VOR Ordering

All VOR ordering functions can be performed via the VOR Orders menu item.

By clicking the menu item, the page returned displays all outstanding unconfirmed VOR
orders for the session account.

The summary line displayed for each unconfirmed order details the PDC order number,
customer order number, date and address.

If the order has a delivery address that is known to the system then it will be displayed against
the order summary line. If the order has a special address then only the words ‘Direct Ship’
will be displayed. This is because most of the mainframe transactions return the delivery
address code rather than the address itself. Known addresses are held locally on the e-GO
database but to obtain the details for special addresses e-GO would have to call the
mainframe for each address which would obviously slow down the response time.

From this page the user may either select an order to modify, confirm or delete by selecting
the order and clicking the relevant button or simply click the Create button to start a new
order.

Creating a VOR Order

Before you can start to add lines to your order you must first create the order header, detailing
the delivery instructions.

First enter the purchase order number in the space provided

The delivery address can either be selected from the list of known addresses or may be typed
in.

Select the delivery method from the drop down list.

Shipping marks will be translated into special packing and despatch instructions. This usually
results in increased administration and therefore cost. Shipping marks should therefore only
be entered in absolutely necessary. Do not enter ‘none’ in this field.

Click the Submit button when all mandatory fields (*) have been completed. e-GO will then
send a message to the mainframe to create the order and will return the modify order page
with the PDC order number.

If you need to change any of the details on the order header then click the Modify Header
button to amend them.

You can return to the Modify page at any time by clicking VOR Orders in the menu, selecting
the order and clicking the modify button.

Adding Lines to a VOR Order

To add a line, enter the part number and quantity and click the Add Line button. You can also
add a comment against each line that may be the customer name or bin location for example.

If the part number already appears on the order then a warning message will be displayed.
Click ‘Add Line’ again to add the part to the order.

Lines will not be added if the part number if:

• The part is no longer available and has no alternative


• The part has a selective supersession and the technical helpdesk need to be contacted to
ascertain the correct part number to order
• The part’s status is inactive

Parts must be ordered in a multiple of their unit of issue. E-GO will round order quantities up
to the next multiple and display a warning message alerting the user to the increased
quantity.

If the line is added to the order successfully then the line confirmation page will be returned,
detailing the part number added, allocated and back ordered quantity. Click ‘Continue’ to add
additional lines to the order.

If alternative parts have been supplied (simple or multiple supersessions) then to see what
has actually been allocated you must View the order

Ordering by Customer Part Number


If the user’s account has been set up to allow them to order using their own part numbers,
then the customer part number should be entered in the ‘Part No’ field and the ‘Customer
Part/Comment’ field left blank

Once the line has been added to the order, the FG Wilson part number is returned in the ‘part
number’ field and the customer part number transferred to the correct field.

Deleting Lines from a VOR Order

From the Modify Order page simply select the lines you wish to delete, by clicking in the box
to the right of the line and click the ‘Delete Selected Lines’ button. The lines will be removed
from the order and allocated quantities returned to free stock. Line numbers will not be
adjusted.

Confirming VOR Orders

While stock is allocated to your order as you add lines to it, the order must be confirmed
before the warehouse can pick, pack and despatch it.

To confirm an order:

• Select VOR Orders from the menu


• Select the required order and click the Confirm option
• Review the order and click the Confirm button
• e-Go will return a confirmation page

Alternatively you can select the Confirm option from within the Modify Order page.

Usual VOR cut-off times apply to e-GO VOR orders so you must remember to confirm your
orders before the cut-off time for your region to ensure 09:00 delivery.
Once the order has been confirmed it will no longer appear on the list displayed when you
select VOR orders.

Orders, which are left unconfirmed, will be deleted overnight if they were created over 24
hours before. .

Deleting VOR Orders

Only unconfirmed VOR orders may be deleted from e-GO. To delete an order:

• Select VOR Orders from the menu


• Select the required order and click the Delete option
• Review the order and click the Delete button
• e-Go will return a confirmation page

Alternatively you can select the Delete option from within the Modify Order page.
Once the order has been deleted it will no longer appear on the list displayed when you select
VOR orders.

