I must follow the directions of the group authority, following leadership
leads to victory
 That My message must be clear
 That I must study and practice to perfect my craft
 That my demeanor and deportment must be in order
 That nothing can deter me from the responsibility given me
 That I seek no glory for my accomplishments
 That the goal of ministry is Discipleship.

Choir Decorum and Discipline


Let all things be done decent and in order - I Corinthians 14:40
 Regular attendance of rehearsal is expected in order to sing. If you are absent,
check with the Team Leads for clearance before singing on Sunday mornings .
Rehearsal should be included in your weekly schedule. When rehearsal is
cancelled, all active members are eligible to sing.
 Do not enter the choir stand when choir is singing during service or rehearsal.
Wait until there is movement in the congregation, i.e., Altar Prayer or Welcome
period. In rehearsal, wait until the Minister of Music has finished teaching your
section, unless direction is given to enter.
 Refrain from talking during rehearsal time. Every minute is precious. If you are
not singing, you should be listening to other parts. There must be absolute order
at all times.
 Any questions concerning the music should be directed to the Minister of Music .
If there must be conversation, let it be concerning the message of the song, not
personal conversation.
 In an effort to give an accurate account for each section prior to a service, please
make every attempt to be punctional. (This is beneficial for proper staging,
blending and sound quality).
 Fill in every available seat. The Minister of Music or his appointee will make
necessary changes.
 Contact your Minister of Music or Team Leaders if you are going to be absent .
Updates and/or reminders are sent via email or phone notification. If you do not
have an email, it is your responsibility to stay abreast of choir updates. Contact
a team leader, someone from your team, or Minister of Music if you have
questions.
 Come prepared for rehearsal; bring your bible, song binders and tape recorder.
Always bring your bible to Worship Services. We must lead by example.
 Please be mindful of your appearance when attending rehearsals. The sanctuary
is a consecrated place of the Most High. Please refrain from wearing shorts,
sleeveless items; i.e. sundresses, tank tops, halter tops, etc. If worn, please
bring a covering.
 No gum chewing during rehearsal and Worship Services. Remember we are
Leaders.
 Always be a leader in regards to Worship Services. Remain alert and attentive,
as we are the backdrop for Pastor Davis or the minister delivering the sermon. If
you feel you cannot stay awake for a service, it may be best that you not sing.
 All services are being recorded, please be mindful of the aesthetics of the areas
we occupy, especially since we are the backdrop to the Pastor. Please place
purses, bibles, etc. under the chairs.
 Make sure you are in complete uniform at all times. If in doubt contact a team
leader or someone from your team.
 Pay attention to the director at all times for changes in the music arrangement.

 Always sit, stand, clap and sway together. Get directions from the director.
 There is limited space in the choir stand, therefore, please sit your children in the
congregation with adult supervision, if needed.
 Choir members should always stand during Praise and Worship to show unity.
This includes times even if you are in the congregation.
 When entering and exiting any sanctuary or choir stand, please place purses,
bibles, etc away from the congregation exemplifying a unified front.
 If you must exit the choir stand, do so at a time of movement. If at all possible,
avoid moving when the minister is delivering the sermon.
 At the end of service, wait for final instructions from the Minister of Music or his
appointee.
 Always leave the choir stand neat and orderly after rehearsals and se rvices.
 When singing at a guest church, enter the sanctuary together and sit in your
respective section.
 At NO TIME should choir members send or respond to text messages or emails
while participating in a service. That is disrespectful and says your priorities are
elsewhere.
 Be mindful of how we treat each other. WWJD? Do unto others as you want
them to do unto you. The standard is to be like Christ at all times.
 In the case of an emergency or sickness in the choir stand , please allow the
Nurses Guild to provide the necessary service. Remain seated as not cause
further distractions. A Team Lead close to the situation will advise.
 Please note that any Team Lead from either facet of ministry has the authority to
approach any member out of compliance with the expected standards in place.
 Do a self-evaluation…
 Ask God to Show you,
 Cleanse you,
 Then use you for His service.

