XT4300 has the following differences with respect to XT5000:


• MCU9 and SMB9 not supported (only MCU4 and SMB4)
• Camera cascading and XT Camera Switch not supported

Scopia Desktop Client Installation


• The Scopia® Desktop Client Web Portal
provides an automatic download and update
manager. When you select the Updates link, it
displays any currently installed components
and versions, and enables you to install
components
• To activate Scopia® Desktop for the first time, go to the
Scopia® Desktop web portal page at
http://10.0.150.10/scopia

• It is recommended to use Internet Explorer as your


browser
• Enter your Name and Meeting ID
• Click Participate Now
• The portal will ask you to Install the Conference
client on you first use. Click on Install to install the
Conference Client

• It is also recommended to allow Pop-ups from


the address of the Scopia Desktop Client Portal
• A progress bar will pop u after you have clicked
install to show the progress of your installation
• Once installed, the Conference Client will Pop up and connect
you to the Meeting ID you entered
• Once successful, your Video Conference Meeting will now
start

• You can verify the Meeting Room number at the top left of
the Conference Client
Scopia Desktop Server Settings
• You can access the Scopia Desktop Server by going to the URL
http://10.0.150.10:80/scopia/admin
• This URL is for Scopia Desktop Server administrator access
only
• Login using the Scopia Desktop Server admin credentials
• The Scopia Desktop Server is the interface of Desktop and
Mobile clients to the 6105 Elite MCU, which provides
conference resource.
• The Scopia Desktop Server, as well as the 6105 Elite MCU and
the XT5000 camera is centrally managed by the Scopia
Management, which is installed in the same server as the
Scopia Desktop Server
• Verify that the services for the Scopia Desktop Server is active
from the Status Page
• Verify also the connectivity of the Scopia Desktop Server to
the Scopia Management and the Scopia Gatekeeper from the
Status page
• There should be three green lights next to the Scopia Desktop
Server, Scopia Management and the Scopia Gatekeeper
• The status of the utilization of the Scopia
Desktop Server can be viewed also in the
lower portion as well as the right hand portion
of the Status Page
Scopia Video Conference
Management
Scopia Management is the application in charge in the
management of the entire Scopia Solution. The 6105 Elite
MCU, Scopia Desktop Server and the XT5000 are managed by
the Scopia Management.
• To go to the Scopia Management Administration portal, go to
http://10.0.150.10:8080/iview/
• Login using the admin credentials
• To add Users who can create their own Conference Rooms, go
to the Users tab> Users from Local Directory> and click add.

• The required field are the following


Login ID:
Last Name:
Password:
Email Address:
User Profile: <Set to Regular User>
• Click Apply to initially save the User
• Click on Virtual Room to assign a Virtual Room of this user
• Virtual Room Number: Assign a Virtual Room Number for this
user
• Virtual Room Name: Description of the Virtual Room. This will
also be displayed in the top part of an active conference.
• Meeting Type: Select 71 – DPWH Video Service 1080p
• Protect Meeting with a PIN: Check if you want participants
who will join this Virtual Room to enter first a pre-defined PIN
to be able to enter.
• Allow Instant Meetings: Check if you want other users to
activate this meeting in behalf of the Virtual Room owner
• Click Apply then OK once finished
• To view the Settings of the Meeting Type: 71 – DPWH Video
Service 1080p and other meeting types, go to Settings>
Meeting Types

• Click on one of the Meeting Types


• Meeting Types define the quality of the participants that
joined the Virtual Room of a user.
• You cannot Add Meeting Types in the Scopia Management.
These are configured in the MCU since the resources for these
meeting types will come from a specific MCU.
• If you have created a new Meeting Type in the 6105 Elite
MCU, you can click on Synchronize so the Scopia Management
can download the Meeting Types from the 6105 Elite MCU.
• If you create a Virutal Room for a user and assign it a Meeting
type, its participants will follow the maximum Bandwidth set
in the Meeting Type.
• The resources for the particular Virtual Room will come from
the MCU where the Meeting Type was synchronized from.
Troubleshooting
Checking physical connections and network
connectivity
• Checking Desktop IP address and connectivity to local gateway
• On your computer, click Windows button and click Run

