A. Overview of Smart View


Smart View is a Microsoft Office add-in that works with the Oracle Hyperion Enterprise
Performance Management products. It allows you to import C-BIG reports into MS
Excel, Word, and PowerPoint, enter data into Hyperion Planning Forms from Excel, and
conduct ad hoc data analysis. This manual provides you with steps on how to integrate
Smart View with Excel.

B. Supported Client Software


The current version of Smart View, which is available for download from the APB C-
BIG website, supports the following versions of Microsoft Office (32- and 64-bit):

• Microsoft Office 2007


• Microsoft Office 2010
• Microsoft Office 2013

A. Installing the Smart View Add-in


To download the latest version of the Smart View Add-In executable:

 Go to www.apb.ucla.edu/cbig.html. Under the Supported Web Browsers and


Software section, click on the link to .

 Save the zip file.

 Extract all files.

 You must have administrative rights to run the executable, and you must close
out all MS Office products (i.e., Outlook, Excel, Word, PowerPoint, etc.)

 Right-click on the SmartView.exe and select Run as Administrator.

 Select Run and OK at the prompts.

 Once complete, open Excel to make sure you see the Smart View menu and
ribbon.

Trouble-shooting:
If the Smart View menu does not appear, you may want to go to Excel Options>Add-Ins
to see if it appears in the Disabled Application Add-Ins list. If so, you will need to enable
it.

B. Setting Connections
To connect to the Shared Services Provider:

 Open Excel.

 Select Smart View>Options.

 On the Advanced tab, change the Shared Connection URL server and port
number. The full URL should appear as:
http://cbig.ais.ucla.edu:19000/workspace/SmartViewProviders. Also select
Disable Smart View in Outlook. Click OK>Save as Default Options.

 Select Smart View> Panel.

 Select Shared Connections from the Smart View Panel.

 Enter your C-BIG User Name and Password and select Connect.

Trouble-shooting:
If you receive the following message when trying to save your Options, you will need to
create a log file.

 Check the Route Messages to File option and click on the icon to search
for a file location.

 At a location of your choice, right-click and select New>Text Document.

 Name your document SmartViewLog.log and select Open.

 Uncheck the Route Messages to File option and click OK>Save as Default
Options.

The current version of Smart View allows you access the entire budget process, including
the input forms and approval process. The advantage of using Excel over using the web
interface is that you can apply Excel functions and formulas and link to data from other
Excel files. All Hyperion options, such as Cell Comments, Supporting Details, and Calc
Scripts are available from the Excel forms.

A. Setting Planning Options


It is recommended that you edit a few of the default Data Options and Formatting
options prior to starting. Other options will be described in section VI. Setting your
Smart View Options of this manual.

To access the options screen:

 Select Smart View>Options.

 Select Data Options. For budget input purposes, it is advised that you
deselect all suppression on rows and columns, and change the Replacement
for #NoData/Missing Label to a dash, “-“.

 Select Formatting. It is advised that you select the Use Thousands Separator.
Click OK>Save as Default Options when you are finished making your
changes.

B. Accessing the Task List


The Task List will step you through the three budget input forms and approval process.

 If you are not yet connected, select Smart View> Panel.

 Select Shared Connections from the Smart View Panel.

 Enter your C-BIG User Name and Password and select Connect.

 On the Smart View Panel, click on the down arrow and select Oracle
Hyperion Planning, Fusion Edition.

 Select CBIGAPP1>UCLA>Task Lists>Budget Input Process

 The Task List steps include the three input forms and the approval process.
Double-click on your selection.

 The selected form will appear in your worksheet. You may want to download
the three input forms into three separate sheets within your workbook.

C. Selecting your Entity and Fund
As with the web forms, there are two Page drop-down menus on the downloaded forms.
The left drop-down menu allows you to select your department, and the right drop-down
menu allows you to select your fund. The button serves the same function as the
Go arrow on the web.

To change your department:


 Select a department from the left drop-down menu and click .

To change your fund:


 Select a fund from the right drop-down menu and click .

To use the search feature:

 Click on the department or fund drop-down menu.

 Type one or more characters (alphanumeric) of the department or fund name


for which you are searching.

 Select from the list that appears and then click .

D. Inputting and Submitting Budget Data
As with the web forms, the cells with a grey background color represent read-only cells,
while those with a light yellow background color represent input cells. After inputting
data, the cell color will change to dark yellow, indicating that data has been changed but
not yet submitted/saved to the database.

To submit/save your changes:

 Click on from the Planning ribbon.

If instead of saving your data, you would like to delete your unsaved changes:

 Click on Refresh from the Planning ribbon.