Stage Presentation
All Choir Robes
I will greatly rejoice in the Lord, my soul shall be joyful in my God; for He hath
clothed me with the garments of salvation, He hath covered me with the robe of
righteousness……………..Isaiah 61:10

 Righteous Robe: This robe was introduced in 2005, a tailored made garment with
a double-sided overlay that allows us to wear the robe three (3) differ ent ways.
The cost of the robe is $450.00 and is available for re-orders. The price includes
robe bag, tax, shipping and handling.
 Refrain from wearing items that will disrupt the appearance of your choir robe,
i.e., earrings, hats, hair ornaments or high collar garments shown over robe.

 Robes should always remain in their garment bag until we have assembled in the
choir room or designated areas. Please complete bathroom tasks before you
robe for service. Forms are available to order new bags if needed.
 Ensure that your robe is properly maintained, i.e., dry cleaned and pressed as
often as necessary. Robes should be stored and transported in a robe bag .
Please have your name visible on your bag.
 Refrain from wearing pants under robes. Please do not wear jeans when
ministering.
 Always wear black (closed toe) shoes and hosiery/socks with your robe
(men and women).
 At no time should you enter the sanctuary improperly robed (i.e. unzipped, to p
button unfastened). Robe should remain intact at ALL times.
 The robes are sacred garments which have been consecrated for ministry of the
Lord and should not be worn outside of the sanctuary.
 A choir member should not disrobe before leaving the sanctua ry. Please leave
your robe on at all times until the end of a service. Disrobe in the choir room or
designated areas.
 If you have to leave the choir stand for any reason, please be sure to inform a
Team Lead. Please leave during service times that require interaction to
minimize movements and distractions.
 If at all possible, please refrain from fanning when we are standing as a unified
front. The cameras see it all.

Ministry Shirts
The Music Ministry currently has a light blue oxford shirt for ministering in other
services. Shirts are available for both genders up to size 6X for ladies and 8X for men.
The basic price for the shirt is $30.00 for sizes Small – Extra Large. Shirts larger than
X-Large are available for an additional dollar per X (exception – X-large).
 All ladies ministry shirts should be worn on the outside.
 Shirts should be buttoned properly and worn without accessories such as belts,
or shirts underneath.
Please contact your Team Lead to obtain a form for ordering.

Seasonal Attire
Occasionally the choir will minister in other uniforms, such as Black dresses, etc.
The Minister of Music or appointee will give advance notice of transition from robes
to the seasonal attire.

All choir members are asked to be mindful and respectful of the House of God
and dress appropriately during Worship services and rehearsals.

Please take a moment to check your appearance. If the attire is deemed to be


out of order, the Team Leads will take the appropriate action.

Choir Dues
Each ministry member is asked to pay $ 40.00 per year for dues.
New members’ dues are prorated based on the join date.
The suggested payment is as follows:
Jan- March $40.00
Apr- June $30.00
July- Sept $20.00
Oct- Dec $10.00
Dues are used to express sympathy to choir members and their immediate families.
They are also used for contributions to church and pastor anniversaries and to sponsor
choir fellowships.

Rehearsals
Please come prepared to Work. Bro. Clark will not waste one (1) minute of our time.
Let’s not waste his time. Rehearsals are scheduled at the discretion of the Minister of
Music.

Rehearsals are held every Monday @ 7:15 PM.

Hallelujah Chorus
Rehearsals are held every Saturday @ 12:00 PM

Male Chorus
Rehearsals are held every Thursday @ 8:15 PM

Southlake
Rehearsal are held every Saturday @ 10:00 AM

Combined Rehearsals
Rehearsals are scheduled by the Minister of Music as deemed necessary Location may
vary.