• type in cmd and click OK


• Once inside the command prompt, type in ipconfig and press
Enter

• Verify that you have the correct IP address for your location
• Type ping <Default Gateway>
• The result should be a reply from your local gateway
• Next, ping the gateway of the Video VLAN in head office by typing ping
10.0.150.1

• If successful, ping the Avaya Scopia Desktop Server by typing ping


10.0.150.10. You can ping also the 6105 MCU by typing ping 10.0.2.150
• Before joining a meeting and after installing the Scopia Client,
verify you have the correct settings by opening the Scopia
client found in your Windows Notification area and right click
then settings

• Under the General tab, verify you have the correct Server URL
settings. It should point to
http://10.0.150.10/scopia/
• Under the Audio tab, verify that you the device you are using
for your Mic, under the Record section, and you speaker,
under the Playback section, is set to the Jabra headset
• If the settings are different, uncheck the “Automatically select
the best device” and select the Jabra headset from the drop
down menu for both Record and Playback
• To test if you can speak and hear audio, press the “Start audio
Test” button
• You should see the Volume increase in value if you speak
• Press stop once verified you have proper Audio
• You can also adjust the default volume of your Mic and
Speaker from here
• Check you Camera by going to the Video tab
• Verify that your Device is set to the Logitech Camera. Select
the Logitech camera on the drop down menu if it is not the
default camera
• You can press the preview button to test the camera
Troubleshooting once inside a Video Conference
Hearing Other Participants in a Videoconference
• Problem: You cannot hear one of the participants.
• Possible Causes: This participant is muted.
• Solution If you can moderate this videoconference, unmute
the participant by clicking on the Mic icon next to his/her
name. If you do not have moderation rights, let this
participant know about the problem using Text Chat.
• Problem: You cannot hear any of the participants.
• Possible Causes: The audio is muted or volume is set to too low.
• Solution: Make sure that the speakers are not muted in your
Virtual Room window

• Solution: Make sure that the device you use to play audio
(speakers, speakerphone, headphones) is not muted.
• Possible Causes: If there are several audio output devices
connected to your computer, you may be using not the device
that your Scopia® Desktop Client is using to play audio.

• To start a Virtual Meeting, a user has to first start his/her
Virutal Meeting Room
• To schedule your meeting, open Internet Explorer and enter
the URL http://10.0.150.10:8080/userportal/
• Sign in using you credentials you entered in the Admin portal
in the previous exercise.

• Go to the settings first by clicking the Settings link on the


upper right corner of the webpage
• Verify your personal settings from the General page.
• You can also change your password by clicking the Modify
Password button
• Click on the Virtual Room tab
• From here you can change the name of your Virtual Room Number
• You can enter a Moderator PIN so other users must enter a PIN in order to
be a moderator in your Virtual Room
• Some of the features of the Moderator are as follows
– Blocking the sound and video of other participants
– Inviting new participants
– Disconnecting other participants
– Determining video layouts
– Closing meetings
• You can also assign a PIN to your Virtual Meeting Room so only users who
know this PIN can join your Virtual Meeting Room
• You can assign a permanent PIN or use a one-time PIN for each meeting
• For one-time PIN, it will ask the user for a new PIN when the user
schedules a Meeting
• The settings here will be the default settings for your Virtual Room. It still
can be changed once you schedule a Virtual Meeting
• Clicking on the Select Endpoint allows you to join the DPWH
headoffice Video Camera
• The system will then automatically call this endpoint when the
Virtual Meeting is about to start
• Highlight DPWH Head Office XT5000 and click on Invite
• Click on OK once done
• To schedule your Virtual Meeting, click on the Schedule
button with the green plus icon

• Enter the name of the users in the To: field you wish to invite.
An email will be sent to the email address of the user with the
details of the Virtual Meeting
• Change the Subject of your Virtual Meeting to properly
identify the name of the Meeting
• You can change the Date and Time of the Virtual Meeting if it
is on a future date
• If the Virtual Meeting will start immediately, you don’t have to
change the Date and Time
• Set also the Duration of the Virtual Meeting
• In the Message field, you can type a message to include in the
email invite.
• Clicking on the Endpoint tab will allow you to Invite the
Headoffice Video Endpoint
• On the Advance tab, you can set the Meeting and Moderator
PIN as well as termination options
• Press Send once done with the settings
• After scheduling your Virtual Meeting, you should be now
view it as an active meeting
• You can highlight your meeting and click on Participate
• If there are other active Virtual Meetings, it will show also in
this inerface
In-Meeting Features
• Verify that you are in the correct Meeting Room. The name is
displayed on the top of the Virtual Meeting

