This document proposes the Personal Protection Equipment Inventory System project to address shortages of PPE during the COVID-19 pandemic. The system will centralize PPE inventory data, determine which hospitals need PPE most, and guide sponsors and volunteers on distribution. It will use stockpile, Microsoft Project, and EZOfficeInventory software to update PPE stocks, notify authorities of shortages, and help distribute supplies. The goals are to efficiently manage PPE inventory, solve shortage issues, and increase medical worker productivity by ensuring hospitals receive needed PPE on time.

Personal Protection Equipment Inventory System 2.0 Background of the problem Coronavirus disease (COVID-19) is an infectious disease caused by a newly discovered coronavirus. Most people infected with the COVID-19 virus will experience mild to moderate respiratory illness and recover without requiring special treatment. Personal protective equipment (PPE) are equipment which must be worn by every medical workers before starting handling COVID-19 patients. PPE includes any equipment that protects an individual from health or safety risks. In a healthcare setting, it includes head covers, fluid-resistant surgical or N95 masks, disposable gloves, long-sleeved fluid-repellent gowns or aprons, eye goggles, face shields, and boots or closed shoes. In light of emerging data that there is a significant proportion of Covid-19 patients who are asymptomatic (up to one in four patients), the need for adequate PPE for all is undeniable. 3.0 Problem statement The world including Malaysia is currently facing a shortage of PPE due to the magnitude of this pandemic. Measures to reuse PPEs or conserve PPE by reducing elective operations have only helped a little. The problem of diseases that occur to workers during pandemic of working in a hospital are increasing. Due to shortage of PPE’s, more medical workers are exposed to COVID-19 when they treat the patients. The use of PPE has risen by two to 10 times more than the normal use. Health director-general Datuk Dr Noor Hisham Abdullah said the issue was not the lack of PPE, but how to distribute them to hospitals that need them the most. 4.0 Purpose and objectives of the project 4.1 Purpose of the project To create a system that monitors the inventory of PPE and ease the distributor to supply PPE to the hospital that in need. As a guideline for the sponsors and volunteers to use a specific platform in systematic way
4.2 Objectives of the project
a. Update the inventory record of PPE’s b. Determine which hospital needs PPE the most c. Centralize data in one system d. Guideline for sponsor & volunteers to use our system 5.0 Project scope 5.1 System Scope a. To notify KKM shortage of PPE in certain hospital b. Update latest stock of PPE c. Help/ease sponsor to distribute 5.2 User Scope a. Distributor/Supplier b. Hospital employee c. KKM/Ministry of Health d. Sponsor/Volunteer 6.0 Requirements / resources needed 6.1 Software a. Stockpile b. Microsoft Project c. EZOfficeInventory 7.0 Benefits of project With the implementation of this system, hospitals are able to manage the inventory system of PPEs (and other resources) more efficiently, and that shortage crisis regarding to PPEs will be solved. In terms of usage, this system can be used anyhow, anytime and also applicable in all hospitals. Even after this pandemic (covid19) has officially ended, it doesn't mean that this system has become a scrap, but it can be reused as an inventory in a larger scale. By using this system, it increases the productivity of the medical workers and receive the inventory of PPE on time. PPE will not be wasted since all the hospitals in Malaysia receive the PPE according to their needs.
