PROBLEM
You are the head of the catalog sales department of Branford’s, a large department
store located in Albuquerque, New Mexico. Most of your 17 full-time employees
are high school graduates, and many of them are female. For beginning workers, you
pay $2.50 per hour over the minimum wage, plus fringe benefits. Send a message to
your employees informing them that management has decided that no one can take
vacation or personal days during the months of November and December. The
reason, of course, is that the holiday season is your busiest sales period.

Solution
Writing is a mode of communication which serves a specific purpose. Effective writing is that
when a person while communicating in the written form maintains simplicity, accuracy, clarity
etc. so that the other person can interpret the message.
There are two main goals of communication in business and those are to inform or to persuade. In
the given circumstance we have noticed that the head of catalog sales department has decided to
cancel vacations or personal days off during the months of November and December. And here
the work that must be done is to inform the employees about the decision that has been taken.
Firstly it is necessary to acknowledge some facts about the given situation. Some are given below-
 Most of the 17 full-time employees are high school graduates
 Many of them are female
 For beginning workers, $2.50 per hour over the minimum wage is paid
 Fringe benefits
 Because of holiday season being the busiest sales period, no vacations or personal days off
during the months of November and December will be allowed
The probable facilities that can be given to the employee are-
 The working schedule can be made easy for the female employees
 The female employees may be given the facility of transportation and the management will
also bear the transportation cost of every workers.
 There can be flexibility of changing shifts
 There can be bonuses and other discounts
 After the months of November and December, the employees can be allowed to get
personal days off more than usual.
The letter that can be sent to the employees from the head of sales-
Dear employees,
We have pleasure in informing you that the next two months November and December are the
months full of customers with an expectation of high sales. But for dealing with the customers we
will be needing the maximum presence of our employees. So we have planned the next two months
and made a draft of it. After being revised by everyone we have decided on executing the plan.
Before that we will be looking for suggestions from our advisor to avoid errors. After maintaining
the formalities the plan will be executed from November 1.
The decisions those have been adopted are given below-
1. Every employee will not be given any personal holiday or vacation from November till
December.
2. The male and female customers can choose their flexible shift of work.
3. The female workers will be given transportation and the management will also bear the
transportation cost of every workers.
4. Extra remuneration will be added with exclusive gifts and bonuses at the end of the year.
5. Special facilities will be considered to the workers after the busy period of November and
December regarding leaves and holidays.
The management urges to say that we expect maximum support from our employees to gain profits
from the next two months and promise to satisfy the requirements of our employees when the
schedule will come back to normal.
Once again, we are expressing our concern regarding the issue and expecting support from every
employee.