Things to Remember about VOR Ordering

! Use for 'normal' orders only. Special Priced Orders, Quotations etc should still be faxed
to the PDC

! Clicking 'VOR Orders' on the navigation panel will display all unconfirmed VOR orders
for the account

! Selected delivery address will be shown. Delivery addresses that have been keyed in will
be shown as 'Direct Ship'

! Either select an order to modify, delete or confirm or click Create to create a new one.

! Before adding lines to an order you must first create the 'order header' by keying in a
Purchase Order number, selecting or keying the delivery address and selecting the
delivery method. All of these may be changed.

! You can also enter 'Shipping Marks' but please be aware that the use of these is
monitored and should only be used if required as they will incur additional adminstration
charges and will be packed and shipped separately. Do not enter 'none', 'n/a' etc in these
fields.

! You enter parts against your order one at a time because as each line is entered e-GO
allocates stock against it so you can immediately see if the part is available.

! You can delete one or more lines from the order if required.This will release any
allocated stock against the line/s

! You cannot modify the order quantity. To increase a quantity you should add another line
to the order. To decrease the quantity you should delete the line and add a new one.

! e-Go will tell you if we've had to use superseding parts to satisfy your order. You can
View the order to see what has been allocated and check the new price using Part
Enquiry

! You can either create your VOR orders in one sitting or create the order first thing and
continue adding lines throughout the day.

! When you have finished with your VOR order you must Confirm or it cannot be picked
and despatched.

! All normal VOR cut-off times apply to e-Go VOR orders

! If you don't confirm your order at the end of the day it will be deleted automatically (by an
overnight batch job - order has to be at least 24 hours old)

Direct Transfer from Dealer Management System


The easiest way to process stock orders is for the order file to be produced directly from the
user’s management system.

The file format for direct transfer via e-GO is:

Using Stock Order Application

CSV Files
Alternatively a file containing the order lines only can be produced and fed into the Stock
Order Application. This file has to be comma delimited (where each individual field in a record
is separated from the next by a comma). The format for each line is:

Installing the Stock Order Application

Checking for JavaRuntime Environment


First check to see if Java RunTime Environment is already installed on the PC by following
these instructions.

a) Select to ‘Add/Remove Programs’

b) If Java Runtime Environment does not appear then you will need to download/install both
files from the Secured Internet. If it does appear then you will only need to download and
install the Stock Order Application.

Installing the SOA
Launch Windows Explorer (press the Windows key and ‘E’ at the same time) and navigate to
the location of JRE 1.3. When you have found the file, double click it.

Accept the license by clicking on the ‘YES’ button.

• The destination folder should default to Program Files. Click NEXT.

• JRT will now automatically install into the destination folder as previously designated and
return to Windows Explorer.

Locate the file called jinstall and double click it. This will now install the Stock Order
Application.

• Click the NEXT button

Accept the license agreement by clicking ‘I Agree’

Having installed the application there is now a new folder structure on the users hard drive
(usually their C drive) called Runego.

The only 2 folders you will need to use are Orders and Outbox. The Orders folder is where
you will save files that you are working on and the Outbox folder is where orders are saved
once they are ready to transfer.

Launching the Stock Order Application

Launch the Stock Order Application (SOA) either by clicking the shortcut icon on the desktop
or selecting the application from the Windows Start/Programs menu.

A Java window will open (the black window at the back in the picture below) – minimise the
window but do not close it as it needs to be running for the SOA to open.

The SOA has two tabs ‘Stock Order Maintenance’ for creating and saving files and ‘Customer
Standard Settings’ where default information can be set.

Customer Standard Settings Tab

Use the Customer Standard Settings tab to set the default information for the dealers stock
orders. Key in your company name, account code and most commonly used address for
stock orders. Shipping marks are optional and may only be entered if their usage has been
agreed. Once the information has been keyed in, click the Save button and accept the option
to change your settings.