 At the following prompt, click on the OK button to confirm the Refresh
command.

E. Adjusting Data
To adjust data values:

 Select a data cell or a range of contiguous cells.

 Click on from the Planning ribbon.

 Select from the list of Adjustment options, enter an adjustment value, and
click on the Adjust Data button.

 Click on from the Planning ribbon to save your changes.

F. Adding Cell Comments
To add Cell Comments:

 Select a cell or a range of contiguous cells.


 Click on > Comments from the Planning ribbon or from the
floating menu.

 Click on the add comments button.

 Enter comments, up to 2000 characters per each cell, and click Save.

 The cell will have a blue border, indicating that cell comments are present.

G. Adding Supporting Details
To add Supporting Details:

 Select a data cell or a range of contiguous cells.

 Click on > Supporting Details from the Planning ribbon or


from the floating menu.

 Select the Add Child button.

 Type a description over the default Untitled and an amount.

 To add line items, select the Add Sibling button.

 Type in a description and an amount for the additional rows and click on the
Submit button when done.

 The total amount will display on your form, and the cell background color will
appear in aqua blue, indicating that there is Supporting Details.

H. Copying and Pasting


To copy and paste data:

 Use Excel features (e.g., Ctrl c/x/v, dragging cell content, etc).
 If the cells that you are copying from are protected, you may to prompted to
first unprotect the sheet. Select Tools>Protection>Unprotect Sheet before
copying.

I. Applying Excel Formulas


One advantage of using the Smart View Planning forms over the web forms is the ability
to apply Excel formulas to manipulate and analyze data. When applying Excel formulas,
keep the following in mind:

- You can create formulas inside or outside the data form’s grid or on cells
that have Cell Text.
- You cannot create formulas on read-only cells or on cells that have
Supporting Details.
- Formulas are preserved upon saving or refreshing your data.
- You must save workbook as an Excel file.
- A separate sheet must exist for each department and fund combination
containing formulas.

J. Running Calc Scripts
The calc scripts that are available on the web forms are also accessible from the Smart
View forms. There are three rules available from the Base Expenditure Budget Form and
three available from the Budget Seasonality Form.

To access the business rules:

 Right-click on a row within the form and select a calc script from the Smart
View menu. This can also be accessed by selecting Calculate>Rules on Form
from the Planning ribbon.

Base Budget Expenditure Form:


The calc scripts from the Base Budget Expenditure Form will populate all expense rows
on the form. Therefore, you can right-click on any of the rows (e.g., Faculty Ladder).

Budget Seasonality Form:
The Even Spread, Prior Year Actuals Spread, and Custom Spread calc scripts available
from the Budget Seasonality Form can be run for selected rows. Therefore, it is
important that you right-click on the specific row. To apply the calc script to multiple
rows, right-click on the appropriate subtotal row to select the calc script (i.e., Selecting
Total Salaries & Wages would apply the business rule to the Faculty Ladder, Faculty
Temporary, Academic Apprentice, Academic Other, Career Staff, and Non-Career Staff
rows.). The Copy July/Aug Actuals to Budget script is not row specific. When run, it
will populate the data for all rows.

 At the prompt, confirm the Fund/Entity/Object selections and click the OK
button.

 Your results will appear.

K. Data Validation
Data validation has been built in to the Budget Input Form and the Budget Seasonality
Form. There are two types of data validation, Deficit Budget Check and Spread Check.

Deficit Budget Check:


If you enter a budget that results in a deficit at the Ending Balance row, Total or
YearTotal columns, the cell will be highlighted in blue. You will also notice a Data
Validation Message, stating, “Please resolve the deficit budget prior to submitting”,
along with a cell reference. You must correct the deficit budget in order to clear the
message; however, the system will not prevent you from submitting deficit budgets for
approval.

Spread Check:
The Budget Seasonality Form will also check for To-Be-Spread amounts for each input
row. If the To-Be-Spread amount is greater than 1 or less than -1 on a data input cell, the
cell will be highlighted in blue and a Data Validation message stating, “Please adjust
your spread to match the annual budget”, along with cell references will appear. All To-
Be-Spread issues need to be resolved prior to submitting your budget for approval.

L. The Approval Process
The Approval Process can also be done in Smart View.

 Select Approval Process from the Smart View Panel, Task List.

 Select the Refresh button to access your Planning Units.

 Highlight the Planning Unit that you would like to submit for approval. Note
that it is always best to submit the entire organization as opposed to each
individual department, if you are at the organization level.

 Select the Next Owner from the drop-down menu and click on Submit.