Mission Statement
We are called of God to be a contemporary Church that communicates the truths of
Christ to a changing community. We will demonstrate Christ-likeness with the hope of
inspiring Christian conversion and commitment to Christ’s Church . Our community of
faith extends beyond color, class or culture with the Bible as our creed and “Jesus Christ
Himself being the chief cornerstone”. (Ephesians 2:20, Matthew 28:19-20)

Vision Statement
The St. John Baptist Church is called of God to be a ministry which serves in multipl e
locations and responds to an expanding community. The community is defined by our
commitment to Christ beyond demographics. We will develop ministries that are
reflective and relative to each location needs. As a corporate body of believers in Christ
Jesus we will conform to uniform policies, procedures, and pastoral leadership . Each
location will possess basic core ministries and will be permitted to develop special
ministries and programs that address the unique needs of that location. Our autonomy
will be the Bible as our guide; unified budgeting with specific allocations per location,
and joint officers with combined staff support.
Mission & Vision Summary
The St. John Baptist Church is called of God to be a ministry which serves in multiple
locations and responds to an expanding community defined by our commitment to
Christ. We are called of God to be a contemporary Church that communicates the truths
of Christ with the hope of inspiring Christian conversion and commitment to Christ’s

Church Covenant
Having been led, as we believe by the spirit of God, to receive the Lord Jesus Christ as
our Savior and, on the profession of our faith, having been baptized in the name of the
Father, and of the Son, and of the Holy Spirit, we do now, in the presence of God, and
this assembly, most solemnly and joyfully enter into covenant with one another as one
body in Christ.
We engage, therefore, by the aid of the Holy Spirit to walk together in Christian love; to
strive for the advancement of this church, in knowledge, holiness, and comfort ; to
promote its prosperity and spirituality; to sustain its worship, ordinances, discipline, and
doctrines; to contribute cheerfully and regularly to the support of the ministry, the
expenses of the church, the relief of the poor, and the spread of the go spel through all
nations.
We also engage to maintain family and secret devotions; to religiously educate our
children; to seek the salvation of our kindred and acquaintances; to walk circumspectly
in the world; to be just in our dealings, faithful in our e ngagements, and exemplary in

our deportment; to avoid all tattling, backbiting, and excessive anger; to abstain from

We further engage to watch over one another in brotherly love, to remember one
another in prayer; to aid one another in sickness and distress; to cultivate Christian
sympathy in feeling and Christian courtesy in speech; to be slow to take offense, but
always ready for reconciliation and mindful of the rules of our Saviour to secure it
without delay.
We moreover engage that when we remove from this place we will, as soon as possible,
unite with some other church where we can carry out the spirit of this covenant and the
principles of God’s Word.

Operations, Facilities and Equipment


General Operating Hours
Service Times: The church building opens 2 hours before service time and closes
one-half hour after service.
Other Ministry Times:
Grand Prairie Campus: Monday, Tuesday, Thursday from 6:00 pm – 9:30 pm and
Saturday from 8:00 am-5:00 pm. The building may be opened at other times and days

Bookstore
The church’s bookstore, Growing In the Spirit Bookstore, is located at our Grand Prairie
Campus on the second level and our Southlake Campus on the first level . Hours of
operation: open before and after services & Saturdays at our Grand Prairie Campus from
12:00 noon-2:00 pm. For questions or concerns, contact the Media/Business

Counseling Center
Counseling services are available at no cost to St. John members every Tuesday,
Wednesday, and Thursday by a trained Marriage & Family counselor during church office
hours at the Corporate location.
Meeting Rooms and Computer Lab
Only authorized activities are to take place in the meeting rooms (refer to section
17.0).The computer lab is located at the Grand Prairie Campus on the second level, and
is available for membership use upon request by contacting the corporate office.
Weight Room/ Track
Grand Prairie Campus: Members have access to the weight room and track during
general operating hours (refer to section 9.1). Additional treadmills are located in the
annex building behind the church.
Southlake Campus: Track is available for membership use upon request by contacting
the corporate office.
Gym
Due to lack of space, the gym is often times used as meeting space for ministry
activities. Therefore, only authorized activities are to take place in the gym (Refer to
Meeting Space and Ministry Activities).
Church Vans and Buses
St. John has vans and buses available for ministry use only. To request use of church
van and/or bus, email or fax completed transportation request form to the Ministry
Coordinator. Forms are available in the Leader’s Prep Room / Volunteer Office and on
the St. John website, online services, download manager, or contact the Ministry
Coordinator to have a form emailed.
Facilities Work Request Form
To report a problem or concern regarding facilities, equipment, furniture, etc., email or
fax completed facilities request form to the Executive Pastor. Forms are available in the
foyer and on the St. John website - online services, download manager, or contact
the Receptionist to have a form emailed.