• You can enable and disable you Mic, Speaker and Video
Camera by clicking on the icons on the top left of the client

• You can adjust the volume of you Mic and Speaker also from
this field
• Participants currently in the Virtual Room are displayed in the
Participants panel in the left hand side of the Scopia Client

• If no moderator is set, you can disable the mic and camera of


the remote participant by clicking on the Mic and Camera icon
next to their name
• To send chat messages, type in you message at the lower left
hand side of the client.
• You have the option to send a message publicly or to
individual participant by clicking on the down arrow and
select your partcipant or select Public to send the message to
all participants
• To change the view on your screen, click on the View button.
View options will be showed upon clicking
• The view here will be for both the video and content
• Picture-In-Picture is displayed as a small thumbnail on the
lower right as default.
• This is the view that the other participants of you
• To hide your picture only on your screen, click on the Picture-
In-Picture icon.

• To change the orientation of the Picture-In-Picture, click on


the down arrow for available options
• To change the orientation of the other participants from your
view, click on the My Layout button and select the desired
layout
• To share a document or your whole desktop, click in the Present button

• Once pressed, you will be presentation with the following options


– Full Screen: this mode will allow the other participants to view your
whole screen regardless of application
Portion of the Screen: allows you to define only what portion of your
screen the other participants can view. Once selected, a red box will
appear that you can drag to position which portion of the screen you
want to share
• Application: lets you choose which applications the other participants can
only view.
• Once these applications are active on you screen, the other participants
can view it.
• If you are on an another application that you have not checked, the other
participants will only see a black screen from their video screen
• While on presentation mode, you can start “whiteboarding”
by clicking the paintbrush icon on the upper left corner of the
screen

• You can now highlight any portion of the document. This will
be seen by all participants
• To change the color of the highlighter, select the color on your
left
• To change the width of the lines, move the slider left to right

• To erase a portion of the highlight, click on the eraser icon and


erase the desired annotation
• To erase previous highlights, click on the back arrow
• To temporarily freeze the presentation, click on the two
arrows pointing to the right then select Freeze Presentation.
• Participants will only the screen the moment you select
Freeze presentation
• You can go to other documents without the participants
seeing it.

• To unfreeze the presentation, click on the two arrows again


and select Resume Presentation
• To stop presenting, click on the End presentation on the top
left hand most of the client
Moderator Functions
• Click on the Moderate button to view Moderator features
• Invite: Lets you invite or join other Video Endpoint if there are
available
• Set Lecturer: lecture mode allows the participant defined as
the lecturer to see all the participants, while they see only the
lecturer.
• All participants are muted except the lecturer, unless a
participant asks permission to speak and is unmuted by the
lecturer.
• Control Camera: Lets you control the camera of the remote
XT5000
• Mute: Enable or disable the Mic of selected or all Participants
• Grant Request: If the meeting is already locked down and
others are requesting to join the Virtual Meeting, you can
accept their request from this field
• Block Video: disables the camera of the remote user so all
participants cannot view him/her
• Disconnect: disconnects the selected user from the Virtual
Room
• Lock Down Meeting: Locks down the Virtual Meeting so
others cannot join. Participants who wish to join the Virtual
Meeting can send a request and the moderator can choose to
accept or decline the join request
• Terminate the Meeting: Terminates the meeting and
disconnects all participants
• For a overview of the network connection with regards to
your connection to the Scopia System, mouse over the
Network Statistics icon found on the lower right of the client

• For a more detailed information, click on Info icon the


Network Statistics found on the upper right hand side of the
client
• The settings configured for Mobile Scopia Client is set to
maximum of 512 kbps and 30 fps (frames per second)
• Based on the screenshot, on the left hand side, my current
traffic statistics for sending video is 406kbps and 27.9 fps
• On the right hand side is the statistics that I am receiving from
the Scopia Servers
• Ideally, you should have 0% packet loss
• High packet loss will result to pixilated or delayed video
• To leave the Virtual Room, click on the Leave icon on the top
right hand side of the client