Once saved, these settings will always be displayed as default in the Stock Order
Maintenance tab when the SOA is opened.

Select the Stock Order Maintenance tab to open and edit a stock order file, save a stock order
file for future use or mark it for transfer to the FG Wilson system.

Creating a New Stock Order

Most dealers will either be able to obtain a CSV file from their business system (see previous
item). Others may create a CSV file from an Excel Spreadsheet or may choose to type in their
order manually.

Creating CSV files in MSExcel

Create an excel spreadsheet that contains 3 columns. Enter part numbers in column A, the
comment (e.g. bin location) in column B and the order quantity in column C

The spreadsheet must not contain data in any other columns or rows.

Save the spreadsheet as a CSV (comma delimited file) by selecting the appropriate file type
from the drop down list. To ensure that you can find your files again it is recommended that
they are saved in your c:/runego/orders folder.

The file has now been saved as a CSV file, which can either be opened in Excel, or any
document handling application (e.g. MS Word or Notepad).

The file can now be opened within the SOA, edited and transferred.

Opening Stock Order Files

1) Click the Open button

2) An Open dialogue box will appear. The default location is the ‘orders’ folder
(C:\Runego\orders\) but alternative locations can be selected.

3) Click on the file to be opened (this will then be highlighted and the name will appear in the
filename box.

4) Click Open

5) If the file has been previously worked on the following prompt will be displayed. Click
YES, if you want to use the account number as stored in the file otherwise click NO

6) If the file has been previously worked on the following prompt will be displayed. Click
YES if you want to use the order number as stored in the file otherwise click NO

7) If you are attempting to open a file and the Order Lines box is not empty then the
application will ask you if you want to add the lines from the order you are opening to
those already displayed or if you want to replace them.

For example, if 5 lines are displayed in the Order Details box and on opening an order with 10
lines you click the Append option then you will create a 15 line order. If you click Replace then
the 5 lines will overridden by the 10 in the order file.

8) The contents of the file will now be displayed in the stock order application window.

Making Changes to Your Stock Orders

If the file opened has been previously worked on then the account code, address and order
number may have been copied in. If not the account code and delivery address as set in the
Customer Standard Settings tab will be displayed. The account number and default delivery
address may be changed. Stock orders can only be sent to ‘known’ addresses and there is no
facility to key in the delivery address. For a full list of address codes and their addresses, log
onto e-Go and select to create a new VOR order – the addresses can be viewed within the
drop down box.

Enter your customer order number. This must be entered and may be up to 13 characters
long and must not contain a comma.

The Stock Order Type is currently not used so leave it as the default setting.

You can now add, modify and delete lines as required by using the Order Details area of the
screen.

Adds the part number, comment and quantity keyed in as a new


line at the bottom of the order in the display box.

Similar to Add but will create a new line within the body of open
order rather than at the bottom of it. When you select this option,
the application will prompt you to select a line to insert above.

The following functions require that you first select a line. Selecting a line will copy the line
contents into the Update area of the Order Details box.

Replaces the data displayed in the lines area with the data entered.
(e.g. to modify a line – select it, change details and click Amend to
update the values

Deletes the selected line from the order. To delete all the lines on a
order click the ‘Delete All Items’ button in the Order Functions area
of the screen.

Moves the selected line up by one each time the button is clicked.

Moves the selected line down by one, each time the button is
clicked.

Closes the selected line without making any changes

Saving Stock Order Files


To save an updated copy of your stock order back into the Orders folder (or any other
network location), click the SAVE button within the Order Functions section of the screen. A
standard Save dialog box will be presented.

The file will have a default name derived from your account and order number, to make it
easier for you to identify which order file you want to work with.

Saving a file does not format it for transfer via the e-GO application

Preparing Stock Orders for Transfer

When you are ready to transfer your order you must first :

• Launch the SOA


• Open the file you want to transfer
• Check that the details are correct

To format the file, select the Mark for Transfer option in the Order Functions area.