 If successful, the Manage Approvals screen will indicate Under Review by the
next owner.

Approval Email Notifications: If you would like the system to send you email
notifications when a budget has been promoted to you for review, you will need to update
your preferences. Note that a separate email will be generated for each department that is
promoted to you.

 Open Excel and select Smart View>Panel.


 Click on Shared Connections and log on.
 Select from the dropdown, Oracle Hyperion Planning.
 Expand CBIGAPP1>UCLA
 Right-click on UCLA and select User Preferences.

 Under the Application Settings tab, E-mail Options, enter your email address
and check the option for Workflow and Task List Notification.

A. Setting Ad Hoc Options


When using the Ad Hoc tool, it is recommended that you alter a few of the data options.
Other options will be described in section VI. Setting your Smart View Options of this
manual.

To access the options screen:

 Select Smart View>Options.

 Select Data Options. Change the Replacement for #NoData/Missing Label to
a dash, “-“ or #NumericZero (to show zeroes). Initially, you will want to
deselect suppression on rows.

 Select Formatting. It is advised that you select the Use Excel Formatting
option. If you want the Excel Formatting to carry over when you zoom in,
also select Move Formatting on Operations. Click on OK>Save as Default
Options when you are finished making your changes.

B. Accessing the Ad Hoc Analysis Tool


 If you have not yet connected, select Smart View> Panel.

 Select Shared Connections from the Smart View Panel.

 Enter your C-BIG User Name and Password and select Connect.

 On the Smart View Panel, click on the down arrow and select Oracle Essbase.

 Expand the “+” sign and select cbigessp1>UCLARptg>UCLARptg.

 Select Ad hoc analysis from the bottom of the Smart View panel

 The following structure will appear on your spreadsheet. You will also notice
an Essbase ribbon.

C. Data Intersections
C-BIG is built on a multidimensional database called Essbase. Data resides at the
intersection of specified members within each dimension. Currently, the UCLA
application has the following nine dimensions.

1. Object – includes revenue and expense categories down to object codes


2. Period – includes months, quarters, and yeartotal
3. Scenario – includes one member called Current
4. Version – includes two members, Working and Final
5. Component – includes actual, budget, variance and budget build fields
6. Fiscal Year – includes fiscal years 2003-04 through current budget year
7. Sub – includes ledger sub codes
8. Entity – includes campus hierarchy organizations, divisions, subdivisions,
departments, and account cost centers
9. Fund – includes fund categories and fund numbers

In order to view data, you must select members for each dimension where data
resides to which you have been granted security access. Descendants refer to the
sub-members within.

• Actual Data resides at the following intersections:

• It is possible to query data for year-to-date amounts. To utilize this


feature, the Period dimension needs to be within your grid. You would
then type Y-T-D(mmm) where mmm = first three letters of a month [e.g.,
Y-T-D(Jan)]

D. Point of View Option
By default the first row will contain all dimensions except for Object and Period. These
members are in the Point of View (POV) and define the data points. The POV can
remain on the spreadsheet or can be toggled onto a POV toolbar, depending on the user’s
preference.

 To show the POV toolbar, select POV from the Essbase ribbon.

E. Selecting Members and Querying Data
The Member Selection option allows you to select a member or members for any
dimension in the grid or the POV.

 Highlight the dimension (i.e., Object or Period), and select Member Selection
from the Essbase ribbon.

 From the Member Selection screen, place a check mark next to your
selection(s) and use the right arrow to move them to the right side of the
screen. Likewise, to deselect the default members, highlight them from the
right side of the screen and use the left arrow to remove them. Click the OK
button when complete.

To use the Member Selection option for a member within the POV:

 Click on the drop-down arrow next to the dimension and select“…”.

 This will bring you to the Member Selection screen, with default Fund
selected. Highlight Fund and click on the left arrow to deselect it.

 Place a check mark to the left of your fund selection and click on the right
arrow.

 To select members for all of the dimensions in your POV at one time, select
the other dimensions from the drop-down menu, and follow the steps above to
make your member selections. Once you have made all of your selections,
click on the OK button.

 Your selections will appear in the POV. Click on the green arrow in order to
refresh the data in your grid, or select Refresh from the Smart View ribbon.

F. Zoom In/Out
The Zoom In and Zoom Out features allow you to drill in or out of any dimension located
on your grid.

To drill into a dimension:

 Double-click on the dimension or member name, or select Zoom In from the


Essbase ribbon.

Zooming out of a dimension is the opposite of zooming in. To drill out of a dimension:

 Highlight the member name and select Zoom Out from the Essbase ribbon.

