Paper 03 - General Proficiency
PRACTICAL
SCHOOL BASED ASSESSMENT

DESCRIPTION OF PROJECT
It’s time for general elections in the country. The Elections Authority (EA) has decided to urge the public
to register for the voting process. They are to determine the number of persons who are registered and
unregistered. The major tasks to be performed are:
 Notice to the public about elections and the registration process
 Informing unregistered voters to register
 Recording and storing information on all eligible voters
 Determining the number of voters in each district
 Preparing voting slips
You may need to write any assumptions which were not stated, and submit them with your printouts.

WORDPROCESSING AND WEB DESIGN

The Elections Authority (EA) has to inform the public of the upcoming Elections.

TASK A

(i) Create a flyer (using a 2-column layout) with the following information:
- Election Date: November 5th, 2020
- Deadline for registration: October 20th , 2020
- Requirements for Registration: ID card
- Also include the following text in the flyer:

“Please ensure that you are registered for the upcoming elections. All eligible voters must go to their
district office to ensure they are registered in their respective district/area. Your vote determines the future
of our country”

(ii) Include an appropriate graphic(s) behind the text in the left column of the flyer
(iii) Change your page orientation to Landscape
(iv) Increase the font size of the Deadline for Registration to 14
(v) Save your document as VOTER FLYER
(vi) Reopen VOTER FLYER
(vii) Insert the acronym (EA) after the words ‘ELECSIONS AUTHORITY’
(viii) Copy the graphic in the left column and paste it in the right column
(ix) Perform a spell check on the document
(x) Save as VOTER FLYER 1
(xi) Produce VOTER FLYER and VOTER FLYER 1

TASK B

The EA must now send a final notice to the unregistered voters before the general elections. These persons
must also ensure that their district information is accurate.

(i) Send a letter to the unregistered persons in the Kensington district indicating the final deadline
date for registration (October 20th, 2020). The letter must request that persons check their
district information and contact their district office if the information is inaccurate.
(ii) Set your Top and Bottom margins to 1.5”
(iii) Bold the deadline date for registration.
(iv) Design a suitable letterhead for your document which should be placed in a header.
(v) The document should be justified with 1.5 line spacing.
(vi) The following merge fields should be included in tabular format in the appropriate place:
- Firstname
- Surname
- Address1
- Address2

- District Name
- Polling Station #
Example of format:

(vii) Save the document as REGISTRATION MAIN LETTER


(viii) Complete the merge and save the merged document as REGISTRATION MERGED
LETTER

WEB DESIGN
TASK A
The EA is pressed for time and needs to disseminate all final notices to the unregistered voters
before the general elections. It has decided to create a website that will show the Final Notice
Election flyer and provide a link to a pdf document showing all the unregistered voters. You
are to do the following:

(i) Reopen merged word document REGISTRATION MERGED LETTER and save as a pdf
document UNREGISTERED VOTERS.

(ii) Create a flyer with the following information:


- The EA Logo
- Tag line: FINAL NOTICE COMPLETE YOUR REGISTRATION NOW!
- Election Date: November 5th, 2020
- Deadline for registration: October 20th , 2020
- Insert a link to the EA’s contact information
- Insert a hyperlink, linking it to the list of unregistered voters (UNREGISTERED
VOTERS.pdf).
- Save the web page as FINAL_NOTICE.html

SPREADSHEET
TASK A
The Elections Authority has compiled a list of voters.

(i) Design a worksheet with the following fields to record voters’ information.
- National ID # (DOB-yyyy/mm/dd + 3 digits). E.g. 19690621012
- Title
- Surname
- First Name
- Date of Birth
- Address1
- Address2
- Contact
- Polling Station ID

(ii) Enter suitable data for 50 persons to complete your worksheet.


(iii) Rename your worksheet to VOTERS LIST
(iv) Copy the data in VOTERS LIST and paste it in Sheet 2.
- Sort the data in Sheet 2 in ascending order by PollingStationID. Rename Sheet 2 to
SORTED VOTERS LIST
(v) Copy the data in Sheet 2 and paste it in Sheet 3. In the appropriate rows, determine the number
of persons in each Polling Station. Include appropriate labels. Rename Sheet 3 to VOTERS
COUNT
(vi) Save the workbook as VOTERS
Produce all worksheets in VOTERS along with your formulae sheets where applicable

TASK B
The Elections Authority needs to determine the number of registered voters in the country
1. Import the relevant tables/queries from your database to:
(i) Extract the persons who have registered to vote. Create a filtered list to show National ID #,
Firstname, Surname, Address, Polling Station ID
(ii) Rename your worksheet to ELIGIBLE VOTERS
(iii) Copy the filtered list from the worksheet ELIGIBLE VOTERS to a new worksheet entitled
REGISTERED LIST
(iv) In the REGISTERED LIST worksheet, insert a row to show the count of voters for each
district and the Grand Total
(v) In a new worksheet called DISTRICT, perform the following:
a. utilize absolute addressing to produce a table showing the percentage of registered voters
for each district, your percentage format should contain 2 decimal places (e.g. 95.00%)
b. indicate the district with maximum and minimum registered voters.
(vi) Save workbook as VOTERS2.

Produce ELIGIBLE VOTERS, REGISTERED LIST and DISTRICT worksheets from


VOTERS2 workbook, along with your formulae sheets.