The application will ask you to verify that you want to Mark for Transfer. Click Yes to continue.

A formatted copy of the stock order will now be saved in the ‘Outbox’ folder
(C:\runego\outbox) and it’s file name will be derived from the account and order number
supplied. The file name will also have the word ‘transfer’ at the end of it.

In actual fact, 2 copies of the file have been saved in the Outbox. One with a suffix of
‘transfer’ and another with a suffix of ‘backup’.

Only the ‘backup’ copy can be opened within the SOA.

Submitting / Transferring Stock Orders

Once the stock order file has been ‘marked for transfer’ you must log back onto e-GO to
physically transfer the file to the e-GO application.

First, make sure that the account number displayed in the top right of the page is the correct
account for the order you want to transfer. Then select the Submit Stock Order option from
the menu bar.

Click the Browse button and locate the file (remember it’s the one with a suffix of ‘transfer’).

Click Open when you have selected the file.

Click the Submit button to transfer the order.

If the transfer is successful, e-GO will display a confirmation message.

The 2 main reasons for a transfer failing are:

• The order file that you have selected is not the account number displayed at the top right
(your ‘session’ account). Use the Change Account function to set the correct account
number.

• You have either selected the ‘backup’ copy of the file or are selecting the copy of the file
in the Orders folder that has not been marked for transfer.

Submitting your file, transfers a copy of your stock order file to the e-GO server where it will
be picked up and loaded onto e-GO at various scheduled times during the day.

Stock orders are loaded at the following times (GMT)

08:00 12:00 15:00 18:00 21:00

After these times the results of the transfer are available for viewing using the Stock Order
Log function.

Stock Order Log
You must remember to check if your stock orders have been loaded successfully after you
have transferred them. This is because occasionally the order may be rejected in whole or in
part. To view the log, select Stock Order Log from the menu.

To view details of the transfer simply click on the relevant customer order number.

Orders may be rejected for the following reasons.

• Obsolete or Stop account


• Unknown delivery address
• Unauthorised stock order address
• Duplicate customer order number

Rejected lines will not been added to your order and must be checked and re-submitted with
a new order number. Order lines may be rejected for the following reasons.

• Unknown part number


• Account / franchise conflict

• Part is inactive
• Part not yet available for sale
• Part has been superseded and customer does not accept supersessions

The following warning messages may also be displayed:

• Quantity ordered has been rounded to next UOI multiple


• Excess demand
• Part has a supersession

It is important to remember that loaded stock orders have not been allocated, simply ‘entered’
onto the system. Allocation will not take place until your next ‘dealer day’ so placing your
order early will not mean that it processed any quicker.

Printing Stock Orders

There is no facility within the SOA to print a file.

To obtain a printed copy:

1. Launch MS Excel and select to open the backup copy of the order. You will have to
select to view All File types.

2. Select Delimited file type and click Next.

3. Select Comma as the only delimiter and click Next.

4. Select General and click Finish.

5. The order will be opened with Part Number in column A, Comment in column B and
Quantity in column C. The last 2 rows will contain the order number and account.

6. You can now print the spreadsheet

Things to Remember about Stock Ordering

! Before using the Stock Order Application (SOA) you must install Java Runtime
Environment and the application itself on the user's PC

! JRE and the SOA should be available as downloads from Power-UP but take a copy on
CD as a backup

! You can either load order lines from a previously created csv file or type them into the
SOA directly

! You can either create a CSV directly from the users Dealer Management system or from
applications like MSExcel and MSAccess

! The format of each line in the CSV file is: part_number,comment,quantity

! Once you've loaded the order lines you can enter your account code, purchase order
number and delivery address code

! You can only send stock orders to 'known' addresses

! You can enter shipping marks against a stock order but remember that this will mean the
order is packed and shipped separately. Only use these when necessary and do not
enter 'none' etc in the field.

