Trouble-shooting:
If the Smart View menu does not appear, you may want to go to Excel Options>Add-Ins
to see if it appears in the Disabled Application Add-Ins list. If so, you will need to enable
it.
Open Excel.
On the Advanced tab, change the Shared Connection URL server and port
number. The full URL should appear as:
http://cbig.ais.ucla.edu:19000/workspace/SmartViewProviders. Also select
Disable Smart View in Outlook. Click OK>Save as Default Options.
Enter your C-BIG User Name and Password and select Connect.
Check the Route Messages to File option and click on the icon to search
for a file location.
The current version of Smart View allows you access the entire budget process, including
the input forms and approval process. The advantage of using Excel over using the web
interface is that you can apply Excel functions and formulas and link to data from other
Excel files. All Hyperion options, such as Cell Comments, Supporting Details, and Calc
Scripts are available from the Excel forms.
Enter your C-BIG User Name and Password and select Connect.
On the Smart View Panel, click on the down arrow and select Oracle
Hyperion Planning, Fusion Edition.
The Task List steps include the three input forms and the approval process.
Double-click on your selection.
The selected form will appear in your worksheet. You may want to download
the three input forms into three separate sheets within your workbook.
If instead of saving your data, you would like to delete your unsaved changes:
E. Adjusting Data
To adjust data values:
The cell will have a blue border, indicating that cell comments are present.
Type in a description and an amount for the additional rows and click on the
Submit button when done.
Use Excel features (e.g., Ctrl c/x/v, dragging cell content, etc).
If the cells that you are copying from are protected, you may to prompted to
first unprotect the sheet. Select Tools>Protection>Unprotect Sheet before
copying.
- You can create formulas inside or outside the data form’s grid or on cells
that have Cell Text.
- You cannot create formulas on read-only cells or on cells that have
Supporting Details.
- Formulas are preserved upon saving or refreshing your data.
- You must save workbook as an Excel file.
- A separate sheet must exist for each department and fund combination
containing formulas.
Right-click on a row within the form and select a calc script from the Smart
View menu. This can also be accessed by selecting Calculate>Rules on Form
from the Planning ribbon.
Select Approval Process from the Smart View Panel, Task List.
Select the Next Owner from the drop-down menu and click on Submit.
Approval Email Notifications: If you would like the system to send you email
notifications when a budget has been promoted to you for review, you will need to update
your preferences. Note that a separate email will be generated for each department that is
promoted to you.
Enter your C-BIG User Name and Password and select Connect.
On the Smart View Panel, click on the down arrow and select Oracle Essbase.
Select Ad hoc analysis from the bottom of the Smart View panel
The following structure will appear on your spreadsheet. You will also notice
an Essbase ribbon.
In order to view data, you must select members for each dimension where data
resides to which you have been granted security access. Descendants refer to the
sub-members within.
To show the POV toolbar, select POV from the Essbase ribbon.
Highlight the dimension (i.e., Object or Period), and select Member Selection
from the Essbase ribbon.
From the Member Selection screen, place a check mark next to your
selection(s) and use the right arrow to move them to the right side of the
screen. Likewise, to deselect the default members, highlight them from the
right side of the screen and use the left arrow to remove them. Click the OK
button when complete.
This will bring you to the Member Selection screen, with default Fund
selected. Highlight Fund and click on the left arrow to deselect it.
To select members for all of the dimensions in your POV at one time, select
the other dimensions from the drop-down menu, and follow the steps above to
make your member selections. Once you have made all of your selections,
click on the OK button.
F. Zoom In/Out
The Zoom In and Zoom Out features allow you to drill in or out of any dimension located
on your grid.
Highlight the member name and select Zoom Out from the Essbase ribbon.
When zooming in or out of a large dimension, like Fund or Entity, you will want to
temporarily change your suppression options so that only rows with data will appear. To
access the options screen:
G. Keep/Remove Only
The Keep Only and Remove Only options allow you to modify the Ad Hoc grid by
selecting only the dimension members that you want to keep in the grid. When you
select the Keep Only option, the system retains only the selected member or member
range within the grid. All unselected members are removed from the worksheet for that
dimension. When you select the Remove Only option, the system deletes the selected
member and data or member range and data from the worksheet for the given dimension.