Safety Concerns, Respect for God’s Property, Church Etiquette, Church Maintenance
 During worship services, talking and visiting with others should be at minimum
and in lowered voices.
 Do not use the pulpit podium unless you are a minister or invited to do so by a
minister.
 Food is prohibited in the sanctuary.
 Chewing gum is strongly discouraged, especially when services are being taped.
 When in God’s house, be mindful of what you think, say and do.
 Help keep our church property clean. Members are encouraged to pick up
bulletins, papers and other items off pews, floors, church grounds and dispose all
trash items in appropriate receptacles.

 Help maintain our church property. Do not use nails, staples, pins, tacks, or
sticky gum on church walls.
 Do not write or allow youth and children to write or draw on the church walls . No
hand-written signs.
 Food is only permitted in designated areas—fellowship hall and gym.
 Youth and children are to be supervised at all times. Parents are to ensure that
their child or youth is not roaming the building or left in rooms or any areas
without adult supervision. Parents are asked to keep their child and youth with
them when childcare, children and youth ministries are not availabl e.

Prayer Requests, Illness, Hospital Visitations, and Deaths


To request prayer for a member and/or loved ones concerning (but not limited to):
illness, request for hospital visitation, death in the family, and add their name or their
loved ones to our prayer list several ways:
 Email or fax completed prayer request form to the Pastor of Pastoral Care at
eford@sjbcfamily.com or fax to 972-264-9861. Forms are available in the foyer
and on the St. John website online services, download manager, or contact
the Receptionist to have a form emailed.
 Call the Corporate Office. If after hours, call 972-504-8209 and leave a
voicemail.
 Please note: when contacting the church regarding prayer concerns, be sure to
include name, member status, ill person’s name, their membership status,
relationship, condition, hospital and phone number, contact person and phone
number. In case of death, add funeral arrangement information.
If a representative of Pastoral Care has not responded within 24 hours, call the Corporate
Office at 972-264- 1483 or metro 972-263-5955 to verify if prayer request has been
received.

Baby Dedication
To schedule a baby dedication, email or fax completed baby dedication form to the
Receptionist. Forms are available on the St. John website online services 
download manager; or contact the Receptionist to have a form emailed or provide the
following information: baby’s full name, date of birth, hospital of birth, mother’s and
father’s name, address, contact numbers, and worship location. Members are
encouraged to
invite family, friends, godparents, and guests to share in this joyous occasion . Baby
Dedications are held during our 1 st Sunday Night Live services on the first Sunday of
every month at 6:00 pm.

To schedule a house or business blessing, email or fax completed house/business
blessing form to the Receptionist. Forms are available on the St. John website online

Contribution Statements
To request contribution statements, email or fax completed contribution statement
request form to the Financial Assistant. Forms are available in the foyer and on the St.
John website online services, download manager, or contact the Financial Assistant
to have a form emailed.

Leader and Volunteer Requirements and Expectations


New Member’s Orientation and Spiritual Gifts Assessment
St. John leaders and volunteers are expected to have completed New Member’s
Orientation. In addition, leaders and volunteers are expected have knowledge of their
spiritual gifts and have completed a spiritual gift assessment available upon request.

Covenant of Commitment
St. John leaders and volunteers are expected to adhere to the expectations outlined in
the covenant of commitment:
 Under gird pastoral leadership in actions, words, fellowships, giving and prayer.
 Uphold the pastoral vision of one church with multiple locations that will serve
relevant and transformational ministry to an expanding community.
 Maintain a style of leadership that inspires fellow team members to be creative,
efficient, and effective.

monitor their growth in Jesus Christ.
 Use every program and meeting as an opportunity to teach the principles of
God’s Word and to disciple believers.
 Create an atmosphere of encouragement and Christian support.

 Leaders are asked to sign a covenant of commitment and return it to the Ministry
Coordinator to be filed in the church records.