! Having created your order you can either Save it to work on later or Mark it for Transfer

! Clicking SAVE will save the file in the c:runego/orders directory with a file extension of
.ego

! Clicking MARK FOR TRANSFER will save 2 copies of the file in the c:runego/outbox
directory. One file will have the extension 'backup.ego' which can be opened from within
the SOA. The second file will have an extension of 'transfer.egt' and cannot be opened
from the SOA. To open this file use MSWord, Notepad etc

! The default naming structure for files is account_code-order_number

! When you are ready to transfer your order, log onto e-GO and select the Submit Stock
Order function. Remember - You must MARK FOR TRANSFER before submiting your
stock order via e-GO

! Having submitted your stock order a copy of your order is placed on the e-GO server.
This will then be loaded onto POPIMS at scheduled times during the day. Remember to
log back onto to e-GO ancd check the order using the Stock Order Log function.

! If e-GO has rejected any of the order lines because they were not recognised then they
must be re-issued on a separate order if still required.

! Once loaded nothing will happen to your stock order until the next dealer allocation date.

! To print the transferred file, first open the backup copy in excel

! If a print is required then launch MSExcel and open the backup copy as a delimited file,
by comma

Viewing and Tracking Orders

The View/Track Orders function allows you to review details of all your orders whether they
were entered via e-Go or by the PDC. By clicking View/Track Orders on the navigation bar
you can retrieve order details by your own as well as the PDC order number. If the order
you’re enquiring upon has been despatched then by clicking on the relevant advice note you
can access shipping and carrier tracking information.

To access the function:

• Click VIEW TRACK ORDERS in the menu bar.

• Select the appropriate order number (PDC or customer), enter the order
number and click GO.

If you are using customer order numbers and the order number has been used more than
once then you will be asked to select the appropriate order before continuing.

Customer order numbers can only be used the day after an order has been placed. This is
because overnight the numbers are extracted from POPIMS to allow e-Go to perform a cross
reference back to the POPIMS order number.

If an ordered part has been superseded or has back order releases then a triangular marker
or 'twistie' will be displayed by the ordered line. Clicking on a twistie will expand the display
to show details of the actual parts supplied.

If backorders exist then expected allocation dates will be displayed if we have received advised
delivery notices from our suppliers. These allocation dates are calculated immediately the
advised delivery date is entered onto the system for VOR backorders. Expected allocation
dates for stock backorders are calculated overnight after VOR dates have been re-calculated.

If the order has been despatched, then click on the highlighted advice note numbers to track
the order (tracking is only available against the actual despatched part).

The page returns details regarding the carrier used and the waybill (or tracking) number
assigned to the shipment.

Hyperlinks to 5 of our most widely used carriers websites are provided. Simply ‘copy’ or make
a note of the waybill number and click on the Carrier icon to go to their website.

Not all accounts orders are tracked either because of their location (e.g. UK dealers) or
because the carrier they choose to use does not provide Internet tracking. Remember to
check before your visit.

Things to Remember about Viewing and Tracking Orders

! Use the customer order number the day after the order is placed

! POPIMS is returning 6 lines at a time so a 300 line order is going to take significantly
longer to load than a 10 line order

! Click on the 'twisties' to see details of supersessions used and backorder releases

! If the order has been despatched, click on the advice note to track individual shipments
on carrier websites

! Waybill numbers will not be tracked for all customers, check before your visit to see if
tracking will be available

! Click on the carrier website links to track your order using the waybill number

! Only links to carriers with Internet tracking will be provided

Back Orders
Selecting the Back Orders function allows you to review details of back ordered parts. By
clicking BACK ORDERS on the navigation bar you can chose to review all your back orders
or for specific orders or parts.

To access the function:

• Click BACK ORDERS in the menu bar.

You can either view everything on back order for your account or narrow the search down by
filing in the selection criteria.

• To view all back orders for your account click GO


• To view all back orders for a specific order number then enter either your own or the PDC
order number and click GO
• To view all back orders for a specific part number then enter the part number and click
GO
• To narrow the search even more then enter order number and part number and click GO.