TASK C
The Head Supervisor of the EA wants to see the status of the registration process thus far. He has requested
some graphical data to preview before the elections.
(i) Using the DISTRICT worksheet in the workbook VOTERS2, produce a pie chart to show the
percentage of registered voters in each district. Include an appropriate chart title. Save your
chart as VOTERS PIE CHART in a new sheet.
(ii) Import the relevant tables/queries into a new worksheet called KENSINGTON in VOTERS2.
(iii) Use imported data to create a summary table showing the Polling Stations and the number of
persons who registered in the last elections and the upcoming elections for the Kensington
district. Include the following data in your spreadsheet:

(iv) Create a column chart with appropriate chart title and data labels to show the number of persons
who registered to vote at each polling station in the Kensington district in the last election and
the upcoming election.
(v) Save your column chart on page 2 of the KENSINGTON worksheet.
(vi) In a new worksheet, create a pivot table showing the Polling Stations in the Kensington district,
the number of persons who registered in the last elections, the number of persons who
registered for the upcoming elections and the difference among the voters for last year and this
upcoming elections.
(vii) Save the worksheet as KENSINGTON PIVOT TABLE.

DATABASE MANAGEMENT

The Elections Authority (EA) has created a database to store data on all eligible voters, voting districts
and polling stations so that information about voters who have not yet registered is readily available. In
this way EA staff can easily monitor and control the notification process.

TASK A
For all tables, ensure that the correct data types and field sizes are used and that each table has a primary
key.
I. The VOTER_INFO table stores information about all eligible voters.
(i) Create the VOTER_INFO table by importing the Voters List worksheet from
Spreadsheet Task A into the EA database. Delete any blank records that may have been
imported.
(ii) Delete the field entitled Title from the VOTER_INFO table.
(iii) Add and populate the fields called PhysicalDisability and Registered to indicate what
disability/disabilities a voter may have and whether or not voters were registered. These
fields should be inserted between the Contact field and the PollingStationID field, in the
order they were mentioned.
(iv) Select the most appropriate field to be used as the primary key for this table.
(v) Modify the field Contact to hold data of type text in format xxx-xxx-xxxx
(vi) Fill in all missing data so all records are complete.

II. Create and populate a table called DISTRICT_INFO to store data on each district. Include the
following fields:
(i) DistrictID
(ii) DistrictName
(iii) CountyName

Use the data provided below to populate the DISTRICT_INFO table.

III. Each voter is only allowed to vote in their assigned polling station. Create and populate a table
entitled POLLING_STATION_INFO to store the details on each polling station. Create no more
than 15 records using all the different DistrictIDs with a maximum of 3 polling stations in each
district.
Include the following fields:
(i) PollingStationID (first 3 digits of DistrictID followed by one unique digit for each polling
station e.g. 1901)
(ii) PollingStationName
(iii) Location
(iv) DistrictID
Sort the table in descending order by PollingStationID.

TASK B
For all queries, be sure to make appropriate links among tables.
I. All unregistered voters must be notified of the need for them to register, and identify the district
they belong to. Create a list of unregistered voters as follows:
a. Surname
b. FirstName
c. Address1
d. Address2
e. DistrictName
f. PollingStationID

Save this query as UNREGISTERED_VOTERS.
II. In order to facilitate the printing of voting slips, the EA must know who the registered voters in all
counties and districts are. Create a list containing the following information all registered voters:
a. CountyName
b. DistrictName
c. PollingStationID
d. Surname
e. First Name
f. Address 1
g. Address 2
Save this query as REGISTERED_VOTERS.

III. The EA has decided to provide a quick and easy voting process for members of the community
who are over 65. Perform a query that will provide a list of these individuals in the Kensington
district. The following information must be shown in your results:
a. Surname
b. FirstName
c. Address1
d. Address2
e. PollingStationName
f. Age
Save this query as SENIOR_VOTERS.

IV. Further concerns have been brought to the attention of the EA concerning persons with disabilities.
To provide the best service that they can and to ensure that the voting process flows smoothly,
they would like you to perform a query that would identify the persons who have disabilities and
fall within the Monaco electoral district. The following information must be shown in your results:
a. Surname
b. FirstName
c. PhysicalDisability
Save this query as PHYSICALLY_DISABLED_VOTERS.

TASK C
I. The election date is three months away and the EA staff wants to determine who the registered
voters are for each County, so that voter slips can be generated. Create a report showing:
County Name, District Name, Voters’ Surname, First Name, Address and Polling Station
ID. The report should be grouped by COUNTY, then by DISTRICT and sorted in ascending
order by Voters’ Surname and then First Name. The report should calculate and show the total
number of persons for each DISTRICT and each COUNTY as well as the grand total of ALL
REGISTERED VOTERS. Add a two-line title to show what the report is about. The report
should be saved as REGISTERED VOTERS.

II. As most users are comfortable using a graphical user interface and in the sorting of numerous
records in datasheet view can be strenuous on the users eyes, create a form using wizard and
design view that provides:

a. The table DISTRICT_INFO will be used as the main form and report REGISTERED
VOTERS will be used as the sub-form so that the EA Staff will be able to see all the data
that correlates to voter information as it pertains to each district.
b. Save the form as DISTRICT_VOTERS.

PRODUCE the following:

PROBLEM SOLVING AND PROGRAMMING

Problem Solving

1. In preparation for the General Elections the Elections Authority must undertake the printing of
voting slips for the various electoral districts. Each voting slip must contain the voter’s name,
address, polling station ID and district name. Develop an algorithm (using pseudocode) that will
receive as input the name, address and polling station ID for registered voters in the Kensington
electoral district. Your algorithm must then determine which polling station has the smallest
number of voters and output the voting slips for this polling station. Show your problem solving
process by including a clear definition of the problem, the defining diagram, list of variables and
required programming constructs along with the pseudocode algorithm.

2. Use data from your database to make a random listing of voter’s name, address and polling station
ID for no more than 10 registered voters in the Kensington electoral district. Use this listing as
test data to conduct and document a trace of your algorithm.

Program Implementation

3. Using the Pascal programming language, write a fully documented program that includes the use
of three arrays to implement your algorithm.
