Chapter-1(Introduction):

Enterprise Resource Planning (ERP) is business process management software that allows an
organization to use a system of integrated applications to manage the business and automate
many back office functions related to technology, services and human resources. ERP software
integrates all facets of an operation — including product planning, development, manufacturing,
sales and marketing — in a single database, application and user interface.

The central feature of all ERP systems is a shared database that supports multiple functions used
by different business units. In practice, this means that employees in different divisions—for
example, accounting and sales—can rely on the same information for their specific needs

ERP software is considered to be a type of enterprise application, that is software designed to be

used by larger businesses and often requires dedicated teams to customize and analyze the data
and to handle upgrades and deployment.

In contrast, Small business ERP applications are lightweight business management software
solutions, often customized for a specific business industry or vertical.

Advantages

DBL Group is a large manufacturing company. There are several advantages of enterprise
resource planning software. Enterprise resource planning software, or ERP, is a suite of
customizable applications that allow businesses to integrate and manage their most important
processes.

1. Visibility: DBL Group use ERP software for complete visibility into all the important
processes, across various departments of an organization.

2. Maintenance of discipline at work place: Automatic and coherent workflow from one
department/function to another, to ensure a smooth transition and quicker completion of
processes. This also ensures that all the inter-departmental activities are properly tracked and
none of them is ‘missed out’.

3. Reporting system: Implementing a single ERP suite across departments that ensure DBL
Group now has a single, unified reporting system for every process. This software gives them the
ability to analyze and compare functions across departments without the hassle of multiple
spreadsheets and emails. Reporting system of ERP to analyze the statistics/status etc. in real-
time, across all functions/departments.

4. Using same (ERP) software: To ensure same (ERP) software is now used across all
departments, DBL group having and maintain their own software systems.

Finance/Accounts, Human Resource Management, Manufacturing, Marketing/Sales, Supply
Chain/Warehouse Management, CRM, Project Management, etc.

8. Modular makeup: According to information of DBL Group, One of the biggest advantages
of ERP software is its modular makeup. ERP vendors offer multiple platforms, and each one
contains several applications that can be implemented according to their business needs.

9. Security: According to information of DBL Group, One of the biggest advantages of an ERP
system is data security. ERP systems are more secure as centralized security policies applied to
them. All the transactions happening via the ERP systems can tracked. ERP systems offer an
extra layer of security. Since all of DBL Group’s data is managed they employ round-the-clock
security experts to ensure their servers are protected.

10. Collaboration: ERP systems provide better company-wide visibility and hence enable
better/faster collaboration across all the departments.

11. Easier: ERP systems make those easier for DBL group to order tracking, inventory tracking,
revenue tracking, sales forecasting and related activities.

12. Globally dispersed: ERP systems are especially helpful for managing globally dispersed
enterprise companies, better.

13. Customer Service: DBL Group takes advantage of ERP’s remarkably strong customer
service tools. With ERP, they set up and manage off-site call centers, create and deploy customer
satisfaction metrics, devise customer-centric policies and measure customer satisfaction.

Clients also receive benefits from the utilization of an ERP system of DBL Group. Because
client information is centralized and streamlined, their sales team will be able to focus on
building and maintaining customer relationships, both domestically and globally and their up-to-
date ERP suites support e-commerce integration as well. That’s why they are better able to
handle web-based order processing and client interactions.

 E-commerce integration packages for web-based ordering

 Application Programming Interface systems that allow peripheral systems, like barcode
readers, to be integrated into your existing system

 Business Intelligence functions that identify potential problem areas throughout the
business

Disadvantages
 They face problem to train their employees after the implementation of the software.

 The cost of ERP Software, planning, customization, configuration, testing,

implementation, etc. is too high.

 It is very lengthy process. This includes the full process of planning, testing, configuring
and customizing the software as well as the cost of actual implementation. Sometimes,
Projects may take 1-3 years (or more) to get completed and fully functional.

 They have to face problem to update their ERP software after innovation of new
technology.

16 | P a g e
 Too little customization may not integrate the ERP system with the business process &
too much customization may slow down the project and make it difficult to upgrade.

 The cost savings/payback may not be realized immediately after the ERP
implementation & it is quite difficult to measure the same.

 The participation of users is very important for successful implementation of ERP

projects – hence, exhaustive user training and simple user interface might be critical. But
ERP systems are generally difficult to learn (and use).

 There may be additional indirect costs due to ERP implementation – like new IT

infrastructure, upgrading the WAN link, etc.

 ERP is sometimes too rigid or difficult to adapt to the specific workflow and business
process.

 Resistance in sharing sensitive internal information between departments can reduce the
effectiveness of ERP.

 ERP can cost more than less integrated or less comprehensive solutions.

 Extensive training requirements take resources from daily operations.

Before implementation of ERP software:

DBL group used in-house software before the implementation of ERP software. They started
using the in-house software at 2003. They operate and manage their system by in-house software
that made of MFx language develops by BBC.

At the starting points of DBL Group, all the business activates are done by writing all the
documents, transaction, dealings, etc. After the innovation of In-house software in 2203, all the
activities ware operated through the software.

Major problem of In-house software was the invisibility of all resources in one place. They have
to face more complexity to operate day to day activities. They can’t get overall picture of their
resources. Thus, they have face huge problem to manage and control their activities properly.

17 | P a g e
Chapter-5