Back orders displayed are for current session account only and do not show all back orders
for a company. You must Change Account before performing function for additional
accounts.

An expected allocation date can only be displayed if we have received advised delivery
notices from our suppliers. These allocation dates are calculated immediately the advised
delivery date is entered onto the system for VOR backorders. Expected allocation dates for
stock backorders are calculated overnight after VOR dates have been re-calculated.

Once a back ordered part has been allocated the part will no longer show on this screen.
Perform VIEW TRACK ORDER to see if the back order has been released.

Things to Remember about Backorders

! Backorders shows all lines that have not been fully allocated

! A line ceases to be a backorder when outstanding stock has been allocated to it

! To view all backorders for an account, leave all the selection fields blank and click the
GO button

! You can narrow the search by entering any combination of order number, part number
and 'known' delivery address

! Use the customer order number the day after the order is placed

! Orders where the delivery address was keyed in will show as delivery address 00

! If we have received advised delivery dates from the supplier, the system will calculate a
promised allocation date. For VOR orders this will be the day the stock is due in. For
stock orders this will be the first dealer day after the stock is due in.

! VOR backorder promise dates are calculated as soon in real-time as the advised date is

View/Track to see if we have received a supplier delivery and allocated stock to the order
line.

! Do not use Part Enquiry to ascertain an expected delivery date for backordered parts

Part Enquiry
Part Enquiry allows you to enquire on the invoice price and availability of a part.

By clicking Part Enquiry on the menu bar and keying in a part number and quantity you can
view price and availability for either a VOR or stock order. Pricing is displayed in the
customer’s invoice currency and will give details of any surcharges included.

To access this function:

• Click PART ENQUIRY in the menu bar.


• Enter a part number and quantity
• If you do not want invoice pricing to be shown click in the ‘Availability Only’ box
• Click either the VOR or Stock button to see the part details for that order type as both
the price and availability may be different for each.

If you have Order Entry access then you may also add parts to an existing order from this
function.

Price

The price returned is the invoice price for the part per unit of issue and not for the required
quantity.

Pricing is shown in the account’s invoice currency and cannot be changed.

e-GO will highlight if the price displayed is a campaign price.

A VOR surcharge is shown if the VOR and Stock price differ (this may be because of different
pricing structures, stock campaigns etc).

If a remanufacturing surcharge applies this will also be displayed.

Price on Application
Occasionally you may find that a part can only be priced on application. This is usually
because it is a slow moving part that has not been sold or bought within a timeframe and
stock is low. On these occasions because we may have to resource the part we cannot
guarantee the price.

Click on the email link to send a request to our Pricing department.

The email will automatically be generated with your personal details, the par number and
quantity required and they will email you back with a price.

Hide Pricing
If you need to restrict the display of pricing, for example if the screen is at the parts counter
and you do not want a customer to see the price you pay then click the Availability Only box
before you perform the enquiry.

The viewing of price information can also be restricted at user level.

Availability
Availability is always calculated on the unit of issue of a part. So if you enter a quantity that is
not in a multiple of the part’s unit of issue, e-Go will always round the quantity up to the next
unit of issue. (e.g. if you enter 12 in the quantity field and the item is supplied in a unit of issue
of 10, e-GO will round the quantity to 20). A warning message will be displayed to tell you
that the adjustment has been made.

Promise Dates
On the odd occasion when there is insufficient stock to satisfy your enquiry advised dates will
be displayed to let you know when our next delivery is due.

Dates displayed are calculated based on the amount of ‘free’ and ‘in progress’ stock in the
warehouse, minus any outstanding back orders.

This calculation is only applied to VOR enquiries. For stock enquiries the information given is
purely the next delivery due into the warehouse regardless of whether a stock order could be
satisfied or not. This is because any VOR orders that may be placed between now and your
stock order being allocated may effectively ‘steal’ the delivered quantity.