The following would result:

When zooming in or out of a large dimension, like Fund or Entity, you will want to
temporarily change your suppression options so that only rows with data will appear. To
access the options screen:

 Select Smart View>Options.

 Select Data Options. Enable Suppress Rows for No Data/Missing.

 When creating new ad hoc worksheets, you will need to first remove the
suppression in order for your grid and POV to appear. Having the suppression
enabled will lead to the following message:

G. Keep/Remove Only
The Keep Only and Remove Only options allow you to modify the Ad Hoc grid by
selecting only the dimension members that you want to keep in the grid. When you
select the Keep Only option, the system retains only the selected member or member
range within the grid. All unselected members are removed from the worksheet for that
dimension. When you select the Remove Only option, the system deletes the selected
member and data or member range and data from the worksheet for the given dimension.
All unselected members are retained in the worksheet.

To activate the Keep Only option:

 Highlight the member(s) that you would like to keep and select Keep Only
from the Essbase ribbon.

To activate the Remove Only option:

 Highlight the member(s) that you would like to remove and select Remove
Only from the Essbase ribbon.

Note: If you delete members from the grid using the Delete key (not using the Remove
Only option), you must also delete the corresponding data points; otherwise, when you
refresh the grid, the remaining cells are treated as comments.

H. Pivot
The Pivot option changes the dimension orientation on the worksheet. You can move
dimensions between rows and columns. The pivot option will move the selected
dimension to the outermost row or column on the opposite axis.

To activate the Pivot option:

 You must first make sure that you have at least one dimension in the row and
one dimension in the column, in addition to the dimension that you are
pivoting.

 Highlight the dimension or member name that you would like to pivot and
select Ad Hoc Analysis from the Essbase ribbon.

The following would result:

The same task can be achieved by highlighting the dimension member that you would
like to pivot, then, holding down your mouse right-click button, dragging it from the row
to the column or vice versa.

You can also pivot dimensions between the grid and the POV. To pivot a dimension
from the grid to the POV:

 Highlight the member and select Pivot>Pivot to POV, or right click your
mouse while dragging the dimension to the POV.

To pivot a member from the POV to the grid:

 Right-click on the member name near the down arrow, and drag it on top of
existing row/column dimension.

Another way to achieve this is to insert a row/column and type the dimension name or
member name and then select Refresh from the Essbase ribbon.

I. Undo
When performing ad hoc analysis, the Undo command allows you to revert back to your
view prior to the last spreadsheet change. By default, you are allowed a maximum of 9
simultaneous Undo actions. To undo an action:

 Select Undo from the Smart View ribbon.

J. Printing the Point of View


To print the POV members in the header or footer:

 Select Insert>Header & Footer

 Type POV:{} or a statement that includes POV:{}.

When you print the Excel document or run a Print Preview, the POV members are
printed in the header and/or footer.

 If you have not yet connected, select Smart View>Option>Smart View Panel.

 Select Shared Connections from the Smart View Panel.

 Enter your C-BIG User Name and Password and select Connect.

 On the Smart View Panel, click on the down arrow and select Reporting and
Analysis Framework.

 Expand the “+” sign and open any of the reports within the UCLA sub-folders
by double-clicking on your selection.

 Confirm or select your Entity/Fund.

 At the Preview, click on the Finish button.

The report will appear in Excel, where you can apply Excel formatting features.

A. Member Options
To access the Member Options:

 Once connected, select Options from the Smart View ribbon. The first tab
contains the Member Options.

a. Zoom In Level
- Selecting Next Level will retrieve data for the next level down
in the hierarchy of the selected member(s). This is the default
and recommended zoom option. For example, if you zoom
into an organization, you will retrieve the divisions within.
- Selecting All Levels will retrieve data for all levels in the
hierarchy. For example, if you zoom into an organization, you
will retrieve data for the divisions, sub-divisions, departments,
and account cost centers within.
- Selecting Bottom Level will retrieve data for the lowest level of
members within a dimension. For example, if you zoom into
an organization, you will retrieve data for the account cost
centers within.
- If you select to Zoom-In to All Levels or Bottom Level, it is
highly recommended that you also Suppress Rows with No
Data/#Missing.

b. Member Name Display


- Selecting Member Name Only will display the fully qualified
names (e.g., fnd_19900).
- Selecting Member Name and Description will display the fully
qualified names and aliases (e.g., fnd_19900 and GENERAL
FUND (19900) )
- Selecting Description Only will display aliases (e.g.,
GENERAL FUND (19900)).

c. Indentation
- Provides the option to indent Subitems or Totals in a query.
For example, if you are drilling into the Entity dimension and
you select Subitems, the division, sub-division, and department
levels will each be indented a greater degree from its parent
level. If you select Totals, the opposite will result; each
hierarchy level will be indented a greater degree from its child
level. If you select None, no indentation will apply.

d. Ancestor Position
- Selecting Top will display hierarchies in order from highest to
lowest level.
- Selecting Bottom will display hierarchies in order from lowest
to highest level.

e. Member Retention
- Selecting Include Selection will retain the selected member
along with the other members retrieved as a result of a zoom.
By default, the Include Selection option is enabled.

