Introduction

A
computer is not an acronym and sometimes abbreviated
as comp or 'puter. The term "computer" was originally given to humans
(human computers) who performed numerical calculations using
mechanical calculators, such as the abacus and slide rule. The term was later given
to a mechanical device as they began replacing the human computers. Today's
computers are electronic devices that accept data’s (input), process those data’s,
produces output, and then store (storage) the results.

However, a computer cannot function without having at the very minimum all of
the below parts.
 Processor - Component that executes instructions from the software and
hardware.
 Memory - Temporary storage for data traveling between the storage and
CPU.
 Motherboard (with on-board video) - Component that connects all
components.
 Storage device (e.g. hard drive) - Slower component that permanently stores
data.
However, if you had a computer with only the above minimum parts, you would be
unable to communicate with it until you connected at least one input device (e.g.
keyboard). Also, for you to see what is happening, you would need at least one
output device (e.g. monitor).

Below is a picture of a computer with each of the main components. In the picture,
you can see the Desktop computer, Flat-panel display, Speakers, Keyboard,
and Mouse. We've also labeled each of the input devices and output devices as
shown-:

Almost every organization uses computers to compute daily task. From making
contact with client to inputting data for reports, computers allow an organization a
more efficient way to manage affairs when compared to traditional paper and
manila folders. An organization uses different types of computers such as desktops,
laptops, servers, smart phones, tablets, ROBOT’s, etc depending on their needs.
With computers, employees are able to work anytime, anywhere.
The Management sector gets all the help to complete the necessary task which
needs to be done in time by the proper use of computers. Computer creates a
systematic environment where the management can be made more appropriate and
easy to understand which makes the work of the given organization easier and
progressive.

Computer is used in management in following sectors:

1. Communication:

Computer is key when gaining and maintaining clients and other important
contacts. Computer give businesses access to electronic mail (email), instant
messaging and custom customer contact systems. Computerized phone systems
allow for automated support during off hours and a virtual operator can quickly
direct callers to the correct department for fast support.

We can use computer for communicating with different people inside or outside
from one place to another place. The communication gets much easier and faster
with the use of computer. We don’t need to keep sending letters like we used to in
our previous times as computer has helped us to make our communication faster
and reliable. Likewise, in a company the staffs can communicate easily without
having to walk till their room or talk face to face and can exchange official words
in personable manner using computer.

2. Marketing:

Computers allow an organization to create websites, stunning ads and complete


marketing campaigns. Marketing videos can be edited and custom ads created in-
house with the use of specialized software. Businesses can completely develop and
manage websites with their own servers or connect remotely to a third-party
business to upload their latest content such as articles, product images, and blog
posts.

3. Accounting:

Accounting without computers presents a high risk for human error. Accounting
software allows an organization to simply input their financial data and instantly
see gains and losses. All necessary tax reports are available the moment the data is
entered. Using computers for invoicing, managing expenses and calculating payroll
is vital for ensuring financial data is as accurate as possible.

Accounting in computer is more accurate than the accounting written in a register.


Nowadays, computers have the necessary software which enables us to correct our
mistakes of calculations very easily. These computers help us get the required
money we transacted in and out throughout the year.

4. Storage:

Computers have the capacity to store huge amounts of data. We can store many
files and folders without any hesitation according to the space available in the
computer system. Nowadays, the organizations or business towers use computers
to store the data and necessary files for future use.

Instead of filling cabinets, organizations are able to store millions of files using
computers and servers. Data can be stored locally for individual use. Computerized
storage saves space and provides a far more efficient organization strategy. With
encryption, passwords and replace key, data remains secure.

5. Documents and Reports:

Most organizations have some sort of productivity software which typically


includes a word processer and spreadsheet application. These two programs allow
organization to create reports, memos, tutorials and even colorful ads for company
to organize, manage, and calculate both numeric and alphabetic data. With charts
and graphs, reporting becomes visual instead of text-based.

Documents and reports are easily accessed with a click of a mouse or touchpad
from the use of computer. We can use computer to view any documents as per the
restrictions of the organization we are working for. The documents and reports can
be saved, loaded and edited as per the organizations choice whenever they want
with the use of the computer.

6. Education:

An organization uses computers to help educate employees on software, company


policy, standard procedures and safety. Instead of hiring teachers, computers can
be used to educate employees at their own pace or through an online webinar with
live questions and answers. This form of education fits the busy schedules of
businesses without sacrificing the quality of the education.

With the use of computer, every staffs can learn the ways of the management
policies that is running in the company. They can learn the techniques and ideas to
make the work of the company smoother and easier. With the correct use of
computers, staffs or other employees can educate themselves in greater pace with
extra practical side knowledge in their minds.

7. Research:

From learning more about the competition to discovering what customers really
want, research isn’t as difficult as it once was, thanks to computers. Search
engines, forums, social networks and industry specific websites provide
organization with a wealth of information and research data.

Computer lets us search different share of opinions we need for the proper
knowledge that our company or organization needs. Computer helps us search the
people and understand their ideas and values on what they need from the company.
It helps us know our customers very well with the necessary information we find
on the search sites, hence, helping us know better about the customer we’re
dealing.

8. CCTV Security:

Security is fundamentally important across all walks of life to ensure the overall
safety and possessions of all individuals are comprehensively protected.
Throughout commercial properties such as retail outlets, all companies require
careful consideration of integrated security solution. Although security guards
provide an element of protection on the ground floor, their eyes and ears are not
extensive enough to provide an over watch of the entire premises. This is where
cameras within CCTV security system play a crucial role within the daily running
of a business.

Importance of CCTV security in management:

a) Prevent crime
b) Prevent employee theft
c) To keep an eye on things
d) Employee security
e) Increase customer’s confidence