As promise dates are based on live stock positions they are therefore subject to change. A
more precise delivery date can only be calculated on receipt of an order.

Supersessions
If the quantity of part you are enquiring is unavailable and the part is a link in a supersession
chain then you can click on the arrows to display the details of parts up and down the chain.

Things to Remember about Part Enquiry

! Price displayed is the customer's invoice price in their invoiced currency

! Promise dates for VOR enquiries refer to the expected allocation date if the order was
placed immediately, based on advised supplier deliveries and any other VOR backorders

! Promise dates for Stock enquiries refer to the next physical delivery into the warehouse
regardless of whether or not a backorder could be released. This is because any VORs
received in between placing the order and stock being delivered will take priority.

! Any promise date given is a 'best guess'. If required urgently then supplier orders may be
expedited once orders have actually been placed

! e-Go will alert the user if the price given is a campaign price

! The VOR Surcharge shown is actually the difference between the stock and VOR price
and does not necessarily include a surcharge

! If an FGW unique part has a simple supersession then links (arrows) will be displayed to
move up or down the supersession chain

! A link to move to the previous part in a simple supersession chain will only be displayed
if back-chaining is allowed on the part

! Supersession links for common parts will not be displayed as the status of the
superseded part number is set to inactive

! If a part is not in stock and has a supersession, e-GO will still show the price and lead
time for the original part

! e-GO will alert the user if a part has a multiple or selective supersession but will not
display the supersession details

! Supplier Lead time is always displayed if the required quantity is not available ex-stock

Change Account
All functions within e-GO are performed for a specific PDC account code. Your current
session account code is always displayed in the top left of all e-GO screens/pages. By
clicking Change Account in the menu bar you can change the session account to any PDC
account to which you have been authorised to use.

To access this function:

• Click Change Account in the menu bar


• Select the account you want to work as from the drop down box.
• Click GO

The new session account and name will now appear in the top right hand corner of the
screen.

User Search

The User Search function allows you to search for a particular user or list all users who have
access to a particular account.

To use the function:

• Click the USER ADMIN link in the menu bar


• Click USER SEARCH

• To search for a particular user, enter their CWS ID in the box. provided. Alternatively to
see who has access to a particular account, enter the account number in the box
provided

• Click Submit

e-GO will return the list of users matching the search parameters. To view a users access in
more detail or to modify it, click on their CWS ID.

Creating and maintaining users
User Administration allows authorised personnel (Dealer Administrators) to maintain e-GO
users from within their own company. Within this section they can add new users, amend
names and email addresses, change access rights and remove user access completely. The
Dealer Administrator will have been set-up in advance of training visits.

To create a new user


• Click the USER ADMIN link in the menu bar

• Click CREATE USER

• Enter user details

• The PDC accounts that the Dealer Administrator has access to will be displayed. Select
those that the user you are creating requires access to and identify one as the users
default account (this is the account that e-Go will always point to when you login).

• Click SUBMIT

• Select the functions the user requires access by clicking in the relevant boxes.

• Click UPDATE RIGHTS to complete setting up the new user.
Note: If the user needs access to any of the VOR functions please remember to also give
them access to LIST UNCONFIRMED ORDERS.

To View/Modify a User
To view or modify a users access rights you must first perform a User Search to identify the
user.

• Click USER SEARCH

• Enter the user’s CWS ID and click GO

• Click on the user’s CWS ID to view/modify their details

If you have modify access, you can now change any information about the user, remove or
add permissions and remove or reinstate a user.

To Remove a User
To inactivate a user’s account you must first perform a User Search to identify the user.

• Click USER SEARCH

• Enter the user’s CWS ID and click GO

• Click on the user’s CWS ID to view their details

• Click the DISABLE button to inactivate the user.

To Re-instate a User
To inactivate a user’s account you must first perform a User Search to identify the user.

• Click USER SEARCH


• Enter the user’s CWS ID and click GO
• Click on the user’s CWS ID to view their details
• Click the ENABLE button the re-instate the user.
• The user status will now read Active
