 Introduction

Guidance Records contain data and information about various aspects of a

school’s operations, including data about its students, teacher, class’s facilities and

finances.

Guidance Program has become an integral part of the overall educational

program. With the basic assumption that all students need direction in their personal,

educational, and career planning, it has become the instructional responsibility of the

guidance counselor, administrator and staff to provide the students the specific

knowledge and skills required to address the needs (Arevalo, 2009).

Guidance is assistance made available by competent counsellors to an individual

of any age to help him direct his own life, develop his own point of view, make his own

decision and carry his own burdens (Crow and Crow).

Guidance is perceived as all those activities which promotes individual self

realization (Bernad and Fullmer).

An important aspect of the Guidance program is the recognition that some

satudents require special assistance in dealing with developmental problems and

immediate crisis. With this teacher and other staff who are in direct contact with the

students require support that can best be supplied by the guidance program. Guidance

program moreover is based on the belief that all students, including those with challenging

needs have the right to benefit from effective instruction to ensure optimal development.
 Records keeping are vital to an education systems information cycle as a whole,

because of its fundamental role in the process of efficient information.

The Manual systems are things of the past. It’s a quite tedious, time consuming,

less efficient, more error prone and inaccurate in comparison to computerized system. A

manual-based system will see information recorded and kept in different ways such as in

files in paper form. While a computer based information system will see data stored on

various computer programs including on databases, Word documents, Excel etc. Both

types of information system are designed to help a business carry out its daily running

and operations. In recent times, computer-based systems are generally considered to be

more popular as more businesses are choosing to keep up with the developments in

information technology.

STATEMENT OF THE PROBLEM
 The Arellano University Jose Rizal Campus Guidance Office is currently using a

manual operation in monitoring Senior High School Students’ activities and performance.

To a large extent, the work load is very taxing to retrieve files, generating reports and

track attendance and offense, and implements standards adhere from the student

manual. Considering that these are the factors subjectively experienced by the guidance

counselors, the researchers prompted to develop the Guidance Operational System

(GOS) for better quality service. These problems need to be addressed promptly.

Specifically, it should answer the following:

SCOPE AND DELIMITATION

This project study was proposed to automate the manual operation of Guidance

Records in monitoring Senior High School students' records in Arellano University Jose

Rizal Campus exclusively for Grade 12 Students. The functions focus into the students’

information/profile, mission and vision of the school, rules and regulations based on the

handbook, problems, and proposed solutions to problems.

SIGNIFICANCE OF THE STUDY

The system will give benefit to Arellano University Jose Rizal Campus Students,

especially Guidance Office because the system will provide a secure and an automated

records keeping system for creating records. It will provide an up-to-date and accurate

record of students and will resolve the possibility of losing the information because it has

database. It will track students' offenses and attendance. The system will also offer easily
retrieval of records and generates report such as student’s information, disciplinary action

records and attendance monitoring sheet information.

The system will give benefit to the students because it will provide sufficient

information about the Guidance Records such as their services and hierarchy and they’ll

be aware of committing offense because they’ll receive a notification from the Guidance.

The purpose of this study is to help the Guidance Counselor to have a Better and

Organized Guidance Records.

The result of the study will be great benefit to the following:

Teachers- They will be benefited through the Guidance Operational System

itself. For him to monitor his students easily and when his students have a

problem he can counsel them immediately.

Principal- Nowadays, some of the school principals are middle age above and

some of them are not familiar with some computer-based school systems, but in

our system they will not have a hard time using it.

Guidance Counselor- They can do their job effortlessly.

METHODOLOGY
 In this chapter of Methodology was highlighted the method used, research

design about the respondents, sampling techniques, research instruments, data

gathering procedure and the treatment of the data that the researchers used.

RESEARCH DESIGN:

This study used is Descriptive Design to collect information about our

subject, questionnaire to gather the perceptions of the respondents. To know

what is the perception of Grade 12 students on what do they prefer the most,

if it’s the Guidance Operational System or the Paper Guidance Records.

RESEARCH INSTRUMENT:

In gathering the data and information, the researchers distributed the survey

questionnaires to the Grade 12 Senior High School students of Arellano

University— Jose Rizal High School. The survey questionnaires is the primary

tool of our research.

RESEARCH SETTING:

The study was conducted in the Senior High School Department of Arellano

University— Jose Rizal High SHS (Senior High School) Department.

RESEARCH METHOD:
 This study used survey questionnaire to gather the perception of the respondents

and to gather information that the researchers need. The researchers aimed to do

this by randomly choose sixty (60) respondents as their informants from Cluster 5,6

and 4 Guidance Personnel in Arellano University— Jose Rizal SHS (Senior High School)

Department.

PROCEDURES:

The researchers interviewed person to person to gather some information

regards our subject. Some techniques that the researchers made are

brainstorming, finds information through internet and survey questionnaire, read

some articles about our topic, giving support for each other and collecting data

that weal ready gotten.

1. The total number of the respondents who answer in each question is multiplied

to its corresponding scale rating.

2. Add up the sum total of each scale to each other.

3. After adding it, divide the total to 100 and the weighted mean is computed.
