Process

� Develop an idea � It is the most important step in effective communication.


It is important that the idea to be conveyed must be useful or of some value.
� Encode � The method of transmission should be determined in advance so that
the idea encoded to conform to the specific requirements of the identified method.

Communication
To achieve success in health and safety management, there needs to be effective
communication up, down and across the organisation.

Organisations need to communicate information to their workers on the risk to their


health and safety identified in their risk assessments, and the preventive and
protective measures necessary to control risk.

The information provided should be communicated appropriately, taking into account:

workers� levels of competence


the size and structure of the organisation
Functions
1. Information function � It may be used for decision making at various work
levels in the organization.
2. Motivation function � It is used as a mean to motivate employees to commit
themselves to the organization�s objectives.
3. Control function � Effective control is facilitated when reports, policies
and plans define roles, clarify duties, authorities and responsibilities are
properly communicated.
4. Emotive function � Communication provides a mean to decrease the internal
pressure affecting the individual.

Process
� Develop an idea � It is the most important step in effective communication.
It is important that the idea to be conveyed must be useful or of some value.
� Encode � The method of transmission should be determined in advance so that
the idea encoded to conform to the specific requirements of the identified method.
� Transmit � Proper transmission is important so the message sent will reach
and hold the attention of the receiver (comm. channel must be free of barriers like
noise).
� Receive � The requirement is for the receiver to be ready to receive at the
precise moment the message relayed by the sender.
� Decode � It means translating the message from the sender into a form that
will have meaning to the recipient. If the receiver know the language and
terminology used in the message, successful decoding may be achieved.
� Accept � The next step is for the receiver to accept or reject the message.
Sometimes, acceptance (or rejection) is partial.
� Use � Receiver has now the option to use the information. If the message
provides information of importance to a relevant activity, then the receiver could
store it and retrieve it when required.
� Provide feedback � The last step is for the receiver to provide feedback to
the sender. Depending on the perception of the receiver, however, this important
step may not be made.