Background Check
Leaders and volunteers may be asked to do a background check to serve in ministry . In
the areas of youth, children and ushers, a background check is required. All inquiries
regarding background check are to be directed to the Christian Education Director or the
Executive Pastor. All information and findings will be held in the strictest of
confidentiality.

Email
Email is an official means of communication at St. John. Therefore, ministry leaders and
volunteers are encouraged to obtain an email address and to check it frequently . Also,
leaders and volunteers are to ensure that they on the church blast email distribution list
and the Ministry Coordinator leader and volunteer email distribution list. To be added to

St. John leaders and volunteers are expected to frequently visit the St. John website,
www.sjbcfamily.com, to access information, ministries calendar, SJBCConnection Blog
for calendar and ministry updates, download forms, register on line, access sermon
outlines, pay tithes, make online purchases and more . The URL for SJBCConnection Blog
is www.sjbcconnection.blogspot.com.
To request an addition or change to website, email or fax completed website request
form to the Communications Manager. Forms are available in the Leader’s Prep Room /
Volunteer Office and on St. John website online services,  download manager, or
contact the Communications Manager to have a form emailed.
Leader’s Prep Room / Volunteer Office
All leaders and volunteers have access to the Leader’s Prep Room / Volunteer Office and
can utilize the copier, computer, pencil sharper and other equipment and supplies in the
room. At the Grand Prairie Campus, Leader’s Prep Room / Volunteer Office is located on
the third floor. At the Southlake Campus, it is located on the first level near the youth
and children classrooms. The Ministry mailboxes are also located in the room. In
addition, leaders and volunteers are asked to help keep the Leader’s Prep Room /
Volunteer Office neat and clean by throwing trash, putting items back in place, etc. To
report problems with copier, computer, cabinetry, or any other equipment/facility issue,
complete a facilities work request form.

Supplies in the Leader’s Prep Room / Volunteer Office are at a minimal . Leaders and
volunteers are encouraged to obtain their own frequently used supplies, i.e. scissors,
tape, stapler, pens, notebook, Bible, dry erase markers, etc., and have their own
teaching and/or ministry supply kit to bring to meetings, classes, and activities.

Ministry Funds
St. John ministries are expected to fund their activities. Special consideration is given
to start-up ministries, outreach ministries, children and youth ministries. Ministries are
allowed to collect dues and / or offerings to support their ministry activities. All
requests for disbursements of funds and check requests are to be directed to the
Financial Assistant.

Ministries with cost-associated activities are to contact and communicate details of cost
with the Financial Assistant. Ministries and the Financial Assistant are to be in
agreement on financial matters prior to the activity being placed on the church’s
calendar.
All funds collected and received by ministries are to be turned in to the Financial
Assistant. Ministry leaders and volunteers are not to take ministry funds off the church
premises. Ministry funds are to be placed in an envelope and deposited in the metal
church drop box with an attached deposit form. (Turn the hand of the drop box to make
sure that the envelope drops in to the box). At the Grand Prairie Campus, the church
drop box is located on the third floor in the Leader’s Prep Room / Vo lunteer Office.
At the Southlake Campus, until a church drop box is in place, ministry funds are to be
given to a staff person to transport to the Corporate Office.

Meeting Space and Ministry Activities


Request Meeting Space for a General Meeting
Send an email request to the Ministry Coordinator. Include contact name, contact
number, ministry name, purpose, requested dates and times, requested meeting space,
and the number of people attending.
If a meeting repeats regularly, then that meeting is place on the church’s regular or
weekly ministry schedule and an email request is not required.
Request a Ministry Activity
A general meeting becomes a ministry activity when it involves food, media, a musician,
a larger space, etc.
To request a ministry activity, email or fax completed ministry activity request (MAR)
form to the Ministry Coordinator. Forms are available in the Leader’s Prep Room /
Volunteer Office and on the St. John website, online services, download manager,
or contact the Ministry Coordinator to have a form emailed . Once the MAR is approved,
copies are distributed to the:
 Financial Assistant for monetary concerns
 Event Coordinator for food and decoration concerns

Promotion of Activities
Ministries are expected to promote their activities.