- Selecting Within Selected Group will apply only to the group
of members in which the selection is made.
- Selecting Remove Unselected Groups will remove all
dimension groups that are not in the selected group.

f. Comments and Formulas


- Selecting Preserve Formulas and Comments in ad hoc
operations except pivots) retains all formulas in cells when you
make changes to the POV. If deselected, any formulas in the
grid are lost.
- Selecting Enable Enhanced Comment Handling allows you to
review and correct comments and members in ad hoc grids that
contain comments.

B. Data Options
To access the Data Options:

 Select Options from the Smart View ribbon. The second tab contains the Data
Options.

a. Suppress Rows/Columns
- Provides the option to eliminate row/column members that
have no data, have data equal to 0, contain Underscore
Characters in its member name, or Repeated Members. Most
likely, you will want to deselect all suppression options for
budget input purposes; however, you may need to suppress on
No Data/#Missing for the rows only (not the columns) when
running certain Ad Hoc analysis. This is especially important
if you have the Entity or Fund dimensions in your rows, or if
you are trying to drill to the object code level. With
suppression activated, only the members with data will appear
in your spreadsheet. If you do not have this selection checked,
you will receive many rows without data and the query time
will increase.
b. Replacement
- This option enables you to define labels to missing values and
for data to which you do not have access. You will want to
display missing values with a dash (-) for budget input
purposes. For Ad Hoc Analysis, if you want to replace missing
values with zeroes, select the #NumericZero option.

c. Mode
- The Navigate without Data option enables you to perform
Pivot, Zoom In, Zoom Out, Keep Only, and Remove Only
commands without retrieving any data. This allows you to
navigate through member selections quickly, since it eliminates
data retrieval time.

C. Advanced
To access the Advanced Options:

 Select Options from the Smart View ribbon. The third tab contains the
Advanced options.

a. General
- The Shared Connections URL should be set to
http://cbig.ais.ucla.edu:19000/workspace/SmartViewProviders
- The Number of Undo Actions defaults to 9, but can be set to a
value between 2 and 99. When performing Ad Hoc analysis
while connected to a data source, the Undo command enables
you to restore the previous database view. A database view is
the view of the spreadsheet after performing Zoom In, Zoom
Out, Keep Only, Remove Only, or Refresh commands. If you
modify member information between refreshes and then
perform an Undo command, Smart View reverts to the
spreadsheet data as it was prior to the last refresh.

b. Logging
- You do not need to log your messages, but there must be a
valid log and path.

c. Display/Compatibility/Mode
- Check the option to Disable Smart View in Outlook.
- Check the Use Double click for Operations.

D. Formatting
To access the Formatting Options:

 Select Options from the Smart View ribbon. The fourth tab contains the
Formatting options.

a. Use Thousands Separators


- You should enable this option. When connected to a Planning
data source, this option adds the commas to separate thousands

b. Use Excel Formatting


- You should enable this option to preserve number formats,
conditional formats, colors and borders upon retrieval. Also
select Move Formatting on Operations to preserve formulas
when you Zoom In or Zoom Out.

E. Cell Styles
To access the Cell Styles Options:

 Select Options from the Smart View ribbon. The fifth tab contains the Cell
Styles options.

When connected to an Essbase data source (Not Planning), you can apply styles to
data cells. As an example, if you want to bold or apply a border or background to
the parent level members, you would follow the steps below:

a. Expand the “+” sign next to Analytic Services.


b. Expand the “+” sign next to Member cells.
c. Place a check mark next to Parent.
d. Right-click on Parent.
e. Select Font, Background, or Border.
f. Click OK after making your selections.

Note that if you select the Use Excel Formatting option within the Display tab,
the Excel formatting will override all style options set in the Cell Styles tab.

F. Extensions
To access the Extensions Options:

 Select Options from the Smart View ribbon. The last tab contains the
Extensions options.

a. The Extensions page contains a list of extensions that are installed to


leverage Smart View functionality for other Oracle products. This
page is inapplicable to the C-BIG application.