All unselected members are retained in the worksheet.
Highlight the member(s) that you would like to keep and select Keep Only
from the Essbase ribbon.
Highlight the member(s) that you would like to remove and select Remove
Only from the Essbase ribbon.
Note: If you delete members from the grid using the Delete key (not using the Remove
Only option), you must also delete the corresponding data points; otherwise, when you
refresh the grid, the remaining cells are treated as comments.
You must first make sure that you have at least one dimension in the row and
one dimension in the column, in addition to the dimension that you are
pivoting.
Highlight the dimension or member name that you would like to pivot and
select Ad Hoc Analysis from the Essbase ribbon.
The same task can be achieved by highlighting the dimension member that you would
like to pivot, then, holding down your mouse right-click button, dragging it from the row
to the column or vice versa.
Highlight the member and select Pivot>Pivot to POV, or right click your
mouse while dragging the dimension to the POV.
Right-click on the member name near the down arrow, and drag it on top of
existing row/column dimension.
Another way to achieve this is to insert a row/column and type the dimension name or
member name and then select Refresh from the Essbase ribbon.
When you print the Excel document or run a Print Preview, the POV members are
printed in the header and/or footer.
Enter your C-BIG User Name and Password and select Connect.
Expand the “+” sign and open any of the reports within the UCLA sub-folders
by double-clicking on your selection.
The report will appear in Excel, where you can apply Excel formatting features.

A. Member Options
To access the Member Options:
Once connected, select Options from the Smart View ribbon. The first tab
contains the Member Options.
c. Indentation
- Provides the option to indent Subitems or Totals in a query.
For example, if you are drilling into the Entity dimension and
you select Subitems, the division, sub-division, and department
levels will each be indented a greater degree from its parent
level. If you select Totals, the opposite will result; each
hierarchy level will be indented a greater degree from its child
level. If you select None, no indentation will apply.
d. Ancestor Position
- Selecting Top will display hierarchies in order from highest to
lowest level.
- Selecting Bottom will display hierarchies in order from lowest
to highest level.
e. Member Retention
- Selecting Include Selection will retain the selected member
along with the other members retrieved as a result of a zoom.
By default, the Include Selection option is enabled.
B. Data Options
To access the Data Options:
Select Options from the Smart View ribbon. The second tab contains the Data
Options.
c. Mode
- The Navigate without Data option enables you to perform
Pivot, Zoom In, Zoom Out, Keep Only, and Remove Only
commands without retrieving any data. This allows you to
navigate through member selections quickly, since it eliminates
data retrieval time.
Select Options from the Smart View ribbon. The third tab contains the
Advanced options.
a. General
- The Shared Connections URL should be set to
http://cbig.ais.ucla.edu:19000/workspace/SmartViewProviders
- The Number of Undo Actions defaults to 9, but can be set to a
value between 2 and 99. When performing Ad Hoc analysis
while connected to a data source, the Undo command enables
you to restore the previous database view. A database view is
the view of the spreadsheet after performing Zoom In, Zoom
Out, Keep Only, Remove Only, or Refresh commands. If you
modify member information between refreshes and then
perform an Undo command, Smart View reverts to the
spreadsheet data as it was prior to the last refresh.
b. Logging
- You do not need to log your messages, but there must be a
valid log and path.
D. Formatting
To access the Formatting Options:
Select Options from the Smart View ribbon. The fourth tab contains the
Formatting options.
Select Options from the Smart View ribbon. The fifth tab contains the Cell
Styles options.
When connected to an Essbase data source (Not Planning), you can apply styles to
data cells. As an example, if you want to bold or apply a border or background to
the parent level members, you would follow the steps below:
Note that if you select the Use Excel Formatting option within the Display tab,
the Excel formatting will override all style options set in the Cell Styles tab.
Select Options from the Smart View ribbon. The last tab contains the
Extensions options.