Bulletin Announcements
To request bulletin announcements, email announcements to the Ministry Coordinator by
the 15 th of each month to go in the following month’s bulletin. Copy the ministry staff
support on the email.
Video Announcements
To request video announcements, email video announcements to the Media/Business
Development Manager. Copy the ministry staff support and the Ministry Coordinator on
the email.
Bulletin Inserts, Ministry Flyers, Brochures, Posters, Passing Out Information
To request a bulletin insert, send an email request to the Ministry Coordinator .
Ministries requesting bulletin inserts are expected to assist the Greeters Ministry in
placing their inserts in the bulletin. Note that bulletin inserts are costly and are not highly
recommended.

Ministries are encouraged to create their own flyers, brochures, posters, etc. and place
at the ministry information tables and /or on church bulletin boards. All ministry printed
materials are to be reviewed by the ministry staff support, Communications Manager or
Ministry Coordinator. Also requests to pass out ministry information during services
and/or outside the church are to be directed to the previously mentioned staff
persons.

Ministries are not allowed to post flyers, posters, or printed materials on church
windows, walls without approval from the ministry staff support, Communications
Manager or Ministry Coordinator.
Placing of flyers on cars in parking lot is prohibited.
Ministry Information Tables, Flyer Bins, and Church Bulletin Boards
Ministries are encouraged to display and/or place information pertaining to their ministry
(including brochures, flyers, handouts, etc.) at the ministry information tables and flyer
bins located in the foyer.
Ministries are encouraged to post their announcements / flyers on the church bulletin
boards.
Employment, business, education and community announcements can also be placed on
the bulletin boards and ministry information tables. Direct these request to the Ministry
Coordinator.

Ministry Tables
Ministry tables in foyer are limited and usually available on first -come-first-served basis.
To reserve a ministry table, send an email request to the Ministry Coordinator.
Pastoral Highlights
There are some guidelines for ministry announcements to be included in the pastoral
highlights. Send an email request to the Communications Manager.

Church Letterhead, Mailings, Postcards, and Postage


Ministries desiring to send postcards or mailings to members or outside the church are
to give the materials to be mailed to the ministry staff support, Communications
Manager, or Ministry Coordinator for review. Church stationary will be given to the
ministries to ready their materials for mailing. Blank ministry labels are provided
to ministries upon request. Ministries are responsible for their own mailing list and
printing their own mailing labels. Note that there is a postage limit.
Developing your own letterhead or ministry-specific advertisement item without the
consent of the Communications Manager is prohibited.
Ministry Email and Ministry Mailbox
A St. John ministry can request a ministry email account and/or a ministry mailbox by
submitting an email request to the Ministry Coordinator. Ministry mailboxes are located
in the Leader’s Prep Room / Volunteer Office.
Room Set-Up and Church Walls
Classrooms and fellowship halls: are usually pre-set with chairs, and possibly tables.
Ministries can rearrange their meeting space as long as the meeting space is return back
to their original state or better. Ministries are to be mindful of other ministries sharing
the same space.
Gym
When the gym is pre-set, ministries are asked to work around the gym set-up. If
a ministry rearranges the gym after it has been pre-set, then the ministry is
asked to reset the gym as it was found.
Sanctuary
Sanctuary is pre-set. The sanctuary is not to be rearranged, especially the
pulpit. Ministries are to work around furniture and items in the sanctuary.
Church Walls
Do not use nails, staples, pins, tacks, or sticky gum on church walls. Do not
write or allow others to write or draw on the church walls. No hand-written signs
please.

Protocol for St. John Ministries, Leaders and Volunteers


 Open and close all St. John meetings and activities with prayer.
 Begin and end meetings on time, especially if there other ministries scheduled to
utilize the same meeting space.
 Cancellation of activities that have been made public is strongly discouraged.
 Create own attendance sheets and keep own records. The Corporate Office no
longer requires or keeps records of each ministry attendance. Hence, each
ministry should be able to provide attendance information upon request.
 Ensure meeting space is left neatly for other ministries sharing the same space.
 No food in classrooms.
